iT Requirements grow with Business
KBACE, which was founded in 1998, has enjoyed meteoric growth, including tripling its revenues from 2005 to 2007. After several years of robust expansion, the company knew that its legacy accounting and HR software was reaching its limits in terms of scalability and functionality. “Our legacy accounting and time-entry systems were designed for a small business of up to 50 or so employees,” Huebner said. “We had outgrown that range and were beginning to face issues, such as the system locking out all users whenever we ran a large report. We also required robust project accounting capabilities. We simply needed a more scalable and integrated ERP infrastructure to support our rapid growth.”

The company also faced new HR and payroll management complexity as it continued to grow. Managing state withholding, for example, became increasingly labor intensive as KBACE hired more consultants across the country. KBACE was looking for a way to further automate and streamline these vital processes.
As important, the company required a more sophisticated project management infrastructure to accurately capture revenue from a growing inventory of projects. KBACE’s contract process also required standardization as the company continued to grow.
“Our legacy environment did not provide tight integration between our financial and Web-based time-entry systems,” Huebner said. “As a result, invoice creation was a slow and cumbersome undertaking that relied heavily on manual processes and involved pulling data from several sources. Also, our workflow did not involve project managers in the bill preparation process, which at times led to corrections and questions after bills were sent.”

Why Oracle?
KBACE considered its options, as part of a due diligence process, when selecting an ERP infrastructure—even though it is an Oracle Partner. The IT team evaluated point solutions from Microsoft but had concerns about the integration between its Dynamics and Great Planes offerings, according to Huebner. The team also found the price of Oracle E-Business Suite and the Microsoft solution to be comparable.
“We concluded that Oracle could deliver a more integrated and feature-rich environment at about the same cost as Microsoft’s offering,” Huebner said.

KBACE, using Oracle Accelerators, condensed its implementation cycle to just 10 weeks, going live in January 2007. During that time, the IT team configured the systems six times—a process that that would have taken exponentially longer without the Oracle Accelerators implementation tool.
“Oracle Accelerators for Consulting Services sounds simple, but it is incredibly powerful,” Huebner said. “It allowed us to take a very iterative approach in which we would set the system up and run through test scripts. If we needed to change something, we would make the change within the tool and then run it overnight. When we came in the next morning, the instance or application was all configured.
