Raising Our Voices

Submission Guide

1. To submit a proposal, visit the AAA Raising Our Voices page to open the submission portal.

If you have a AAA Anthro Gateway profile, click on the “Login” button.

If you need a profile, click on the “Create Profile with AAA” button.

2. Next, sign in with your AAA username and password,

or you can create an account. You do not need to be a member to submit.

3. You will now be forwarded to the “Event Submissions” page to begin your submission. To start a new submission, click the “Click here to begin a new event submission” link.

4. Continue your submission on the “Start a New Submission” page.

5. Please pick your event type (live-streamed or view-on-demand), followed by the Primary Review Section you would like to review your submission.

6. Next, give your submission a title, and pick the submission type (the “View Submission Type descriptions” link below offers submission type descriptions if you need a refresher).

Submission Types

7. Next, you will be taken to your submission task list. All tasks must be completed before the submission can be

successfully submitted.

8. Task 1: Choose any additional review sections, if you’d like. These are used if the first section you’ve already selected does not identify your session as within their expertise. This task is optional.

9. Task 2: Give your submission a description (250-word limit). This task provides reviewers with a brief overview of your session.

10. Task 3: Add Participants- Depending on your submission, you will be guided as to how many participants you may add. You will also add each participant’s role from the dropdown menu

Click on “Participant Lookup” to first lookup your participant, and then add them to your submission. Do not enter the name of your participant on this page, and click the blue “Add Participant” button. Be sure to use the green “Participant Lookup” button to add all participants.

Please search for your participants by last name, and choose the correct profile based on their email address. If you cannot find your participant in the system, they will need to Create a Profile, before they can be added.

11. Task 4: Notify participants after you have added everyone to your submission. Once all participants have been added, click the red “Invite All Participants” button. They will receive an email notifying them that they need to complete a separate task list to activate their profiles and complete their portion of your submission. They can only log into the submission system from the link in the email they receive (view attachment 1). If they don’t receive the email, have them check their spam/junk folders. If you need to resend an invite, use the blue “Invite Participant” button below their name to resend their invite individually.

12. Task 5: All participants will be requested to confirm they may share their Access Needs and/or Accommodations Requests through a separate Google Form. The separate Google Form protects the confidentiality of this information. After all participants have a green “Presentation completed” with a green check mark below their names and not a red “Presentation incomplete” with a red x mark below their names, click “Complete Task”.

a. Every participant will be requested to check “Yes” when confirming “I understand that I am welcome to share my access needs and/or accommodation requests related to presenting virtually during the Raising Our Voices 2020 event using the linked Google Form.” The form is linked four times in this task.

13. Task 6 (Final Task): All participants are required to complete the Policy and Consent task. After all participants

have signed their own form, click “Complete Task”.

14. After all tasks are designated completed with green check marks, click “Save/Preview Submission”.

15. After confirming all tasks are completed and you have had the opportunity to review all information

necessary, click “Submit”!

16. Congratulations! Thank you for submitting your submission!

Attachment 1 – Sample Participant Email Your participants will receive the sample email to complete their task.

Attachment 2 – Email confirmation of completed and received submission.
