Acknowledgements

The Liturgical Guidelines for the Order’s various rites and services have evolved over the years as the Northern Lieutenancy and the Grand Magisterium have standardized the Order’s practices. The growth of our Lieutenancy has also played a major factor in how we plan and conduct our liturgies. This Fifth Edition is the latest in a series of versions and reflects our current standards and practices. We acknowledge with special gratitude the early work of Sir. John Gregory Mayne, KGCHS, who developed the original version of this document in 1990 from directions written by Sir Peter and Lady Mary Bitten for the 1988 meeting in Minneapolis and by Sir James Green who detailed the original responsibilities of the Lay Master of Ceremonies. Invaluable advice in developing the original version was given by many members among whom special mention is due: Sir Alfred Blasco, Sir Herbert and Lady Bernnes Adrian and Father Dennis J. Dease, former Ecclesiastical Master of Ceremonies. The second edition appeared in 1995 and was also authored by Sir John Gregory Mayne with Father James Notebaart, then the Ecclesiastical Master of Ceremonies. The third revision was completed in January 1999 by Lady Joan McGee, LC*HS, Lady Drolette Wiedeman LC*HS and Father Notebaart. The fourth revision appeared in February 2006. The authors remain a mystery, and as Roman Catholics we are comfortable with that. They know who they are, and we thank them as well.

Introduction

It is impossible to overstate the impact that the growth of the Northern Lieutenancy has on the preparations for the annual meeting liturgies. It is now common for the meeting to be attended by over 700 members. Today we routinely have two prelates involved in the Rite of Investiture, which greatly complicates the liturgical planning process. As a result, the meeting now moves only between the major cities of the Lieutenancy and even in those cities, the Lieutenancy finds it difficult to reserve hotels, churches and other facilities adequate to host its functions. Because of the growth of the Lieutenancy and changes in Magisterium policies, it is a mistake to rely on prior plans and decisions made when the annual meeting was previously hosted in a diocese. These new Guidelines serve as a framework for planning the liturgies associated with today’s larger and more complex annual meetings. The weekend liturgies are special services conducted by the Lieutenancy, not by the local host diocese or churches even though the local diocese provides much appreciated assistance. As such, the Lieutenancy’s Ecclesiastical Master of Ceremonies is responsible for all aspects of the planning and details for the liturgical functions and is authorized to make, approve and/or change all decisions with respect to these functions. This includes not only the Masses, but also the Vigil-At-Arms Service, any welcoming or travelers Masses, the Adoration Chapel and any related facilities such as the confessional areas, the investee orientation and practice areas and the assembly areas. It is a daunting task. The Ecclesiastical Master of Ceremonies is assisted by a permanent team of experienced members with 4-year terms that are appointed by him primarily from among members whose local areas cannot host the weekend. These include:

• The Associate Ecclesiastical Master of Ceremonies

• The Lay Master of Ceremonies

• The Lay Mistress of Ceremonies

• The Procession Marshals

• The Head Usher

• The Permanent Vesting and Verger Teams and Team Leads

Local volunteers are also needed to compete the liturgical team. Attached as appendices are forms that the local chairs use to organize these volunteers. The chairs should provide a copy of these Guidelines or the relevant portions to all committees and volunteers involved in the liturgies. It is important that all participants read and understand these Guidelines. They define and clarify the various duties and responsibilities. Everyone on the liturgical team, both permanent members and weekend volunteers, rely on each other to do their part, and the weekend liturgies suffer when these responsibilities are ignored or poorly performed. Our Spiritual Mission

There is no single building more important than the Church of the Holy Sepulchre of Jerusalem. It stands as the physical center of a mystery which all humanity has tried to comprehend: the mystery of Christ’s death and resurrection. It witnesses to God's love for his creation because it is the source of humanity's resurrection. In the silence of the tomb God's messenger to humanity was raised up and given a name above all names. Jesus Christ is Lord to the glory of God the Father. Our mission is to be witnesses to the resurrection so that all people can come to know Jesus Christ and his journey among us. This witness is not a fragment of information found in books, but the living memory of people who have not forgotten what happened in this special place. As bearers of a living memory we are charged with recounting the story. Others may preach, some will teach, and some try to explain. Our task is simpler; we will recount what we have heard and what we have come to believe. Our Order stands in witness to a faith whose flame cannot be dimmed because of religious war or the disruption of the traditions of faith. We stand firm in our witness that the faith in the Holy Land should remain, and we labor to alleviate the burden of bearing that faith. We are "ordered" by the Roman Church and given the honor of being stalwart defenders of the faith. As an Order we are bound together by that common vision and work. We are also bound to one another: to support each other in the faith, to beg constantly for the mercy of God upon his Church, and to give thanks that his Son so loved the world that he died for its salvation.

"Peter and the other disciple started out on their way to the tomb. They were running side by side, but then the other disciple outran Peter and reached the tomb first. He did not enter it but bent down to peer in and saw the wrappings lying on the ground. Presently Simon Peter came along behind him and entered the tomb. He observed the wrappings on the ground and saw the piece of cloth which had covered the head not lying with the wrappings but rolled up in a place by itself. Then the disciple who had arrived first at the tomb went in. He saw and believed."

John 20, 3-8 Our liturgical celebrations should properly reflect the solemn nature of our call and our mission. These Guidelines are designed to help us accomplish these tasks.

The Major Liturgical Celebrations

Investiture Mass and Rite of Investiture

The ritual structure of the investiture is twofold: a rite of fealty and an admission to the Order within the Church. The rite of fealty (knighthood or ladyhood) focuses on the promises made by the prospective knight or lady. Traditionally these promises were made as the knight placed his hands in those of his liege lord. It is confirmed by the imposition of the sword upon the shoulders. The classical structure for entry into our Order involves several similar elements. The first element is being affirmed by the Church through nomination. This is found ritually in the reading of the mandate. The second element is a series of questions about the intentions of the individual. The imposition of hands upon the head, along with the text "…be a faithful and brave knight..." has traditionally been understood as a bestowal of the Spirit and the clear designation of one's place within the Church. The dubbing with the sword establishes the individual in the Order. The final element is the "traditio instrumentorum", that is the awarding of the insignia of the Order. Today our Rite of Investiture immediately precedes the Investiture Mass on Sunday afternoon.

Memorial Mass and Rite of Promotion The Memorial Mass is our opportunity to pray for our deceased members. In the context of prayer, these names stand before us as links to our past and to the faithful friends who continued a mission which has existed for almost one thousand years. The reception of various promotions in rank reflects the internal structure of the Order itself. The Rite of Promotion immediately precedes the Memorial Mass on Saturday afternoon.

The Vigil-At-Arms Service

Historically the preparation for knighthood involved a fast, praying the seven penitential psalms and an all-night vigil. A vigil celebrates time spent in reflection. Traditionally there were vigils before great feasts: the vigils of Christmas, Easter and Pentecost still remain as vestiges of that ancient practice. The vigil for entry into our Order includes both ascent and penitential psalms. At the Vigil-At-Arms Service, the new investee insignia are blessed. The focus of the ritual then turns to the veneration of a true relic of the cross and the signing of the investee oath. The cross symbolizes the "quest" to which the knights and ladies are dedicated. It is the cross of Jesus Christ which is announced as the tree of victory. The Vigil Service is held on Saturday evening immediately following dinner.

The Ecclesiastical Master of Ceremonies

The Lieutenancy’s Ecclesiastical Master of Ceremonies, appointed by the Lieutenancy’s Prior, has complete overall responsibility for the liturgical matters relating to the Lieutenancy. All matters outlined in these Liturgical Guidelines are subject to his guidance and approval. Because the liturgies are performed in different locations each year, many of the details may need to be modified to fit the local environment. The Ecclesiastical Master of Ceremonies has the sole authority and responsibility to make such changes. The Ecclesiastical Master of Ceremonies is assisted in his duties by a liturgical team initially consisting of the Lay Master of Ceremonies, the Lay Mistress of Ceremonies, the Procession Marshals, the permanent Vesting and Verger Teams, and the Head Usher, all of whom are appointed by him. He may also appoint an Associate Ecclesiastical Master of Ceremonies at his discretion. This team is completed by volunteers appointed by the local chairs. Details concerning these local volunteers are described in these Guidelines. Without limiting his overall responsibilities, the Ecclesiastical Master of Ceremonies has the direct responsibility for the following matters:

1. Scheduling one or more initial site visits to review the sites and facilities for the various services.

2. The final selection of the local churches for the Masses.

3. The planning and location of the Vigil-At-Arms Service.

4. The planning and location of the Adoration Chapel and area for confessions as well as the related scheduling during the meeting.

5. The coordination with the Lieutenancy Prior for the selection and invitation of celebrants for the various services.

6. The selection of all music to be used in the liturgies, including mass parts.

7. The selection of all readings to be used in the liturgies.

8. The preparation, printing and delivery of the Mass and other liturgical booklets, which is typically handled by the local area chairs and committee under his supervision.

9. The scheduling, conduct and supervision of the liturgy practices.

10. The arrangement of the Mass processions.

11. The conduct of the liturgical celebrations themselves.

The Liturgical Responsibilities of the Local Chairs The local chairs have overall responsibility for planning and managing the local aspects of the annual meeting that fall outside of the liturgical celebrations. It is also their responsibility to assist the Ecclesiastical Master of Ceremonies and his liturgical team primarily by selecting local volunteers as described below. It is not their responsibility to plan, oversee or direct the liturgies themselves. Liaison with the Local Bishop. The local chairs should meet with the local bishop of the diocese in which the annual meeting is to be held, obtain his permission for the meeting, and ask him to serve as official host. The bishop’s consent should be immediately communicated to the Lieutenant and the Ecclesiastical Master of Ceremonies. Facilities Suggestions. The local chairs are responsible for the initial suggestion of sites for the meeting and, in consultation with the local bishop and pastors, the churches for the Investiture and Memorial Masses. The Vigil-At-Arms Service, the Welcome Mass on Friday evening and the Monday morning Travelers Mass are held at the hotel. Local churches and other sites used for the Masses and other services must be approved by the Ecclesiastical Master of Ceremonies. Custody of Regalia Box. The regalia box (large, locked, wooden box) containing the sword, spurs, banner and other ceremonial items should be retained by the chairs until the annual meeting. This box travels from site to site and is handed down from the previous year's chairs. The chairs should deliver this box to a secure place in the churches at least two hours before Mass. This means that local transportation must be provided as the buses will not run early enough to allow sufficient preparation time. It is the chairs’ responsibility to transfer the box to the following year’s chairs. Selection of Local Volunteers. The local chairs are responsible for the selection of local volunteers to complete the liturgical team. All local liturgical volunteers must be approved by the Ecclesiastical Master of Ceremonies and will be instructed and directed by him and his permanent team. There are two categories of volunteers: those who assist in the organization of various aspects of the liturgies (the local Liturgy Committee, the Insignia Committee, the Facilities Committee and the Transportation Committee) and those who have individual roles in the liturgies. The committees must be appointed at least one year before the annual meeting and must attend any local site visits. Other local volunteers must be appointed and submitted for approval to the Ecclesiastical Master of Ceremonies two months before the meeting. The local chairs should keep a record of the names, addresses and phone numbers of members who agree to serve as local volunteers using the forms set forth in the Appendices. Copies of the completed forms must be sent to the Ecclesiastical Master of Ceremonies no later than two months prior to the meeting. The estimated numbers set forth in these Guidelines are intended only as indications of the number of volunteers needed. The exact number and nature of these local volunteers will vary from year to year and are determined by the Ecclesiastical Master of Ceremonies in consultation with his permanent liturgical team members.

IMPORTANT NOTE: All volunteers who will directly participate in any part of the Investiture and/or Memorial Masses must attend the scheduled practices.

The chairs are responsible for selecting the following local volunteers:

1. An Insignia Committee and committee chair whose responsibility is to receive, inspect, inventory and retain custody of the insignia for promotees and investees. The Insignia Committee is responsible for the security, delivery and arrangement of the insignia at the various services and for assisting the Ecclesiastical Master of Ceremonies in the distribution of insignia during the actual Masses.

2. A Liturgical Committee and committee chair whose responsibility is to plan and implement

certain local details of all liturgies under the direction of the Ecclesiastical Master of Ceremonies and in cooperation with the local bishop and his staff and the churches where the Masses are to take place. All plans must be approved by the Ecclesiastical Master of Ceremonies, who has the final decision about all such matters. This committee also has the responsibility to print, receive, inspect and (under the direction of the Head Usher) transport the Mass and other service booklets to the various liturgy sites.

3. A Facilities Committee and committee chair whose liturgical responsibilities include providing

volunteers and local church personnel to (1) assist in the setup the facilities in the hotel for the Welcome Mass, the Investee Orientation and practice area, the Adoration Chapel, the confession area(s) and the Travelers Mass, and (2) assist in setup of the assembly areas for the promotees, the clergy and the dignitaries at the Memorial Mass and the investees, the clergy, the dignitaries and the general assembly area for invested members at the Investiture Mass. The Facilities Committee is also responsible for providing volunteers or church personnel to clean up the churches and assembly areas after the Masses.

4. A Transportation Committee and committee chair whose responsibilities include providing Transportation Guides--local members to guide priests, promotees, investees and invested members to their appropriate areas in preparation for the liturgical celebrations.

5. Local Volunteers to assist at the liturgies. The numbers set below are typical estimates. The

final number of volunteers is determined by the Ecclesiastical Master of Ceremonies and his liturgical team and will vary depending on the configuration of the local churches and other facilities. Volunteers may serve at more than one ceremony, but should serve in only one capacity at any given service.

The Responsibilities of the Local Liturgy Committee

The Liturgy Committee is responsible for assisting the Ecclesiastical Master of Ceremonies and his permanent liturgical team in planning and implementing selected local aspects of the liturgies. These tasks include:

1. Meeting with each church’s professional liturgical and music staff, especially if outside music and choirs will be used. Learn the parish's requirements for use of the church and instruments.

2. Arranging for musicians and singers for the liturgies. The committee should submit all names to the local chairs. Only the local chairs may sign professional musician contracts, if any. The selection of all music, including Mass parts, is subject to the prior approval of the Ecclesiastical Master of Ceremonies in his sole discretion.

3. Assisting the local chairs in the selection of local volunteers.

4. Printing of liturgical booklets for the Masses and services after approval by the Ecclesiastical

Master of Ceremonies. In this regard, the committee is also responsible for securing any required copyright permissions which is normally done through the diocesan or parish music personnel.

5. Receiving, inspecting and transporting the worship guides to the various liturgy sites. The

distribution of worship guides is performed under the direction of the Head Usher. The Committee should communicate and coordinate the exact distribution plans with the Head Usher well in advance of the weekend. Copies for the Investees should be provided to the Lay Mistress of Ceremonies on Friday morning for use in the Investee orientation meeting.

6. Planning all decorations for the churches and other liturgy venues including flowers, banners

etc., all as approved in advance by the Ecclesiastical Master of Ceremonies.

7. Securing church supplies as directed by the Ecclesiastical Master of Ceremonies.

8. Preparing a budget for the local chairs. In addition to any costs associated with the above matters, the budget should also include:

▪ Customary stipends to: Churches for the use of the space Celebrant, Lieutenancy Prior Ecclesiastical Master of Ceremonies

▪ Musician's fees: Organist, Choir Director, Cantor, Soloists, Instrumentalists Note: Record their social security numbers for tax purposes.

▪ Custodial services Committee members should also be available prior to the services to assist the Ecclesiastical Master of Ceremonies in setting things up for the service and to assist the Head Usher and Procession Marshals in restoring order to the churches and assembly areas following the services. This usually requires that they arrange private transportation to and from the Mass sites.

The Responsibilities of the Local Insignia Committee

The local Insignia Committee is responsible for all matters relating to the insignia to be awarded at the Memorial Mass to promotees and at the Investiture Mass to investees from the time they are ordered by the Secretary for delivery to the local Committee until they are distributed at the Masses. The committee’s duties include receiving, inspecting, inventorying and retaining custody of the insignia for promotees and investees. The Insignia Committee is also responsible for the security, delivery and arrangement of the insignia at the various services, for assisting the Ecclesiastical Master of Ceremonies in the distribution of the insignia at the Masses, and for collecting and returning to the Lieutenancy Secretary any unused insignia sets. The following is a general outline of these responsibilities:

• Prior to the meeting (sometime in June), the Committee receives the insignia (which are ordered by the Secretary) and a list of promotees and investees directly from the Secretary. The Committee should unpack and inspect each insignia set, inventory the sets, ensure that the proper insignia are available based on the promotee and investee lists, and arrange for any necessary replacements.

• The Insignia Committee is responsible for delivering the investee insignia only to the Vigil-At-Arms Service, arranging for a special table with the Facilities Committee to display the insignia during the service, and setting up and taking down the display itself. The set up should be completed at least 30 minutes before the start of the service, which often requires them to leave the Saturday evening dinner early. Committee members must attend the Vigil-At-Arms Service and are responsible for the security of the insignia before, during and after the service.

• The promotee insignia should be delivered to the site of the Memorial Mass two (2) hours prior to the start of the Mass. There the committee is responsible for arranging for and setting up the insignia tables at the direction of the Ecclesiastical Master of Ceremonies. After Mass, the committee should take possession of any remaining insignia and return them to the Secretary. The committee is responsible for their transportation to and from the Mass site (the buses will usually not run early enough) and the security of the insignia both before and after the Mass.

• The investee insignia should be delivered to the site of the Investiture Mass two (2) hours prior to the start of the Mass. There the committee is responsible for arranging for and setting up the insignia tables at the direction of the Ecclesiastical Master of Ceremonies. After Mass, the committee should take possession of any remaining insignia and return them to the Secretary. The committee is responsible for their transportation to and from the Mass site (the buses will usually not run early enough) and the security of the insignia both before and after the Mass.

The Insignia Committee Participation in the Liturgies. Two members of the committee should be selected by the local chairs to act as the Insignia Managers at the Memorial and Investiture Masses. The Insignia Managers are responsible for inspecting and transferring the promotee and investee insignia from the table area in the sanctuary to the Ecclesiastical Master of Ceremonies during the Masses. The Insignia Managers must attend the practices where specific instructions will be given.

• Prior to the meeting date, the Insignia Managers should obtain a list of the promotees and investees from the Lay Master and Mistress of Ceremonies. You should also check with them during the practice for updates.

• Approximately 45 minutes prior to the start of the procession, the Insignia Managers vest and report to the Ecclesiastical Master of Ceremonies. He will remind you about your place in the sanctuary. Take your assigned seat and stand for the procession. The Insignia Managers do not participate in the processions.

• When the procession is completed, your actions vary depending upon which Mass is underway.

• Promotions Mass: After the decree of promotion is read by the Chancellor, move to the insignia table(s) and distribute the appropriate insignia as the individual promotions are read. You should open the insignia boxes, perform a quick inspection of the contents, and hand the open box to the Prior.

• Investiture Mass: When the Veni Creator finishes and investing prelates move to their chairs, move to the insignia table(s) and distribute the appropriate insignia as the individual investee names are read. You should open the insignia boxes, perform a quick inspection of the contents, and hand the open box to the investing prelate.

• At the conclusion of the promotions or investiture rites, return to your assigned seat. Seating for the Insignia Managers is in a reserved seat in a pew near or in the sanctuary. Ceremonial Dress for the Insignia Managers: Knights: Dark suit with white shirt and dark tie, Cape, Beret, Insignia and Gloves. Beret and Gloves are worn while distributing the insignia. Ladies: Long black dress with long sleeves, Cape, Mantilla, and Gloves. Gloves are worn while distributing the insignia.

The Liturgical Responsibilities of the Local Facilities Committee The Local Facilities Committee is appointed by the local chairs and delegated the responsibilities for planning and overseeing all of the facilities used during the weekend, including the hotels, the meeting areas, the churches and other special facilities, if any. With regard to the liturgical spaces used during the weekend, the committee takes direction for the setup of these areas from the Ecclesiastical Master of Ceremonies and his liturgical team. Generally, this will require that the committee appoint one or more of its members to liaison with the Ecclesiastical Master of Ceremonies, the liturgical team and the local personnel at the hotels, churches and other areas. These members should also plan to be available to assist the liturgical team at their assigned areas, including supervising the setup, takedown and cleanup of the areas. These members may also serve as Transportation Guides (See Liturgical Responsibilities of the Transportation Committee). The liturgical areas at each weekend include:

• The Adoration Chapel

• The Sacrament of Reconciliation Area (30 spots)

• The Investee Orientation Meeting

• The Welcome Mass

• The Memorial Mass and Rite of Promotions (church and assembly areas)

• The Vigil-At-Arms Service

• The Investiture Mass and Rite of Investiture (church and assembly areas)

• The Travelers Mass General Notes

• Prior Meetings. The Lieutenancy has grown significantly since the last time your diocese hosted the meeting. In addition, the Order’s Magisterium has changed the rules for many of the liturgical celebrations. Do not rely on past plans and practices from prior years. The Ecclesiastical Master of Ceremonies is responsible for ensuring that the facilities are suitable for our celebrations. Coordinate any issues and changes with him as soon as possible.

• Site Maps. The physical sites are unique and often present logistical and planning challenges. To prepare for these challenges, the committee should obtain floor maps of all of the liturgical areas and send them to the Ecclesiastical Master of Ceremonies at least four weeks prior to the initial site visit.

• Site Visit. The committee chair(s) should plan on attending the initial site visit meetings and discuss facilities issues and planning with the Ecclesiastical Master of Ceremonies at that time. Any problems or questions that surface after this visit should be discussed with him as soon as you are aware of them. The Ecclesiastical Master of Ceremonies has the sole authority to approve changes to the liturgical areas.

• Facilities Checklists. The Ecclesiastical Master of Ceremonies has checklists for the minimum liturgical requirements for many of the liturgical areas. Examples are found in the Appendix.

The Liturgical Responsibilities of the Transportation Committee: The Transportation Guides

The Transportation Committee’s primary responsibilities for the weekend are not liturgically related. However, the committee is responsible for assisting the local chairs in the selection of Transportation Guides to direct clergy, promotees, investees and other invested members from the busses to the churches and assembly areas. The exact number and position of Transportation Guides varies according to the unique physical facilities used for the liturgies. The local chairs and the committee must consult with the Ecclesiastical Master of Ceremonies and his permanent team during the site visit to determine the initial needs and thereafter consult with them on any changes. It is not unusual for Transportation Guides to also have responsibilities assigned to them by the Facilities Committee with regard to the setup and clean up of the facilities. The local chairs should ensure that the chairs of the Transportation Committee and the Facilities Committee communicate to ensure that these responsibilities do not conflict. Transportation Guides should also be available prior to the services to assist the Ecclesiastical Master of Ceremonies and his team in preparing for the services and must be in position prior to members arrival at the locations. This usually requires that they arrange private transportation to and from the Mass sites and not rely on the busses.

The Responsibilities of the Verger and Vesting Teams Of Vergers and Vesters. A Verger is an ancient term for individuals who carried certain honorary items for a bishop. Today’s Knight Vergers carry the investee robes and berets from the investees to the Vesting Teams. The Verger Team consists of twelve (12) Knights who serve in this role. The Vesting Teams consists of sixteen (16) Ladies who form 8 Vesting teams. They receive the robes from the Vergers and help newly invested Knights and Ladies don them at the Investiture. Half of these personnel (6 Knights and 8 Ladies) are local volunteers. The other half comprise the permanent Verger and Vesting Teams. The Vergers and Vesting Teams are supervised and instructed by two permanent Team Leaders, one for each side of the church. Verger and Vesting Team members should be physically able to stand for long periods of time and perform their assigned tasks. The Knights who serve as Vergers should also be capable of quickly taking the capes from the investees and carrying them to the vesting area. Verger and Vesting Team members must attend the practices where specific instructions will be given and practiced. General Duties: The Rite of Investiture precedes the Mass. Knights are invested first followed by Ladies and then any clergy. The Vergers take their stations at the time and place designated by their Team Leaders. Lady Vesting Teams move to their designated vesting areas as directed by the Team Leaders. After the last Lady is vested, the Verger and Vesting Teams return to their seats. General Vesting Procedure: The candidates will move forward two-by-two up the center aisle to stand immediately in front of the sanctuary. When their names are read, the Vergers move in pairs to meet the candidates at that point and take their cape, beret (for the Knights—Ladies are already wearing their Mantilla) and gloves and proceed to the designated vesting area (generally to the side of the sanctuary—the location will vary depending on the configuration of the church). After the candidates are invested, they will move to the vesting area where one Lady Vesting Team member, standing behind them, places the cape over their shoulders. At the same time the other Team member stands in front of the newly invested Knight or Lady, assists in fastening the cape clasp/tie, places a Knight’s beret on his head, and hands them their gloves. A dignitary of the Order usually welcomes the newly invested Knights and Ladies as they return to their seat. If during the ceremony you are uncertain about what to do, look at your Team Leader on your side of the church for directions. Seating for the Verger and Vesting Teams is in a reserved pew near the sanctuary. Seating areas will be assigned at the practice. Because of the duties required, Verger and Vesting Team members do not enter the church in procession.

The Responsibilities of the Standard Bearer The Standard Bearer carries the banner of the Order in the entrance and exit processions at both the Memorial and Investiture Masses. The Standard Bearer must attend the practices where specific instructions will be given and rehearsed. General Responsibilities:

1. Arrive at the church one hour before the Mass. Be sure to be on one of the first busses or provide your own transportation to the church. Put on your ceremonial dress and report to the Ecclesiastical Master of Ceremonies. He will give you the standard of the Order, remind you about your place in the procession and in the sanctuary. Notice where the standard base is located in the sanctuary. Then return to and remain in the sacristy area with the Sword Bearer, the Spurs Bearer and the Vexillary until the beginning of the procession.

2. At the direction of the Ecclesiastical Master of Ceremonies to form the procession, take your

place immediately behind the Vexillary. Follow the Vexillary during the procession. When the procession reaches the head of the center aisle follow the servers into the sanctuary. Place the standard in its base and take the seat assigned to you by the Ecclesiastical Master of Ceremonies.

3. At the end of the liturgy prepare to leave. The Ecclesiastical Master of Ceremonies will signal

the processional cross and candle bearers; they will move toward the sanctuary gates. Take the standard and follow them joining the procession behind the Vexillary as he leaves the sanctuary.

4. At the end of the liturgy, return the standard and base to the regalia box. There disassemble

the pole, put the standard in its cloth bag, and place the poles in the box. Return to the sanctuary and retrieve the black metal base and stow it in the regalia box.

Seating for the Standard Bearer is in a reserved seat in a pew near the sanctuary with the Sword Bearer and the Spurs Bearer. The Responsibilities of the Sword Bearer The primary responsibilities of the sword bearer are to carry the sword in both entry and exit processions at the Investiture Mass and to present the unsheathed sword to the Prior during the Rite of Investiture. The Sword Bearer must attend the practice where specific instructions will be given and rehearsed. General Responsibilities:

1. Arrive at the church one hour before the Mass. This usually requires that you arrange for private transportation to the church as the busses do not generally arrive in time. Vest and report to the Ecclesiastical Master of Ceremonies. He will give you the sword, remind you about your place in the procession and in the sanctuary. Remain in the procession assembly area at the back of the church with the Standard Bearer and the Spurs Bearer until the beginning of the procession.

2. At the direction of the Ecclesiastical Master of Ceremonies to form the procession, take your

place immediately behind the Master of Ceremonies assistant for the investees and to the right of the Spurs Bearer. When the procession reaches the head of the center aisle take your place as designated by the Ecclesiastical Master of Ceremonies and remain standing while until the procession concludes and the Rite of Investiture begins.

3. The Rite of Investiture begins immediately following the procession and before Mass in this

sequence:

• The investing prelates’ chairs will be placed facing the center aisle with kneelers placed before them.

• The Veni Creator Spiritus is sung

• The decree of appointment of new members is read

• The instruction of the Knights by the Prior is given.

4. When the Lieutenancy’s Prior begins the instruction the Sword and Spurs Bearers move to stand at the center of the sanctuary facing the congregation.

• The Prior will reach for the sword to offer to all the Knights. Present it with the unsheathed hilt (handle) first, then step back a bit.

• Following this the candidates are called individually. The investing prelates will then touch the candidate's shoulders lightly with the sword to complete the Rite of Investiture and return it to the Sword Bearer until needed for the next Knight.

• After the last Knight is invested you place the sword in its sheath, place it on the table used for the insignia, and take your assigned seat.

The Responsibilities of the Readers The readers are responsible for the scripture readings and intercessions. If there is a deacon present he will usually offer the General Intercessions. The local chairs appoint:

• One or two Reader(s) for the Welcome Mass (he/she reads the reading from Sacred Scripture and the Responsory if not sung).

• Three Reader(s) for the Vigil-At-Arms Service (he/she reads the reading from Sacred Scripture and the Responsory if not sung).

• Two Readers for the Memorial Mass (one reads the First Reading, one the Second Reading). Note: The Chancellor reads the names of the deceased as the last of the General Intentions.

• Two Readers for the Investiture Mass (one reads the First Reading, one the Second Reading). If no deacon, then the second reader also reads the prayer intentions.

• One or two Reader(s) for the Travelers Mass (he/she reads the reading from Sacred Scripture and the Responsory if not sung).

The Readers for the Promotions and Investiture Masses must attend the practices where specific instructions will be given and rehearsed and seating is assigned. General Responsibilities:

1. Once the readings have been assigned, the readers should familiarize themselves with the texts taken from the lectionary. The intercessions are available from the Ecclesiastical Master of Ceremonies.

2. Arrive at the church one hour before Mass. Be on the first bus or arrange for your own

transportation. Vest and report to the Ecclesiastical Master of Ceremonies who will give you the lectionary and remind you about your movements during the liturgy.

3. Take your assigned seat near the ambo. Readers do not participate in the procession.

4. Come forward at the appropriate time as directed by the Ecclesiastical Master of Ceremonies.

Seating for the Readers is in a reserved seat in a pew near the ambo. Seating areas will be assigned by the Ecclesiastical Master of Ceremonies. Ceremonial Dress for the Readers: Knights: Dark suit with white shirt and dark tie, Cape, Beret, Insignia and Gloves. Beret and Gloves are worn while reading. Ladies: Long black dress with long sleeves, Cape, Mantilla, and Gloves. Gloves are worn while reading. Ceremonial Dress should be worn for all services except the Travelers Mass on Monday morning.

The Responsibilities of the Gift Bearers The gift bearers, who are most often couples, carry the unconsecrated altar breads and the containers of wine to the celebrant. General Responsibilities:

1. Arrive at the church one hour before the Mass. Be on the first bus or arrange for your own transportation. Report to the Ecclesiastical Master of Ceremonies.

2. The Ecclesiastical Master of Ceremonies will instruct you on how many vessels of communion

hosts and how many containers of wine you are to bring forward to the celebrant and give you any other necessary instructions.

3. Ask the Head Usher to point out where he will place the table on which you are to pick up the

communion breads and the wine.

4. Vest and take your seat in your reserved seat in a pew at the back of the church prior to the start of the procession. Gift Bearers do not process.

5. After the Intercessions, go to the table on which the gifts of bread and wine have been placed

and prepare to carry them to the celebrant.

6. Two servers will walk to the back of the church with lit candles to escort the gifts to the altar. Carry the gifts to the sanctuary entrance. Knights walk to the left of the Ladies. Present the gifts to the celebrant, bow, and return to your seats.

Seating for the Gift Bearers is in the reserved pew at the back of the church. Ceremonial Dress for the Gift Bearers: Knights: Dark suit with white shirt and dark tie, Cape, Beret, Insignia and Gloves. Beret and Gloves are worn while bring the gifts forward. Ladies: Long black dress with long sleeves, Cape, Mantilla, and Gloves. Gloves are worn while bringing the gifts forward.

The Lay Master/Mistress of Ceremonies The Lay Master and Mistress of Ceremonies assist the Ecclesiastical Master of Ceremonies with the organization, instruction and direction of the promotees and investees prior to and during the various services. They have the primary responsibility to plan and supervise the vesting and assembly areas for the promotees and investees, leading them in the processions and directing them during the services. They work in coordination with the other members of the liturgical team to ensure the smooth functioning of all aspects of the weekend relating to the promotees and investees. Prior to the weekend, the Lay Master and Mistress of Ceremonies should:

1. Work with the local chairs and the Ecclesiastical Master of Ceremonies to plan the assembly and vesting areas for the promotees and investees. To accomplish this,they should:

• Obtain a floor plan of the assembly area and surrounding areas, especially the restrooms. If possible, do this prior to the initial site visit.

• Attend the site visit and walk through the assembly area with representatives of the local chairs during the site visit to view the facilities and discuss seat arrangements, signage, layouts, PA system, availability of bottled water before and after Mass, arrangements for individuals with special needs, and identification of facilities committee personnel. Discuss preparation timing, security (including unlocking facilities prior to the Mass and after Mass), and cleanup and teardown. Discuss what the plan should be for inclement weather, especially rain.

• View the restroom facilities and note size and availability of mirrors. See if there are more than one restroom available for each gender.

• Walk and review the path from the bus unloading zone to the assembly area and discuss signage and suggestions for the Transportation Guides who directing priests and members to their assembly areas. Also note the terrain and potential difficulties for members needing special assistance (distance, stairs, wait time, etc.

• Discuss plans for handling special needs cases, including emergency communication plans with the Head Usher. Be sure that the Head Usher has designated any needed special seating areas in the church, particularly for promotees and investees.

• Discuss plans for the distribution of worship guides with the Head Usher.

2. Design a written layout plan/diagram for the assembly areas which should include provisions for:

• Seating arrangement for the promotees and investees. Remember the required alphabetical ordering for each Mass and coordinate the seating plan with the church pew seating capacities.

• Tables and/or hanging racks for hanging garments.

• Signage for directions to the restrooms.

• The setup of a PA system.

• Availability of bottled water.

Also include in this plan other notes regarding:

• Contact information for you and for all person(s) responsible for locking and unlocking the facilities, the facility janitor, the local volunteers responsible for the setup of the area and signage and for directing members.

• A brief outline of the plans for individuals with special needs, including any necessary special seating areas required in the church. This should be coordinated with the Head Usher.

• A brief outline of the communications plan for signaling the start of the procession, and for emergencies (Radios? Cell phones? Texting?). This should also be coordinated with the Head Usher as it is one of his primary responsibilities.

• An outline of the plans for inclement weather, particularly rain (Will umbrellas be available for use?)

3. Work with the Ecclesiastical Master of Ceremonies to plan the movement of promotees and investees during the ceremonies, including planning the vesting areas for the Investiture. To accomplish this, the they should:

• Obtain a floor plan of the churches. If possible, do this prior to the initial site visit.

• Attend the site visit and walk through the churches with the Ecclesiastical Master of Ceremonies and local church representatives to discuss possible movement alternatives. Also discuss plans for the volunteer practice session including the use of a sound system.

• Prepare a written plan for the movement of promotees and investees during the ceremonies. Include in this plan provisions for the movement and actions of the Vesting Teams and the location of the ushers. Circulate and coordinate this plan with the Ecclesiastical Master of Ceremonies, the Head Usher and the Verger and Vesting Team leads prior to the weekend for their input.

4. During the site visit, review the church layout with the Ecclesiastical Master of Ceremonies and the Head Usher to ensure adequate reserved seating areas for the promotees and investees. This seating plan and the marking of reserved seating areas is the Head Usher’s responsibility.

5. Periodically touch base with the Secretary of the Order to obtain updated lists and counts of the promotees and investees.

6. Periodically touch base with the Ecclesiastical Master of Ceremonies and the Head Usher to discuss any necessary changes.

7. Periodically touch base with the Ecclesiastical Master of Ceremonies to ensure that adequate local volunteers will be available.

8. Prepare any advance materials for the weekend. These may include:

• Nametags for promotee and investee seating.

• Maps of the church explaining the investee movement and vesting activities.

• Instructional material for the investees

• A miscellaneous emergency supply kit (mantillas, pins, spare gloves, etc.)

On the Thursday prior to the weekend:

1. Plan your travel schedule to arrive at the hotel early enough to participate in Thursday afternoon update meetings with the Ecclesiastical Master of Ceremonies and other members of the liturgical team. This often involves traveling on Wednesday.

2. Assist the Ecclesiastical Master of Ceremonies with these afternoon meetings. Plan to meet

with the Procession Marshals, the Verger and Vesting Team Leads, the Head Usher and other local volunteers to review and discuss the assembly area plans and the liturgical movement plans.

3. Also plan to discuss the organization of the Investee Orientation meeting and the Thursday

evening volunteer practice session at the church for the Investiture. Check to be sure that you will have sufficient volunteers and materials to conduct the practice session at the Orientation meeting.

4. Attend the evening volunteer practice. Coordinate responsibilities for directing and instructing

volunteers with the Ecclesiastical Master of Ceremonies and the Head Usher. Be prepared to direct one or more practice run-throughs of the Investiture procedures with the Vesting Teams and ushers.

Friday Afternoon: The Investee Orientation Session

The Investee Orientation meeting takes place Friday afternoon, generally at about 1:00PM. The meeting opens with introductions and comments by the Chancellor followed by a summary of directions for the Vigil-At-Arms Service by the Ecclesiastical Master of Ceremonies. At some point during the first part of the meeting, the Lieutenant will greet the new investees and run through his list of names to be sure his pronunciations are correct. The second part of the meeting is devoted to directions from the Lay Master and Mistress of Ceremonies regarding the Rite of Investiture. This should start with a verbal walk-through of the Rite using the liturgical booklets or excerpts for the Rite. IF video from prior years is available, this should be used to illustrate the liturgical movement during the ceremony. This is followed by a physical practice of the Rite. This is a critical role for the Lay Master and Mistress of Ceremonies. To prepare for this meeting, they should:

1. Work with the Chancellor and the Ecclesiastical Master of Ceremonies to develop an agenda for the meeting. Be sure to insist upon enough time for a practice.

2. Work with the local chairs, the Facilities Committee chair, and the Ecclesiastical Master of

Ceremonies to ensure that a portion of the room is setup to mimic the church layout as closely as possible, including the vesting areas, and allow for a practice walk-through.

3. Prepare an outline for the practice. Be sure to allocate time for investee questions.

4. Ensure that enough volunteers will be available to give a realistic enactment of the Investiture

process.

Saturday—The Memorial Mass and Rite of Promotion

1. Plan to arrive at the church at least 2 hours in advance of the start of the Mass. This will almost always require that you arrange for your own transportation and not wait for the busses. It also often means that you will have to eat lunch on the run.

Do not forget your emergency supplies kit, your radio and your cell phones.

2. Go to the promotee assembly area and confirm that the layout plan has been followed:

• Be sure that the assembly area is unlocked and prepared for the promotees.

• Check the PA system and radio. Be sure that your cell phones are on and working.

• Check the restrooms to be sure that they are unlocked and that the signage is in place.

• Confirm that the worship guides are available for distribution.

• Check for bottled water.

• Place promotee name cards on the chairs in the proper order.

• Confirm the security plans for the area.

3. Confirm that the local Transportation Guides are in place and available to direct promotees to the assembly area as they arrive on the busses.

4. Check with the Head Usher and confirm that the promotee seating in the church is marked and

reserved.

5. Vest and greet the promotees as they arrive. Ask them to vest and take their assigned seat. Note any individuals with special needs and coordinate with the Head Usher if necessary.

6. The Chancellor will arrive and welcome and congratulate the promotees. He will then read

through their names to be sure he has the proper pronunciations.

7. Briefly instruct the promotees on the Rite of Promotion and what to expect as the Rite progresses.

8. Give the promotees some time to use the restrooms and then reseat them to prepare for the

procession.

9. At the signal from the Ecclesiastical Master of Ceremonies, lead them in the procession from the assembly area to the back of the church and then into the church and seated. Ladies process first by rank from Lady Commander to Lady Grand Cross and are seated in the reserve pews on the right side of the church. Knights follow by rank in the same order and are seated in the reserved area on the left side of the church.

10. Direct them one by one as the promotions are granted. Order of seating is not important after

they receive their promotion.

Saturday Evening—The Vigil-At-Arms Service

1. Leave dinner early, vest and go the Vigil-At-Arms Service location.

2. Survey the investee seating area to be sure that it is correctly set up.

3. Your participation in the Service itself is limited to being present, sitting with the investees, and helping them as necessary during Service. Be sure to leave time in your schedule to answer questions after the Service.

Sunday Afternoon—The Investiture Mass

1. Plan to arrive at the church at least 2 hours in advance of the start of the Mass. This will almost always require that you arrange for your own transportation and not wait for the busses. It also often means that you will have to eat lunch on the run. Do not forget your emergency supplies kit, your radio and your cell phones.

• Check the PA system and radio. Be sure that your cell phones are on and working.

• Check the restrooms to be sure that they are unlocked and that the signage is in place.

• Confirm that the worship guides are available for distribution.

• Check for bottled water.

• Place investee name cards on the chairs in the proper order.

• Confirm the security plans for the area.

3. Confirm that the local Transportation Guides are in place and available to direct investees to the assembly area as they arrive on the busses.

4. Check with the Head Usher and confirm that the investee seating in the church is marked and

reserved.

5. Vest and greet the investees as they arrive. Ask them to take their assigned seat. Note any individuals with special needs and coordinate with the Head Usher if necessary.

6. Remind the investees of the required ceremonial dress and ask them to check to ensure that they have their capes, gloves, berets, mantillas, etc. Note that there is often a last-minute flurry of mantilla dressing and be prepared to assist with extra bobby pins, etc.

7. Review with the investees how to fold and hold their robes.

8. Remind the investees of the assembly room security status. Generally, these areas are not

secure and investees should not leave anything of value in the room.

9. The Chancellor and/or Lieutenant will arrive and welcome and congratulate the investees.

10. Briefly review the investiture process with the investees. Discuss when to remove berets, don gloves, etc. Point out that they will not be wearing their insignia until the formal banquet—they do not wear the insignia during the Investiture Mass. Answer any last-minute questions.

11. Give the investees some time to use the restrooms and then reseat them to prepare for the

procession.

12. Contact the Procession Marshals to alert them to be ready to follow with the invested members when you leave the investee assembly area.

13. At the signal from the Ecclesiastical Master of Ceremonies, lead the investees in the procession

from the assembly area to the back of the church and then into the church and seated. Ladies process first followed by the Knights.

14. Direct them as necessary during the investiture process and recessional procession.

The Morning Meetings and Weekend Meals

Plan to attend the Saturday and Sunday morning meetings, lunches and dinners if possible. Investees will often approach you with questions during session breaks, after the meetings and during the meals.

The Procession Marshals

The Procession Marshals responsibility is to assist the Ecclesiastical Master of Ceremonies in preparing and directing the invested members for procession into the Investiture Mass. They have the primary responsibility to plan and supervise the vesting and assembly areas and leading the Knights and Ladies in the procession. To accomplish this, the Procession Marshals must attend the planning meetings and practices where more specific instructions will be given for the specific location. The Procession Marshals should also attend the initial site visit to review and plan the vesting and general assembly area. Prior to the weekend, the Procession Marshals should:

1. Work with the local chairs and the Ecclesiastical Master of Ceremonies to plan the assembly and vesting areas for the invested members attending the Investiture Mass. To accomplish this, the Procession Marshals should:

• Obtain a floor plan of the assembly area and surrounding areas, especially the restrooms. If possible, do this prior to the initial site visit.

• Attend the site visit and walk through the assembly area with representatives of the local chairs during the site visit to view the facilities and discuss seating, signage, layouts, PA system, availability of bottled water before and after Mass, arrangements for members with special needs, and identification of facilities preparation personnel. Discuss preparation timing, security (including unlocking facilities prior to the Mass and after Mass), and cleanup and teardown. Discuss what the plan should be for inclement weather, especially rain.

• View the restroom facilities and note size and availability of mirrors. See if there are more than one restroom available for each sex.

• Walk and review the bus loading zones and discuss signage and suggestions for the Transportation Guides for directing members to the assembly area. Also note the terrain and potential difficulties for members needing special assistance (distance, stairs, state of the sidewalks, wait time, etc.).

• Discuss plans for handling special needs cases, including emergency communication plans with the Head Usher.

• Discuss plans for the distribution of worship guides with the Head Usher.

• Make sure that everyone knows that you will be preparing a written assembly area plan summarizing your discussions for their review and input.

2. Design a written layout plan/diagram for the assembly area which should include provisions for:

• Seating for members waiting for the procession to begin.

• Tables and/or hanging racks for hanging garments.

• Designated areas for each rank, including signage for the areas. Designate the areas so that the highest ranks assemble nearest the doors to be used as exits to join the procession.

• Signage for directions to the restrooms.

• The setup of a PA system.

• Availability of bottled water.

4. Periodically touch base with the local chairs to ensure that their planning is proceeding in accordance with the plan and to discuss any necessary changes.

During the weekend the Procession Marshals should:

1. Attend the Thursday afternoon planning meetings. Review and confirm:

• The timing and order of the procession.

• The seating plan for the church.

• The path of the procession and the plan for how members are to leave the church and load the busses after Mass.

• The plan for members with special needs.

• The communications plan.

2. Attend the Thursday evening Investiture practices at the church. Review and confirm:

• The seating plan, including any revisions.

• The Head Usher’s plan for directing the seating the members.

• The plan for distribution of the worship guides.

3. Prepare your miscellaneous emergency supply kit which should include:

• Hair pins, safety pins

• Spare mantillas

• Spare gloves (black and white)

• Extra berets

• Kleenex

• Whistle or bell to start the announcements.

• and Aspirin!

3. Confirm that the local volunteers are in place and available to direct members to the assembly and vesting areas as they arrive on the busses.

4. Greet members as they arrive. Ask them to proceed to the vesting area, check for the signage and assemble with other members of their rank. If there is anyone needing special assistance, contact the Head Usher and direct them to the designated area in the Church to be pre-seated.

5. Instruct all members in the procession proceedings. Begin your instructions approximately 45

minutes before Mass is to start. Your instructions should take about 15 minutes, leaving approximately 10 minutes for last minute restroom stops before lining up in procession order approximately 20 minutes before Mass. A suggested topic outline for these instructions is on the next page.

6. Coordinate with the Ecclesiastical Master of Ceremonies to start the procession from the

assembly area. The Lay Master or Mistress of Ceremonies should contact you to signal when they are leaving. The invested members immediately follow the investees. The Ladies process first in pairs by rank with the most senior rank first. The Knights follow in similar fashion. The Procession Marshals lead the members in the procession.

7. As you reach the sanctuary, bow and then lead the members to the side aisles for seating, watch to be sure that an usher is directing their seating. If no usher is present, you direct the seating!

8. Coordinate with the local chairs to ensure that the assembly and vesting area is vacated and cleaned after the Mass. The Procession Marshals should take possession of all items left behind and deliver them to the lost and found area designated by the local chairs at the hotel. Remember to take your supply kit with you. Return radio to the Head Usher.

The Ecclesiastical Master of Ceremonies may ask the Procession Marshals to assume additional duties at the other liturgies as the need arises. Seating for the Procession Marshals is not reserved. You may sit wherever you wish and relax—you work is completed!

Procession Marshal Instructions Topical Outline

1. Preliminary Matters

• Blow the whistle/ring the bell over the PA to get everyone’s attention.

• Welcome the members. Introduce yourselves and your job as Processions Marshals.

• Begin with a short prayer.

• Offer congratulations to the newly promoted members.

• Announce when worship guides will be distributed.

• Announce locations of restrooms in the assembly area.

• Announce locations of restrooms in the church.

2. Procession Instructions: R&R Rapid and Reverent

• Order: In pairs by gender (Ladies first) and then in rank order beginning with the most senior rank (Grand Cross, Commanders with Star, Commanders, Knight or Lady)

• Briefly describe processional route. Caution about any obstacles (stairs, slippery spots, hills, etc.)

• Timing—Line up upon our signal about 20 minutes prior to the start of Mass.

• Seating—Walk up to front of sanctuary, bow in pairs, then Knights to the left, Ladies to the right. Watch for usher to direct you to your pew.

3. Mass Instructions

• Gloves off when in your pew.

• Knights Berets: Remove when the celebrant (usually the Prior) reverences (kisses) the altar at the start of the ceremony.

• Berets and Gloves are put back on when the Deacon announces that “Mass is ended”

• Bow in your pew when the celebrant bows to the altar. No need to genuflect when you leave your pew.

• Members do not process out. Remain in your pew until the celebrant exits the church. Then proceed to the busses or stop by the assembly area to pick up items left there.

4. Announce that it is time for any final restroom breaks.

5. Announce approximate time that the procession will be formed.

The Head Usher

The Head Usher’s primary responsibility is to assist the Ecclesiastical Master of Ceremonies, the Lay Master and Mistress of Ceremonies and the Procession Marshals in the seating and movement of persons during the liturgies. The Head Usher serves for a four-year term, reports directly to the Ecclesiastical Master of Ceremonies, and performs other duties as requested in conjunction with planning for and conducting all liturgies. The Head Usher directs a team of ushers and greeters appointed by the local chairs. The Head Usher must attend the initial site visit conducted several months prior to the meeting as well as the planning meetings and practices and arrive at the churches at least 2 hours in advance of the start of each Mass. This will almost always require arranging for private transportation and not waiting for the busses. The Head Usher provides the overall direction and coordination of ushers and greeters for all weekend liturgies. He is assisted by local volunteers as requested. These liturgies include:

• The Welcome Mass (Friday evening)

• The Memorial Mass and Rite of Promotion (Saturday afternoon)

• The Vigil-At-Arms service (Saturday night)

• The Investiture Mass and Rite of Investiture (Sunday afternoon)

• The Travelers Mass (Monday morning) The Head Usher’s responsibilities include:

1. Coordinating with the Ecclesiastical Master of Ceremonies and the local chairs in the selection of ushers and greeters for the Masses.

2. Coordinating with the ushers and greeters prior to the weekend via email and a meeting immediately prior to the practice to assign specific responsibilities for the liturgies.

3. Training all local ushers and greeters at the practices and supervising them during the liturgies.

Enough ushers should be selected to that the Head Usher is free to supervise activates rather than routinely perform usher related duties and to fill-in as necessary when unexpected circumstances arise.

4. Taking the lead in coordinating the planning of the seating areas, including assisting in marking

reserved seating areas and communicating the seating plan and any final changes to all affected participants. The seating plan must take into account:

• Reserved seating for clergy.

• Reserved seating for dignitaries and their spouses.

• Reserved seating for the promotees and investees.

• Reserved seating for individual service participants.

• Seating for the Knights and Ladies by rank.

• Seating for disabled or infirm Knights and Ladies.

• Seating areas for non-member invited visitors.

5. Ensuring that the ushers provide a table or other area is available at the rear of the church for

the gifts of bread and wine, that the gifts are ready by the start of Mass, and that the Gift Bearers are identified, present, informed and at the appropriate time, ready to bring up the gifts.

6. Obtaining the worship guides from the Liturgy Committee and arranging for their distribution

at the services by the ushers and/or greeters. Be sure to provide the Ecclesiastical Master of Ceremonies with copies for the clergy at all services.

• At the Promotions Mass, the guides will be distributed by the greeters. The Head Usher must arrange for copies to be provided to the Lay Master and Mistress of Ceremonies for the promotees.

• At the Investiture Mass, the Head Usher arranges with the Procession Marshals to distribute the booklets to members in the vesting and assembly area. The Head Usher must arrange for copies to be provided to the Lay Master and Mistress of Ceremonies for the investees.

7. Assisting the Lay Master and Mistress of Ceremonies and the Procession Marshals in the

direction of the processions. For the Investiture Mass, the Head Usher will assign one or more usher(s) to direct the members to their pews according to the pre-designated seat count as they process into the church.

8. Ensuring that ushers assist individual Knights, Ladies and other liturgy attendees with physical

disabilities as needed. The Head Usher should anticipate possible needs and actively respond as situations arise. The Head Usher will:

• Determine the number and names of all persons known to have special needs. This information should be solicited in the advance registration packets and be available from the Registration Chair.

• Arrange for specific volunteers for each disabled person.

• Arrange for advance seating in the church for those who are unable to process. Generally, this will be in the same area as their rank where feasible

• Arrange for the provision of support equipment and wheelchairs, including have spare wheelchairs available for last minute needs.

9. The Head Usher is the point person for all emergencies that might arise during the liturgies. To

accomplish this role, the Head Usher will:

• Obtaining and keep available telephone numbers and other contact information for emergency services such as police, fire, medical aid, ambulance, etc.

• Develop a list of medically-trained volunteer Knights and Ladies who can be called upon in an emergency.

10. Maintaining order and safety by being familiar with church plans, restroom facilities and any obstacles. Ushers should be aware of a place to which someone who becomes ill can be directed.

11. The Head Usher should also ensure that suitable means of communication (texting, cell phones, radios with earphones, etc.) are planned and in place for communication with the ushers and greeters as well as with the Ecclesiastical Master of Ceremonies, the Lay Master and Mistress of Ceremonies, the Vesting Team Leads and the Procession Marshals.

. Seating for the Ushers is in reserved areas designated by the Head Usher. Ushers who are assisting in the investiture ceremony will have reserved seating near the sanctuary. Ushers do not process. Ceremonial Dress for the Ushers at all liturgies (except the Monday morning Travelers Mass): Knights: Dark suit with white shirt and dark tie, Cape, Beret, Insignia and Gloves. Beret and Gloves are worn at all times while in service and are removed when seated. Ladies: Long black dress with long sleeves, Cape, Mantilla, and Gloves. Gloves are removed when seated.

The Vexillary

The Vexillary is an honorary ceremonial post appointed by the local chairs. The Vexillary carries the Order’s vexillion and attached flag in the entrance and recessional processions at both the Memorial Mass and the Investiture Mass. The Vexillary must attend the practices where specific instructions will be given and rehearsed. General Responsibilities:

1. Arrive at the church one hour before the Mass. This usually requires that you arrange for private transportation to the church as the busses do not generally arrive in time. Vest and report to the Ecclesiastical Master of Ceremonies. He will give you the vexillion, with its flag, and remind you about your place in the procession and in the sanctuary. Remain in the procession assembly area at the back of the church with the Spurs Bearer, the Standard Bearer and the Sword Bearer until the beginning of the procession.

2. At the direction of the Ecclesiastical Master of Ceremonies to form the procession, take your

place in the processions as follows:

• For the Memorial Mass: immediately in front of the promotees.

• For the Investiture Mass: Follow last Investee

3. When the procession reaches the head of the center aisle take your place as designated by the Ecclesiastical Master of Ceremonies and remain standing until the procession concludes.

4. At the conclusion of the procession at the Memorial Mass, take the vexillion with you to your

seat and place in the assigned stand. For the Investiture Mass, the Rite of Investiture begins immediately following the procession. You remain standing in the spot designated by the Ecclesiastical Master of Ceremonies during the Investiture ceremony. The Rite of Investiture begins in this sequence:

• The investing prelates’ chairs will be placed facing the center aisle with kneelers placed before them.

• The Veni Creator Spiritus is sung

• The decree of appointment of new members is read

• The instruction of the Knights by the Prior is given.

• The Knights are invested followed by the Ladies.

5. After the last investiture is completed you take the vexillion with you to your seat in the sanctuary and place in the assigned stand.

If during the ceremony you are uncertain about what to do, look at the Ecclesiastical Master of Ceremonies for directions.

At the end of the liturgy prepare to leave. The Ecclesiastical Master of Ceremonies will signal the processional cross and candle bearers; they will move toward the sanctuary gates. Take the vexillion and follow the candle bearers out of the sanctuary. Return the vexillion to the regalia box.

Facilities Notes and Checklists

Adoration Chapel Requirements

1. Room should be at least 30 wide by 50 feet long.

2. Chairs set up left and right of a middle aisle Chairs are to be spaced with at least 6 inches between them and rows of 6 on each side.

3. There is to be a small altar large enough to hold a tabernacle and a sufficient space for the monstrance to be placed in front of the altar.

4. Linens sufficient to cover the altar in a clean and dignified manner. Check to see that all the linens are ironed. Among the linens are to be two large corporals for use during exposition.

5. There is to be a crucifix (not a cross) that is placed behind the tabernacle. It may be a hanging one or one on a stand. If the latter then the stand must also be supplied.

6. Flowers as desired by the host diocese. No need to be elaborate. If not plants then someone must be assigned to see that they are kept fresh and water added each day. Flowers are not to be placed in front of the altar as this impedes the priest during exposition; benediction and reposition of the Blessed Sacrament.

7. There should be an easel to accommodate the picture of Our Lady of Palestine.

8. In the rear of the room there should be a vestment rack to hold an alb; stole; cope and humeral veil. All of these vestments with the tabernacle and monstrance are to be supplied by the host diocese.

9. A small table with a simple holy water font should be at the entrance to the chapel. A small sign should indicate that the water in the font is blessed holy water.

10. Lighting should be such that the room is well lighted so that people can read while there. Also, if possible a spot light should be on the tabernacle area to emphasize the monstrance during exposition.

11. Host diocese may supply materials for use by individuals during adoration. They should be placed at the rear of the chapel near the entrance door. These may include such things as rosaries; prayers during a holy hour; pamphlets on Eucharistic Adoration.

12. The entrance door should be at the rear of the room only. If there are two doors to the room see that the door in the front or nearest the altar should remain locked at all times. This will prevent distractions of people entering at the front and then have to file though the chapel.

13. There should be a set of candles for each side of the altar that are lighted during the time of adoration. Someone from the host diocese should have the responsibility to see that the candles are lighted and trimmed during the time the chapel is used for exposition. Further there is to be a large traditional sanctuary candle lighted while the Blessed Sacrament is in the tabernacle. It should be placed on a sanctuary candle stand and not directly on the altar.

14. One person from the host diocese should be assigned to handle all of the details of the chapel and see to it that it is secured (locked) when there is no public adoration taking place.

15. Two kneelers may be provided. If they are they are to be placed off to the right and left side and not in front of the altar.

16. Two keys to the tabernacle are to be provided. One key is to be given to the Ecclesiastical Master of Ceremonies.

17. Provide for a candle lighter with fluid for the lighting of candles when needed.

18. If the monstrance in the adoration chapel is too large to carry in procession for the Vigil at Arms Service, then a smaller monstrance is to be provided for the Vigil at Arms Service with a luna with a consecrated host reserved in the tabernacle of the adoration chapel.

Prepare intentions to include opening and closing prayer for celebrant. Have a server who tends the missal also tend the book for the Prayer of the Faithful.
