ARCADIA EDUCATIONAL FOUNDATION The Arcadia Educational Foundation is a non-profit organization that was founded in 1981, largely in response to substantially reduced federal and state funding for California public schools. The Foundation’s purpose is to provide financial support to the Arcadia Unified School District. The Foundation raises funds to help preserve, maintain, and improve educational programs and facilities for the students of the schools within the District, operates a summer school program in order to further the educational opportunities for students, and performs additional activities to promote the quality and growth of the District, its schools and its students. The Foundation is administered by volunteer parent and community member Trustees who represent the interests of Arcadia’s ten public schools.

AEF Summer School Program

The Arcadia Educational Foundation (AEF) is sponsoring its twenty-third year of summer school programs for students who will be entering grades 1 – 12 in the fall. Academic and enrichment courses are uniquely designed by credentialed teachers to complement and support the rigorous curriculum offered by the Arcadia Unified School District during the regular school year. The AEF High School tuition-based summer program is open to all students residing in Arcadia and welcomes students from surrounding communities or those visiting Arcadia for the summer months. Credit courses offered by AEF have been deemed acceptable for inclusion on the Arcadia High School transcript and will be counted for full credit based on student performance.

IMMUNIZATION REQUIREMENTS

Students, who are not currently attending an AUSD school, must provide a copy of their immunization record. The immunization record must include Polio, DPT, MMR, Hepatitis B, Tdap, and Varicella immunizations, the date the

immunizations were given, and the name of the Physician. The immunization record must be in English. The English translations of an immunization record must be by a licensed medical provider.

EDUCATIONAL ACCOMMODATION 504 Plan or Individualized Education Program (IEP) The AEF Summer School Program is designed for students in general education and does not have the additional resources and personnel to support students who may need an accommodation during the summer. Sometimes students, who have an IEP or 504 Plan during the regular school year, choose to enroll in the AEF Summer Program. If you are registering for the AEF Summer School program and would like to have AEF consider an educational accommodation, please indicate your request on the registration form. Students will have a space reserved in their requested or alternate choice while additional information is gathered from the parent regarding the accommodation needed, including parent signature authorizing AEF personnel access to this information. Upon return of the documents to the AEF office, the student will be provisionally enrolled while the AEF Administrator/Principal reviews and determines if the student’s needs can be met in the AEF summer program. Parents will be notified by email what accommodations, if any, AEF can provide and when parents respond in agreement, the registration process will continue. Please call our office prior to registration for additional information regarding educational accommodations. Unfortunately, due to the time needed for the AEF review process of the educational accommodation, students beginning the registration process during the AEF Late Registration period (May 22nd and later) may not be eligible for any accommodation due to the time constraints of the approval process.

MEDICAL CONDITIONS Please indicate on the AEF summer school registration form, any medical conditions that your child has so that we can assist your child in a safe and incident free summer. Additional information may be requested.

AEF GENERAL INFORMATION Students from outside Arcadia Unified registering for AEF courses for credit, should always check with their school of record to be sure the AEF Summer School course they are interested in taking meets their high school graduation requirements.

Credit Courses

AEF Summer School courses are tuition based and designed for initiatory credit (advancement) or improvement of skills (enrichment) for students entering grades 9 to 12. AEF Summer School classes move at an accelerated pace and may be difficult for some students who do not have a strong foundation in the particular subject they are enrolling.

Make-Up Classes

Students entering grades 10 - 12, who previously earned a “D” or “F” and wish to retake a course to improve their grade, can enroll in the AEF summer school program. Depending on the course and enrollment, some classes for grade improvement/credit recovery (make-up) will be combined with the initiatory classes. Students needing to make-up a 2nd semester math class might consider enrolling to audit the 1st semester as well, to gain a stronger foundational base in the subject.

Multiple Sections of Classes

Should enrollment require more than one section of the same class, students will be randomly assigned to a section. Unfortunately, we are not able to accommodate teacher requests or changes to teacher assignments.

UC/CSU Approved Courses

All credit courses offered by the Arcadia Educational Foundation Summer School have been approved by the Arcadia High School Principal, who verified that courses stating they are UC approved meet the University of California A-G requirements and they will be accepted for credit at Arcadia High School. Any exceptions are noted in the AEF Summer School catalog. Arcadia High School will not give credit for a course which is repeated, if credit has already been given. Refer to the 2017 -2018 Arcadia High School Curriculum Guide for class listings, subject content, and subject progressions.

Maximum Credits Allowed in Summer School

A maximum of ten (10) credits will be allowed to be placed on the Arcadia High School transcript each summer. This requirement includes Arcadia High School online courses, AEF (Arcadia Educational Foundation) courses, and courses taken at other accredited schools.

Student Course Eligibility

The student’s course eligibility will be verified initially at registration and again prior to finalizing enrollment. To avoid unnecessary registration delays, schedule change fees, or cancellation fee expense, please make sure you carefully check that the student meets the course eligibility requirements before registering for a summer school class. AEF will coordinate the verification of course eligibility with the assistance of Arcadia High School staff. For those students currently enrolled in a preceding class, the first semester and the third quarter grades will be checked in lieu of the second semester grade for preliminary verification of enrollment eligibility. Those students not meeting the course eligibility at the third quarter will not be allowed to enroll in the class. Final second semester grades will also be verified and may cause a student to be withdrawn from the class after receiving preliminary enrollment approval. Should a student need to withdraw from a class due to course ineligibility, the AEF Refund Policy on page 12 will be applied uniformly. Those students not attending an Arcadia Unified school will need to submit a copy of their transcript or report card showing verification that they have met the course eligibility requirements.

7

8

STUDENT ATTENDANCE & ABSENCES A typical summer school day is equivalent to one week of school during the regular school year. Course instruction is presented at an accelerated pace during the summer session in order to complete the requirements for material presented. In addition to class time, students should plan to spend adequate time outside of the class doing homework and also set aside study time for quizzes, tests, and exams to ensure a successful outcome of the summer school session.

It is expected that students enrolling in the summer program have made a commitment to attend class daily and be on time at the start of class and after any class breaks. Vacations and appointments should be made outside of the summer school scheduled dates and class hours.

In summer school there are no ‘excused absences’. Should an unexpected illness prevent you from attending summer school on a particular day, please notify the AEF summer school office as soon as possible. Please call (626) 821-1759 if you will be absent.

AEF Summer School will not have any specific attendance requirements. However, as stated above, it is our expectation that students will be in class for the duration of the summer course. In addition, please be aware of the teacher’s syllabus regarding any additional information about classroom policies relating to grading, tardies, absences, and make-up work.

The Health proficiency course is an exception to this policy. Only one absence is allowed with make-up work required. Students must be present the last day or the completion of proficiency cannot be given.

FULL CLASSES, WAITING LISTS & AEF CANCELLED CLASSES

Registration forms will be processed by the date received in the AEF Summer School office. Each year there are several classes where enrollment is highly competitive and the course becomes full shortly after the registration begins. At times, the demand for a particular class is greater than the number of seats available. AEF will make every effort to provide additional classes if early registration enrollment indicates a need, and facilities and qualified teachers are available. Unfortunately, it is not always possible to meet the demand for a particular class when the class becomes full.

Full Classes and Waiting Lists

Providing alternate course selections initially when registering, can be beneficial in securing a summer school schedule. Only indicate an alternate class that you are willing to take, should your first choice not be available. When classes become full, students will automatically be processed and scheduled in their alternate choice, while remaining on the waiting list for their first choice course selection. Students will be notified if a spot becomes available in their first choice, which may occur as late as the second day of class. They can decide at that time if they would like the original course selection or prefer to stay in the alternate choice. Students who are requesting a course that has filled and who did not initially choose an alternate course selection on their registration will remain unprocessed and pending on a waiting list. Students will be notified when a spot becomes available.

AEF Cancelled Classes

Unfortunately, classes that do not meet enrollment requirements or other unforeseen reasons may require AEF to cancel a course. This process can occur in late May or early June. If AEF must cancel a class, the parent, guardian, or student will be notified and have the option to select another available class, or request a refund for the full tuition of the cancelled class. Registration fees, processing fees, and service charge fees are not refundable.

FINAL EXAMS, GRADES & TRANSCRIPTS

Grades

AUSD students can check their summer school progress online by logging into pssummer.ausd.net (note this is different than the regular school year) and using their AUSD password to access their summer school records.

Students new to AUSD, or students who do not attend AUSD, will be issued an AUSD student id# and login. The teacher should be able to provide students with the login and password. If you have difficulties, please contact the AEF Summer School office at the high school.

Progress Reports

Progress reports will be given to all students who may be at risk of failing the course or for other situations that require improvement.

Final Exams

Students will not be allowed to take the final exam early or turn in the final project early. Please plan summer vacations and other commitments after the summer school program ends.

Report Cards

All students will receive an official report card mailed to their home for AEF summer school classes that earn credit. The report card should arrive approximately two weeks after the close of the summer school program.

AUSD Student Transcripts

All Arcadia High School students, including incoming 9th grade students from the three AUSD middle schools, will have their AEF summer school course grades automatically posted to their AHS transcripts. This will take place in time for the AHS counselors to make any necessary adjustments to the summer school students’ fall schedule.

Non-AUSD Student Transcripts

During the first week of class, students NOT currently attending Arcadia High School or enrolled in AUSD, will be provided a transcript request form. Students can request their transcript to be sent directly to their home school. This form must be returned to the AEF office as soon as possible or at least three (3) days prior to the end of the course.

10

11

ADDITIONAL INFORMATION

Confirmation of Registration

Students, whose registration forms have completed the enrollment process by May 12th, will receive a tentative notice confirming receipt of registration and the tentative course schedule assigned.

Once all classes are confirmed, a final confirmation letter will be mailed approximately one week prior to the start of summer school. This letter will include the teacher’s name and room number. We are not able to accommodate teacher requests or changes to teacher assignments.

Student Behavior

Students are expected to maintain good citizenship at all times. A student’s misconduct will not be tolerated in or out of the high school classroom or any school location. AEF follows the policies and procedures of the AUSD High School Discipline Guidelines, which can be found on the AUSD website for students and parents to review prior to the start of school. All AUSD rules in effect during the regular school year will continue to be in effect during the AEF summer school program. Bicycle, scooter, rollerblading, and skateboard riding are always prohibited on school grounds.

Misconduct / Dismissal

When a violation of a school rule occurs, students may be given a warning for a first offense. On occasion, dismissal may be necessary for disciplinary reasons. Serious violations will result in the student being immediately suspended or dismissed from all summer school programs. All decisions requiring corrective action for a student’s misconduct will be reviewed by the AEF Summer School Principal. Parents or guardians will be notified immediately when corrective action is taken. The action to dismiss a student will take place only after a consultation with the parents or guardians has taken place.

In the event a student is suspended or expelled from the summer program due to disciplinary reasons, AEF will not issue a refund for unused days and the student will not receive a grade or credits for the summer school course.

There are times when a student must be dismissed by AEF due to psychological, emotional, or physical disabilities which preclude a student from participating safely and/or effectively in a group setting. A full or partial refund may be issued for unused days at the discretion of Arcadia Educational Foundation.

Dress Student attire should be comfortable to fit the weather. Bathing suits, revealing clothing, and bare feet are not permitted. The discretion of school personnel will prevail in determining appropriate summer school attire.

Transportation

Transportation is not provided for summer school. It is expected that students arrive and leave school in a timely manner. AEF does not provide supervision before or after school.

11

12

AEF REFUND POLICIES & INFORMATION The AEF refund policy is applied uniformly. Refund requests must be received in the AEF office by the deadline dates listed below. All refund requests must be in writing and can be emailed to [email protected], or hand delivered to the AEF Summer School Office. Refund requests by phone will not be accepted.

The parent or guardian signature on the registration form indicates understanding and agreement to abide by all AEF registration and refund policies.

All refunds, regardless of the reason, are for tuition only. Registration fees, processing fees, and service charge fees are not refundable. Refunds will not be given for unused days whether it is due to dropping the course, vacation days, special events, short-term illnesses, or other personal commitments requiring an absence from class.

All refunds, including payments made by credit card, will be refunded back to the original payee by check and will be mailed to the address on record of the student, unless notified differently in the cancellation notification/refund request.

2017 CHEMISTRY - IMPORTANT Enrollment Information: Registration forms must be complete in order to be considered for placement in a Chemistry class. A registration form is complete if it includes all requested information, required signatures, payment, and the course eligibility is met. EARLY REGISTRATION March 25th – April 12th Due to the high demand for Chemistry, all Chemistry registration forms received during the Early Registration period will be grouped by grade level. At the end of the Early Registration period, qualifying students will be placed in Chemistry classes by grade level seniority, then by date of receipt in the AEF Summer School office, with seniors first, then juniors, etc. Once all available Chemistry seats are filled, students will be placed on a waiting list according to their grade level and date of receipt. Early Registration Chemistry students will be notified of their eligibility for placement in an AEF Chemistry class by Wednesday, April 19th. A listing of students who are eligible to be placed in a Chemistry class will be posted after school outside the AHS Student Services/Administration Building (near the counselor of the day desk), and will also be posted at the AEF Summer School office.
