Clients contact responsibility is migrated from MYOB AE/AO to MYOB Practice.

These details can be used in monitoring documents and tasks sent for client attention.

Client Extras

Clients extras are not migrated from MYOB AE/AO to MYOB Practice.

These can however be used as tools to meet practice’s reporting needs within MYOB AE/AO for:

▪ Identifying clients to target for introduction to MYOB Portal,

▪ MYOB Portal implementation within the practice

MYOB Practice - Setup

Practice Information - Portal

Portal settings include configuring the practice details to be displayed when accessing client interface.

These settings also include configuring:

Portal website – this website is the link configured to access the portal client interface. The website can be configured with

name https://XXXXXXXX.portal.accountants, where

XXXXXXXX can be defined by the practice with alpha numeric characters.

Practice alias – the setting is configured as an additional persona who can receive all incoming notifications from client activity, e.g. the Name of the Practice.

MYOB Practice - Setup

Practice defaults - Email notification

Email notifications can be configured to include practice’s branding and email disclaimers in all email notifications sent to clients notifying action required on various tasks assigned to clients for attention.

MYOB Practice - Setup

MYOB contacts migration

MYOB practice is configured by default to display client details based on data stored within MYOB AE/AO, this means in order to access client information practice’s MYOB AE/AO server has to be connected to the internet for access.

MYOB’s recommendation is to enable the sync service, to ensure client details are also stored and synced across to MYOB practice.

The service can be synced from MYOB AE/AO by following the menu path Maintenance → Maintenance Map → Online → Activate Contacts Migration.

Publish - select and transmit a document(s) from MYOB AE/AO to the client’s secure portal in pdf format

Request Signature - optional request that a published document is signed by one or more portal end-users

Task - the electronic wrapper added to a document to control and manage the additional electronic signature

workflow

Upload - documents transmitted to the client’s secure portal but maintaining the documents native file format

Implementing MYOB Portal

Task creator – receives all email notifications on task updates by end-users

Practice alias – all incoming email notifications are also copied to the practice alias (Settings - Portal)

Administrator – receives all email notifications when end-users upload documents not related to a task

Send as – all email notifications are sent on behalf of assigned staff member (eg partner/manger/practice)

Notify list – receives a copy of the email notification on task updates by end-users

Full access user – practice’s client with full access to all documents published to the portal

Contributor – individuals with access only to documents shared with them

Implementing MYOB Portal

▪ Each client from MYOB AE/AO can only be linked to 1 portal at a time

▪ End users portal credentials are defined by their email address

▪ Each client portal may have any number of end-users configured to access and action documents, these are

identified using their email addresses

▪ Multiple signatories can be notified when documents are uploaded/published

▪ Only task allocated end users can approve or reject published documents

▪ While there is no limit on number of client portals or documents that can be shared between the practice and

clients, there is a restriction on a size of document uploaded/published at a maximum of 18 MB

▪ AE team security permissions flow through to MYOB Practice

This can be done by setting up an extra list for client correspondence methods with values as:

While implementing MYOB Portal, clients progress can be tracked using following stages in client extras:

▪ Invited – practice’s clients that we have had a conversation with to introduce portal

▪ Accepted – practice’s clients who have accepted to sign on with MYOB Portal

▪ Setup Complete – practice has created the portal of these clients with a welcome pack uploaded with

signature requested on the welcome pack

▪ Confirmed – practice’s clients have signed and accepted the welcome pack triggering a notification on

conformation.
