Faculty-Led Program Associated Costs

Associated Costs Study Abroad Fee

This non-refundable fee is applicable to anyone applying to a study abroad program with the Office of International Studies & Programs (OISP).

It is not included into any particular program, as it is a separate cost that supports the administrative expenses related to study abroad programming at Texas A&M University-Kingsville.

The fee is paid once a student’s program application in Via-TRM has been submitted and to move the application into the review stage.

Should an application be declined or if the faculty-led program is cancelled by the university due to low enrollment, or any other extenuating circumstances, then the Study Abroad Fee will be refunded.

If an individual elects to withdrawal their approved application from a confirmed program, the Study Abroad Fee remains non-refundable. Exceptions may be considered by the university for withdrawals due to medical and/or emergency situations through an appeals process.

Associated CostsFaculty-Led Program Cost

The program cost is the direct expense of services provided to individuals during a faculty-led program. This can include, but not limited, to the following:

◦ Roundtrip Airfare – Group booking to and from program location(s)◦ Lodging – Hostels, Hotels, or Home Stays used for the duration of the program◦ Transportation – Domestic (if applicable) and In-Country◦ Excursions – Museums, Cultural Tours, Site Visits, Etc.◦ Meals – Depending on program structure developed by the faculty leader

Students will be invoiced a flat fee for the individual program cost which will be required to be paid-in-full prior to attending the program. More information regarding this process will be discussed in the “Payment Options Plan” section of the handout.

Associated Costs Tuition & Fees

Tuition & fees are assessed to the credit bearing course linked to the faculty-led program. This is a separate charge and costs are dependent on the student’s assigned JPAK.

The Business Office oversees the charges of tuition & fees associated with academic courses and payments for those charges are paid directly to that office or online via MoneyConnect.

Students will be required to make payment arrangements directly with the Business Office prior to departing on the faculty-led program and those arrangements will only include the tuition & fees for that term.

Associated CostsFaculty-Led Program Cost – Payment Processes

The program cost is attached as a fee to the associated academic course when uploaded into Blue & Gold for student registration.

Prior to registering in Blue & Gold, payments made by students towards the outstanding program balance will be made directly to the Study Abroad Deposit Account with the Business Office.

This is a general account that temporarily holds all faculty-led program payments until the program cost is posted to the individual student’s account for that semester.

Once the program cost is posted, OISP will submit a “Deposit Transfer Request” to the Business Office and have all received payments from the student into the Study Abroad Deposit Account transfer into their students account to off-set the program charge.

Payment Plan Options Accepted students will be able to select from one (1) of the payment options available to cover the cost of the program:

The selection of the payment option will be available after the application to the selected faculty-led program has been confirmed to obtain access of the “Financial Responsibility Agreement” form in Via-TRM where this information will be submitted.

OPTION 1: Monthly Payment Plan

◦ Program costs divided equally by the remaining months prior to the payment deadline:

◦ Payments are due by the 15th of each month with the final payment due on the application deadline for the program.

◦ Applications approved after the 15th of that month will have two (2) weeks from the application confirmation date to make the first payment.

Program Cost / Remaining Months = Monthly Payment Amount

◦ 10 months prior to payment deadline - $3000/10 = $300 a month

◦ 8 months prior to payment deadline - $3000/8 = $375 a month

◦ 6 months prior to payment deadline - $3000/6 = $500 a month

◦ 4 months prior to payment deadline - $3000/4 = $750 a month

◦ 2 months prior to payment deadline - $3000/2 = $1500 a month

OPTION 2: Percentage Payment Plan

◦ Program cost split into three (3) payments with specific percentages due

◦ Applications approved after the 1st payment due date will have two (2) weeks from the application confirmation date to make the 30% payment.

◦ The percentage payment plan is not available once the 2nd payment deadline has passed unless applying for a Summer II program.

1st payment: $3000 X .30 = $900 Due (30% payment)

$3000 - $900 = $2100 Remaining Program Cost Balance

2nd payment: $2100 X .50 = $1050 Due (50% payment)

$2100 - $1050 = $1050 Remaining Program Cost Balance

Final payment: $1050 Due (100% payment)

$1050 - $1050 = $0 Remaining Program Cost Balance

OPTION 3: Pay-in-Full

◦ Final Payment – 100% of program cost paid-in-full within two (2) weeks from the application confirmation date.

◦ All confirmed applications will default to the pay-in-full plan and students will be invoiced accordingly until OISP is otherwise notified with the submission of the “FLP Financial Responsibility Agreement” from in Via-TRM.

OPTION 3: Pay-in-Full Option Example

◦ Application Confirmation Date: 09/01/2021 = Payment Amount Due: $0

◦ Final Payment Due: 09/14/2021 = Payment Amount Due: $3000

Payment Plan Options Program Payment Plans

Students scheduled to receive financial aid refunds during the program term are able to make arrangements with OISP to use those tentative funds to help cover the program cost. This is not an automatic process and to initiate the arrangements, students need to message OISP in Via-TRM to request this option.

OISP will maintain the individual faculty-led program invoice for each registered attendee that will record all funds received as payments towards the outstanding balance. This includes funds received from the Study Abroad Scholarship and/or Financial Aid Refunds, if awarded.

Program payments will be track on the “Faculty-Led Program Requirement Checklist” form published on the individual attendee’s account in the Via-TRM portal.

Additional payments made outside of the selected payment plans due date are acceptable and will be updated accordingly.

Faculty-Led Program Study Abroad Scholarship

Study Abroad Scholarship - $500 minThe Study Abroad Scholarship is an opportunity available to A&M University-Kingsville students to help subsidize the program cost of a faculty-led program.

A scholarship committee is appointed by the Provost’s Office each new academic year to select and award qualifying applicants.

This is a partial scholarship, that if awarded, will go directly towards the program cost to reduce down the overall outstanding balance.

Application Requirementso Registered in a study abroad program with A&M University-Kingsville o Minimum TAMUK GPA of 2.5 (UG) and 3.0 (G) o Not a previous recipient of the award

Qualifying students will need to apply through the university’s online scholarship system, Javelina Scholarships, to complete this process.
