VBS Activity Team

What We Do: Everyone loves being on the VBS Activity team! We help make the VBS program an ACTIVE fun time. The activity team will bring creativity to the Bible Story through unique games and crafts. Our goal is to help kids connect and remember the Bible Story for the day.

Specific Expectations: 1. Arrive at designated time 2. Set up supplies you will need for activity time 3. Lead activity with the kids 4. Clean up supplies used during activity time 5. Prepare for the next day

Attire: We are a casual environment and encourage people to “come as they are.” However, as representatives of our congregation we should strive for a professional and approachable appearance. Here are the expectations for attire – please let us know if you have any questions/concerns.

1. VBS volunteer t-shirt 2. Suggested you wear comfortable shoes - you will be standing for extended periods of time 3. You may wear additional protective clothing if need. You will be outside for most of the day (weather

permitting)

Important Dates: We ask that all volunteers attend VBS Kickoff Volunteer Training on Sunday, July 23 from 2:00-3:30 pm. This will be a time to meet with the other member of the Activity team. You will run through what your schedule for the next week will look like. This will be a good time to go over details to be prepared for each day’s activities.

How to Help Before VBS:

1. Pray! Pray for Volunteers, for the kids who are coming, and for the week of VBS to be powerful and safe for all who come.

2. Invite others to come join the VBS Volunteer team. 3. We will be looking for people to help us before the week of VBS with prep work. Some of the tasks

VBS Clean Up Team

What We Do: Creating the world’s best Jesus party sometimes makes a mess. We want our environment to be welcoming and safe for each individual coming to Hope Ankeny. Having the VBS Clean Up Team helps us achieve this fundamental goal.

Specific Expectations: 1. Arrive at designated time TBD 2. Check into the Command Center with the facilities coordinator. 3. Duties may include such things as cleaning, vacuuming, gathering garbage, etc.

Attire: We are a casual environment and encourage people to “come as they are.” However, as you may get sweaty you may want to avoid wearing your ‘Sunday best’.

How to Help Before VBS:

VBS Design and Decoration Team

What We Do: The VBS Design and Decoration team bring the Bible Stories to life through fun creative decorations. The team will design stage set and decorations for VBS. They will also work with other volunteers to put up and take down decorations.

Specific Expectations: 1. Meet with the team to design stage set and decorations 2. Help prepare decorations to be set up 3. Be present July 23 to help put up decorations 4. Help with tear down of decorations Friday evening.

Important Dates: We ask that the design and decoration team be present on July 23 to help set up decorations after services on Sunday.

VBS Greeter Team

What We Do: We greet every person who walks into Hope Ankeny as though they are coming to the world’s best Jesus party! Our goal is to help each child and family member feel welcome and known.

Specific Expectations: 1. Arrive at designated time 2. Grab a clipboard with all frequently asked questions, maps and registration information. 3. Get familiar with the provided information so that you can quickly assist kids and families as they arrive 4. Watch your assigned area for any foot traffic congestions and help direct individuals to the correct

locations 5. Bring any logistical concerns or questions you are unable to answer to the Command Center for a staff

person to assist. 6. Once all kids are checked in and families have departed you are free to go. However, if you can stay on a

particular day, please let a staff person know at the Command Center as additional help is typically needed.

VBS K-5 Leader

What We Do: We will assist K-5 Shepherds and Junior Shepherds in any way necessary throughout VBS week. Our goal is to help train and support the K-5 Shepherds and Junior Shepherds.

**K-5 Leads WILL NOT play the Shepherd Role. This role is to assist K-5 Shepherds and Junior Shepherds!!

Specific Expectations: 1. Arrive at designated time 2. Point of Contact for K-5 Shepherds and Junior Shepherds if they need anything throughout VBS week. 3. Will check in daily with K-5 Shepherds and Junior Shepherds to make sure they have the necessary

materials for the day and feel confident with the plan for the day. 4. Recruit and schedule volunteers for the week with assistance from Hope Ankeny Staff. 5. Train K-5 Shepherds (with assistance from Children’s Ministry staff) to be ready for the week

including K-5 Shepherd Expectations. 6. Mentor/Contact Junior Shepherds prior to VBS, during VBS, and after VBS (more information will be

available during VBS training dates). 7. Assist K-5 Shepherds and Junior Shepherds with clean-up at the end of each day. 8. Help K-5 Shepherds prepare materials for evening session or the next day.

Also, we ask that All volunteers attend VBS Kickoff Volunteer Training on Sunday, July 23 from 2:00-3:30 pm. This will be a time to meet with the other. This will be a time to meet with the other PreK and Elementary Leads.

How to Help Before VBS:

VBS K-5 Rover

What We Do: We will collaborate with the K-5 Activity Lead and K-5 Rec Lead to make sure that they are equip with the necessary materials for each days’ lessons and will help make sure everyone feels prepared for the day.

Specific Expectations:

1. Arrive at designated time 2. Responsible for making sure all holes are filled during the week due to unexpected absences (K-5

Shepherd needs). This may mean filling in for K-5 Shepherds if necessary and utilizing the substitute list to help fill holes.

3. Check in daily with K-5 Activity Lead and K-5 Rec Lead to make sure they have the necessary materials for the day and feel confident with the plan.

4. Point of Contact person for behavioral or illness issues with kids. Depending on the severity of the situation, a K-5 Lead or Hope Staff Member may need to be contacted.

5. Help recruit and schedule volunteers for the week with the assistance from K-5 Lead and Hope Ankeny Staff.

6. Assist K-5 Activity Lead and K-5 Rec Lead with clean-up at the end of each day. 7. Help K-5 Activity Lead and K-5 Rec Lead prepare materials for evening session or the next day.

VBS Nurse

What We Do: Providing a safe environment for every child, all families and each volunteer is our top priority. The VBS Nurses are made up of individuals who are focused on serving God in a protective, safe and proactive capacity as well as responding to specific needs that require immediate attention.

Specific Expectations: 1. Arrive at designated time 2. Check in with the Safety Team coordinator. 3. Will maintain a presence at the Nurse’s station to respond to medical needs of children and volunteers. 4. Answer questions from volunteers, children and families. 5. Be friendly and always ready with a smile and a warm greeting.

Attire: We are a casual environment and encourage people to “come as they are.” However, as representatives of our congregation we should strive for a professional and approachable appearance. Here are the expectations for attire – please let us know if you have any questions/concerns.

What We Do: We want each volunteer to know how much we value their time and talents. One way we do this is providing quality child care for the volunteer youngest children. Safety for our children is always top priority and that is why, before you can serve in the nursery, you must complete a background check.

Specific Expectations: 1. Arrive at designated time 2. Check into the nursery with the nursery coordinator. 3. Warmly greet volunteers and assist them with checking their young children into the Nursery. 4. Reading books, blowing bubbles, giving hugs and singing songs. Limited diaper changing. Lots of

VBS One Body Team

What We Do: The VBS One Body team helps make the VBS program a welcoming environment for ALL students. The One Body team provides one-on-one buddies for children with special needs to ensure every child experiences Christ’s love at VBS. Our goal is to build relationships and support children with special needs as needed in their small group.

Specific Expectations: 1. Before VBS, read your child’s personalized plan and pray for them 2. During VBS, arrive at designated time 3. Pick up a One Body lanyard and activity bag 4. Accompany your child to each station, providing support as needed 5. Prepare for the next day

Pre-VBS Prep Team

What We Do: This is a critical team for the success of VBS! With over 1,000 kids that attend during the week, it is no surprise that many supplies are needed for all the activities. This team makes sure all the areas of VBS have what they need for the week. This team will track and organize supplies that are purchased, donated and borrowed; shop for some of the supplies that may be needed (credit card/gift cards provided); prep any crafts or activities needed for stations; and assemble, sort, copy, label, etc paper supplies. Our goal is to make sure everyone has all their supplies ready before VBS starts.

Specific Expectations:

1. Work may be done at the church or at home. 2. Work should be completed within the provided timeframe to ensure it’s ready when needed.

Important Dates:

1. June 1-18: Donation needs will be sent to congregation 2. June 25: All donations should be returned to the church 3. July 1: Final order of any online supplies 4. July 1-20: prep materials 5. July 1-5: purchase any materials not donated 6. July 17-21: hang signs, assembling, copying, admin work, final prep

VBS Pre-K Activity

What We Do: Together the VBS Pre-K Activity team makes the VBS program an ACTIVE fun time. The preschool activity team will bring creativity to the Bible Story through unique games and crafts lead in the classrooms. Our goal is to help kids connect and remember the Bible Story for the day.

What We Do: The VBS Production team ensures the VBS program is a big PRODUCTION and run smoothly. The team will be responsible for handling all production needs during VBS which includes: music, video, slides etc. Our goal is to help kids connect to the Bible Story using technology.

What We Do: We can’t do VBS without the registration team! We make sure there is a place for every child. We handle the information for registered guests as well as get new guests and friends registered. We supply the shepherds with what they need each day to keep VBS a safe place for their kids. Our goal is to make sure every kid has a group in which they belong for the week.

Specific Expectations: 1. Arrive at designated time 2. Learn the process to register new kids and guests 3. Be prepared to answer questions families may have about where to go or what happens at VBS 4. Assist staff with registration roles 5. Get counts of kids in each grade to better prepare the station teams.

What We Do: Providing a safe environment for every child, all families and each volunteer is our top priority. The VBS Safety Team is made up of individuals who are focused on serving God in a protective, safe and proactive capacity as well as responding to specific needs that require immediate attention.

Specific Expectations: 1. Arrive at designated time. 2. Check in with the Safety Team coordinator. 3. Perform duties as assigned. May include parking lot/traffic attendants, patrolling the grounds, watching

hallways during transitions, etc. 4. Answer questions from volunteers, children and families. 5. Be friendly and always ready with a smile and a warm greeting.

VBS Set Up & Tear Down Team

What We Do: Everyone loves being a part of VBS, but schedules do not always allow to serve during the week of VBS. The Set Up & Tear Down Team will assist in getting the building ready for all the kids and families to experience the world’s best Jesus party!

Specific Expectations: 1. Prior to VBS you will be contacted on the specific times that set up and tear down are planned. As Hope

Ankeny will be having worship on Sunday, most of the set up will take place starting after the 11:00 am service on Sunday, July 23. Additional times may be selected for decorating and cleaning.

2. When you arrive check into the office and let a staff person know that you are here to help set up and there will be a check list of tasks to be done.

3. After closing on Friday, July 28 at 8:00 pm we begin transforming the space back, with the major work being done on the morning of Saturday, July 29. Specifics times will be scheduled soon.

Attire: We are a casual environment and encourage people to “come as they are.” However, as you may get sweaty you may want to avoid wearing your ‘Sunday best’.

What We Do: Everyone agrees it’s groovy on the VBS Song team! We bring RHYTHM to the VBS program by teaching creative and interactive songs that introduce the Bible Stories. During VBS we will lead music during opening and closing celebration as well as the music station for all kids. Our goal is to help kids connect and remember the Bible Story for the day.

Specific Expectations: 1. Attend trainings prior to VBS to learn all the songs and dance moves. 2. Arrive at designated time 3. Set up supplies and stage area before opening celebration 4. Lead opening celebration, music station, and closing celebration 5. Clean up supplies and prepare for the next day

What We Do: Everyone loves being a part of VBS, but sometimes our schedules do not allow to commit to the full week. The VBS Sub Team allows each individual the flexibility to be a part of VBS on your own terms. As a Sub Team member, you tell us which day(s) you are available and we will plug you in as a substitute on another team. We always have unexpected absences and having you on the Sub Team helps fill those gaps.

Specific Expectations: 1. Arrive at designated time 2. Check into the Command Center and let a staff person know that you are a member of the Sub Team

and they will have a list spots needing to be filled. 3. The staff person will then go over any questions you may have for that particular role.

Lots of kids and lots of volunteers means lots of shirts so your job is to help keep them organized for easy distribution. This team starts their work before VBS starts as well as during the first day of VBS. Our goal is to make sure everyone gets their shirt!

What We Do: We want each volunteer to know how much we value their time and talents. One way we do this is providing a lunch after the morning session and dinner prior to the evening session for our volunteers and their families. Specific Expectations: 1. Arrive at designated time 2. Check into the kitchen with the food coordinator. 3. Help prepare the food, set-up, serve and clean-up the Volunteer Meal.

Attire: Here are the expectations for attire – please let us know if you have any questions/concerns.

1. VBS volunteer t-shirt 2. Nice shorts, jeans or workout pants/capris. No holes. Not too tight. Not too short. 3. Comfortable shoes - you will be standing for extended periods of time

How to Help Before VBS:

1. Pray! Pray for Volunteers, for the kids who are coming, and for the week of VBS to be powerful and safe for all who come.

2. Invite others to come join the VBS Volunteer team. 3. We will be looking for people to help us before the week of VBS with prep work. Some of the tasks

include: shopping for supplies, making and hanging decorations, preparing crafts and snacks, t-shirt sorting, and others. If you’re available to help please let us know.

4. Lutheran Church of Hope plans to have a float entry for SummerFest. We will be promoting VBS during the parade. Come join the fun of decorating and being part of the parade.
