  • PROVOST OFFICE GUIDELINES FOR SUBMISSION OF REAPPOINTMENT, PROMOTION, AND TENURE FILES

    1. Each candidate should receive a copy of these guidelines, a copy of current academic unit RPT criteria, and a copy of the file cover sheet which is to be included as the first page of the file. 2. The cover sheet, these guidelines, and current academic unit RPT criteria must accompany the file from the first level of review onward. 3. The candidate’s file should be reviewed as a whole at the first level. Under Article 7.3.2 of the UC/AAUP Agreement, it is the responsibility of the academic unit head, Dean, or administrator to initiate and complete in sufficient time those parts of a candidate’s dossier required by the RPT procedures and criteria (such as external reviews and administrative summaries of teaching evaluations for which the candidate is not responsible) to ensure a timely and fair evaluation of the candidate. 4. Throughout the levels of review, all recommendations and any new material added must be copied to the candidate. The candidate shall always have the right to respond to any new material and to all recommendations, and these responses shall become part of the file to be reviewed at subsequent levels. (See UC/AAUP Agreement, Article 7.4.) 5. When files are forwarded from the college for Provostal review, a Provost Office File Copy must be reproduced from the candidate’s full file by the college office and submitted along with the full file. The Provost Office File Copy is retained as a record of the review; the full file is returned to the candidate upon completion of the review process. 6. At each level of review, the file must be evaluated against the academic unit’s RPT criteria and should include: . A summary and assessment of teaching. The candidate should provide all supporting data including number, level and frequency of courses taught, indication of courses developed, copies of syllabi and assignments, uses of instructional technology, information about graduate student advising and direction of theses and dissertations, and peer/student teaching evaluations. . A summary and assessment of publications/performances/exhibitions (the products of research, creative, and scholarly work). The candidate should provide all supporting data such as copies of publications, slides, scores, software developed; book contracts, patents obtained, available critical reviews and citations, and solicited external reviews, and should provide information on the critical reception of the candidate’s work and indicate its value to the discipline. The candidate should also provide such evidence of works in progress as manuscript copies, grant applications, and letters from potential publishers. . A summary and assessment of professional service, contributions to the discipline, and university/ college/community service. The candidate should provide such evidence as professional organization, activity, service on review teams, service as journal reviewer or editor, service to other university units, contributions to governance, applicable community service, and peer/client evaluations or consultations. The Provost Office File Copy Must Contain: 1. The File Cover Sheet 2. A copy of the Academic Unit criteria document used for the review. 3. A Table of Contents. Enumerate all content sections and all documentation included in the complete file at the time of its submission to the first level of review. 4. The Dean’s recommendation and rationale 5. The College Committee’s recommendation and rationale 6. The Academic Unit Head’s recommendation and rationale 7. The Academic Unit Committee’s recommendation and rationale 8. The Candidate’s C.V. and Self-Evaluation. In this formative evaluation, the candidate selects, reflects upon, and synthesizes professional development and progress in instructional, research, and service work, as appropriate to the unit’s mission and RPT criteria and in keeping with the mission and goals of the college. 9. Certification from the Academic Unit Head that annual reviews for the candidate have been conducted according to the procedures referenced in Article 33 of the UC/AAUP Agreement and outlined in the “Policy and Procedures for Annual Performance Review of Faculty” document. 10.
