SECTION C - GENERAL INFORMATIONSTUDENT CODE OF CONDUCT FROM THE ALBERTA SCHOOL ACT

Section 7 of the Alberta School Act outlines student responsibilities necessary to foster a productive learning environment. It reads:

A student shall conduct himself so as to reasonably comply with the following code of conduct:

a. be diligent in pursuing his studiesb. attend school regularly and punctuallyc. cooperate fully with everyone authorized by the Board to provide education programs and other servicesd. comply with the rules of the schoole. account to his teachers for his conductf. respect the rights of others

PROMOTION POLICY

The normal procedure for promotion is to pass from one grade to another in an annual sequential manner at school closing in June of each year.In some cases, the level of academic achievement or maturity may result in a decision to hold a student at a grade level for another year.

Included in this decision may be factors such as: ability, student effort, age, attitude to school, maturity (physical, emotional, social), and previous school history. The final decision will be made by administration and will involve consultation with the classroom teacher, and parent/guardian.

STUDENT FEES

a) Distance Education & CTS course fees –students who register in distance education courses will be required to pay a deposit of $150 for materials and equipment. In addition, students undertaking more complex CTS projects may be required to pay additional costs for materials. Course deposits and project budgets will be discussed in advance with students and their parent/guardian(s). Deposits will be refunded upon course completion.

b) Duchess School Athletic FeesAthletic fees at Duchess School include a $20.00 uniform fee. Fees are to be paid in advance before the playing season begins-pay before you play. Our athletic fees are a result of a comparison between schools in our jurisdiction. Coaches will prepare a budget based on full payment of fees by all athletes on a particular team, allowing for most teams to attend 2-3 tournaments in a season. Any additional costs need to be approved by Administration.

Should a family be experiencing difficulty paying athletic fees, they are asked to discuss this with school administration. Duchess School Parent Council supports our Athletics Program by covering the cost of officials and contributing to the purchase of team uniforms.

c) Lost or Damaged Textbooks

Students are required to pay for damaged or lost textbooks. The amount charged for lost or damaged books is based on the age and condition of the book. In no case will the fee be less than one-third of the replacement value for a new book at the time of the loss or damage.

Students are expected to return rented materials (textbooks, etc.) in the same condition they received them (allowing for reasonable wear during the course of the year.)  It will be the responsibility of students to pay for lost or damaged texts and/or materials. Special events and field trips may require fees as they come up.

SCHOOL SUPPLIES

In addition to the common supplies provided by the school for a fee each year, students are provided with a brief list of school supplies that is required by each homeroom teacher. This list may be found in your child’s report card at the end of the school term. This list would then be used for the forthcoming school year. This list is also available on our website. http://duchess.grasslands.ab.ca/

Each student should have a pair of “indoor” runners for Physical Education.

COUSELLING SERVICES (K-12)

This program is centred on assisting the student in his/her development in the following areas:

1. Personal (Emotional/Psychological)2. Academic (Progress in School)3. Social (Relationships/Interactions with peers, etc.)

To this end, the program provides for individual personal counselling through referral from the student, teacher or parent. Additional group counselling may be provided if appropriate to support social skill development

With the help of the administration, teachers, community and individual households these goals may more easily be met.

DRESS CODE

Clothing worn to school must be suitable for a learning environment and respectful to students, staff and parents.  It is expected that students do not wear swimsuits, halter tops, or clothing that exposes undergarments or does not adequately cover the student.  Any clothing that displays vulgar or derogatory images / language, displays alcohol, drug or tobacco content, or displays images or text that may imply any of the stated items are not permitted at school. We do understand that students and parents have varying opinions regarding appropriate attire for school, but it is the job of the school to ensure a learning environment that respects the rights of all people in the school and community and promotes a positive learning environment for students and staff. Should a student wear inappropriate clothing they will be asked to change the clothing, turn the article inside out, or cover up.

Students must dress appropriately for the weather and are expected to wear appropriate footwear at all times while in the school. Emergencies or drills may require students to be outside so students are to be prepared for those events. Students are asked to remove muddy footwear when entering the school.

Physical Education students in grades 4-12 are to wear proper gym attire for Phys. Ed. Class.  A separate pair of white soled or non-marking shoes is to be worn in the gym.

ACCIDENTS

Despite adequate supervision and all precautions taken, occasional accidents will occur. In every instance, parents will be notified if at all possible, and a request made of them to transport their child for attention by a doctor. In extreme cases, where the parent cannot be reached, the child will be taken for emergency care by the school staff.

In case of emergency, please ensure that the school has current information (telephone number, names, health care number, alternate contact person, etc.) This information will be on file if the registration forms have been completed.

BUSSING

Questions regarding bus routes and times should be directed to Bill Best, Transportation Supervisor, at the Grasslands Regional Board of Education office (793-6700). Drivers have the direct and immediate authority over students while being transported. Drivers are to ensure that students conform to current regulations which shall be posted at all times. All cases of student misconduct shall be reported through use of the Bus Misconduct Tickets.

OPENING EXERCISES

Opening exercises at Duchess School consists of general announcements and the playing/singing of the Canadian National Anthem.

SCHOOL CLOSURES (refer to Grasslands’ Cold Weather Policy)

If rural buses going to our rural schools are cancelled due to deteriorating roadconditions or if the temperature reaches -37 C, the Principal of the school inconsultation with the Bus Drivers will determine if all/any of the bus routes going totheir school will be cancelled. The Principal of the school will contact the local radiostation Q-13 or The One 101.1 FM by 6:30 am to put an announcement on the localradio station. The bus drivers will contact all of the students on their route or put aphone fan out into operation. Please listen to one of these local stations for any schoolbus cancellation announcements. If bus routes are cancelled for this reason, they willnot operate all day.

Town students and students who can attend school should report to school even if the buses do not run.

On occasion it is necessary to close the school during the school day. If this is necessary, all bus drivers will be contacted and every attempt will be made to make sure students are able to go home or go to a relative's or friend's home if the parents are not at home. If there is a concern about the child arriving home to an empty house, the child will be kept at school until satisfactory arrangements are made.

EMERGENCY DRILLS

Every effort is made to ensure that students are familiar with procedures to vacate the building should there be a fire or some other emergency. Several fire drills and lockdowns will be practiced during the school year.

HOMEWORK

Normally, sufficient school time is provided to complete exercises and assignments given. Homework should not be required of elementary students if they are on task during class time. Rather, the elementary staff would wish that students have time to play and get adequate sleep so they are ready to do their best work the next day.

Parents and teachers should encourage children to read from books of their choice. For Grade 3, 4, 5, and 6, formal assignments and specific projects may be given at the discretion of the teacher. Students in junior high may expect about 30-45 minutes of homework per evening. High school students may expect between 30-90 minutes of homework per evening depending on course load.

Students are responsible for catching up on work that they missed due to illness. Study time will also be required for test purposes, particularly at the upper elementary level.

LIBRARY SERVICES

The school library is an area designated for quiet work and study. It is staffed by a full time library technician. The hours of operations are from 8:30 a.m. to 3:30 p.m. on school days. The library offers a variety of study, reference and curriculum related materials, including books, magazines, CDs and access to the Internet. Textbook distribution and collection is also handled through the library.

Responsible use of our library involves:a. No food or drink allowed.b. All library material must be signed out.c. Library privileges may be suspended for overdue material. d. The library is an area for quiet study, research and reading, not for socializing.e. Books can be signed out during library periods and anytime during school hours.f. The librarian will help you find material. Please ask for help.

LOCKERS

Students are issued a locker and a lock at the beginning of the school term. Most elementary lockers are located in their classrooms. Students should be aware of the following matters with respect to use of school lockers:

a. Elementary lockers do not have locks, therefore expensive toys, games, etc. should not be brought to school.

b. Valuable items or money should not be stored in change rooms, in the gym or in unlocked lockers. The school cannot accept responsibility for any items lost or stolen from lockers (or change rooms).

c. Lockers should be locked at all times and especially before the student leaves school for the day.

d. Students are expected to keep their lockers neat and clean at all time. Lockers

should be cleaned each month and emptied by students at the end of the school term or upon leaving the school.

e. School authorities reserve the right to search student lockers in special situations such as suspicion of rule violation and concerns for student health and safety. Lockers are the property of Grasslands School Board.

f. Willful damage done to lockers will result in the offending person(s) being charged for the full costs of all repairs including labor and materials.

LOST AND FOUND

Duchess School utilizes two methods of locating items that may be lost. First, for any clothing or boots that are lost, there is a large blue bin located just outside of the office. Second, any jewelry, glasses, or other valuable items are turned directly into the office. If your child comes home without their boots, or hats, etc., please encourage him or her to check our Lost and Found. For valuable items, please direct your inquiries to our school office at 378-4948.

Please have all removable articles of clothing tagged with your child's name so they can be more easily identified and returned to the proper owner.

MEDICATIONS

The Board is committed to providing a safe and healthy environment for its students. The Board recognizes that Division employees do not generally possess the expertise required to determine the needs for or deal with student health emergencies. The Board nevertheless supports staff members who may be required to administer medication, medical assistance or emergency medical procedures to a student in order to preserve the life or well-being of a student.

The Board believes administration of prescribed medication/personal care is a medical, not an educational function. Primary responsibility for the administration of prescribed medication/personal care rests with the individual student, his/her parents or the guardians and/or the appropriate medical personnel. The Board believes it is appropriate for staff to assist in the self administration of medical/personal care if so requested. The Board further authorizes the provision of medical assistance to students in emergency situations.

Responsibility for administration of prescribed medication shall rest with the student and/or his parent or guardian. Upon written request of the parent, the school shall assist by providing safe storage for prescribed medications. Parents are encouraged to advise schools of medications which are being carried and self-administered by students.

For more information on this policy, please refer to the Grasslands web site, Policy 9.9.3.5. - Administration of Medication, and ensure the Request to Administer Medication Form has been completed and is on file at the school office.

NEWSLETTERS

Our monthly newsletter is posted on our website and is sent out with elementary students who are the youngest child in your family, usually on the last Friday of the month. These newsletters serve as a reminder to students and parents of upcoming events. www.duchess.grasslands.ab.ca

SCHOOL COUNCIL

Our School Council meets approximately seven or eight times per year. The meeting is held in the Duchess School at 7:00 p.m. the third Tuesday of the month. Our parents are a valued component of our school, supporting and enhancing our school programs. We seek the input of our students and parents in order to improve our school. Everyone is welcome!

SCHOOL PICTURES

Duchess School annually establishes an agreement with a photographic firm to provide school picture services. We attempt to obtain the most efficient, least costly service, with quality pictures. These pictures are used internally for yearbook purposes and by the school administration for record purposes. The photographic firms also take class pictures as an added service each fall.

SUPERVISION OF STUDENTS

Students will be supervised inside and outside of the building, beginning with bus supervision at 8:20am, there is no outside supervision before this and students should not be dropped off before this time.

Notes are required for elementary students who are not allowed outside for recess or noon hour. Notes are requested each day your child is not allowed outside. Students are allowed to come into the school during inclement weather.

Elementary students are not allowed off the school grounds at noon hour unless written permission has been given by a parent/guardian.

Please ensure that students are adequately dressed to reflect the weather conditions (i.e. hats, boots, mitts sunscreen, etc.) as outdoor play is expected in order to provide socialization and exercise opportunities.

GUESTS AT SCHOOL

Guests, including professionals that collaborate with staff to provide programs for our students, are welcome at Duchess School! All that is requested is that guests check in at the office prior to visiting with staff, friends or relatives, and that they respect our school rules. Other than that...enjoy your visit!

SECTION D - EVALUATION POLICIES AND PROCEDURES

FINAL EXAMS - GRADE 6-12

Students from grades 6-12 are required to complete a comprehensive final written or practical exam in all core subjects.

STUDENT APPEALS

a) Appeal to the Teacheri) Students wishing to appeal their final standing and/or placement should first approach the teacher concerned within three calendar days and request a review in writing. Student will provide the teacher with their reason(s) for the appeal in writing. ii) Within three calendar days of receiving an appeal, the teacher will provide the students with a written summary of the method used to calculate the mark. The teacher will notify the Principal in writing if the mark is changed.

b) Appeal to the Principali) A student who is dissatisfied with the outcome of an appeal to the teacher may appeal to the Principal in writing within three calendar days following the date the written summary was received from the teacher. The written appeal will outline the reason for making the appeal.ii) A copy of this appeal will be forwarded to the Superintendent.iii) The Principal will within three calendar days of receiving the appeal advise the student in writing of the decision.iv) The teacher will be notified of the outcome of the appeal.

c) Appeal at the School Division Leveli) A student who is dissatisfied with the outcome of an appeal to a Principal may request a hearing from an appeal committee appointed through the office of the Superintendent of Schools.ii) The student will provide to the Superintendent the reasons in writing for the appeal within three calendar days of receiving the outcome of the Principal’s decision.iii) An Appeal Committee appointed through the Office of the Superintendent of

Schools will be established, consisting of three individuals not directly involved in the case.

iv) The Appeal Committee will:- give the parent or guardian and the School Administration reasonable notice and time to prepare for an appeal hearing- allow the student, parent or guardian and the School Administration an opportunity to present any information which is felt to be appropriate to the

appeal decision.- review the circumstances and the evaluation procedure followed in determining the final standing.- submit a report and a recommendation to the Superintendent within 15 calendar days from the notification of the appeal to the Superintendent of School.v) The Superintendent will advise the student and the Principal in writing of the Superintendent’s decision within three calendar days of receiving the Appeal Committee’s Recommendation.vi) The decision of the Superintendent will be considered final.

d) Appeal of the Diploma Examination Mark

A student who is dissatisfied with a Diploma Examination mark may request their Diploma Examination be remarked by writing to the Student Evaluation Branch of Alberta Education. A fee of $26.75 will be charged. If there is more than a 5% increase in the second marking, the fee will be refunded. THE RESCORED MARK IS CONSIDERED THE FINAL MARK FOR THAT PARTICULAR EXAMINATION WHETHER THE MARK IS LOWERED OR RAISED.

ASSESSMENT GUIDING PRINCIPLES

1. All teachers in grades 4-12 shall provide a written description of the learner expectations, assessment methods, and criteria to students and parents in the first two weeks of each course/ program. Grades K-3 may choose an alternative to share descriptions including sharing learner expectations through parent information conferences or newsletters within the first month of the school year.

2. A student’s achievement of stated learning outcomes (curriculum) is the only fair basis for grading.

3. At Duchess School, teachers separate effort, participation, attitude, and other behaviours from academic achievement.

4. Punitive grading does not promote success, does not represent what students have learned, and does not provide incentive to improve learning.

5. Duchess School employs Pyramids of Intervention to assist students when they do not learn.

6. Formative assessment informs the teaching process by letting the teacher know what concepts have been learned and which skills require further development before a summative assessment is made.

7. Only marks derived from summative assessments should be used to determine grades. Students are informed as to which assessments are summative.

8. Students at Duchess School may receive multiple chances to show their learning towards the intended learning outcomes at the discretion of the teacher. Students may be given alternate ways of demonstrating their learning with subsequent chances (eg. oral examinations, written assessments).

9. The most important assessment is classroom based. Provincial Achievement Tests shall count for no more than 20% of the final grade.

SECTION E – DUCHESS SCHOOL ATTENDANCE POLICY

All students of compulsory school age, as defined in Section 7 of the Alberta School Act, must regularly and punctually attend school throughout the year.

1. Regular attendance is a very important factor in determining the success that a student will experience with their school program. In addition to teachers and principals, students and parents must accept responsibility with regard to this important aspect of education. It is recognized that situations do arise which necessitate unavoidable absences. However, students and parents are encouraged to minimize all absences.

2. An excusable absence is an absence which is approved of by the principal or parent.

3. A student is expected to accept responsibility for completion of all assignments given during his/her absence(s) regardless of whether the absence(s) was excusable or inexcusable.

4. Parents/Guardians must inform the school if their child/children will be absent from classes that day.

ELEMENTARY

For safety reasons, it is imperative that parents/guardians contact the school with either a phone call or explanatory note if their child is to be absent. Where there may be a reason for a particular concern about a child’s absence, a call will be made to the parent/guardian.

Chronic absences may result in a Discipline Hearing with Grasslands Public Schools personnel.

JUNIOR HIGH/ SENIOR HIGH

Responsibility for reporting absences rests with the student and his/her parents/guardians. If the school has not received a notification of absence the school will call home to verify the absence.

Frequent or inexcusable absences affect the learning environment for each student. At the discretion of the administration students who are frequently absent or late for class will receive some form of disciplinary action as outlined in the next section.

ABSENCES FOR FAMILY VACATIONS

On occasion students are absent from school to accompany their parents on vacations or other family outings not covered by The School Act. Absence from school for the above reasons is not encouraged because time missed from school can have harmful effects on a student's achievement level.

In recognition that students do miss school to accompany their parents on trips, vacations, hunting excursions, etc. the following regulations apply:

a. The onus is on the student to make up, within a reasonable period of time, assignments, tests, notes, etc. missed during his/her absence from school.

b. Parents are requested to contact the school within a reasonable time period in advance of any planned trip to obtain information concerning school work that will be covered during their son's/daughter's absence.

SECTION F - DUCHESS SCHOOL DISCIPLINE POLICY

PHILOSOPHY

Duchess School operates on the philosophy that all students have the right to learn.

Students have the right to be in a school climate that is safe, satisfying and productive, without others’ disruptive behavior infringing upon their rights.

Students must understand that they are responsible for their behavior and they must recognize that any behavior that disrupts or detracts from the educational climate of the school is unacceptable.

Home, school, and the community must share the responsibility for teaching appropriate acceptable behavior. By working together, we will ensure positive student conduct. Discipline is essential in building accountability, individual responsibility, and respect for others.

Our school-wide approach to discipline will:1. Help the students to identify his/her problem(s).2. Help the student solve the problems he/she created.3. Leave the student’s dignity intact.

I recognize that my clothing should convey a message of respect for myself and others, and should I wear something an adult determines is inappropriate, I agree to cover it up or turn it inside out.

In order to allow all members of our educational community to participate in the most productive manner, I agree to turn off my cell phone during instructional time, displaying it on the desk top or another location designated by my instructor. Non-compliance with this responsibility will result in my cell phone being confiscated and turned in to the school office until the end of the day.

4. I have a RIGHT to be safe in this school.It is my RESPONSIBILITY to avoid threatening or physically harming anyone else and to behave in law-abiding ways. School is not a sanctuary outside the law.

5. I have a RIGHT to privacy and my own personal space.It is my RESPONSIBILITY to respect the personal and community property of others, and to accept their right to privacy. This will include avoiding inappropriate touching.

CLASSROOM EXPECTATIONS

Each classroom teacher will develop a Charter of Rights and Responsibilities (6-12) or Social Contract (K-5), please ask your son or daughter about these and feel free to contact their teacher(s) at any time. These will be sent home once students have signed them, if there are questions please contact your child’s teacher.

Each classroom teachers will utilize their class Charter of Rights and Responsibilities or Social Contract in disciplinary behavior situations. If the classroom teacher feels the behavior has become chronic or problematic, the student will be referred to the office where they will be expected to fill out a B.I.R.F. form (Behavior Improvement Report Form, Gr. 6-12) or Problem Solving Form (Gr. K-5), and if necessary, further action may be taken (e.g., phone call home or letter). Should the negative choices continue, further intervention will result between the student, teachers, administration, and parents.

CONSEQUENCES

The staff of Duchess School will ensure that students regularly receive assistance, encouragement, praise and specific feedback regarding their many positive behaviors and academic gains. However, while we do make every effort to keep all interactions on a positive note, when students infringe on the rights of others, disciplinary procedures

may have to be instituted. Special case allowances may be made to provide for individual differences. MINOR OFFENCES

Minor offences will be handled immediately by any staff member. Students will know what poor judgment on their part was and will be helped to formulate more acceptable alternatives for the future.

MAJOR OFFENCES

NOTE: If an offence is considered severe or highly dangerous, the appropriate consequence will be determined by the severity of the act. For example, intentional defacing to the school’s or other’s property will result in financial restitution and/or involvement.

MAJOR OFFENCES are broken into two categories:

1. Conduct which interferes with or threatens the orderly functioning of the school or adversely affects the well-being of others.

2. Conduct injurious to the safety and/or dignity of students or staff.

Some examples of MAJOR OFFENCES are:

1. inexcusable absences and chronic lates.2. chronic failure to complete school work.3. possession of dangerous weapons.4. disrespect for or abuse (verbal, physical, emotional) of school personnel, visitors, fellow students, school property or school rules.5. possessing, using, under the influence of, acquiring, selling or attempting to acquire or sell alcohol or drugs.6. theft and/or vandalism.7. open opposition to authority.8. use of profane or obscene language.9. continuous disruptive behavior. It is expected that student behaviour will contribute to a positive learning environment. To this end students shall comply with Section 12 of the School Act, which states:A student shall conduct himself or herself so as to reasonably comply with the following code of conduct:

TRUANCYTruancy is defined as the failure to attend any registered class without an acceptable reason, as outlined in Section 13(5) of the School Act. The truancy policy is in effect to change the student’s inexcusable or consistent absences or lates. 1. First Truancy:A student who receives a first truancy will result in the following actions.a. A letter to the parents that outlines the extent of the absentee problem and asks for parent cooperation in dealing with the problem and requesting parents to acknowledge receipt of the letter.b. The student is responsible for completing any work missed during his / her truancy as outlined by the teacher. c. The student will be required to serve a lunch hour / after school / or Saturday school detention as directed by the Administrator to make up the time missed during the absence. It is expected that students will use that time to make up for missed material and instruction from class.

2. Second Truancy:If the student is truant a second time, the following actions will result:

a. A letter will be sent to the parent that outlines the extent of the continuing attendance problems and asks for a meeting with the student, the parent(s) and the vice-principal where the problem will be discussed.b. The student, parent(s) and the vice-principal will sign a contract outlining the expected behavior and the consequences of failing to abide by its terms. The meeting must be arranged within 5 days or the matter will be referred to the discipline committee with a recommendation for expulsion.c. The student will be required to serve a lunch hour / after school / or Saturday school detention as directed by the Administrator to make up the time missed during the absence. It is expected that students will use that time to make up for missed material and instruction from class.

3. Third Truancy:On a third occurrence of truancy, the following actions will result:

a. The student will be immediately suspended for an indefinite basis from school. Parent/ Guardians will be notified by phone and by letter of the indefinite suspension.b. The matter will be referred by the principal to a discipline committee through the office of the Superintendent of Grasslands Public Schools. At this point, the committee will arrange a discipline hearing in accordance with the procedures outlined in Section 24 and 25 of the School Act as well as policy 9.8.1 of the Grasslands Policy Handbook.c. Procedures for parents / guardians to appeal the decision of the Discipline Committee are outlined in the Grasslands Policy Handbook and the School Act (section 124)

NOTE: TRUANCIES RECORDED IN THE FIRST SEMESTER OF A TERM ARE CARRIED INTO THE SECOND SEMESTER OF THAT TERM.

DISCIPLINARY POLICY

1. SuspensionsStudents may be suspended for a variety of disciplinary reasons; however, this method will only be used when absolutely necessary. Suspensions are implemented as a method of corrective measure. Each situation is inevitably different and will be dealt with appropriately. When a student violates a rule, a suspension will be the penalty if seen fit. Suspensions will be given as a consequence of action regardless of nationality, gender or academic standing. Stated below is a brief outline of possible reasons for suspension, consequences, enforcement of school rules and student expectations while under suspension.

A. Students may be suspended from class and/or school for:i. Inexcusable absence from class.ii. Failure to complete assignments without an excusable reason, or cheating on

assignments or tests.iii. Disrespect for, and abuse of, school personnel, visitors, fellow students, school

property and rules. Such disrespect/abuse is defined as physical or verbal. Profanity will not be tolerated.

iv. Using tobacco any place on school property.

For the above offences, re-reinstatement may be considered following interviews involving student, parent, teacher, administration, and The Discipline Committee where applicable.

B. Students possessing, using, under the influence of, acquiring, or selling or attempting to acquire or sell alcohol or drugs, shall be:

i. Suspended for one week (5 school days) for the first offence and must see Grassland’s Addiction counselor or an AADAC counselor prior to returning to school.

ii. Immediately suspended from school, for a second offence, and referred by the Principal to a discipline committee through the Office of the Superintendent of Grasslands Public Schools Division with a recommendation to be expelled for the remainder of the semester. Students wishing to return to school in the following semester must see Grassland’s Addiction counselor or and AADAC counselor before being allowed to return to school.

iii. For one year from the date of the most recent suspension, from Grasslands Public Schools, for issues concerning drugs or alcohol, students will be required to provide their own parent as a one on one chaperone for all overnight trips. All costs of transportation, accommodation and meals will be the responsibility of the student and the chaperone. The student must stay in their room with their chaperons after curfew. The room cannot be shared with other students on the trip. This will allow students to continue to participate in co-curricular and extra-curricular activities and events without putting school and volunteer chaperones in a position of having to deal with students who have had a history of drug and/or alcohol use at school or at school functions.

C. The school may enforce the aforementioned regulations to cover its students' behavior:i. On school property an any timeii. During school hours at any placeiii. At school co-curricular or extra-curricular activities at any time and at any place

iv. Off school property and outside of school hours at any time provided the school administration deem the infraction to be detrimental to the orderly discipline, well-being or reputation of the school or it pupils.

Students under suspension are responsible for keeping up with schoolwork. The student should arrange to pick up and complete all expected work while away.Students under suspension may not be on school property without the consent of school administration and may not participate in extra-curricular activities.

2. Class SuspensionsIn some cases, students may be suspended from a particular class in accordance with Section 24 of the School Act. Reasons for being suspended from a particular class may include inappropriate behavior or other violations of school rules. Where the student has been suspended from class, the student is expected to attend all other classes, and may, at the discretion of the principal, be prohibited from participation in extra-curricular activities.

3. Notice regarding threatsIt is the belief of Duchess School that all students and staff have a right to learn in a safe and caring environment. Threats toward students or staff at Duchess School are an infringement on their rights and safety. Further, they may be a legal matter in which the police may be notified. Any behavior by a student that might suggest some threat to him / herself or others will be responded to and dealt with by a school based threat assessment team that may include agencies outside the school.

4. Alternatives to Suspension / Saturday SchoolIn some instances, the vice-principal may offer alternatives to suspension from school. That alternative would be for a student to attend one or more sessions of Saturday school, dependent upon the nature of the student offence. This option would allow the school an opportunity to deal with discipline issues in such a way that further absences from school may be avoided. Each Saturday School would run from 9:00 a.m. to 12:00 p.m.

SECTION G – INFORMATION SPECIFIC TO ELEMENTARY PROGRAMS

ELEMENTARY SPECIAL PROGRAMS

a. Swim Program: Duchess School in conjunction with Brooks Recreation Centre is able to offer the elementary students a badge progression swim program. The length of each program is usually 5 hours. Instruction is done by certified instructors wherever possible. Fees are subject to bussing, pool rates and instructor availability.

b. Milk Program: The purpose of the milk program is to provide the students with access to a more nutritional diet. Each classroom is provided with a milk chart to monitor student consumption of milk (white or chocolate). Prizes are awarded as students reach various levels on the chart. The profit made from selling milk and milk products is used to help finance children’s theatres, guest speakers and other productions that may provide the students with both entertainment and enrichment.

c. Hot Lunch: Throughout the school year a variety of hot lunches are provided to the students at a nominal cost, this is organized by staff with the support of our Parent Council. Parent Council also offers a regular hot lunch.

d. Special Events: Throughout the school year a variety of fun activities are planned. These activities are organized by staff with support from Parent Council and our students union. These events help to instill pride and spirit in our school.

SPEECH THERAPY

The Grasslands Regional Board of Education contracts Speech Language Pathology Services from Alberta Health for assessment or speech therapy needs. Once assessed as requiring assistance, the therapist and a program assistant arrange a scheduled time to work with students.

ELEMENTARY RECOGNITION & AWARDS

Character Development Elementary staff believes that students should be recognized for their citizenship qualities and their positive attitudes towards school and learning. At a regularly scheduled assembly, these awards are presented to students who have displayed the particular character virtue chosen for that month.

Honor Roll (Grades 4-6)

This award goes to students each term who receive an 80% average or above in Mathematics, Social Studies, Science and Language Learning.

These awards are given out at the annual Awards Day in June:

Personal Endeavour Award

This award goes to one student in each homeroom that has demonstrated both exemplary citizenship and academic effort over the year.

All students in each grade level will receive a recognition certificate in an area that they strive in. Academic achievement, improvement, citizenship, and virtue recognition are all possibilities.

Citizenship Certificate

This award is presented to one student in Grades 1-3 and one student in Grades 4-6, who exhibits active participation in school activities and a positive attitude toward fellow students, teachers and the school in general.

SECTION H – INFORMATION SPECIFIC TO JUNI0R & SENIOR HIGH PROGRAMS

DISTANCE EDUCATION PROCEDURES

Alberta Education is providing, through DE, a program delivery system which will enable students to register in the High School courses they are unable to take in school due to timetable conflicts and/or special interest courses not offered at the school

1. Distance education (DE) will be offered on a priority of a need basis. Students will not be placed in DE courses unless it is necessary to resolve timetable conflicts, to make up for incomplete or failed classes, to obtain a course not offered in the school or in other exceptional circumstances. All DE students will have a completion schedule and the course will be completed in an appropriately supervised setting as determined by the administration.

2. Whenever possible, DE courses will be completed through the online D2L tool accessed through the Alberta Distance Learning Center.

3. The administration will determine: a. Course scheduling, b. placement of DE student’s, c. tracking of student progress, d. awarding of final grades e. termination of student registration.

4. Students will be expected to continue with regular attendance as expected with any regular course offered at Duchess School.

5. Students needing to drop a DE course must complete an add/drop/change from available through the office. This form must be signed by a parent and a school administrator to be considered valid.

6. Students are required to pay a deposit for courses enrolled in outside of the regular CTS class. This deposit will be refunded upon successful completion of the course. Course Deposits and registration guidelines as follows:

a. 5 Credit Course - $150.00 – Registration in the first 2 weeks of a new semester

b. 3 Credit Course - $90.00 – Registration prior to semester midtermc. 1 Credit Course - $30.00 – Registration minimum 6 weeks prior to

semester end.

Additional costs for materials or material rental fees may also be charged.7. Students wishing to withdraw from a DE course before completion may be required

to pay the cost of materials used, or may forfeit all or part of the course deposit before being permitted to register in another

8. Distance Learning is used as a supplement to the timetable. It allows student transfers and other students with timetable conflicts to take the courses they need. If the course is offered on the school’s regular timetable, however, students are expected to take that class.

9. For all CTS courses competed through distance learning, students must achieve a mark of 50% or higher on the final exam to receive course credit.

Educational and Career: Duchess administration will help students select a school program that best suits the individual needs and abilities of students and to assist in post-secondary applications as well as student loan and scholarship applications. This is done through counselling, vocational aptitude and interest testing, and selected reading materials, provided during Health and CALM 20 classes.

Personal Counselling: Confidential counselling is available to students who require assistance in dealing with personal or family problems to help them to evaluate and deal with these problems. Assistance is also offered in contacting social services.

Counselling appointments may be set up with the counsellor personally. In a crisis situation, students will be seen immediately.

COMMENCEMENT

A Commencement ceremony is held in early May. In order for students to participate, a student must have successfully met high school diploma requirements, and the expectations of Duchess School (see below).

This ceremony is sponsored by the Duchess School and organized by the staff grad advisors and Administration. The Duchess School Administration will organize a meeting in October for Grade 12 students and their parents. The school is responsible for organizing the commencement ceremonies; however school staff are not involved in any other activities related to Commencement. The school’s role in the Commencement ceremony will be explained in further detail at this meeting. It is the responsibility of the Grade 12 class and parents to organize any activities they choose to do.

JUNIOR/SENIOR HIGH AWARDS

A. Junior/ Senior High Awards

Academic Awards

a. Academic Achievement Awards - Presented at the first assembly in the new school year, one student in each grade (7-12) receives this award. They will have their name engraved on a plaque and will receive a trophy to keep.

1. In Junior High, this award will be presented to the students with the highest overall average at the end of the academic year. It will be based on the average of all core subjects plus the average of the option subjects. It must be a minimum average of 80% and a student must not have received a mark lower that 50% in any one subject.

2. In Senior High, this award will be presented to the students with the highest overall average at the 10/20/30 level, based on the modified Alexander Rutherford Scholarship criteria used to determine the Honor Roll. The grade 12 student who earns this award, based on marks to the end of the first semester, is also designated as the class Valedictorian.

b. Honour Roll/Merit – Presented at the first assembly in the new school year, students meeting the criteria will receive a certificate of recognition and their name will be engraved on a plaque that will stay at the school.

1. In Junior High, a student must attain a rounded 80% average based on the core subjects plus an average of option courses, over the course of the year. A student must not have attained a mark lower that 50% in any one subject.

2. In Senior High, this modified Alexander Rutherford Scholarship criteria will be used:Average of 80% or higher in five subjects:EnglishAt least two of the following:- Mathematics - Physics- Science - Social Studies- Biology - Second Language- ChemistryAny two other subjects, including those listed above

- Merit will be calculated in a similar fashion to honour roll (75%-79%).

c. Most Improved Student (Academic) – Presented at the first assembly in the new school year, one student from Division 3 and 4 will receive this award which includes their name engraved on a plaque and a keeper trophy. The students receiving this award will be selected by the junior and senior high teachers and will be given to students who show a marked improvement in attitude and achievement from the first to the final reporting period during the school year.

B. Special Junior/ Senior High Awards

Yearly Awards

a. Citizenship Awards – Presented at the first assembly in the new school year, the two students (junior/senior) who receive this award will have their name engraved and will receive a keeper trophy. Recipients must exhibit active participation in school activities, a positive attitude toward fellow students, staff, and the school in general, contributes to the activities and functions of the school, and demonstrates leadership.

b. Personal Endeavour Award – Presented at the first assembly in the new school year, recipients will be selected from each grade (7-12). A $200 cheque will be awarded to the grade twelve recipient. The recipients will exhibit both exemplary citizenship and academic effort over the year. The grade twelve candidate must have completed high school diploma requirements. This award is presented by the Duchess School Council.

C. Junior/ Senior High Athletic Awards

Individual Sports Awardsa. Volleyball (all teams) – Presented at an assembly following the volleyball season,

coaches or team representative will present awards for Most Valuable Player, Most Improved Player, and Most Sportsmanlike Player and all athletes will be recognized by their peers for their participation.

b. Basketball (all teams) - Presented at an assembly following the basketball season, coaches or team representative will present awards for Most Valuable Player, Most Improved Player, and Most Sportsmanlike Player and all athletes will be recognized by their peers for their participation.

c. Badminton/ Track and Field – Presented at an assembly following the track and field season, athletes will be presented with an award for outstanding results (Zone or Provincial Championships) and all athletes will be recognized by their peers for their participation.

Yearly Athletic Awards

a. Athletes of the Year Award – Presented at the same time as the Badminton/ Track and Field Awards, two male and two female athletes (junior/senior) will be recognized for exhibiting a high degree of skill and ability in at least two inter-school sports. Recipients must also display strong leadership and a commitment to athletics.

b. Hustle Award – Presented at the same time as the Badminton/ Track and Field Awards, two athletes (junior/senior) will be recognized for their commitment to hard work, determination, and helps to achieve (team or individual) goals.

c. Eagle Points – Presented by the athletic director using the criteria established in the athletic handbook.

TOBACCO PRODUCT POLICY

Effective April 1996, the Grasslands Regional Division #6 adopted a non-smoking policy for all persons on school premises. Students found smoking or using any tobacco product on school property will be given an in-school suspension or given other consequences determined by administration.

STUDENT COUNCIL

At Duchess School, we have a Student Council that represents the junior/senior high students at our school. The purpose of the Student Council is to organize various activities throughout the school year that maintain and promote student spirit. Executive council positions consist of: President, Vice-President, Secretary, Treasurer, Social Convener, Yearbook Rep and Sports Rep.

The student council may also elect a student to represent the student body on the School Council. Student Council also runs Growlies, the school canteen, which is open during lunch hour. A variety of healthy foods and snacks are available. The Growlies group also runs concessions at various sports and social activities.

STUDENT PARKING

Students and guests to the school are permitted to park in the parking lot identified for their use. If you are dropping your children off at the school please refrain from parking in the staff parking area and the bus loop. Students are asked to drive responsibly and watch out for younger students. Student safety is a primary concern at Duchess School.

INTERSCHOOL ATHLETICS

The Grasslands Athletic Association is responsible for organizing all junior and senior high inter-school sports events. Duchess School participates actively in promoting school team sports in volleyball, basketball, badminton, and track & field.

Teachers and community members donate their time and energy to ensure that school teams are well coached, well behaved, and competitive.

All student-athletes invited to be a part of the team are required to: be working hard academically, displaying responsible, respectful behavior at all times as a representative of Duchess School, and abide by the rules and guidelines described in the Athletes Letter of Commitment which will be sent home. These expectations build upon the character that we are endeavoring to promote in our players, and helps provide a level of personal discipline that will enable greater individual and team success. Student-athletes are accountable for upholding these standards for the duration of their interscholastic season.

TRANSPORTATION TO EXTRA-CURRICULAR ACTIVITIES

Students travelling to away games or field trips shall be transported by school bus or in private vehicles authorized by the Principal. According to Grasslands Policy 5.5.1.5,

Grasslands Regional Division #6 permits the use of private vehicles for student transportation when other means are not available or it is deemed to be in the best interest of the students and supervisory personnel. The principal is authorized to approve the use of vehicles other than Grasslands buses for the transportation of students to participate in board activities. The principal shall ensure that an endorsement to an existing policy or approval from the owner’s insurance company granting permission for limited use in transporting students and a minimum of one (1) million P.L. and P.D. has been obtained. A copy of the driver’s insurance must be on file at the school. The principal must inform parents and students of their responsibilities in the matter of liability insurance, if parents and students decide to use unauthorized transportation to school activities.

From time to time, parents are asked to drive students and their support of the school program is greatly appreciated. However, for the protection of the parent, student and the school, drivers of private vehicles must adhere to the following conditions:a. The driver is in possession of a valid driver's license appropriate to the vehicle.b. The driver is over 18 years of age and legal guardian or designate – not a studentc. The vehicle is appropriately registered.d. An endorsement or approval has been given from the owner’s insurance

company granting permission for limited use in transporting students. e. A minimum of $1,000,000.00 P. L. and P.D.f. A copy of the driver’s insurance must be on file at the school.

STUDENTS ARE NOT PERMITTED TO PROVIDE TRANSPORTATION FOR SCHOOL EVENTS.
