Welcome to today’s training… Vocational Profile: Training and Submission processes.   I am Lindy Mishler, one of the clinical consultants for the Bureau of Autism. And, I will be walking you through today’s information. Today’s training was originally completed in January of this year. So, if it looks familiar to some of you, that’s why. However, we wanted to update some of the content to ensure that it is up to date as well as provide a refresher to those of you who might still have some questions about this process. BAS recognizes that we have a number of skilled and experienced Vocational providers who have some wonderful experience with completing job assessment processes and writing good quality assessments. We are extremely fortunate to have you onboard with us as providers. However, there are certain requirements to completing this process to meet the standards and expectations that we have set out within the Adult Autism Waiver… so it’s extremely important that regardless of your agencies quality and experience, that this process is followed when completing this service for our participants.

Like most of the trainings we provide through BAS, there are resources that I would like to point out for today’s topic. Although I realize that today’s focus is on the TRAINING and SUBMISSION process of Voc. Profile, I still wanted to provide you with the additional resources that could answer other questions you might have outside of this specific topic. Because of this, I wanted to address a list of potential resources that could be beneficial to you as we spend time together today. My hope is that, although I might not be able to cover ALL of the answers to your questions (since today’s focus is on the training and submission of Voc. There are a number of resources that BAS has developed to assist you all in developing a Vocational Profile during this assessment process, that meets the expectations we have set. Since there is a limit on the number of resources that I am able to attach on trainings, I put together a packet of resources for you from the resources updated onto MyODP. If you don’t have access to it within this trainings, please feel free to email the provider mailbox and request this document and we will be happy to get it over to you. Because they are in PDF format, this packet will not permit you to actually type into it. But, it will at least provide the materials so you can review them. After identifying a staff to complete this service, and ensuring that they are qualified, THE FIRST OFFICIAL STAGE in the Voc. Profile process IS TO COMPLETE THE TRAININGS: Remember, these ARE REQUIRED for anyone that will be completing the Vocational Assessment process through their agency and writing the Vocational Profiles. To get started with this, you will need to Navigate to www.MyODP.org (setting up your profile, if you have not done so yet… in order to get started with the training process…) Once you have your profile created, you will log into MyODP and scroll to Training> Autism> AAW/ ACAP> Employment/ Voc Trainings (that same path that we navigated through earlier…) Then, you need to Complete ALL of the training Modules (there are 6 of them) After watching the modules, You will then need to complete the Employment training Quiz. Of course, the staff will need to obtain a passing grade before moving to the next step….

After passing the quiz, you will need to STOP. DO NOT submit a Voc. Profile yet! Wait... Because the The Voc. Profile needs to be the assessment completed on an actual participant. NOT a mock or fictitious participant. This is different from our other qualification processes… so, this is a very important step. If one IS submitted that is not the result of a true assessment process with an AAW participant, it will not be accepted and the staff will need to wait until the receive their first case for this service before submitting for certification.

Now… At this point, The Job Assessor has met the education and training requirements to complete this service… right? They passed the quiz on MyODP…. And, now their agency has been made aware that a participant in AAW has selected them as a provider for the Vocational Assessment service… THIS is when the staff moves onto the next step. WHEN YOUR AGENCY IS MADE AWARE THAT THEY WERE CHOSEN AS A PROVIDER… The agency will need to provide the name of the assessor to the SC The SC will: Complete a Critical Revision to add this service in, with your agency listed as the provider And will enter the name of the staff identified, within the comments/ contact box The service will then be approved and authorized for 90 days, once the staff has been confirmed to have met the training requirements

This needs to be submitted as a CRITICAL REVISION! NOT a General Update!

You will need to provide the name of the staff that will be completing the assessment PRIOR to actually going through the process.

Im sure there is a few of you who are now scratching your heads, at the step I just reviewed. This is because this is a new process that is now being released with this training… with an admin notice soon to be released. The reason for this, is because we have noticed that there is a number of staff that have been completing this process without being certified to do so. One of the reasons, is because BAS is not always being triggered to complete a review of the Job assessment. Sometimes SCs are submitting them by a General Update into HCSIS. And, General Updates do not send alerts to BAS to trigger a review. This is why we are requesting SCs to submit these assessments via a Critical revision, and of course document the reason for this within the service notes. Another reason is because we are not being alerted of the staff completing the assessment until after it is completed. Therfore, There is a chance that the staff may be completing this process without ever watching the training modules. By obtaining the staff’s name, once the agency is chosen to complete this service… if will ensure that the provider is able to staff the service and hours while also putting the staff on BAS’s radar so we can follow them and ensure they complete the qualification and trainings process as outlined by BAS requirements.

And for you SCs on the training today, I would also like to draw your attention to the admin notice that specifically outline how to add all of the employment services into the ISP and all of the specifics with regards to them individually. Please remember that this process is VERY DIFFERENT from the previous way of entering in Voc. Profiles. (or as previously known… job assessments). So, it is extremely necessary that you make not of this so you are aware of how to move forward with this entry into HCSIS.

Now.. .after all of the previous steps are taken, the Job Assessor is ready to complete the process. I can NOT reiterate enough, the importance of printing out all of the materials and trainings for this service. Way to often, we have staff who are experiences in other programs, and feel their previous training and experiences qualify them to go through the AAW job assessment process without paying too much attention to our expectations. For the AAW service. When this occurs, even the most experienced and successful staff will not pass our Clinical review during the first submission because our expectations are quite different from other programs. So, PLEASE be sure when beginning and going through this process, that you follow the manner in which it is laid out within BAS’s trainings and materials . So, with all of that said, the Job Assessor will complete a thorough job assessment with the participant as outlined in our trainings and resources Then, they will need to take all of their data and information obtained through the Job assessment process and write up the Vocational Profile using the BAS template (again, located in MyODP). However, we made this pretty easy! We developed a Sample Voc profile as well as a Guidance for the Voc. Profile that tells you exactly what to put into each section. We have even posted the grading rubric we use when reviewing the assessment! So, please use these when writing your profile to ensure it is including all of the information needed. And again, you are to be putting all of this information onto the BAS Vocational Profile template.

We cannot emphasize enough, the importance of reviewing the Vocational Profile prior to it being submitted. Some agencies actually have supervisors that review all of them and compare them to our resources and trainings. Most of the time, these are the providers that obtain approval and a passing grade at the first submission. However, if your agency does not have a staff person such as this, they I want to reiterate the importance of having the Job Assesory compare their profile to the sample, guidance, and clinical checklist prior to submission to ensure it meets expectations. - Once they feel confident this is the case, they can submit it within MyODP for review. Again, you can follow the screen shots we looked at earlier on in the training if you are in need of additional guidance on how to do this.

Once it is submitted into MyODP, one of the clinical staff from BAS will be responsible for reviewing it. They use the same Clinical Checklist listed within the resources to do this. We want to ensure you have access to this, so you know exactly what to expect from this review process. Once Clinical completes the review and submits the grade into MyODP, the staff will receive a notification email from MyODP If this is the staff’s FIRST SUBMISSION: - And the profile is approved, the staff is considered certified and is able to submit all future Voc. Profiles directly to the SC, and does not need to go through MyODP. If it is Rejected, the staff needs to revise the Voc. Profile per feedback and resubmit in MyODP. If the need to revise and resubmit… and it is their SECOND SUBMISSION: If its Approved, same as above… the staff is considered certified and is able to submit all future Voc. Profiles directly to the SC, and does not need to go through MyODP. However, If it is Rejected again, The staff will need to Retake all of the employment trainings modules again… retake the quiz… and submit a new Vocational Profile to be graded by BAS. I really can not emphasize enough that Each individual staff needs to be certified in order to write Voc. Profiles! must go through this process of trainings, quiz, approval status of Voc. Profile If BAS doesn’t catch this during this submission process, it will be caught during the provider monitoring. Again, I want to make sure this is VERY CLEAR… THIS PROCESS will not be able to occur until the staff has submitted their FIRST Vocational Profile into My ODP and has received a passing grade on their submission. The job assessor will do the exact same thing that they did in the left side of this column (that we just went over…) Even though they already completed the trainings and passed the MyODP submission, they will still want to print out all of the materials and trainings for this service. Using these materials as reminders and guidance to this process, they will complete a thorough job assessment with the participant as outlined in our trainings and resources Then, they will need to take all of their data and information obtained through the Job assessment process and write up the Vocational Profile using the BAS template (again, located in MyODP). And double check it before submitting to the SC, using the Sample Voc profile written by BAS, as well as a Guidance for the Voc. Profile Clinical Checklist or grading rubric. Going through these materials and double checking the work they have completed, is a way that the provider can complete their own quality check on the Vocational Profiles to ensure they meet BAS expectations. Again, these will be reviewed during provider monitorings, so it is best to ensure they meet BAS expectations prior to BAS discovering that they don’t at that time. And again, you are to be putting all of this information onto the BAS Vocational Profile template.

Here is an example of the THEMES section in the recommendations section. As you can see… there are 2 out of 3 themes listed… with only 2 ideal jobs listed underneath. The first issue with this is that this only leave 4 potentials to explore. We realize for more rural communities… the places to explore may be limited… but you really should be exhausting all of the opportunities possible. Not to mention, the items listed here did not even align with the job trial completed (these are cooking and baking themes and the job trial was a janirotial position).
