Welcome to the ProMed family!

Healthcare issues change frequently. What we learned in school might not necessarily be the same way we do things today. Products change, residents change – and care should change too.

For the past several years, Professional Medical has focused on helping you educate your staff. We have an extensive list of in-services that we can conduct in your facility. The in-service guides used during these presentations can also be a valuable addition to your orientation program.

We understand that you don’t have time to do everything. When you allow Professional Medical to assist you with your in-service needs, your time is freed up and your staff gets to listen to a fresh voice. At Professional Medical, we want to help educate your staff because we feel that everyone should seize the opportunity to improve care!

We also understand that staff turnover in our industry is high. That’s why our Compliance® In-Service Guides were designed to both aid in in-servicing staff and be incorporated into your orientation program.

In-servicing In-servicing is ideal for fulfilling the educational component of what we do as a distributor as well as a great way to bond with a larger group of people within your building. We hope you will allow your staff to get to know us as your facility’s medical supply distributor and encourage them to come to us if they have a question or concern. How to request an in-service

1. You can request that an in-service be conducted by filling out an In-Service Request Form. This allows us to prepare an in-service that meets all of your expectations. It also prevents any confusion over time, place or topic. See page 10 for the complete form.

2. When selecting a time for your in-service, remember that we conduct on-site in-services 24 hours a day, seven days a week. We want to ensure that your entire team is involved, including your weekend staff.

3. Fax or scan and email your In-Service Request Form to your ProMed territory manager. You can find their contact information on their business card.

4. Upon receiving the In-Service Request Form, your territory manager will create In-Service Posters to alert your staff to the upcoming training. With your permission, the territory manager will display these posters in prominent locations around your facility, such as elevators, bathrooms, in the staff break room and near the employee entrance and time clocks.

The In-Service Request Form helps us prepare an in-service that meets all of your needs.

1. The ProMed representative conducting your in-service will arrive at least 30 minutes early to ensure that everything is set up and in working order for the in-service.

2. The representative will bring your completed In-Service Request Form with them in case a shift is unaware of the in-service or forgets that an in-service will be taking place.

3. Please create a list of the scheduled staff members who will be attending the in-service so that we can ensure everyone attends an in-service session.

4. A ProMed In-Service Sign-In Sheet will be provided. If you would also like staff members to sign a facility sign-in sheet, please have it ready for the ProMed rep. The ProMed rep will bring an ample number of pens so that the line at the sign-in table moves swiftly. Please see page 10.

5. The ProMed rep will also bring an in-service guide, any additional related literature and treats for the staff.

1. The ProMed representative will begin by introducing himself.

“Hello, my name is ____ and I am with Professional Medical. Thanks for having me in today. I’m here because we will be supplying you with the products we are about to discuss.”

2. The rep will then tell staff members about Professional Medical.

“Professional Medical is a large family-owned medical supply company specializing in long-term care and we are one of your partners in health care. We are here today to discuss how we can assist you in providing quality care.”

3. The rep will then outline the information they will be covering. For example:

“As you can see, we have provided a booklet with information about our incontinence management products as well as information about the F-315 regulation on urinary incontinence. As professionals in this field, we want to be able to provide you with the best tools available to allow you to give good resident care and stay in compliance with state and federal guidelines.”

4. The ProMed rep will bring a sample of the products being in-serviced. They will show the product in the package so that the staff can easily identify the product by its packaging.

5. Using the ProMed In-Service Guide, the rep will conduct the in-service, going through the process step by step and detailing the product.

The presentation will include:

a. An explanation of why the change is being made. For example:

“Your facility has decided to upgrade to the Compliance skin-friendly brief in order to improve resident skin care and allow the staff to be more effective.”

or

“Today we are going to be starting you on the new Compliance Skin Caring briefs. The Compliance line of briefs was designed to create a cool, dry environment consistent with good skin care. This brief was created to improve skin care and resident dignity, helping to put you in compliance with tag F-315.”

b. We will detail any relevant industry information for the product line or topic being discussed.

c. Using the In-Service Guide and our Compliance Manuals, we will remind your staff of their responsibilities under specific F-tags that relate to the product being in-serviced. (See page 11 for list of available In-service Guides and Compliance Manuals)

d. We will then detail the product, including:

• The advantages, features and benefits of choosing a Compliance product.

• Proceeding slowly to ensurethat the entire group understands the information.

• Incorporating staff into the discussion to determine the correct protocol for the facility. The ProMed rep will emphasize the importance of following facility policy.

e. The next step of the in-service is to discuss every page of the In-Service Guide and its importance to the staff.

f. The program will then be summarized and the ProMed rep will ask “key questions” to ensure that information that was presented was understood by everyone in attendance.

g. Throughout the in-service, the ProMed rep will encourage staff members to participate by rewarding them with special tokens of appreciation.

h. To conclude the in-service, the ProMed rep will tell the staff members how to contact them. They will then open up the floor to questions.

• The ProMed rep will not rush the question and answer section because this is a key area for the group.

• ProMed reps will always be friendly and approachable and encourage staff members to ask questions – there’s no such thing as a stupid question!

i. The ProMed rep will tell the group about the In-Service Evaluation Forms and let them know where they will be available at each unit. Staff members should be specific about any concerns they have – and they should also feel free to write compliments!

j. In some cases, ProMed will need to do follow-up in-services within the following week. The Promed rep will remind the group of the upcoming follow-up in-servicing and address any questions they might have.

k. At the end of each in-service, the ProMed rep will check off who attended the session, compare it to the shift staff list and seek out those who were on the list but didn’t attend.

After the In-service

1. The ProMed rep will follow up with the facility contact the next day to discuss evaluation forms and the need to talk to staff.

2. The day after that, the ProMed rep will check evaluation forms and address any issues.

3. The ProMed rep will come into the facility during all shifts to observe and touch base about the products that were in-serviced, thereby preventing any potential concerns.

4. The week after that and each week for the next 30-45 days, the ProMed rep will continue to follow up until everyone is happy with the change and all staff members are using the products correctly.

5. All forms related to the in-service (the In-Service Request Form, the In-Service Sign-In Sheet and the In-Service Evaluation Forms) will be gathered and submitted to Professional Medical’s Special Sales Department to be placed in your facility's files.
