Hunter Valley Resort for your upcoming Wedding!
We are delighted to outline our Wedding Package
options that we can offer you for your special
day. Please go through the information at your
leisure. Here at the Hunter Resort we cater for
small and intimate weddings, through to
occasions of up to 200 guests in cocktail style,
and most importantly we recognise this is your
day and we aim to make it nothing short of
perfect.
If you have not already had the opportunity we
invite you to come and visit us. While this kit
outlines everything for you, there is nothing like
seeing everything first hand and we can take the
time to understand the vision you have for your
day face-to-face.
As a gift to our Bride and Groom, we include in
our Wedding Packages a complimentary night
accommodation on the night of your wedding.
For the rest of your guests, you will find in the
kit we not only have plenty of room for them to
stay but also plenty to keep them occupied whilst
they arent celebrating with you.
Having gone through this package, should you
have any queries please do not hesitate to
contact us and discuss your plans further. If you
wish to arrange a site inspection then I
recommend you call and arrange a time that is
suitable for you.

A Wine Country Wedding
The Hunter Valley Resort is a family owned and
operated 4 star property. It is the combination
of that personal family touch and years of
experience in hospitality both here in Australia
and internationally that make us an ideal venue
for a day as special as a Wedding. You want to
have nothing to stress about on your day!!

Situated just two hours north from Sydney, you
are surrounded by vineyards, rolling countryside
and the backdrop of the Brokenback Ranges.
Whether you wish to have your ceremony on site
or simply join us for your reception you certainly
will have the backdrop for a Wine Country
Wedding.
This kit will outline what is included in our
packages as well as what is not. For those details
we do not provide onsite, we have plenty of
contacts on hand to assist you with your
planning.
The Ceremony
Entry to our function area is via a rustic wooden
bridge over a beautiful pond with running water.
With your guests gathered around the edge of the
pond it creates an ideal setting for sharing your
vows.
Alternatively, set in our lawns is a pergola. This
setting is best suited for smaller more intimate
ceremonies.
Also onsite is the Matilda Bay Brewhouse & Caf.
It is the perfect location for your guests to mingle
after the ceremony whilst you are having
photographs taken.
Following photographs, there is plenty of lawn
area for you to catch up with your guests and
enjoy a glass of champagne before heading into
your reception.
There is no charge for onsite ceremonies when
you book your reception. If you require
assistance in obtaining a celebrant then please
let us know.

The Reception
Our reception areas allow us to cater for small
and intimate groups through to larger weddings
of 200 guests. Please note that our packages are
based on a minimum of 25 guests. Smaller
Weddings under this amount of people CAN still
be catered for, but we would tailor a package to
suit the group.
All our facilities are fully air-conditioned and
heated for your comfort all year round.
Venue options:
The Winemakers Room:
Up to 50 guests dining only
Dance floor available for groups of 30 or less
The Hermitage:
This is our most flexible area as movable walls
allow us to create space for receptions of 25
200 guests.
The room contains: a large open fireplace,
terracotta floors, private bar and lounge area and
access to outdoor lawn space.

Minimum food charge on a SATURDAY is $65.00
per person.
Hermitage room hire full area $500.00, half
space $250.00. Winemakers room hire - $250.00

NB: All receptions are for up to a 5-hour basis
from the time you are SEATED for your function.
Should you require extra time, an additional fee
of $300.00 per hour applies.

We like to make the drink arrangements as simple as possible. You have three options:
1. Cash bar - Guests pay as they go
2. A set bar tab the limit on the tab and the selection of beverages available must be pre-set prior to the wedding and a contact person given in order to ensure the limit is not over-spent. The costing of drinks below will help you set a tab if you choose this option:

Accommodation:
To make it all just that little bit easier, you and your guests can stay on site.
The following outlines the special rates we offer with our Wedding Packages, including breakfast, winery tour, and wine theatre entry.
All rooms are rated at 4 stars and feature timber cathedral ceilings, full size bathtub, reverse cycle whisper quiet air-conditioning, writing table, flat screen LCD television, DVD & CD player and large double glass doors overlooking the surrounding Hunter Valley Wine Country.

What happens next?
Once you have made the decision The Hunter Resort is the place for your special day, there are few simple things you need to do to secure the booking and get the plans under way. Heres what we need:
Sign and return the attached booking contact.
On receipt of the contract we will send you an invoice for a holding deposit of $1,000.00 receipt of payment to confirm your booking.
If you think you or your guests would like to stay at the resort, we need approximate numbers to put some rooms aside. Your guests will have up to one month prior to your wedding date to take advantage of these reserved rooms; any unused rooms at this time will be released for general sale. If you are staying on site for your Wedding night, we would like to give you a Vineyard Room as our guest for that evening. You can upgrade this room to a Spa Cottage for an additional $150.00.
If you havent had the opportunity to meet with us face-to-face, we strongly suggest you arrange a time to come and visit the site. This helps us to develop a true sense of how you would like your day to be. REMEMBER at anytime, we are only a phone call or email away for any query big or small!
As mentioned in the kit, we have a thorough list of people who can assist in creating the ideal wedding day. Just ask.
No later than one month prior to your wedding date we suggest we have another face-to-face meeting to go through ALL the details.
At this time we will require details on: Guest numbers, menus, seating arrangements, set-up arrangements, entertainment, order of events, beverage package and any other facets of the day we will be involved in.
The final month: as with all weddings, there are always those last minute changes to be made. During this final time we shall be in touch as often as required so your mind is at ease so your day will be perfect. Final numbers are to be locked in no less than 14 days prior to the event.

BOOKING CONTRACT
This contract is between:
The Hunter Resort Pty Ltd ("Venue") ABN: 89003384307

WEDDING TIME/DATE________________________________________ (Time/Day/Month/Year)
RATES: You accept The Hunter Resort rates are quoted in Australian Dollars, inclusive of GST, and subject to availability. Period of validity is as specified on the attached schedule. While all attempts are made to maintain published prices, menus, package activities, transfers, or tour options, they may be subject to change at the discretion of Hunter Valley Resort Management due to changing market availability without notice.
ACCESS/DURATION: Room set up is no more than 3 hours prior to the agreed function time start. Additional set up time can be negotiated with prior written agreement and may incur additional room hire charges. Function is for a period of five (5) hours only. Overtime will be charged at a rate of $300.00 per hour thereof.
DEPOSIT: A deposit of $1,000.00 shall be paid by the Client to secure this booking.
50% of the contracted amount less deposit is payable 120 days prior to the agreed date of function
Next 25% is then due 30 days prior to the function
Final 25% is due 7 days prior to arrival at the resort
MAINTENANCE: Every effort is made to provide the services and facilities as advertised. To maintain our high standards, regular unscheduled maintenance may occur to our facilities, or the winery or brewery may be closed to the public due to occupational health & safety reasons. On some occasions, it may not be possible to provide prior notice.
PROVISION OF GOODS AND SERVICES: The annexed Reservation Advice forms part of this contract and describes the goods and services to be provided to the Client by the Venue, including effective dates and times, and attendance numbers for whom the said goods and services are to be provided.
OBLIGATIONS: We cannot be held responsible for such things as civil strife, acts/threats of war, water, natural/other disasters, military exercises, epidemics, weather, power/equipment failure, terrorist activity, strikes, government action, acts of God, or similar events. Nor will we guarantee the performance of any subcontractor.
FINAL ATTENDANCE NUMBERS: Final attendance numbers must be notified to the Venue twenty one days prior to arrival. Any reduction in attendance numbers subsequent to notification of final numbers will be subject to charging at the full contracted amount. Should the attendance numbers decrease by 10% or more at any stage prior to notice of final numbers, the Venue shall be entitled to charge for 90% of the contracted attendance numbers.
TRADING TERMS: Unless credit facilities have been established with us, full prepayment is required. If any of these requirements set out above are not met, we reserve the right to release all space held. Final accounts are to be settled at checkout. Please note we will charge the clients credit / charge card for any outstanding account / invoice. We must also retain the right to modify or cancel any accommodation if it cannot be provided for any reason. You agree to be held responsible for any cancellation fees charged.
GUESTROOM CHECKIN TIME: 2.00pm / CHECK OUT TIME - 10am. Check in prior to 2.00pm is on a request basis only, and should be requested at time of reservation. A full day charge may be applicable. For a guaranteed arrival prior to 1.00pm a guest must be reserved from the previous day.
LOSS AND DAMAGE: The Client will remain financially responsible for any loss/damage to the property of the Venue caused by the Client's guests /invitees and also agrees to pay us at the applicable
nightly rack room rate for the room and/or equipment until repairs, replacement, cleaning or airing of same is fully completed.
RESPONSIBLE SERVICE OF ALCOHOL: The Client agrees that they, and their guests, understand that it is against the law to sell or supply alcohol to, or obtain alcohol on behalf of, a person under the age of 18 years. Further, under the NSW liquor laws, licensees and staff must ensure that patrons do not become intoxicated. Intoxicated persons will be removed from the premises immediately, or will be refused entry to the premises.
CHANGE OF DATE/CANCELLATIONS: We hope this does not happen. However, in the event of a cancellation or change of date, 100% of the contracted amount will only be refunded if the booked time is resold to another Wedding function.
PAYMENTS: As this is an individually negotiated contract, payment is required by way of cash, EFTPOS or cheque. American Express and Diners Club payments will incur a commission charge of 3%. Mastercard, Visa & EFTPOS payments will incur a commission charge of 1%. If credit terms have been agreed in advance and in writing, settlement must be within seven days of receipt of invoice. Interest will be charged on overdue amounts at 15% per month. Accounts settled by bank transfer into our account must be as invoiced. You agree to fax/email a remittance for same and also agree you will pay any bank/transfer charges.
AUTHORITY: I am authorised to accept The Venue terms & conditions on behalf of The Client. The persons signing this contract hereby confirm their full capacity and authority to do so. The person(s) and organisation(s) listed as the Client shall be liable in full for all costs and charges raised as a result of the herein agreed booking and authorise any outstanding invoice to be charged to the credit / charge card. This Agreement is the entire Agreement between the parties and supersedes all Agreements and understandings as to the matters which are the subject of this Agreement and there are no understandings, representations or warranties of any kind between the parties except as are expressly contained in the provisions of this Agreement. This Agreement may be amended by an instrument in writing signed by or on behalf of, or executed under seal by each of the parties to this Agreement. The law governing this Agreement is the law of New South Wales and any action between the parties shall be taken in a Court in New South Wales and the parties agree to submit to the non-exclusive jurisdiction of the courts of that State. This contract shall remain in full force and effect irrespective of the granting of any indulgence of time or in any other capacity whatsoever by the Venue.
