But in addition, Jane is known for being a genuine friend to both residents and staff. Her contagious smile and laugh have brightened our lives as she served us all so faithfully and well. As she begins this new chapter in her life, we would like to show a token of our appre- ciation and wish her all the best by presenting her with a surprise gift. In the generous custom of The Regency, we are asking all residents to contribute as they are able to her “farewell fund”. Please bring your check to the office made out to “Regency Special Fund” by Feb. 15th. Thank you in advance for your contribution to give her a memorable send off from The Regency! For several months we have anticipated and have been preparing ourselves to bid farewell to the Regency Staff Accountant of 24 years. It is with mingled pleasure and a great deal of regret that we announce the retirement of Jane Royse.

Jane began her career with us in the General Office in 1990 as Administrative Assistant. In 1999 she was advanced to her present position.

All accounts must be paid by the 10

th of each month. Unpaid

accounts will accrue .67% monthly interest on all past due balances, in addi-tion to a $ 25.00 collection fee after the 10

th of each

month. Maintenance charges will be dealt with on an individual basis, but a collection fee and interest can accrue on unpaid maintenance bills.

A lien will automatically be placed on any account that is 70 days overdue, except in special circum-stances approved by the Board, for the total amount owed, and for all costs associated with the place-ment of the lien, including but not limited to attor-ney, paralegal, recording, and collection fees that the Association may incur.

There may be special circumstances (e.g., pending or immediate sale of a unit with unpaid accounts, delinquency history) in which a lien may be placed earlier than 70 days.

Our staff evaluates each snowfall to determine the best means of snow removal. Factors such as expected accumulation, how long the snowfall will occur, temperature, time and day of the week, equipment break-downs, and staffing all affect those decisions. We ask for your patience and understanding as we go through the cold, snowy winter season.

ARE YOU PREPARED IN CASE OF AN ACCIDENT?

Have you checked and/or updated your insurance policy lately? Do you know if your coverage is sufficient to cover the building’s $10,000 deductible in case of an accident?

For example, should you have a faulty lamp that causes a fire with $15,000 in damages, the first $10,000 of what the Association is responsible for would be charged to you; do you have coverage for that? Another example is, if a water line to your commode or sink(s) breaks and does $10,000 worth of damage to items the Association is responsi-ble for in the units below you; will you have adequate coverage?

By-Laws are clear that an owner will be held responsible for losses and all associated costs. Copies of the By-Laws are available at www.regencycondos.com under the residents tab and copies of our certification of coverage are available in the office if it may be of any help to you. So check today to make sure you are covered.

Sibcy Cline Realtors is participating in a community suitcase drive campaign called Cases For Love. The public is asked to

donate new or gently used suitcases, backpacks and cosmetic cases at any Sibcy Cline location or if you wish, drop off at the Regency Valet and we will deliver them to Sibcy Cline. These

cases will then be distributed to local foster children. The goal is to collect over 1,200 suitcases.

This campaign runs: January 5 – February 14, 2015

Any items left outside the locker or placed in an empty locker without office authorization will be disposed of by building personnel. The machines in the basement may be used around the

clock. Please be courteous to your neighbors and limit

using the machines on your floor to the posted hours or

use the basement machines.

Other reminders for laundry use are:

Machines are shared and common practice is first come,

first served. So please remember to keep an eye on the

time so that your clothes are removed promptly when finished. Others may

be waiting to use the machines.

A minimal amount of H.E. (High Efficiency) or low suds detergent ONLY should

be used in any machines other than in the basement laundry.

All laundry room doors should be closed unless the machines are

in use, with the exception of the 20th floor, which should be shut

at all times due to the fact that it vents to the roof.

The chute on each floor is to be used for

bagged disposables.

No cans, bottles, or other trash should be

deposited before 8:00 a.m. or after 10:00

p.m. because of noise.

Bag all trash.

Please close the trash chute to keep odors

out of the halls!

All empty boxes should be placed in the

service elevator room, not in the trash room.

With the weather making it difficult to get out and exercise, everyone is thinking about exercise and fitness indoors. We would like to suggest when en-tering the fitness room if someone is already there, it is proper to keep the settings of the lights, shades, television, etc. as they are unless you ask the per-son if they mind a change or that person leaves the room. Also, if you make alterations to the weight lifting equipment and the treadmill, please return the equipment to its previous condition before you leave. Please pick up after yourself (i.e. Kleenex, empty bottles, etc.) and most importantly, wipe down the equipment when you’re done.

We thank you for taking the time to make the fitness room “work” for everyone.

BOARD OF DIRECTORS MEETING MINUTES

Monday, January 19, 2015 Location: Manager’s Office

Present were: Mr. Woodward, Mr. Benton, Mrs. Mott, Mrs. Myers,

Mr. Bowman, Mr. Byer, Mrs. Conners and G.M., Mr. Schafer.

I. Meeting was called to order at 4:00 p.m. II. Approved 12/15/14 regular Board meeting minutes and phone poll to lease 2352. III. Manager Reports:

A. Review of December PRELIMINARY 2014 P & L statements. Audit will start later in the week. Two questions came up: i. The 2014 Reserves budget on the financials ($1,098,064 on page 14) was the

original budget submitted in October of 2013. This was modified in October 2014 when doing the 2015 Reserve budget and will not be actual until after the Audit

adjustments are made. ii. The 10 year Reserve cash was not accurate in the preliminary statements due to all

the Window City and MMI work charge to the owners and was collected but was not moved from Operating to Reserves. This has now been done.

B. Review units for sale and sale prices. i. 7 in the Tower are for sale of which all are empty. An additional 16 are rented. ii. 1 in the Square, which is empty and for sale by owner. An additional 12 are rented. C. Received 3 resumes for the 3 open 2015 Board seats by the deadline. Tim Benton, Barbara Myers and Bill Woodward. D. Dryer Vent Wizard cleaned all the dryer vents in the Square and 2 were repaired. E. Tower alarm test results were reviewed. Manager will talk with an engineer to put a long-term plan together.

F. Square roof being replaced. G. FHA loan approval still being worked on. H. Frozen pipes in the Square (6 affecting 8-10 units).

IV. Old Business A. Balcony work 2014 - still working on 7 leaks. B. Manager looking into construction timelines. C. 707 leak—the work is approximately 95% completed. D. Time Warner renewal is being reviewed and other companies are being interviewed. E. Annual Meeting set for Wednesday, March 25, 2015. F. Manager to update maintenance procedures/handbook.

V. New Business— VI. Officer’s Reports: Balance left in Social account $800.50. VII. Next Board Meeting—Monday, February 16th, 2015 @ 4:00 pm. VIII. Adjournment O: Board Meeting Minutes/Meeting Minutes/1-19-15
