Performers are encouraged to bring their own accompanist.

Child Protection Policy

The safety Of children and vulnerable adults is paramount and they all have the

right to protection from abuse. All suspicions and allegations of abuse will be taken

seriously and acted upon swiftly and appropriately. The Festival’s volunteers have a

responsibility to report any such concerns.

Those Covered By This Policy This policy relates to children (under the age of 18)

and members of vulnerable groups of any age who are identified to the Festival

Administrator before their arrival at the Festival. Contact should be made by par-

ents and/or teachers via the e-mail address or telephone number of the General

Secretary.. The Festival will actively seek to meet the needs of children from ethnic

groups and children who are disabled. Any subsequent reference to ‘children’ in-

cludes members of other vulnerable groups.

Festival Environment The Festival takes place in Linthwaite Methodist Church Cen-

tre. Other users of the Centre may be on site during the Festival. The Festival aims

to establish as safe an environment as is reasonably practicable. It will seek to en-

gage parents, guardians, carers and teachers in a partnership which involves them

in taking all reasonable precautions to protect the well---being of those covered by

this policy. (Please note that any subsequent reference to ‘parents’ includes

‘guardians’ and ‘carers’).

Festival Personnel All Festival personnel are volunteers and wear a lapel badge.

Roles are defined in a short job description . If their prospective role requires prior

enhanced disclosure from the Criminal Records Bureau /Disclosure and Barring Ser-

vice they will be supplied with relevant documentation to complete for this pur-

pose.The personal records of Festival helpers containing their names and contact

details along with those of their two referees are held on file by the Helpers’ Co-

ordinator All Festival personnel (plus adjudicators and accompanists) are given a

copy of the Festival’s Child Protection Policy and are required to adhere to it. They

are expected to be vigilant in monitoring the Festival environment and should chal-

lenge unacceptable or suspicious behaviour. They are to report all such concerns to

the Helpers

13. OWN CHOICE TEST PIECES—Performers entering classes where the test piece is ‘Own Choice’ must notify on their entry form the title of their chosen piece and the timing of it. If the services of the official Accompanist are required (See Rule 7) a copy of the chosen piece must be forwarded with the entry form. An extra copy of the own choice piece for the use of the adjudicator should be given to the Performers’ Steward before the class commences. A time limit of EIGHT minutes will be in force unless otherwise stated, and this rule will be strictly adhered to. Where the own choice piece does not require the official accompanist, only a copy for the Adjudicator on the day of the Festival is re-quired. Once an entry form has been accepted, no change of choice will be al-lowed.

14. Own Choice Music Copying Copyright Act 1956—The Music Publishers’ Association allows the following

concessions for copying Own Choice Pieces from volumes only for the adjudi-cator. Other items must not be photocopies without the permission of the copyright holder in each case.

. When an Own Choice work is selected from a publication containing several different works and which is not published separately, one copy may be made for the use of the Adjudicator at a competition or festival provided that the Performer or participant has already purchased his/her own copy, and that the copy is retained and destroyed by the administrators immediately after the event. This permission does not apply to set works.

Nor does the permission apply to making copies for the Accompanist, who must always be given a printed copy from which to work. Photocopies for the Adjudi-cator must be totally legible, or they may be refused. Failure to comply with these ‘Own Choice’ rules will result in elimination.

The use of tape recorder and cameras in the audience is not permitted because of copyright and other legal restricted and to avoid disturbing the performers.

A) SONGS FROM THE SHOWS CLASS—COPYRIGHT—ALL Performers using music from shows in current production are subject to copyright law. Songs from shows in current production may be sung as a concert item (ie without cos-tume or movement) without need for copyright permission. Where move-ments or costumes are included in a performance copyright permission is re-quired and the committee accepts entries on the basis that the appropriate permission has been sought. Performers or teachers with queries on how to obtain copyright permission for performance items should contact Festivals House on 0870 7744290 before making their entries.

15. In classes where there is more than one type of instrument, ie Strings, Wood-wind and brass, will performers please state on their entry forms which instru-ment they will be playing

FESTIVAL RULES

1. The competition shall be known as THE HAYDN WOOD MUSICAL FESTIVAL 2. The competition shall be open to all children and young people up to the age of

21 years. 3. The competition is intended for amateurs. Professionals are not eligible to

compete. Conductors may be professional and instrumental groups may in-clude a professional. For the purposes of this Festival, professionals are de-fined as teachers and performers whose principal means of livelihood are de-rived from the particular branch of the Festival in which they compete.

4. All entries must be in writing and on the form supplied. A SEPARATE ENTRY FORM MUST BE USED FOR EACH CLASS.

5. Performers will be notified when the ballot for order of competing has taken place, and the date and time the classes will be held.

6. PERFORMERS MUST REPORT TO THE ASSEMBLY STEWARD 15 MINUTES BE-FORE THEIR CLASS IS DUE TO START. PERFORMERS NOT ANSWERING TO THEIR NAME WHEN CALLED UPON AT THE TIME THEIR CLASS IS DUE TO START MAY FORFEIT THEIR RIGHT TO COMPETE IN THAT PARTICULAR CLASS, SUBJECT TO THE DECISION OF THE ADJUDICATOR’S STEWARD

7. All Performers taking part in the Open Classes or playing ‘own choice’ pieces are encouraged to bring their own accompanist. However, the Festival ac-companist will be available if required (See Rule 13). The Committee reserve the right to refuse the service of the Festival accompanist for music of a com-plex technical and rhythmical nature that would require rehearsal prior to performance. However, the Festival Accompanist will play for ALL other clas-ses except for choral Classes, Recorder Ensembles and Family Class, or other-wise stated.

8. The prizes will be awarded to the Performers gaining the highest marks and the Adjudicator’s decision will be final.

9. Teachers, parents and performers must not engage the Adjudicator in discus-sion. All enquiries, complaints, protests or representations to the Adjudicator MUST be made through the Secretary of the Festival.

10. In all classes test pieces must be performed in the key and edition prescribed. 11. In all classes where the age limit appertains, the operative date will be the 31st

day of October in the year of the competition. 12. The first, second and third places in each class will be announced at the end of

the class, but the marks allotted to the first place, the money prize and any

appropriate trophy, will be withheld until the Saturday evening session which

will take the form of a Concert AT WHICH THE FIRST PRIZE WINNERS IN EACH

CLASS WILL BE REQUIRED TO TAKE PART.
