PREFACE

This report will cater to the demands of the concerned people about the initiatives, execution of commands, resources and people involved during the chain of events from the inception to the culmination of the Freshers Party- VIHAAN 2013 A NEW DAWN. It also exalterates the event step by step as to how it will be conducted by the very own 2nd Year student body of our prestigious college.

TEAM VIHAAN

INTRODUCTION

A tradition is a belief or behavior passed down within a group or society with symbolic meaning or special significance with origins in the past. Traditions are what define our culture and society. They act as a guiding staff in the life of a person which takes him from horizon to zenith. As per the traditions of our prestigious institution, every year, a Freshers Party is organized by the 2nd year students for the new members who join our family. Bequeathing this rich legacy and the cognizance of our experience last year at IbTEDA 2012, we would like to present before you VIHAAN 2013 - A NEW DAWN.

RENAISSANCE: OUR INNOVATIONSVIHAAN 2013 is an amalgamation of old and provident traditions and new innovations. In order to distinguish VIHAAN 2013 from IbTEDA 2012, we would like to highlight a few points of this renaissance: A new theme FUSION WHERE EAST MEETS WEST, would characterize the whole evening. The event will be completely distinct and unique in terms of ambience, hospitality and performances. A major change which will be observed in the event is the innovations incorporated in the Freshers Committee. Addition of a special Interview of the contenders for the various titles and its playback during their on-stage questionnaire round has been done to make the segment a highlight of the entire evening. An array of delicious assortments will be served to our guests, which would create a lasting impression in their memories. Special attention will be paid to the disciple of the students during the event, in order to ensure proper decorum and integrity of the solemn yet flamboyant evening.

THEME

No one can deny the lucidity, flamboyance and royalty personified by our Indian culture and heritage. But, on the other hand, one cannot neglect the influence of the Western Civilization and culture on todays youth. Keeping every facet of the coin under due cogitation, our student committee as a whole has decided to keep the theme of VIHAAN 2013 as FUSION WHERE EAST MEETS WEST. The main idea behind this theme is to display the providence of our prestigious Indian heritage of Atithi Devo Bhava, highlighted by the indubitable prerogative of the Western culture. This unison will consummately laud the essence behind this auspicious evening.

DRESS CODE:As a tradition, the freshers are instructed to wear a particular dress code to the event, in order to give them a distinguishing appearance and to instill a feeling of unity among them and to make them feel like a part of the family.This year, TEAM VIHAAN has decided that the dress code for the 1st year students will be WHITE SHIRT WITH BLUE JEANS/BLACK TROUSER and FORMAL SHOES. This is the first step to inculcate in them the motto of famous author Alexander Dumas ONE FOR ALL AND ALL FOR ONE.

COMMITTEES

To ensure smooth, efficient and consummate execution of every iota of command throughout the process, from the inception to the culmination of VIHAAN 2013, TEAM VIHAAN has decided to equivalently divide the work between 9 inter-dependent committees. The names of the concerned committees are as follows: Tent Committee Stage Committee Decoration Committee Food Committee Finance and Resource Committee Freshers Committee Cultural Committee Hospitality Discipline CommitteeAll committees will co-ordinate with each other and will communicate and present their progress to (4/6) Managerial Heads on a daily basis, which will forward it to (2) Conveners who will act as the only channel of communication between TEAM VIHAAN and our esteemed Dean of Students Welfare Prof. V.K. PARASHAR, who will be the final authority in any matter.All the committees will work in a co-ordinated manner, facilitating a smooth execution of the entire chain of events. It is rightly said United we stand. Divided we fall.

THE TENT COMMITTEE

As the name reflects, the committee will be responsible for all tent placements, seating arrangements and barricading for the evening. Creating a comfortable and homely ambience for all invitees is the prima facie of the committee. Keeping in mind the reputation and arrangements of Vedanta Farms, we are proposing that the on-stage events shall take place in the splendid Vedanta Lawns along with the DJ segment while the buffet takes place inside the auditorium.

BUDGET:For the convenience of calculations and preparation of budget, we have proposed an amount of 70,000. However, the forum is open for all discussions between the student body and the authorities at Vedanta, under the supervision of honorable DSW sir, regarding the quota for this segment.

THE STAGE COMMITTEE

The committee will be responsible for setting up the stage, placement of all flexes, lighting and sound system arrangements, and PA system arrangements and will ensure a smooth functioning of the on-stage events. Keeping in mind the suggestions from last year, we propose that the stage be set at a more elevated level than usual so as to facilitate a proper field of view for the entire audience. Also, for safety purposes, we suggest that all the wiring involved in the set-up is properly shielded using adequate measures.

BUDGET:For the convenience of calculations and preparation of budget, we have proposed an amount of 22,000. However, the forum is open for all discussions between the student body and the authorities at Vedanta, under the supervision of honorable DSW sir, regarding the quota for this segment.

THE DECORATION COMMITTEE

The committee will be responsible for all the decorations concerned with the stage, entrance, aisles and dining area. Satisfying the visual appetite of the attendance is the main objective of this committee.The bulk of this committee will comprise of the talented and creative members of the student body, who will display their caliber and mettle as this is one of the main attractions of the evening.

BUDGET:For the convenience of calculations and preparation of budget, we have proposed an amount of 22,000. However, this amount is subject to rectification as per market survey, requirements and any other modifications. The final verdict regarding any such modifications will come from honorable DSW sir.

THE FOOD COMMITTEE

The committee will be responsible for the quality of food and will ensure that judicious proportions of delicious and palatable food are served to our guests. This group will surely have their hands full as The way to a persons heart starts from his stomach.MENU: SNACKS and DRINKS: We propose two snacks to be served to all dignitaries and faculty members which shall include SPRING ROLLS and SPECIAL AGRA PETHA. For drinks, we propose to offer SOFT DRINKS and water at regular intervals. Plan of Circulation: 1. 1st round of SPRING ROLLS and SOFT DRINKS. After an interval of 20 minutes, the 1st round of SPECIAL AGRA PETHA will be served complimented by water.2. After an interval of ONE HOUR, the above scheme will be repeated.3. Water will be served at regular intervals.4. After the second round of snacks, a third serving of SOFT DRINKS will be presented to the dignitaries and faculties. For the student body, 2 servings of water will be presented.

THE FINANCE COMMITTEE

The committee will have one of the most important and delicate portfolios at their disposal. All financial documents, quotations and bills will be compiled, audited, recorded and maintained for any future reference.

COMPARISON BETWEEN IbTEDA 2012 and VIHAAN 2013 (MONETARY BASIS) In 2013, there are 900 2nd year students in B.Tech 2nd year and MCA 2nd year as compared to 780 students in 2012. The per head collection from each student in 2013 is 700 as compared to 600 in 2012. Total collection in 2012 = 468000Total collection in 2013 (expected) = 630000Net % increment = 34.618%The net increment has been calculated on the basis of the increase of the number of students in 2nd year 2013 which is 16%. The expected attendance at the event is 2070 which can be expanded as- 1st year students: 1020 2nd year students: 900 3rd and 4th year Discipline Committee members: 50 Faculty and other dignitaries: 100 Bequeathing the norms of the previous years, the remainder of the budget will be surrendered to the watchful eyes of the respectful Dean of Student Welfare, which will be appended to the budget for the farewell of our 4th year seniors in 2014.

Proper documentation of every expenditure, quotation, amendment in budget sanctioned and resources will be maintained for immediate referral as well as future reference.

THE FRESHERS COMMITTEE

The committee will be responsible for all on-stage events involving the participation of 1st year students, ensuring a healthy exposure, thus bringing out their hidden talent. The committee will also be responsible for the process of awarding of titles Mr and Miss Freshers, Mr and Miss Personality and Mr and Miss MCA. Apart from the above mentioned duties, they will also conduct the In-Class Talent Search Program, which will shortlist the main contenders who will complete for the titles up for grabs in the evening.Process: In-Class Talent Search Program which will be held on the 3rd day of the Interaction Period. Selected candidates will be tested again in a preliminary round, where they will be adjudged by the head of the Freshers Committee. The final shortlisted candidates will undergo a small interview, which will be displayed during the on-stage performances.

THE CULTURAL COMMITTEE

The committee will be responsible for all on-stage events and performances to be performed by the student body for the guests. The committee body shall comprise of talented individuals from the field of dramatics, music and dance. The Cultural Committee will ensure that the events designed are in harmony with the theme of the evening FUSION WHERE EAST MEETS WEST. The performances will sure provide the invitees a taste of out Indian Traditions with a hint of Western Art, a perfect JUGALBANDI for the perfect occasion.

THE HOSPITALITY TEAM

The committee will be responsible for activities such as giving a befitting welcome to all the invitees and enjoying the immense pleasure of escorting honorable dignitaries for the candle lighting ceremony. Apart from the above mentioned activities, they will also be responsible for designing and distribution of identity cards, invitation cards and other befitting resources and concerned events. They will also ensure a comfortable atmosphere for all guests.Thus, the main objective of the committee is to create A HOME AWAY FROM HOME for our beloved juniors.

However, this amount is subject to rectification as per market survey, requirements and any other modifications. The final verdict regarding any such modifications will come from honorable DSW sir.

THE DISCIPLINE COMMITTEE

The committee will be responsible for maintenance of discipline and decorum, ensuring a proper code of conduct throughout the evening. This committee will work under the able guidance of the members of the Discipline Committee of 3rd year and 4th year students.The committee will be responsible for escorting the 1st year students from the NEW BOYS HOSTEL premises to the Vedanta Farms and back to the hostel after the closure of the event. Special attention will be paid to the disciple of the students during the event, in order to ensure proper decorum and integrity of the solemn yet flamboyant evening.

MANIFESTO OF PROPOSED EVENTS

The on-stage events will indubitably be the major part of the splendid evening and have a great legacy and reputation to live up to. Bequeathing the traditions from every year, the event will start with a small address from the host and hostess (Team 1) of the evening. Then, a symbol of our appreciation will be presented to all the dignitaries by the hospitality team. They will then invite Honorable Director Sir and all the Respected HODs from every department of the college to illuminate the lamp, signifying a new dawn, a VIHAAN, thus declaring the event open. This pious ceremony will be followed by the holy Saraswati Vandana. Then, the hostess shall request Honorable Director Sir to grace us with his words of wisdom. An address by the Honorable Dean 1st year will follow. The host shall then request our Respected DSW Sir to address out newest addition to the AKGEC FAMILY. Then a small introduction from the host and hostess (Team 2) will be delivered followed by a dance performance from a group of students from 2nd year. Then, the contestants for the various titles up for grabs shall be called upon stage and asked to walk the ramp to display their personality. This is to be followed by a skit by the student body. The skit will be followed by a set of performance of the 1st year participants. Here, Team 1 will resume their hosting duties. The set is to be followed by a musical performance by the 2nd year student body, which will set the stage for the remaining performances by the 1st year participants. This set is to be followed up by a Poetry/Shayari session, which will keep the audience entertained while the Freshers Committee prepares the questionnaire for the Jury, who will test the mental and logical aptitude of our participants. Here Team 2 will take over the hosting duties. The participants will be seated on the stage, and will be called one by one. When a participant takes the spotlight, his/her interview will be played, after which, the hosts will ask one member of the Jury to put up a question for the participant. This session is to be followed up by another dance performance and a musical extravaganza which will keep the audience entertained while the final results are evaluated. After the performance, the results will be declared and the winners will be awarded by the esteemed dignitaries. Now, the hosts will ask the conveyors to deliver a vote of thanks to the audience followed by which the respected dignitaries and faculty members will be asked to proceed to the buffet in the auditorium, while the DJ commences for 2nd year students. When the dignitaries and faculty members leave the auditorium, the 1st year students shall be asked to proceed for dinner. As soon as the 1st year students leave the dining area, the 2nd year students and 3rd year and 4th year discipline committee members shall proceed to the buffet and the freshers shall take over the dance floor. As dinner concludes, the students shall assemble in the lawn area, where they will depart to their respective hostels in an orderly and disciplined manner. However, if time permits, the students will have one last opportunity to dance to the modern and groovy tunes of the DJ.This concludes the entire events of the evening. A proper schedule shall be presented when the timings for the day are finalized by Honorable DSW Sir.

CONCLUSION

The main idea behind this prcis was to give a brief idea about the event VIHAAN 2013, which will be the epitome in the process of the induction of new members in the prestigious AKGEC FAMILY and the conduction of the proceedings of the aesthetically beautiful and mesmerizing evening.

A final list of students who will be involved in the execution of this proposal is being compiled and will be presented as soon as it is finalized. Special care is being taken that all the students who will be a part of TEAM VIHAAN possess an unblemished academic as well as disciplinary record.
