A note about Promotions: Promotions must be “associated” to specific Products (i.e. you need to have a Cruise, Tour or Service that you wish to promote – so the process starts there). Before attempting to create a Promotion, be sure to have the appropriate tour(s) and/or service(s) already created within virtuoso.com.
1. Login to virtuoso.com
2. Hover over your name and click “My Profile”.
3. Click on company name to view Company profile

4. Click Product List, then select “Create New Product”
4. Scroll down to “Company Associates” and click on “Create New Profile”
5. Select “Promotion” from the Product Type drop down
6. Complete all required Promotion Information fields – all are marked with an asterisk *
• Promotion Type
• Promotion Name
• Valid for Travel = Validity dates of the Promotion
• Publish Dates = Dates that the Promotion will be active/viewable on Virtuoso.com (1 year maximum)
• Booking Dates = Dates when the Promotion can be booked
• Promotion Description
• Once complete, click the “Create” button
7. Offer Visibility – select whether this promotion should be viewable to All (including consumers) or Members Only
8. Also indicate whether the Regional Visibility settings for this promotion should be the same as your company regional settings. If so, leave “Same as Company” checked.

If not, un-check “Same as Company” and set the appropriate visibility for each region.
Note: when “Visible Only to Specific Countries in this Region” is selected, you will then need to click “Add Countries” to list any countries in which this promotion applies.
9. Next, you may review the Terms & Conditions, Booking Instructions, Commission and Advisor Restric-tions that apply to this Promotion. This information is pulled from your Supplier Profile on virtuoso.com. You can make changes to this information here if necessary, or leave it as-is. To leave it as-is, leave “Same as Company” checked. To make changes, UN-check “Same as Company” and edit the content.

10. Next you must associate the Promotion to an existing Product.
• Enter key words in to the search bar – OR
• Use the Destinations, Countries, Cities and/or Virtuoso Exclusives filters to find the appropriate product(s) that you need to match to your Promotion
• If the Promotion applies to ALL products, click the “Add All” button
• To select specific product(s), use the next to each product you wish to associate to your Promotion
• If you add a product in error, use the on the right-hand side to remove it
11. Click “Save”

12. Once saved, you now have a live Promotion in virtuoso.com. You can make changes by simply clicking the “Edit” button within any section. If you need to make changes to the package dates, you can do so within the “Admin” section.
