LIST B - Address Identity

ADDRESS IDENTITY MUST BE DATED WITHINTHE LAST 3 MONTHS FOR QUARTERLY BILLSAND IN DATE FOR ANNUAL BILLS.

WE REQUIRE THE ORIGINAL DOCUMENT INORDER TO COMPLETE THE ANTI MONEYLAUNDERING CHECKS, THIS CAN BE RETURNEDTO YOUR CLIENT IF DESIRED.

IF YOUR CLIENT WOULD PREFER NOT TO SENDTHE ORIGINAL, THEN A CERTIFIED COPY ISREQUIRED

• Confirmation from the electoral register search thata person of that name lives at that address;

• Recent utility bill, statement or a certificate from utilities supplier confirming an arrangement to pay for services on a pre-payment terms (We do not accept mobile telephone bills.);

• Local tax bill for the year;

• Bank, Building Society, Credit Union statement orpassbook containing current address;

• A recent original mortgage statement from a recognised lender;

• Solicitor’s letter confirming recent house purchase or land registry confirmation of address;

• House or motor insurance certificate

To complete a purchase a buyer will need to provide uswith a current photographic ID. If a buyer does nothave such ID, the buyer must suggest an appropriateperson to supply a letter confirming his or heridentity, i.e. a solicitor.

If the buyer suggests an alternative professionalplease confirm first who they suggest and we willconfirm with JWK Solicitors if this will be acceptable.

The letter we will need from the appropriateprofessional must be in a format along the followinglines:

“I [name of person giving the confirmation] am [theirprofession and connection] to CLIENT’S NAME of [thename of their employer/business and business address]and hereby confirm that CLIENT’S NAME of CLIENT’SADDRESS [D.O.B] has been known to me since [date]as [the capacity in which the person has known client].I have therefore personally known CLIENT’S NAME for[number of years] years and neither I nor anyone else tomy knowledge has ever had concern as to his/heridentity.”

The letter will need to be given on appropriateletterhead.

The above is guidance only as to wording that needsto be given and the person giving the confirmation willneed to adapt the above as appropriate.

WHERE PHOTOGRAPHIC ID IS NOT AVAILABLE

TRANSLATORS AND CERTIFIERS

All translations/certifications must be done by a professionalwho is traceable on the internet. (eg. solicitor, notarypublic, doctor, registered and active financial advisor)

The translator must provide their:

• Name • Business website• Qualifications • Business e-mail address• Job title • Business telephone• Business address

For us to be able to rely on an individual’s translationwe must be assured of their qualification/standingwithin an organisation.

We cannot accept an individual offering translationservices without being employed by a suitableorganisation or belonging to a suitable professionalbody.

Necessary wording to be endorsed on any translation:

“I confirm that the translation into English which appears on this document has been carriedout by me and represents a true translation, complete in all relevant parts, of the originallanguage’’

WHAT IS REQUIRED FOR A COMPANY PURCHASE?

For purchases in a company name or for purchases paying though a company bankaccount we require:

• A list of directors and their home addresses

• A list of shareholders and the % of shares which they hold (formal company document, could be an annual return if English)

• For any shareholder holding 15% or more, we will also need the usual items for Personal Identity and Proof of Address. Original Proof of Address will be required before completion and exchange can take place)

• Certificate of Incorporation (or copy of the equivalent for an overseas company)

WHERE DO I SEND PAYMENT?

ANTI-MONEY LAUNDERING PROCEDURES – THE ESSENTIALS

The following items are essential for JWK to be able to process their anti-moneylaundering procedures:

1. COPY PASSPORT (or alternative photo ID):

a. Check it is in date.b. Make sure it is a good clear copy of the whole of the photo page including the MRZ (code) at the foot of the photo page.

c. If the client does not hold a valid Passport obtain a copy of both sides of their photocard driving licence but ensure that the copy/photograph is taken at the highest resolution possible (*see comments below re driving licences).

2. PROOF OF RESIDENCE (POR):

a. Check the document shows the clients name and full address.b. Check the document is dated within the last 3 months.c. A scanned copy will suffice for the initial stages but it is essential that the original is sent to Group First as soon as possible.

d. Make sure any appropriate translations are included with the scanned copy POR and that the original translation is sent with the original POR.

3. CONTRACT OF SALE (CoS):

a. Make sure that it is signed by the client on page 6.b. Make sure the correct account details have been completed on page 4 or page 6 as appropriate.

c. Make sure source of funds information has been completed on page 6 (detailed information is required for all purchases of £50,000 or more).

4. PROOF OF PAYMENT – CHEQUES & BANK DRAFTS(The client must be advised not to make payment by way of bank transfer until JWK hascompleted its anti-money laundering checks):

a. If the client is paying by cheque the clients name(s) must appear on the cheque (photoID and POR will be required for any joint account holders).

b. If the client is paying by bank draft it is unlikely that their name will appear on the draft. Therefore, the client must also supply a copy of their bank statement showing the bank draft having been drawn on their account or similar document to evidence who the payer is.

1. DO NOT provide certified copy documents – there are strict guidelines governing the typeof persons on which Solicitors, including JWK, can rely on for the purposes of certifications.

a. JWK can verify passports and many driving licences with Experian electronically. This is the most efficient way of dealing with photo ID and avoids the need for copies to be certified.

b. Always obtain the original POR document (leaving a copy with the buyer if they require it). Again, providing the original avoids the need for copies to be certified.

2. AVOID providing copy driving licences wherever possible – the quality of thescan/photocopy needs to be much higher than the quality for processing a passport check.Nearly all passport checks produce a very quick result (the check is automated).In comparison a driving licence is examined manually, the process takes longer and arelatively high number of checks have resulted in fails, mainly due to the fact that the qualityof the scan/copy supplied is not good enough.
