iCloud

What it is. What it isn’t How to get the most out of it

Setting up your iCloud Account and How to Get the Most out of It On your Mac System Preferences➝iCloud➝Sign In

• Your ID and password are your Apple ID and password • At the bottom, see how much storage you have and how much is being

used. If necessary buy more storage by clicking the Manage button.

• Once you have enough storage go back to the main window and click the Option button next to iCloud Drive. Here you will see what apps will automatically store files on iCloud Drive if you select them.

Note: If you click on the first one “Desktop & Documents Folders” anything you put on your desktop and anything you put in your Documents folder will then be stored in the cloud. In a Finder Window you will now show those two folders under iCloud

• Back on the Main iCloud window check each category you want to sync. I recommend all of them with a few exceptions. If you have an icloud or .mac email address you should check Mail.

• Make sure “Find My Mac” is checked. • Only check Keychain if you want to store passwords in Safari and if you don’t use a

password manager app and if you have a very complex Admin password for your computer and a complicated passcode for each of your iOS devices!!!!

• Next Click the Options button next to Photos. Here make sure iCloud Photos is checked.

On your iPhone or iPad.

• Click on Settings ➝your account at the top of the list. Then click on iCloud.

• There will be additional categories to check here, namely Wallet on your iPhone and Siri

and iCloud Backup and iCloud Drive on both iPhone and iPad. • You will also see a long list of most of the apps you have installed on this device. Check

each one you want to sync. NOTE: it is very important to have iCloud Backup and iCloud Drive both checked as well as Find My iPhone/iPad.

Once you have done this all your data will start syncing between all devices. But you may need to make some adjustments. Photos To save space on any of your devices you can Optimize Storage of your photos. This will leave a smaller version of each photo and video on that device to save space. The full resolution will be in the cloud. When you need the full resolution you just click on it and it will download it.

• On your Mac, open Photos ➝Preferences ➝iCloud and choose Optimize Mac Storage.

• On your iOS device go to Settings ➝Photos ➝Optimize iPhone/iPad Storage NOTE: Photos is a synced copy of your photo library not a back up. If you delete a photo on one device it is deleted from every device. But you do have 30 days to restore a deleted photo. I suggest you keep copies of all your photos in a separate file on an external backup or before deleting a photo export a copy of it to an external.

Music Your music Library will sync between devices and not count toward your storage if you have either signed up for Apple Music or subscribed to iTunes Match.

Safari Bookmarks Your surfing on one device will show up on all your other devices. Makes using Safari over others more advantageous. Calendars, Contacts, Reminders, Notes All will sync between devices, but you must make sure that any categories, contacts, reminders and notes you have create appear under the iCloud designation. Files You can place any type of file in iCloud Drive and work on it on any device. If you want to work on it offline, make sure you download it onto your device. Family Sharing You can turn family sharing on and have all your family share the same storage. Keychain If you still haven’t invested in a password manager app, you can use Keychain as long as you have both a good Admin password for your computer and a good passcode for your iOS devices AND you have turned on Two-Factor Authentication. This is critical!!!! Accessing your iCloud Drive

On your Mac you access iCloud Drive from a Finder Window On your iOS Device you access it via the Files icon

What iCloud Isn’t

• It is not a backup for your Mac. Only Time Machine does a complete back up of your Mac.

• An unlimited storage repository. Apple gives you just 5gb of storage for free. Once you

activate iCloud you will have to buy extra storage. And most of us will need at least 50gb of additional storage and most likely will have to go up to the next level of 2TB.

• It is not a service that provides multi-user collaboration. This is suppose to be a new

feature that will be added with the new operating systems though.
