Gloucestershire Jazz Live performance at Cheltenham Jazz Festival 2019 Monday 6 May 2019 (Montpellier Gardens, Cheltenham GL50 1UW) Dear Jazz Live Member, We are really excited that for the 13 th year we are participating as a Jazz Centre as part of the Cheltenham Jazz Festival on Monday 6 May 2019 (bank holiday). This tallies as an impressive 9 th year on the Free Stage and the 6 th year as a combined youth and adult jazz centre, so we have a strong reputation to maintain. This will run similarly to previous years however our performance time returns back to 10:30 – 13:00. This is an exclusive and fantastic occasion for all our GJL bands to showcase their finest repertoire and jazz talents and to clarify we are not having a guest jazz musician with us this year. Our rehearsals leading up to the festival are obviously crucial to our preparation for this event; Wednesdays 24 April and 1 May. All GJL members must attend these vital rehearsals. The logistics and details of our performance are provided below and must be noted wherever you need in order to remember. You will notice from the Free Stage programme times below there is only 10 minutes set-up and sound-check time between groups. This will be easy if everyone is punctual, set-up, tuned-up and ready to go on stage prior to the previous band finishing their performance. All bands will be expected to time their sets (including compering) so that everyone has their scheduled performance time. All members are expected be present for the entire 10:30-13:00 performance allocation, as listening and supporting all our groups is an important part of the festival and jazz centre spirit. Any members already unable to attend for this length MUST notify their band Director at least 28 days prior to the event (Monday 8 April). * All GYJO members are expected to remain backstage throughout GYJA’s, Jazz2Go’s and GYJO Combo’s performance and not front of stage What will you need to bring to the jazz festival performance? - Your instrument and any accessories you need (reeds, mouthpieces, slings, mutes, guitar leads, sticks, etc.) - do bring spares as well! - On site refreshments are available to buy throughout the day, however we suggest bringing some bottled water, sun-hats, shades to keep you functioning if it is a hot day. Likewise suitable footwear and water-proof coats if a wet day. We are performing in a marquee. - Any bands that have more than one drummer and guitarist will need to provide the additional equipment (percussion and PAT tested guitar amp) - Pegs are vital to keeping your sheet music secure and safe. You do not need to bring the following: Chairs, drum kit and cymbals, 1 bass amp, 1 guitar amp, keyboard, keyboard amp and music stands. We will also have a PA provided with all the microphones that we require. Dress code for all bands: All black (this means black shirt / blouse / top, black trousers / beyond knee-length skirt, black socks / tights, smart shoes) plus something jazzy you wish to add (eg. tie, shawl, hat). Who will be there from Gloucestershire Music? All GJL group directors (Peter Martin, Tessa Frye and Maureen Currie) Can family and friends watch? Yes – this is a public event and is free entry due to being part of the fringe festival and on the Free Stage. Please bring family and friends. The jazz festival “About town” programme will hopefully be available soon (early April) on the following weblink: https://en.parkopedia.co.uk/parking/locations/montpellier_gardens_montpellier_cheltenham_england_gl50_1sd_united_kingdom_gcnx0xhwrgh/?country=uk&arriving=201903311500&leaving=201903311700 Where can we park and where are we performing? Anyone dropping off equipment is best advised to park around Montpellier gardens (which has parking meters, but some festival restrictions too) and walk their equipment over to the front of the free stage (our meeting point). Other town parking nearby (restrictions / meters) is around Montpellier walk, Bayshill Road, Imperial Square and St. George’s car park. Online parking information is available from the following link: http://en.parkopedia.co.uk/parking/attraction/cheltenham-town-hall-gloucestershire/ Member safety (1) All youth members under 18 should be accompanied by parents to the free stage location. (2) Any youth members under age 18 and driving themselves MUST inform Peter Martin at least 48 hours prior to the performance date. (3) All GJL members should inform their Director once they have arrived and follow all delegated instructions on site. (4) All youth members must remain with GM staff from arrival to leaving time and must also notify staff if needing to use on-site refreshment / toilet / first aid facilities. (5) Please REMAIN back-stage during our set. (6) All youth members MUST sign-out with GM staff when leaving with parents / guardians. I hope everyone is looking forward to this performance.
