After an eventful summer, Global Lingo is delighted to release the autumn newsletter. We are not sure about you, but we cannot believe how fast time has flown by! Amidst all the projects, challenges and changes we have gone through, we have come to realise that the heat wave is at last over and the leaves have started to change colours. In the customary fashion, we shall start by introducing another Global Lingo team, the Finance team, who provide you with constant support during the invoicing process from our Cluj-Napoca office. Meet the teamKarl Eastwood (Director of Finance & Operations)

With ten years’ experience in finance and operations roles, Karl joined Global Lingo in 2011 as a finance administrator. Over the past six years, Karl has played a very significant role in developing Systems and Processes at Global Lingo to maintain our ISO certification and operating standards. Currently based out of the Cluj-Napoca office, Karl is our Finance and Operations Director, working tirelessly to ensure our cash flow remains positive and our global operations work to perfection.

Romanian office allows travel across Eastern Europe. His most recent trip was to the post-communist nation of Ukraine, the beautiful wine regions in Moldova and the region regarded as the last remnants of the USSR, Transnistria. It’s not all holidays, however. Besides working as Finance Manager at Global Lingo, David is currently taking exams with the Chartered Institute of Managerial Accountants, to earn the title of Chartered Managerial Accountant in a few years’ time. This will, of course, be celebrated by visiting a new destination whenever he gets time off from the busy schedule at Global Lingo!

Cristina Dobra (Finance Administrator)

I see myself living 100+ years. So, being a dynamic person, most probably I’ll still be jogging at 99.

One of my best friends is the highway because I love driving and listening to music. This helps me relax and brings me in the moment.

And, by the way, speaking of moments… You know that time when our parents told us not to accept candies from strangers? Well, I am sorry, Mom, I can’t say no to chocolate.

Camelia Chendea (Finance Administrator)

With a BA degree in Management (2014) and an MA degree in Management of Business Development (2016), Camelia Chendea started off her career with a one-year internship in Audit Data Delivery at KPMG as a Junior Auditor Assistant that ended in 2016. Progressing in her career, she is currently part of the financial team of Global Lingo, working as a Financial Administrator. While a keen lover of animals, especially her dog Chester, Camelia is also passionate about cars, in particular Mini Coopers, and is a part of the Mini Cooper’s Romanian Owners Group.

Hints & Tips How to invoice Global Lingo using GloZone (Written by David Willan, Finance Manager APAC)

We believe that GloZone is a platform which has brought improvements to the project management of transcription, editing and minute-taking projects since its rollout to our vetted professional writers. As with any new tool we need to learn, GloZone processes can take some time to adhere to. Our Finance Team have signalled that they are sometimes faced with confused partners whose invoicing process does not follow our guidelines. Therefore, we have thought of laying out, as shortly and simply as possible, the correct way of invoicing Global Lingo through GloZone.

The Jobs section of the dashboard gives a summary of all current jobs not yet invoiced. Those jobs which are ready to be invoiced are those shown as ‘Approved – Please create invoice.’ Upon clicking this link, you will be shown a list of all Approved jobs.

Tick which jobs you wish to invoice and click the link ‘Create invoice for approved jobs.’

This will create an Invoicing form which you should complete.

Please insert the invoice date as per your invoice in the invoicing date section and this will calculate your payment due date.

Click the ‘Upload Invoice’ folder and drag and drop your own invoice into the area, and click upload to include it in the invoicing form. This will now be visible whenever you click ‘Save’ in the bottom right corner.

Once you are happy with the invoicing form, you should click ‘Release invoice for checking’ to submit this invoice for our approval.

This will change the status of the invoicing form from ‘In Preparation’ to ‘Created by external user’ and show us that your invoice has been submitted.

On the Dashboard, this invoicing form will now be visible as ‘Created by resource.’ Our finance team will see this invoice and, if everything is well, will accept this invoice within a few days. Then the status will change to ‘Outstanding’ to ‘Cleared for payment.’

Once paid, this invoice will disappear from the Dashboard but will be visible under the heading, ‘Invoices’ – ‘Status Report’ – ‘Payables,’ which can be used to view all invoices that have been paid.

NOTE: Guidelines for how to create a suitable invoice are seen in the Supplier’s Good Invoicing Guide. The invoice number on the invoicing form should match the number on your submitted invoice, and the total should match the total shown at the bottom of the invoicing form. Whenever you make an addition to the invoicing form, it may not show up initially. But whenever the ‘Save’ button in the bottom right corner is pressed, the screen will be updated with the amendments. If, however, there is an error in the invoicing form that you have provided, we will email you and change the status of your invoice to ‘In Preparation’ so that you may make the necessary amendments. If at any point before the invoice form is completed you need to delete the invoicing form, press the small dustbin logo next to the Internal Invoice number and the jobs related to that invoicing form will be visible on the Dashboard under ‘Approved.’

The GloZone functionality does not stop once your jobs are completed. It also acts as a portal with which to submit invoices for jobs which have been delivered and approved. In what follows, you will find a step-by-step guide on how to interact with the system in order to invoice your projects properly.

Global Lingo Profile: Kim LombardHello, fellow Linguists

To seasoned travellers I greet you warmly, and to our newest members of the family I kiss you on both cheeks. With my Global Lingo anniversary coming up, I thought it would be fitting to reflect on the past year.

But first, who am I and from where do these words pour forth? Today, the spotlight shines on Port Elizabeth, South Africa, a coastal city known as ‘the friendly city,’ but most of the time we‘re ‘the windy city.’ We‘re about halfway between Cape Town and Durban, with Jeffreys Bay just down the drag. So golden sandy beaches, half-decent surfing, fairly warm water, dolphins, flamingos and other wildlife are part of what makes PE special. My interests span the healing arts (aromatherapy, massage, reflexology and various probiotics) to web development, with yoga in between.

I‘ve been in the game for 5+ years, where most local projects deal with disciplinary hearings, research interviews and the odd focus group meeting. So what‘s it like to be an external contractor for GL? ‘Could it get any better?’ I respond. I‘ve enjoyed each and every interaction. From Project Managers to Corporate Writers to Editors, all communication with these superstars has been friendly and light, while always helpful.

A typical week sees me transcribing a couple of overnight PGi teleconference files. What I enjoy so much about these projects is the endless variety of topics, and the required research broadens my understanding of the world at large. They say scientists get to see the world on a shoestring budget; with transcription we get a window into others’ lives via a headset.

Although, it‘s not always sunshine and bunnies. The odd file with sad audio can quickly sap your time and find you bumping into ‘overdue’ status. That said, the quality of the audio is generally great, usually much better than local files. The conversations usually flow quite nicely so it makes for a pleasurable night’s work. As an on-again/off-again editor, I know the kind of time constraints that our editors are under (bordering on insane) so here‘s my two cents. Because most conversations are either technical or are addressing a niche audience, doing the requisite research will usually help with awkward spelling of names (people, products or otherwise). Keeping notes succinct and noting any unusual spelling will allow the editor to quickly scan the document and thus get it out the door that much sooner.

The most rewarding aspect for me about collaborating with GL is that not only have I felt my transcription powers grow, but I‘ve really come to hold those with whom I regularly interact with as extended family. Which is absolutely smashing, considering the virtual nature of our work where one can so easily fall into an isolated humdrum. I say hats off to the GL team, and I look forward to sharing many more anniversaries. May your GL journey be as joyous and fruitful.
