General Risk Assessment The development of risk assessments as a general business activity is required, and the need for periodic review of existing assessments. Responsibility: All members of Hotel Management Team

PPE Assessment The implementation of work tasks requiring Personal Protective Equipment (PPE) has been identified through risk assessment and reviewed periodically. Heads of Department will ensure P.P.E is available and provided for employees. Responsibility: Heads of Department

Work Equipment Assessments Equipment will be maintained in a safe condition and any equipment requiring a specific work equipment assessment will be identified. Assessments will be completed and reviewed on a periodic basis. Relevant training will be provided. Responsibility: Heads of Department

VDU Assessments ‘Users’ as identified, will complete a workstation assessment. The results of the assessment will be discussed and where necessary relevant improvements actioned. Eye tests through a voucher scheme are available. Responsibility: Heads of Department

Manual Handling Operations Assessment of work tasks will be considered by each Head of Department. The aim is to reduce manual effort required for job tasks. Where manual handling still forms part of a job role, appropriate control measures and training will be implemented. Responsibility: Heads of Department

Working at Height Tasks involving working at height will be identified by each Head of Department. Where possible, these tasks will be eliminated. Where this is not possible, suitable controls measures will be implemented and training completed. The Working at Height pack is our main tool for managing this. Responsibility: Heads of Department

Noise at Work

Monitoring will be carried out to determine if action levels (80 and 85 dB(A)) are exceeded. The aim is to reduce levels as far as practicable and introduce control measures where exposure cannot be avoided. The Noise at Work Pack produced by Safety and Security is our tool to support this. Responsibility: Heads of Department

Vibration Monitoring will be carried out to determine if action levels are exceeded for hand arm and body vibration. The aim is to reduce levels as far as practicable and introduce control measures where exposure cannot be avoided. The vibration assessment pack produced by Safety and Security is our tool to support this. Responsibility: Regional Safety & Security Manager

Control of Substances Hazardous to Health (COSHH) The supply of substances for use within the Hotel is managed and approved by the Supply Management Department with assessments carried out by Safety & Security. Responsibility: Safety and Security, Supply Management and GM/HM

General Welfare Conditions Quarterly safety audits are undertaken by each Department to confirm safety compliance or highlight hazards requiring action. Reports are presented at the Safety Committee Meeting to confirm actions and/or gain approval by the Hotel/General/Corporate Manager for any additional actions required. Matters outside the authority of the Hotel/General/Corporate Manager will be referred to the Area Vice President for consideration and approval.

Responsibility: GM and Heads of Departments

Accident Reporting Incidents, with the potential to have caused injury (near misses) or accidents causing injury or property damage, must be reported by the employee, recorded, investigated, and logged within an accident file or the accident database (where available) and reported to enforcement authorities (if required). Incidents and accidents are discussed at Safety Committee Meetings to ascertain if any further actions, risk assessment reviews or additional training is necessary. Responsibility: Heads of Department/All Employees

Emergency Procedures and Site Crisis Plans

Site Crisis Plans and the Pocket Guide to Incident Control are available within the Hotel/Corporate Offices and form part of the emergency procedures file. The Hotel Management/Corporate Team are aware of the content. The Hotel and Corporate Management teams will complete regular training to ensure a competent response to any incidents that occur. Responsibility: General Manager

Engineering Safety Inspections Contracts are in place to carry out statutory inspections on items of equipment such as mechanical lifts, boilers, calorifiers, escalators, fixed electrical circuits, portable electrical equipment, window cradles and pressure vessels. Responsibility: General Manager and Engineering

Safety & Security Reviews The Safety & Security Department carry out reviews of the Hotel and Health Clubs on a routine basis. Frequency is determined by the review score and a risk based approach. Issues raised in the reviews are progressed internally by the Hotel with Area Vice Presidents copied in as appropriate. Updates on progress are tracked at Safety Committee Meetings and are provided to Safety & Security. Responsibility: General Manager and HOD’s

Safe Systems of Work Certain tasks performed by our employees are considered to have a potential risk for serious injury e.g. working at heights, pool chemical control and solo working. Tasks identified are subject to the creation of a detailed safe system on how the job must be carried out, the approvals required and the training to be given to ensure the task is always carried out safely. Responsibility: Heads of Department

Contractors and Conference & Events Crews Signing in and out procedures exist for visiting contractors. Visitor badges are provided for identification. Competency, method statements and risk assessments outlining their safety procedures are requested and approved, before work commences. Permits to Work are used for high risk work tasks which have been identified as Asbestos, Roof Work, Hot Works (Welding), Low Voltage Electrical works above 230 volts, and Confined Spaces. Contractors on site are subject to periodic checks to ensure safe working practices. (Refer to the Contractor Safety Advice Guide). Responsibility: Engineering & C&E Departments

Water Hygiene Management An assessment of water systems and water features within the Hotel is carried out every year by a third party competent contractor. Water systems are treated with chlorine dioxide, monthly water temperature monitoring, 6 monthly showerhead cleaning regime in place, and monthly water sample/3 monthly Spa bath analysis to check Legionella bacterial contamination levels. Responsibility: Engineering

Electrical Safety

Periodic fixed and portable electrical inspections are carried out under a central

contract (fixed every 5 years for the hotel, 3 years for gyms, periodic as dictated by local authority requirement if applicable, and yearly for wet leisure). Infra-red inspections are undertaken yearly on all three phase distribution panels and motor control cabinets. A further system of visual inspection relating to portable electrical appliances occurs between 3-6 months depending on equipment type. Certain portable equipment e.g. Irons are subject to a yearly PAT inspection. Responsibility (for internal inspection programme): Heads of Department Responsibility (for contractor inspection programme): Engineering Operations Europe

Fire Safety Training records, mandatory checklists and servicing records relating to fire alarm system, emergency lighting, sprinklers, wet and dry risers, hose reels, voice activated alarms and suppression systems, planned evacuations and responsibilities for fire safety are detailed in the Fire Book and Fire Safety Risk Assessment. The Fire Safety Policy contains additional detail on how fire safety is managed. Responsibility: General Manager and Regional Safety & Security Manager

Gas Safety Gas equipment (e.g. boilers, kitchen equipment, laundry, fire places) are inspected and certified by external competent engineers on an annual basis. Periodic engineering inspections are carried out on equipment to ensure the safety of their operation. LPG storage tanks are maintained by an external provider with local tightness tests for LPG and natural gas performed by contract on an annual basis. Responsibility: Engineering

Asbestos Containing Materials

A database exists for hotel properties containing asbestos is available on the Engineering Operations team site. Actions have been taken to remove or make safe asbestos locations. Annual reviews are carried out by a third party competent contractor to ensure the ongoing safety of this material. Discussions are undertaken before maintenance or refurbishment works. Further details can be found in the asbestos containing materials procedure updated May 2016. This hotel does come under the inspection, review and action programme. Responsibility: Hotel Engineering and Engineering Operations Europe

Driving Policy / Workplace Transport The Health and Safety of team members, as well as all other road users is important to the successful management and operation of the company. The company expects each team member to uphold the highest standards of driving and safety whilst driving any vehicle belonging to the company or private vehicle used on company business. To ensure this; a Drivers Policy has been developed to address all areas such as the driver, the vehicle, training of the driver, fitness, health and the journey to include a ban on all phone use whilst driving at work. A Workplace Transport Policy is in place which outlines the expectations on Hotels and Corporate Offices in ensuring a safe site. Responsibility: Corporate teams, Directors/Managers, Regional Managers / General & Hotel Managers / Heads of Department.

First Aid

The Hotel/Corporate Office ensures qualified first-aiders are on duty 24 hours a day (as appropriate). We provide this facility for both employees and members of the public. First aid requisites are checked on a monthly basis. Responsibility: General Manager and Workplace Services

Young Persons (Under 16’s only)

The risk assessment process has identified certain work tasks not performed by employees under 16 years. Parents or guardians are notified in writing of this process. Supervision by Head of Department is considered of paramount importance. A company advice document is available. Responsibility: Human Resources and Head of Department

Employees with Disability and Reduced Ability

We will work with employees with a disability or reduced ability, on a one to one basis to determine work tasks that can be undertaken, control measures that are required and to ensure individual capabilities are not exceeded. Hilton Worldwide operates a PEEP (Personal Emergency Evacuation Plan) for all disabled team members. Responsibility: Human Resource Manager/Heads of Department

Home Working The Home Working advice document details the provisions applicable to designated Home Workers. Ongoing training will also be provided. Responsibility: Human Resource Manager/Heads of Department

Working Time Directive There is a company advice document available for management and team members to view. The necessary training and completed records relating to hours of work are retained. Responsibility: Human Resources

Consultation with Employees The nominated employee representatives are part of the hotel’s / corporate office safety committee. Employees are encouraged to raise suggestions for improvements or safety concerns with their departmental representative. An employee with an idea or concern may contact their Regional Safety and Security Manager or contact Safety & Security at Head Office. The issue will be considered and investigated as appropriate. Responsibility: General Manager and Human Resources

Pregnancy Risk assessments will be completed and discussed when a female team member notifies her line manager in writing. A company advice document is available. Responsibility: Head of Department/Human Resources

Employee Training Safety induction within the hotel/corporate office is carried out as part of the induction programme. Additional safety training specific to their department is carried out annually through e learning, supported by Heads of Departments, covering job specific tasks. Responsibility: Head of Department/Human Resources

Communicable and Occupational Diseases Safety & Security have provided a selection of advice documents covering the main communicable diseases that would be encountered in the hospitality industry. Training is provided to hotel management teams and information is contained in the Emergency Procedures file. We also recognise the importance of occupational diseases and where required monitoring plans are provided and any health surveillance plans reviewed if required.

Violence at Work and Conflict Management It is understood that our team members may be subject to occasional situations where conflict management skills are required. To this end we have dedicated training packages and solo working systems to provide the required skills to deal with such situations ensuring that the team member’s safety is put first in every instance. Stress at Work It is recognised that our team members may suffer from stress either from work or personal circumstances. We have a stress pack to assist team members and Heads of Departments manage stress at work. Responsibility: Heads of Department/HR

Team Member Responsibilities We request that each Team Member recognises the importance of working in a safe manner, as identified through the induction and departmental training received. Report safety hazards, accidents and near misses immediately to your Head of Department or the Regional Safety & Security Manager or Safety Representative. Your comments will be welcomed and treated seriously.

Hazards For information, the main recognised hazards within the Hotel/Corporate Office are:- 1) Slips, trips and falls 2) Burns from hot equipment or hot food/scalds from hot liquid 3) Cuts from knives or broken glass 4) Injuries from using chemicals without personal protective equipment 5) Injuries due to carrying heavy loads

Training for Employees A safety training programme is available for all Team Members. Employees must not carry out a work task for which you have not received the relevant safety training.
