Book Slots screen

You will see a listing of slots per timezone.

The 'Require' drop down list is where you go to select how many slots you want for that timezome.  The number you see here is the number available for the specific type of booking you selected in the Search

criteria (Pick up, Drop off, Dual or Unspecified).

Note: you have three minutes to complete a booking. This is indicated by the timer appearing in the bottom right hand side of the Book Slots screen.

If you do not complete the booking within this time, you can click the clock image to restart the timer at 3:00minutes.

Select the number of slots from the drop-down list in the ‘Required’ column. A 'Book' button will then appear on the right hand side of the 'Require' drop down list.

A Booking Result pop up window will appear once the 'Book' button is pressed. 

NOTE: You can only book slots for one zone at a time.

Booking Result Screen

Once you have booked slots the below Booking Result screen will appear. This screen shows you the number of slots that have been booked along with the booking reference details.

  Continue Booking button - this will take you back to the Book Slots screen to continue to book further slots

 Summary button - this will take you to the Booking Summary screen

 

Booking Summary

This screen allows you to EDIT the Booking Reference and attach a container and other booking details if required - this can be done via the radio button in the 'Action' column. You will also be able to email and

print bookings information from this screen by just clicking on the  and  icon.Email Print

NOTE: When you press the  button it will take you to the Booking List screen. Finish

Edit Booking Details

Within this screen, you can List, Clear and Attach booking details to your booking reference.

When you enter the container in the field and press the tab key or move your cursor out of that field, the Length, Vsl/Voy, Commodity and Full/Empty fields will automatically be filled in. 'Container No'

The carrier can also confirm the booking using the Facility Reference Number that you obtain from the Terminal.

To input these details - select the radio button - enter in the relevant details and the press the  button. 'Facility Reference Number' Confirm

Hazardous

If the Terminal has set up Hazardous bookings to be verified against the Port Authority list, all Hazardous container numbers must have been sent to the Port Authority prior to the booking so that they can be

verified.

 

For a Hazardous booking to be successfully confirmed it must meet the following:

Green Line Hazardous Containers

The container number must be in the Port Authority Hazardous list. VBS will always check the container number entered against this list

The commodity must be set to Hazardous

The earliest delivery date for the Hazardous container in use must have been specified by the Port Authority

The booking must be made after the earliest delivery date specified by the Port Authority

Red Line Hazardous Containers

The container number must be in the Port Authority Hazardous list. VBS will always check the container number entered against this list

The commodity must be set to Hazardous

If no delivery date has been specified by the Port Authority, the slot booking must be created by the CTO Terminal user so you must contact the terminal to arrange a slot

 

Following are the possible error messages that may occur when confirming a HAZ booking in VBS:- 

"Unable to confirm the slot because the container number is listed as HAZ by the Port Authority and cannot be dropped off at the terminal before 26 OCT 2011 - Zone 1": Haz container booking is before

the Port Authority Deliver After DateTime

"This Container is listed as GREEN Line Hazardous by the Port Authority but the delivery time is missing. Contact the Port Authority to arrange a delivery time": Haz Container is listed in the Port Authority

list as a Green Line Haz but no Deliver After date/time was set by the Port Authority. This error should be quite rare for Green Line HAZ

"This Container is listed as a RED Line Hazardous by the Port Authority and you must contact the Facility to arrange delivery. If you acknowledge that you have contacted the facility (Stevedore) to arrange

delivery please click "Save" button again to confirm the slot": Red Line Haz containers may not have a Deliver After date/time (not mandatory for Red Line) and it can be confirmed if the Slot was created

by a CTO and the carrier acknowledges that they have contacted the Facility regarding the delivery time

"Unable to confirm the slot because the Hazardous container number APZU3659582 is not listed as HAZ by the Port Authority. Inform the Port Authority first then try again 1 hour later": An error can occur

if the Haz container is not in the Port Authority list. This would occur because the Port Authority has not been informed about the container. Once the Port Authority has been in informed it can take an hour

for the data to be transferred to VBS

"This Container is listed as a RED Line Hazardous and the booking must be a Facility created slot": Red Line Haz containers may not have a Deliver After date/time (not mandatory for Red Line) and it can

be confirmed if the Slot was created by a CTO and the carrier acknowledges that they have contacted the Facility regarding the delivery time. In this case the slot was not created by CTO so it cannot be

confirmed. Contact the Terminal to arrange a slot for delivery

"Unable to confirm the slot because the container number is listed as HAZ by the Port Authority. Therefore the commodity must be HAZARDOUS to confirm the slot": Haz container is checked against the

Port Authority list even though the carrier has a GENERAL commodity code. Check that the container is a HAZ container and if so change the commodity code to HAZ

"Greyed out slots are frozen and cannot be swapped. Container Swap has been successful": Swap is checked for Haz and in some cases it cannot be swapped. Errors will also occur when swapping if the

new slot time of the booking is before the Delivery after time specified by the Port Authority

Hazardous document (Multimodal Dangerous Goods Form)

Depending on the facility, you may be required to attach the relevant Hazardous document (Multimodal Dangerous Goods Form/M041) to your Drop-Off Hazardous container before you can manifest.

You can attach the Hazardous document from the or in the .Booking List screen Booking Details screen

 

Empty Return 

How to make an Empty Return Booking

 

If Shipping Line nominates a Drop-Off container to return to the terminal as "Empty Return", you can make an Empty Return Booking for the container in VBS. To make an Empty Return Booking, you have to

select "Drop-Off" as slot type and "Empty Return" as the pool.

When you clicks on "Search", VBS will display the available slots from Empty Return pools only. You can then make an Empty booking by using existing procedure.

How to confirm an Empty Return Booking

To confirm an Empty Return booking, you have to enter the container number in the Booking Details screen. If the container is nominated by the Shipping Line, VBS will retrieve the container details with the

storage vessel information. Otherwise, you will see the error "Container not found". Then you have to contact the shipping line to nominate the container as 'Empty Return". At this stage, you will see the PRA

status as "Not Sent".

 

If you can see the container details, you will be able to confirm the booking by just clicking on "Confirm" button. VBS will also send a PRA to the terminal automatically when you click on "Confirm" button. If VBS is

able to send the PRA successfully and the terminal accepts the PRA, VBS will change the booking status to "Confirmed" and You will see the PRA status as "Accepted".
