Girl Guides Australia Adult Good Service Awards and Membership Recognition

Purpose

The purpose of the Girl Guides Australia Adult Good Service Awards and Membership Recognition are to:

Recognise the contribution of adult members and non-member volunteers to Australian Girl Guiding, its members and the community, utilising a system that is equitable, credible, relevant and resourced and which can be applied consistently across the organisations and between individuals.

Encourage the proactive and timely recognition of members and supporters of Guiding and ensure the organisation’s gratitude is continuously communicated.

Adult Good Service Awards and Membership Recognition System

The System has three categories:

Membership

This category recognises commitment to Guiding in terms of the number of years of membership and has one award, namely “Years of Membership”.

Information about this category can be found on Guidelines or by contacting your State Association. Applications for Years of Membership: Members and Non-Members are made according to State Protocols.

Good Service

This category represents all awards for meritorious service and contribution to Guiding in Australia whether the involvement is at a local, state, national or international level

Gallantry

This set of Awards recognises acts of courage across the membership of Australian Girl Guides

WAGGGS Asia Pacific Leadership Awards

The WAGGGS Asia Pacific Leadership Awards are awarded annually (see page 31 for details).

External Awards

Girl Guides Australia encourages and supports the recognition of our members in the wider community through nominations for external awards (see page 39 for details).

Adult Good Service Awards and Membership Recognition Framework

This framework is included as a clear ready reference to all Adult Awards and Membership Recognition.

Years of Membership Badge for Members

Adult Members: This recognizes Years of Membership to Girl Guiding., which will be counted from the date the individual becomes an Adult Member of GGA/SGGO and/or other WAGGGS Member Organisation (MO) (aged 18 or over in Australia, or as per definition of adult in the applicable WAGGGS Member Organisation). Time is counted cumulatively to receive the award and the onus is on the applicant to provide evidence.

Adult Good Service Awards Criteria A standard set of descriptors for each Good Service Award has been developed to provide detail and to complement the Adult Good Service Awards & Membership Recognition Framework. All Adult Good Service Awards are recognised incorporating these criteria.

Evidence is shown that the Adult Member fulfils her role as defined by the position

description

PLUS Evidence is shown that the Adult Member gives service to GGA above that which is defined in the Position Description for her role, in any of the following areas: Locally, within the Region, within the State, within Australia, across the World Association of Girl Guides and Girl Scouts (WAGGGS)

AND there is ongoing evidence that the Adult Member provides good service in keeping with the Guide Promise and Guide Law and that their behaviour is in keeping with the Code of

Conduct

There is tangible evidence of support for others and the GGA; contribution to the growth and development of the movement in a way that is over and above the role descriptor and sustained commitment to Guiding.

How to Apply Checklist

Before completing and submitting the award application (except Asia Pacific Awards) have you:

considered nominating a member for an award as soon as her good service is noted.

read the relevant information in this Guide or on Guidelines including the criteria for adult awards to determine if the nominee has given service beyond what is expected of her role.

allowed at least 2 months for the application to be processed particularly if you have a special occasion in mind at which the award is to be presented.

downloaded (from Guidelines) and completed each section of an application form carefully and clearly in black/blue ink or typing (all GGA forms are fillable .pdfs), writing N/A if a section is not applicable.

provided sufficient information to enable the Awards Committee to reach a decision on the granting of the award. It is important that members of the Awards Committee are able to assess the quality of the service. Please assume the Awards Committee has no prior knowledge of this person.

attached any additional information or supporting letters with the nominee’s name on the top so that information concerning the extent of the applicant’s Guiding service can be clearly conveyed to the Awards Committee (bullet points are acceptable).Remember it is the Proposer’s or initiator’s responsibility to co-ordinate collection of necessary paperwork.

sought the approval of the Relevant Manager or Chairperson for the nomination and had the Nomination form signed accordingly.

After completing the nomination form - What Next?

AW 12 Boronia Award

This award can be approved by a Region Manager or State Awards Committee; a copy the completed nomination form should be provided to the relevant State Office for information and recording on the database according to state protocol.

Other Awards including:

AW13 Australian Adult Good Service Award – Members

AW14 Australian Adult Good Service Award – Non-Members

AW 10 Gallantry Award

Forward the completed nomination form and supporting information clearly marked “Confidential for the attention of the Awards Committee” to the relevant State Office or in the case of

someone’s contribution being undertaken at National (for example an Australian Office Bearer) or World (for example a member of a Region or WAGGGS Committee) to National Office.

Nominators and the Member Organisation (States) are advised of the outcome of the Award application whether approved by a State or National Awards Committee. After this arrangements for presentation can be made.

Specific Awards need additional processing time as they require approval from a number of sources. These awards include Silver Kangaroo, Red Kangaroo and Gallantry Awards.

The Good Service Award Flowchart on the next page clearly shows the sequence for nominations; it is also available on Guidelines.

Supporters complete their section of the nomination form and return to co-ordinator in a

timely manner. This is repeated for each person supporting the nomination.

Scope of Recognition Good service at the Local Area

Descriptor:

This award is designed to be a statement of recognition for good service at the local area.

Recipients of this award provide service to Guiding through consistently achieving the outcomes of their own role as well as providing support on a regular basis to other volunteers.

They work on activities and events and demonstrate effective leadership within their primary role.

They provide encouragement for Girl Guides Australia to grow in the local community.

Those recognised with the Boronia Award are a role model to Guides, volunteers and the local community, consistently living the Promise and Law and abiding by the Code of Conduct.

When I transitioned from Support Group to working with the Guide Unit, Rosslyn was

very helpful, giving me tips and just being someone to talk with. I have learnt lots

In my role as Biscuit Coordinator for the state, I booked stalls at many shopping centres. However, I was unable to do this for the Guides at Country Town. Debbie the District Manager was away at the time and I contacted Glenda for assistance. She was brilliant! She was able to book a stall at the local shopping centre, and then went on to sort out the roster for those selling biscuits throughout the day. Glenda took considerable effort to make their stall really attractive and sent a photo to our Facebook page. The day was particularly successful and they were sold out by 4pm! Guide House Main St Central City 8000 Dear Awards Committee, I am writing to support the award nomination for Glenda Guide Leader. Glenda was an active member of the Happening Support Group for 2 years prior to becoming a Leader. The Support Group has been fundraising towards purchasing tents and marquees as well as working hard to pay for our hall expenses and support the Leaders. Glenda was responsible for getting several grants from local organisations. Glenda has been a Leader in the Happening District for 4 years. She joined the Happening Outdoor 9-12 Guide Unit when her daughter joined from the Happening Busy 5-8 Guides. We were desperate for a new Leader and Glenda has stepped into the role with enthusiasm and a great sense of fun. Glenda loved the training course and completed the Leadership Qualification quickly. Since qualifying, Glenda has run great programs with the girls, involving them in the decision-making about their program and letting the Guides take the lead. They get out often, with camps, outdoor activities like canoeing and abseiling and are gaining quite a reputation in the community for their service projects. Her passion for the Guides in her Unit really shows and the Unit is growing quickly. Even as a member of the Support Group, Glenda was actively involved in the District and had catered for several indoor and outdoor camps for all of our Units. Now as a Guide Leader, Glenda rarely misses District Meetings or events. She always contributes, running activities at District events, being one of the Leaders at District Camps and completing tasks agreed at District Meetings. Glenda has also been supporting two new Leaders (one in her Unit and one in the Happening Busy 5-8 Guides), by signing activities in their Passport as their Qualified Leader – a positive experience for them. Additionally, she attends Region Camps and events as much as possible. Glenda is well liked by all the other Leaders in the District and really deserves an award. Yours in Guiding

Nominee’s contribution at a high standard using skills knowledge or experience:

Suzie first offered to cater at the district camp when her daughter was a guide. She

enjoyed helping out and later volunteered to help with the region camp.

Since then she has offered her help in any catering which is needed anywhere in the state.

One of our very quiet shy new leaders did not have the confidence to help with the

catering at camps or events. She agreed to go with Suzie to the training for trainers

to help. Suzie was amazed, she was so helpful and gave Sara so many tips and ideas I

think she has enough confidence now she could even have a go at catering for a

district camp or something like that. Sara was actually there to help her, but she

gained so much. Suzie is fantastic.

I would like to support a nomination for a thanks badge for Suzie supporter. When we

were short of people to cater for our training course her name was given. After a

chat Suzie agreed to help us out. She has been absolutely fantastic, a real gem.

While Mary Jane was playing around in the swimming pool with her cousins in the

school holidays, a toddler playing a game and running from the rug where her parents

were sitting tripped on the side of the pool and fell in.

Being the holidays the pool and surrounds were quite crowded and it took the mother

a few seconds to get up, get through the crowd and to run after the child. In those

few seconds Mary Jane ducked under the water and brought the baby up and held its

head above the water until an adult who was also in the pool heard her calling out for

help. The gentleman was quite close by but had not seen or heard the incident until he

heard Mary Jane’s call for help. The gentleman was able to lift the child up to the

distraught mother. At this time the lifeguard at the pool arrived at the scene and

checked the child for breathing and advised the mother to take the child to the

hospital.

I was sitting on the other side of the pool from where the incident took place. My

daughter Anna goes to the same school as Mary Jane and she was going over to speak

to Mary Jane when the incident occurred. It all happened so quickly with the toddler

falling in to the pool. Mary Jane ducked under the water quick as a flash to bring the

child up for air, I was most impressed. Her quick thinking, calmness in what could

have been a life threatening situation for the toddler and doing what was needed was

outstanding. I am not sure others of her age would have managed as well in the

situation. In addition to quickly responding when the toddler was under the water,

Mary Jane showed clear thinking when she called out to get help.

WAGGGS Asia Pacific Leadership Awards

Each year GGA seeks nominations from members for the Asia Pacific Leadership Awards.

Applications on the AW.7 Application for Asia Pacific Achievement Award form should be forwarded to the Australian Awards Committee via the GGA Office by the 1st September each year. Nominations require the signature of the Region Leader and State Commissioner.

There are two types of Awards given out by the region for outstanding contribution of adult leaders and volunteers. They are the annual Asia Pacific Leadership Awards which are divided into three categories and the Region Appreciation Award which is given out once every three years during the Regional Conference.

The Asia Pacific Leadership Awards aims to recognize achievement of adult leaders in the Member Organizations of the Asia Pacific Region.

Through the Asia Pacific Leadership Awards, the Region hopes to provide incentive and motivation for adults who:

are effective role models in their areas of service

have given outstanding contributions in their areas of service

have acquired a high level of self-development that has enabled them to provide quality Girl

Guiding

The Asia Pacific Leadership Awards are offered annually in three categories:

Asia Pacific Leadership Award for Service to Girl Guiding/Girl Scouting

Asia Pacific Region Appreciation Award The Asia Pacific Region Appreciation Award is the highest award given by the Asia Pacific Region, World Association of Girl Guides and Girl Scouts.

The Asia Pacific Region Appreciation Award is to honour individuals who have given outstanding service and contribution to the development of Girl Guiding Girl Scouting in the Region. The award is presented once every three years.

CRITERIA

The criteria for the Award for District/Division/Regions Managers and State Commissioners require that the candidate shall:

1. Be an active member of her Member Organisation.

Mary has been a District Manager of Happening District before becoming the Region

Manager of Exciting Region.

2. Hold a valid warrant or certificate or its equivalent to demonstrate that she qualifies to lead adults in the District/State.

Mary qualified as a Leader of Adults (Management Qualification) and her experience is

obvious as she works with the Leaders and girls in her Region. She worked with the

State Commissioner’s team to further develop her Region Management skills.

3. Achieve recognition at national level (Australian Award system awarded at State level) as an outstanding District/State Manager, either in the form of an award, certificate or

equivalent credentials.

The State Awards Committee granted Mary a Wattle Award two years ago for her

excellent contribution to her Region in both the District and Region roles.

4. Continue to develop herself and in her role as District/State Manager for adults.

An outdoor enthusiast, Mary has recently begun working for Boating qualifications

working closely with our Water Activities Trainers. Her aim is to arrange a Canoe

Expedition for the older Guides in her Region. She has encouraged leaders in the team

to join her in the challenge. They are doing well with their Training.

5. Have made a significant contribution as a volunteer in her District/State in the last 5 years.

Mary leads her team with encouragement while not asking anything of them which she is

not prepared to tackle herself. She has instituted regular communication via a website

and fostered gatherings around the Region. The over-all morale in the Region has lifted

under her leadership, everyone is so positive.

6. Have influenced and helped another adult to be a District/State Manager.

Mary has enthused the District Managers in her Region, encouraging them to try some

innovative ways to develop Guiding. They have formed a Development Team, who have

set up displays in the Community and actively recruit additional leaders. Numbers in

the units have improved too. Two of the District Managers have completed their

Management Qualifications since Mary became Region Manger.

7. Have cooperated with local bodies, government organisations and/or Non-Government organisations to organise community development projects suited to her District/State.

The local government called for volunteers to join a youth committee, Mary encouraged

another leader and together they regularly attend these meetings. Mary also heard

about a local church doing good work in the community and has arranged for the Guides

to collect resources to help them.

8. Have promoted effectively WAGGGS initiatives to her District/State.

Exciting Region hosted a successful Sangam day full of activities for Guides last year.

They also hold a combined Units Thinking Day event each year and follow the WAGGGS

theme for the year.

9. Have a positive and constructive relationship with the adults and young women in her District/State.

When visiting any of the activities held in the Region it is very obvious the ‘team’ feel is

well and truly alive and well. That had been nurtured by Mary and she made quite a

difference in the Region, with the leaders approaching her for advice and support.

10. Have promoted a balanced representation of age in decision-making positions at her District/State and have a positive and constructive relationship with girls/young women in her

unit.

The successful recruiting program which has been running in the Region has provided a

great opportunity to recruit a wide age range of new leaders. All leaders are part of

the Region Team and contribute to the planning of events. Younger leaders are

encouraged to take a lead role with help of experience leaders working alongside. This

mentoring method has produced some strong partnerships.

External Awards Girl Guides Australia encourages and supports the recognition of our members in the Wider Community through nominations for external awards. National, state and local governments, together with businesses and organisations, make many awards to community members. Requests for support in making nominations are always welcomed and can be directed to the Adult Awards Committee in your State.

The Australian Honours System

Australian Honours recognise, celebrate and say thank you to those who make a difference, those who achieve their best and those who serve others. Appointments in the Order of Australia are publicly announced on Australia Day (26 January) and The Queen's Birthday public holiday (in June).

GGA encourages nominations to the Australian Honours System and such a nomination can be made by anyone. However, to ensure the best possible and most comprehensive nomination is submitted, it is suggested that the State Commissioner be involved in the nomination process.

Years of Membership

I was a Guide Leader overseas; can I count those years of membership?

Yes you can. You can count any time you have been an Adult Member of any WAGGGS Member Organisation.

I have my original long service badge, can I still wear it?

Yes you can, and also you can attach the number on the chain.

How do I get a replacement for a lost badge?

Contact your State Office/Guide Office/Shop.

Can I apply for my badge or new number for myself?

Yes you can. In some states they are sent automatically, some Districts/Regions have personnel who apply on behalf of the members in the area .If you have some interstate or overseas membership, applying yourself may ensure accuracy.

Why don’t the ‘Years of Membership’ include youth membership?

‘Years of Membership’ recognises the commitment of an adult to belong to an organisation that they value and are prepared to give something of themselves to invest in their own community.

Adult Good Service Awards

If I nominate someone for an Award do I have to work out which Award they should get?

No, that is the responsibility of the Awards Committee. You will be advised once the decision is made.

If I am asking for letters of support from people, won’t they all write the same thing?

Try to obtain letters of support from a variety of people who have worked with the person nominated in different roles – for example, at Unit and Region level, biscuit coordinator, a Support Group Member, a parent. When asking for the letter of support you could request the letter address a certain aspect of service.

Can I apply for my own Good Service Award?

Nominations cannot be submitted by the nominee.

Do I have to write the final citation for the certificate when I made the nomination?

There is a section on the nomination form to make suggestions for the citation. The Awards Committee will prepare the final citation.

Can an Olave member receive any of the Awards?

Yes. The same assessment applies as for all adults.

Can I nominate someone who is no longer a member?

A previous member can be nominated for an Award up to 6 months following their resignation.

Can award be given posthumously?

Yes, ideally this would take no longer than 6 months to organise.

Are the Girl Guides Australia Adult Good Service Awards hierarchical?

The Award System is not designed to be hierarchical. The determinants of an award include where the service contribution is made (Local, Region, State, National, World) and how the service is measured against the award criteria. It is possible for example, for a member who has received a Red Kangaroo for her contribution in a National Role may receive a Wattle at a later date for her contribution in her local area.

What is meant by ‘verifying the Award’?

This is the final stage in the assessment of many of the GGA Adult Good Service Awards and is the confirmation or validation that the Award as determined by the relevant Awards Committee can be presented.

Why are only some of the Awards ‘verified’ and others are required to be ‘endorsed’ or ‘approved’?

The requirements for some Awards require significant, intensive and sustained service at National and/or international levels. These significant Awards require additional sign off or approval.

Why can only the State or Chief Commissioner ‘verify’ and Award’?

In the unlikely, but possible, situation where a person who is nominated for an Award is being investigated for contravention of the Code of Conduct, the State or Chief Commissioner may be the only person aware of such circumstances. As such, the State or Chief Commissioner as the ‘head volunteer’ of an SGGO or GGA is the only person who can determine that in the short term at least, the Award is not to be conferred. In such a case, the relevant Commissioner would simply indicate that at this stage, she cannot verify the Award and her decision is to be accepted with no questions asked.

Why can a Region Manager or a State Awards Committee approve a Boronia Award?

It is likely that most Boronia Awards will be approved by the Region Manager. There may be a situation however where a nomination is sent directly to the State Awards Committee – maybe in the absence of a RM, or the nominee is not a member of a Region but supports Guiding in another capacity. The Committee may determine that the nomination fulfils the criteria of the Boronia Award.

Can a member be awarded a ‘Bar to’ the Banksia, Wattle, Flowering Gum, or Emu, without having received the corresponding Banksia, Wattle, Flowering Gum, or Emu?

No. The ‘Bars to’ are to recognise the continuing and extended service in the various award classifications for which the member has received the Banksia, Wattle, Flowering Gum or Emu.

Can a member who has received a Boronia Award but not the Banksia or Wattle Awards, later be awarded a Flowering Gum Award.

Yes. The criteria for each Award stands alone and is not dependent on any other. It is quite likely that a member may have received a Boronia and then taken on roles which have made her eligible for a Flowering Gum.

It is vital to note that the Awards are not hierarchical. The Framework that has been developed is for description purposes and geographic location of service contribution.

It is quite possible that a member who has received a Red Kangaroo for her contribution at a national level for example, may receive a Wattle Award or a Flowering Gum Award some years later for a different service contribution within her local area.

Can an Awards Committee Chair or Committee Member prepare an Award nomination for a member, or provide a supporting letter?

Chairs or Committee Member of an Awards Committee may not nominate or provide supporting letters for nominees during their term on the committee.

How many Good Service Awards can I wear on my uniform?

Good Service Badges awarded to members may be worn at their discretion. Members should exercise common sense on the number of badges and their placement on their uniform to ensure it looks professional and uncluttered.

Awards for Non-Members

What does someone need to do to be awarded a Thanks Badge or Certificate?

This award recognizes the contribution to GGA or SGGO by a non-member volunteer or an organisation at a high standard using skills, knowledge or experience. Recipients of this award which may be a business, actively and positively contribute to the work of Girl Guiding through their participation in activities, events or by undertaking specific roles Some examples include ongoing financial or in kind support, service in an area of expertise such as accounting, risk management, promotions or catering.

Why is there no longer a Thanks Plaque or Thanks Banner?

The Thanks Badge or Thanks Certificate were deemed to be appropriate for all forms of recognition for non- members.

Is the Thanks Badge/Thanks Certificate only available to women?

No, it may be awarded to men, women or businesses.

Gallantry Awards

If a member reports an act of bravery in the Unit/District/Region report is a Gallantry Award automatically given?

No, a nomination form must be forward to the State Awards Committee for consideration.

I have never heard of anyone receiving one of these awards, does that mean it is very hard to achieve the standard required?

These awards are not widely known about and fortunately we do not have too many situations where our members risk their life to save someone else. It is important that if you hear of such an situation that you apply for a Gallantry award by completing a nomination form and forwarding it to the State Awards Committee.
