GENERAL INFORMATION

SETTING UP AND DISMANTLINGSet upWednesday, October 2, 2019 from 8:00 amRecommended working hours: 8:00 to 22:00. Extended times will be permitted with confirmation from the Organizer/Hotel.

DismantlingSaturday, October 5, 2019, from 18:30

All exhibitors must adhere to the stated hours! Should special circumstances necessitate additional time, exhibitors must submit a written request at least 30 days in advance of the show's open. Please note that all stands should be completed and staffed in time for the start of the program on October 3, 2019 FROM 8:00. Stands may not be dismantled until all delegates have left.

STAND ASSEMBLY AND DESIGNUpon accepting the stand area allocated to it, the Exhibitor shall be deemed to have accepted and acknowledged the conditions prevailing there. The stand shall be assembled in such a way that all building, fire-safety and other public safety rules as well as the exhibition venue rules and the exhibition conditions issued by the lessor of the exhibition venue are duly observed. The Exhibitor will submit plans and visuals of custom designed exhibits to the Organiser for approval prior to the commencement of the exhibition. Exhibitors failing to do so may be denied access to the exhibition to build or may be requested to cease building.

Exhibitors who will have stands higher than the maximum permitted height will not be allowed to set-up their stands.

CEILING HANGINGS Ceiling hanging is not permitted.

STORAGE ROOMOnce the stand has been built, any surplus materials should be left in the storage room (Room Olympic D). Be worth mentioning items left in here are at Exhibitors risk as shared storage.

CLEANINGThe exhibition hallways will be cleaned after the set up, during the event if and when traffic permits, and hotel staff will vacuum the hallways and empty baskets either in the morning before the exhibition opens or in the evening after closing. Exhibitors are responsible for cleaning their own stand and at the end of the day to put garbage in front of the stand so that hotel staff could collect it. Exhibitors are responsible for the removal of all refuse/waste from the exhibition area. Any discarded waste, including promotional material, left behind will be removed by the Organizers at the expense of the exhibitor concerned. If Exhibitor would like to order cleaning of booth for all days or waste disposal, please fill the ORDER FORM FOR CLEANING, WASTE DISPOSAL.

OBSTRUCTION OF GANGWAYS AND OPEN SPACES The Exhibitor will not display an exhibit in such a manner as to obstruct or affect neighbouring exhibitors. This includes blocking or projecting light, impeding or projecting into aisles or neighbouring exhibition spaces. Loudspeakers and other similar devices are prohibited. Gangways must at all times be kept clear and free for passage. All emergency exits and access to service areas are to be kept clear at all times.
