About this Guide This Quick Reference Guide provides an overview of the settings available under System Preferences | Permission Maintenance in InformationNOW. This document is intended

to provide only a definition of the options available. For more details regarding security, please refer to the InformationNOW – System Preferences Quick Reference Guide, which is

available from the support Web site at http://support.sti-k12.com.

• To grant users access to an option under the Tasks or Reports tabs, place a check next to the item.

• The Field tab is used to grant various levels of access to database fields. Users may select Hidden, Read Only or Read/Write permissions for each field.

At the end of this document, a checklist has been added which contains a list of each option available in Permission Maintenance. Print and use this checklist to help determine permissions

Academic Session View Academic Session

Users may View academic sessions under School/District | School by selecting a school and

clicking the Acad Session tab.

Address Find Similar Address

Allows users to access the Find Similar link when adding an address under Census |

Addresses.

Address Maintain Address

Allows user to edit mailing and physical addresses from a student, contact, staff or census

record. Also allows user to edit addresses from Census | Addresses.

Address Mass Verify Address

Allows a user with permission to use the new mass verify address functionality under Mgmt

Console | Console.

Address View Address Allows user to add, view or delete addresses from Census | Addresses.

Alerts Maintain Alerts Allows user to send and delete alerts under Mgmt Console | Alerts.

Alerts Send Alerts Allows user to send alerts under Mgmt Console | Alerts.

Attendance Maintain Attendance

Allows user to enter attendance records under Attendance | By Date or Attendance | Check

In/Out. Also allows user to enter attendance on individual student record under Students |

Student Maintenance.

Attendance Maintain Lock

Allows users to lock attendance months under School/District | School. Search for and select

to View a school. Click the Acad Session tab. Click to View a session. Click the Attendance

Months under the Manage menu on the left. Click to View a month.

Attendance Reconcile Attendance Allows user to reconcile attendance under Attendance | Reconcile Attendance.

Attendance Setup District Attendance Allows user to change options under Attendance | Setup on the Settings tab.

Attendance Setup School Attendance

Allows user to set school-level attendance settings under Attendance | Setup and on the

Settings tab. Without this permission, users will not be able to select the Use Different

Attendance Settings option and enter attendance settings that are different from the district

settings.

Attendance View Attendance

Allows user to view attendance records from the individual student screen under Students |

Student Maintenance or from the Attendance | By Date or Attendance | Check In/Out

menus. If unchecked, Maintain Attendance and Reconcile Attendance will also be unchecked.

Billing Add Charges Allows user to add charges under Billing | Charges | Add Charges.

Billing Add Payments Allows user to add payments under Billing | Payments | Add Payments.

Billing Apply Prepayments Allows user to apply prepayments under Billing | Payments | Apply Prepayments.

Allows user to change activity dates on the individual lesson plan under Classroom | Grade

Book and on the Plan tab.

GradeBook Maintain Classroom Allows user to access the Classroom | Grade Book menu.

GradeBook Maintain Classroom (Admin)

Allows user to access the Classroom | Grade Book menu for all classes. Allows Chalkable

Classroom Admin Portal users to edit items from the admin portal Now tab within the Class Profile. Also allows user to add/edit student scores and assign comments from the Grading

tab within the Class Profile. Users may also click in the Avg column and override the

student’s running Grade Book average for the selected grading period.

GradeBook Maintain Grade Book Averaging Method

Allows user to edit the Averaging Method portion of the Options screen which is found

under Classroom | Grade Book | on the individual section screen and under the Options link

on the left.

GradeBook Maintain Grade Book Categories

Allows user to edit Categories under Classroom | Grade Book | and on the individual

section screen.

GradeBook Maintain Grade Book Comments Allows users to edit, view or delete comments from the Grade Book comment bank.

GradeBook Maintain Standards Options

Allows user to edit the Standards portion of the Options screen which is found under

Classroom | Grade Book | on the individual section screen and under the Options link on

the left.

GradeBook Maintain Student Averages

Allows user to enter grades under Classroom | Grade Book from the individual class under

the Student Averages link under the Manage menu on the left.

GradeBook Maintain Student Grading Scales

Allows user to view/edit the grading scale assigned to the student for the selected class. Go

to Classroom | Grade Book to the individual class and click Student Grading Scales under

the Manage menu on the left.

GradeBook Post All Gradebooks

Grants permission to post grades for a grading period for all users under Mgmt Console |

Console | Post all gradebooks.

GradeBook Reconcile GradeBook

Allows user to reconcile an individual Grade Book under Classroom | Grade Book from the

individual class and on the Scores tab.

GradeBook View Classroom Allows user to view the Classroom menu.

GradeBook View Classroom (Admin)

Allows user to view the Classroom menu for all classes, not just the classes to which that

person is assigned as teacher. Allows Chalkable Classroom Admin Portal users to view items

from the admin portal Now tab within the Class Profile.

Grading Maintain Grade Settings Allows user to make changes to Grades | Setup | Settings tab.

Grading Maintain Grading

Allows user to perform manual grade entry/changes and access to most Grades | Setup | Lookup tab. Access to Grades | Setup | Settings tab has been removed. Access to Grades | Setup | Lookup tab | Grading Periods has been removed.

Task Level Permission A user will not be able to open a view for an area/task for which the user does not have permission. If the user does not have all the necessary permissions to access a view, the option will

be grayed out. For example:

• If the user does not have View Student permission, the user will not be able to open the Student view.

• If the user does not have View Discipline permission, the user will not be able to open the Student Discipline view.

Field Level Permission If a user has View/Maintain query permission and opens a saved public query that contains a field for which he or she does not have permission, the field will be hidden. For example, if the

student SSN is hidden from the user, who then opens a saved public query under the Student view that contains the SSN field, that field will be hidden in the query.

Hyperlink to Student Maintenance When a student-based query is generated to the screen, the user may click the student record to access the Student Maintenance screen for the selected student. The student record will show

the same level of permission as if the student record were access from Students | Student Maintenance.
