Introduction

A core part of Durham’s distinct identity is its cultural landscape including signature festivals,

noteworthy historic sites, championship spectator and participant sports and renowned visual,

performing and culinary arts.

The Durham Convention & Visitors Bureau was asked to work with the City of Durham and

Durham County in implementing a project of the Cultural Master Plan to create a portal to the

DCVB website housing a searchable database of cultural inventory for planners, educators, visitors

and residents, so they may explore the many indigenous features, cultural experiences, performers

and agencies in Durham.

This was done in pursuant of the Cultural Master Plan goal to provide improved on-line information

and access for arts and cultural institutions and participants as well as for the benefit of the general

public.

The cultural inventory of Durham including facilities, programs, organizations and educational

opportunities now numbers more than 365 records, with up to 135 fields of data collected for each.

DCVB had an existing cultural inventory prior to the start of this project, which it had been tracking

and updating for use primarily by visitors. As requested, DCVB provided this database to Phyllis

Coley who was working on a printed educational catalogue through a different Cultural Master Plan

grant. Supplemental data was received back from Ms. Coley in early May, and DCVB has been

working to integrate that data into its expanded database.

Because the primary deliverable for this project is a website, this report has been prepared to

showcase the many features of that website portal through screen captures.

Website Portal

As a visitor or resident comes to www.durhamculture.com, they see the following home page. The

center photograph rotates through a diverse selection of images giving an overview of the various

types of cultural entities in Durham.

From this page, users can determine a specific area of interest to hone in on, such as dance, music,

or visual arts. Or, if preferred, the user can use the search box in the upper right hand corner to

search the entire database.

When a category is selected, such as theatre/drama, for example, a listing of all the entities coded as

dance will appear on a secondary page. From here, an additional search can be done on criteria in

the red bar (which will soon be expanded to include a search for an organization/business,

individual or venue.)

From this list, users can select a specific organization to drill down on for more complete

information about the cultural provider, such as you see on the following page.

Because this is a work in progress, it is worth mentioning the following enhancements that will be

made to this website portal in Phase II (DCVB is not requesting funds at this time to move to

forward with these improvements.)

Translation icons that will translate the site into Spanish, French, German, Italian,

Portuguese, Chinese, Japanese and Korean.

Category specifically for festivals and events

Links to ticketing options for those that support online ticketing

Calendar bug that allows visitors to search for events

Improved search functionality

individuals, organizations, facilities and programs. Some of the records are completed up to date

and viewable on the site. Some of the records are not yet complete due to lack of response, but will

be in the near future.

Upkeep of Information by Cultural Providers

DCVB launched www.MyDurhamInfo.com in February, a tool used by a variety of organizations

and individuals in Durham as a means of updating information in the DCVB database. It is not

viewable by the general public, but rather a place to collect information which is then used to

update websites and publications produced by DCVB.

Users are provided with a user name and password to log in. Upon log in, the password can be

immediately changed to something the user finds easier to remember.

Within MyDurhamInfo, users can manage both the organizational information as well as contacts

for the organization.

Everything that is currently in the cultural database will appear on the screen, so it is not necessary

for users to “start from scratch” when updating their record.

The users simply verifiy the information is correct, or if the information is not correct, use the back

space button to delete the outdated information and type in the current information. Depending on

the type of business or organization, there are several screens of information to view.

Upon completion, the user simply hits the submit button and the corrected information comes back

to DCVB. The data submitted will be reviewed by DCVB for accuracy and appropriateness and

will go “live” on the website within one business day.

Maintenance of the Site and Data

DCVB will maintain the www.DurhamCulture.com site at their expense in addition to taking

responsibility for pushing the www.MyDurhamInfo.com site to all cultural organizations and

individuals in the database. Ideally, users will update their information as changes occur, but at

least once a year DCVB will send reminders to encourage a review and update if needed.

Of course, as new cultural organizations and individuals are identified, they will immediately

receive an email link to www.MyDurhamInfo.com in order to get their information in the database.

Strategies for Increasing Awareness of the Site

The www.DurhamCulture.com portal will be highlighted and extensively linked on the

award-winning www.durham-nc.com website. Currently averaging 145,000 visitor sessions

each month (more than 1.7 million sessions each year with nearly 600,000 unique visitors),

the cultural portal will get significant exposure to visitors and residents through this means.

DCVB will actively encourage the 365 cultural organizations in the database to provide

reciprocal links to the site from their own websites.

DCVB will also work with other Durham messengers (the City of Durham, Durham County,

Durham Area Chamber of Commerce, Downtown Durham Inc., etc.) to make it easy to link

to the site.

DCVB will write and send press releases through Durham News Service to local media as

well as state and regional media with a specific interest in art and culture to generate

awareness and positive stories about the site.

DCVB will highlight the project in its weekly e-newsletter sent to nearly 5,000 civic,

business and university leaders in Durham.

Costs with Supporting Documentation

As per the contract between the City of Durham and DCVB, the total amount of the grant is

$10,000, and the following stipulations were set as to payment:

“…the Contractor may utilize the web design services of Cross Comm, Inc, a corporation located in and doing business in Durham, and which is the vendor that is currently under contract to provide web design services for DCVB. It is agreed that an hourly rate not to exceed $107.50 for subcontracted technical services and an hourly rate for a temporary data entry clerk or clerks not to exceed $18 per hour shall be used for billing purposes.”

A total of 145.35 hours were spent on the project by DCVB’s web vendor, Cross Comm, Inc. (See

attached report from Cross Comm on page 21.) At an hourly rate of $102.00, this comes to a total

of $14,825.70. (See pages 22-24 for monthly invoices for March, April, and May. Many of the

charges will not be billed until June, but since the amount of reimbursement being requested was

already been paid in the 3 invoices attached, I did not hold up submitting this report awaiting the

final invoice.)

A total of 269.5 hours were worked by Michael Sample, a temporary employee from Office Team,

at an hourly rate of $16.80, for a total of $4,527.60. (See pages 25-32 for documentation.)
