On Rotary Awareness

While there is an official Rotary fiscal year that starts with July 1, there is a parallel year that more or less coincides with the regular calen-

dar year or even longer depending on the priorities of a club. Presidents-elect and other incoming officers begin a frenzy of planning sessions and assemblies to chart the course of their clubs for the next year. As the incumbent officers begin to wind up the affairs of their administra-tion, the incoming officers lay down the groundwork for another year that would carry the Rotary banner to wider frontiers. It is at this time of year that the “Alpha and Ome-ga” begin to cross. And the theme of Rotary Awareness for this month would tend to give emphasis to the assimilation of Rotary knowledge and information that should prove indispensable for a successful implementation of Rotary Plans and Programs.

The Rotary organization has become a complicated machine. Its workings present a wonderful case study of how a giant organization can work, driven only by the fuel of its members’ spirit of volunteerism. In this sense, it is imperative that Rotarians should be able to know what Rotary is all about otherwise, the full potential of the clubs cannot be utilized. Even the mechanics of a matching grant will prove to be a formidable information to grasp. To the uninitiated, the full potential of The Rotary Foundation’s grants cannot be used and will only go to waste if they do not even begin to understand how to avail of its benefits.

In the end, we can only mean more to Rotary if we care to seek its meaning.

Dear fellow rotarians,

When we are asked, what is rotary? it can some-times be difficult to give a quick and easy answer. rotary is about so many things: friendship and fellowship, international understanding and coop-eration, vocational ethics and community leader-ship. all these values brought us to rotary, and all are reasons why we stay.

But first and foremost, rotary is about service and putting service above self. rotary was founded for fellowship, but it quickly grew into an organi-zation where people who wanted to serve others came together to do it – better, more effectively, and more enjoyably than they could have alone. We’re members of our clubs so we can work through them to help others. that is why we’re rotarians. that is why we’re here.

the four avenues of service are, and always will be, central to rotary’s work. they help us find bal-ance in our choice of projects and aid us in achiev-ing the Object of rotary. through club service, Vocational service, community service, and in-ternational service, we strive to uphold this ideal. every project we carry out – every playground we refurbish, every well we help dig, every adult we teach to read, every child we immunize against polio — makes the world we all live in a bit better, a bit healthier, a bit happier. and it demonstrates to others that in the long term, we do not succeed professionally despite our commitment to doing what is right — we succeed because of it.

everything we do in rotary supports the Object of rotary. When we work to strengthen the rotary Foundation, we’re building greater resources to support our service. When we work to increase membership, we’re doing it so we’ll have more hands to carry out our projects. although some things in rotary, like the Object of rotary and the four avenues of service, do not change, our organization has evolved over the decades to find better and more efficient ways of meeting our goals. the club leadership Plan is one such tool. in it, we have an effective road map for organiz-ing our clubs and allowing each one to work to its full potential, in every one of the four avenues of service.

By simplifying our club leadership structure, we free more of our time, energy, and resources for the real business of rotary, which is, and always will be, service. By upholding our commit-ment to our four avenues of service, we honor the generations of rotarians who followed them in the past — and lead the Way for gen-erations to come.

For sure, most clubs have completed or are already completing their planned projects for the year. And by now, Rotarians should feel fulfilled that

more communities have been reached by Rotary’s care. While there are activities that might require more time to accomplish, the Rotary year comprehends a creative cycle that logically optimizes our organization’s momentum in relation to the various tasks that have to be undertaken.

Generally, a community outreach program is an end in itself. But our goal is not just to help nourish, heal or educate for a single day, our mission is to sustain this humanitarian effort through time. Leading The Way has a deeper dimension than just visiting communities for the moment. It means that we, as Rotarians should leave a lasting imprint of development. Hence, there is a need for a program that only true Rotarians can sustain.

We serve in order to grow; and, we grow in order to serve. With this in mind, it is worthwhile to engage in some introspection. Lets us look at ourselves in order to seek self-improvement. For all these, we can never impart the message of Rotary unless we ourselves become its disciples with full awareness of its history, its heritage, its significance and its meaning. In the end, we can only enrich our tradition by living up to its standards.

B etty and I are delighted to inform you that RI President Bill Boyd has appointed us to represent him and the First Lady of Rotary, Lorna, at your district conference.

I send my warmest greetings to each one of you attending this 2007 District Conference. Throughout the entire conference, you will have the opportunity to become better acquainted with fellow Rotarians and their families and broaden your Rotary horizons with an increased understanding of true Rotary service.

Above all, this will be a wonderful opportunity to get out of club atmosphere and to share those invaluable Rotary accomplishments and experiences in the past year, like the Service Above Self motto we fostered and were proud of. In this Rotary year, RI President Bill asks 1.2 millions Rotarians to join him to Lead the Way to better Rotary and better communities.

1. Clubs should be in good standing with Rotary International, i.e. Clubs does NOT have any OUTSTANDING OBLIGATIONS with RI to include SAR dues (as of January 2007 SAR), The Rotarian Maga-zine and/or The Philippine Rotary Magazine dues.

2. Clubs should be in good standing with the District, i.e. Clubs have paid Governor’s Fund and have submitted Required Reports to the District (such as MAR. etc.)

DOCUMENTStobesubmittedbytheClub:a. A covering letter by the Club President addressed to the

District Awards Chairman stating the list of award (s) being bid for by the Club.

b. Documents supporting the above Eligibility Requirements (photocopies only), to wit: 1) SAR for 1st & 2nd Semester with corresponding RI Official Receipts or validated deposit slip; 2) proof of payment (O.R. or deposit slip) to the Philippine Rotary Magazine; & 3) O.R. of payment to the Governor’s Fund.

c. Accomplished 2006-2007 Presidential Citation form.d. Each award bid/entry should be submitted an AWARD BID

BOOK in hard copy (legal size paper; bound, stapled, fas-tened or collated in a clear book) to include the following:

• Name/Title/Group # of Award, Category of award bid for and Club Name shall be placed conspicuously on the cover of the Award Bid Book. See sample:

• Each Award Bid Book shall include a Table of Contents and a brief Abstract or Description of the project and its Relevance to the award being bid. Supporting pictures and relevant documents (pasted or printed on legal sized paper) are encouraged provided that the total number of

pages for each Bid Book should not exceed the maximum pages set for each grouping. Moreover, proper reference should be given to these supporting pictures and docu-ments, i.e. either as Annexes (usually for documents) or with suitable captions (for pictures).

• Club membership participation, funding source, number of beneficiaries and impact to the community are some of the more important considerations in judging. It is suggested that pertinent information on these matters be included in the Bid Book.

A potential Rotarian may be closer than you realize

Rotarian Siri Bergh, the daughter of Rotarian parents, spoke at her zone membership seminar about what makes Rotary attractive to young professional women like herself. Some of her remarks are excerpted below.

I joined Rotary eight years ago this month, but Rotary was in my life much sooner than that. I visited clubs with my dad as a child, and my mother’s club sponsored my Youth Exchange year. When I became a young professional, working for our family business, I was a perfect candidate to be a Rotarian. So which one of my parents’ clubs did I join? Neither. Why not? They didn’t ask.

I was asked to join Rotary by a friend of the family. He saw in me what my parents kept missing. Now he was lucky in that I knew what Rotary was, so I was an easy sell. He asked if I was interested, and less than a month later I was a Rotarian. As we all know, recruitment isn’t always so easy. But the real lesson is to ask. My parents believed I was a smart, capable person, or I wouldn’t have been running the business. What they failed to see was a Rotarian. Thank-fully, someone else saw it — not because my parents would never see it, but because I got to become a Rotarian that much sooner.

Rotary has the reputation of being an old man’s group. We have to change that to keep Rotary around and to make it stronger. Rotary didn’t start with an old man. Paul Harris was 37 years old when Rotary was founded. He created a suc-cessful business while laying out the foundation of the Rotary organization. He incorporated Rotary into his life; he didn’t add it later.

That is how a young Rotarian does it. It’s a part of life. I include it, and as my life gets busier, Rotary is already established. Fellow Rotarians my age see Rotary as a way to round out their community life. They build relationships that will help them and give back to the community that has made them successful.

By recruiting young professionals, clubs grow stronger earlier, and members remain com-mitted longer. If someone is a good Rotarian at 40, imagine what they would have been if they

had joined at 25. Good Rotarians do not have a race, gender, or age. They have a commitment to community, both local and global. So taking a look at a potential candidate means considering whether they meet the qualifications of Rotary.

And that means it could even be your daughter!

Ideas for Recruiting and Retaining Younger Members

* Induct several young members at once, instead of recruiting them one at a time. If your club has no younger members, inducting several at the same time gives these new members an immediate peer group in the club.

* Conduct service projects that are likely to appeal to younger members. The Australian Bureau of Statistics found that volunteers in two age groups, 25-35 and 55-65, do the same amount of service work. But the younger volunteers were more likely to focus on areas such as education, sports, and family matters.

* Recruit Rotaractors, GSE team members, and other Rotary program alumni. Their participa-tion in RI and Foundation programs shows that they already know about Rotary’s ideals and are interested in pursuing its mission.

* Consider lowering the total cost of member-ship in your club. Some younger members have trouble meeting the financial obligations of club membership. To combat this problem, some clubs have lowered their fees or have a meal only once or twice a month instead of every week.

* Consider waiving certain fees or expenses for the first year or two. Younger members who aren’t yet fully invested in Rotary may be more apprehensive about committing to all of the financial obligations of club membership. Once they become involved in your club and dedicated to Rotary’s mission, they may be more willing and able to pay the full amount.

* Make sure meetings are efficient and pro-ductive. Younger members, who often have competing priorities, are more interested in attending meetings that are conducted efficiently. Also, make sure your club has an appropriate balance of meetings and hands-on projects and activities.

* Recruit “up-and-comers.” Managers who are on their way to becoming important business and professional leaders are often interested in the networking and professional develop-ment benefits of Rotary. Getting them invested in Rotary while young can help ensure their dedication to Rotary when they reach top-level management, executive status, or ownership positions.

* Be open to the new ideas of younger members. Maintaining the status quo in your club may bore and discourage them. Younger members will be more likely to stay in your club if their opinions are valued and appreciated — and if they aren’t treated like junior members.

All forms are received by the Membership Devel-opment staff at RI headquarters and forwarded to the appropriate district governor and district membership chair. District leaders are encour-aged to send information about any qualified, potential candidates to the appropriate clubs. At that point, club leaders can contact candidates to see if they would be a good fit for their club.*

By referring a friend, relative, or colleague, you can expand the recruitment possibilities for another club and share the opportunity for Rotary service with another person. And if someone you refer joins a Rotary club, there will be another set of hands available for service around the world.
