Assignment of SpaceDuring the AACR Annual Meeting 2014 an on-site selectionwas conducted. Exhibitors with 50+ priority points wereinvited to pre-select their booth for the 2015 Annual Meeting.Those exhibitors have already received confirmation of boothspace. For those exhibitors not eligible to participate in theadvance sales process, booth space will be assigned on apriority point system basis during the week of October 13,2014. Any applications received after October 10, 2014 will beassigned on a first-come, first-served basis. Assignments willonly be made for those exhibitors whose applications areaccompanied by their appropriate deposit. All confirmationswill be issued the week of October 20, 2014.

Priority points are established as follows:

• One (1) point for each 100 square feet of space.

• One (1) point for each prior year of participation.

• Five (5) points for Major Sustaining Members who havepaid their 2014 dues.

• Two (2) points for Sustaining Members who have paid their2014 dues.

Note: When companies merge or are involved in a buyout,the new company will receive the highest number of pointsthat have been earned by either company. Applications forexhibit space must be made on the Official Application Form.Exhibitors wishing to avoid assignment of booth spaceadjacent to a competitor should indicate this on theapplication. Careful consideration will be given to all requestsbut cannot be guaranteed.

Application and Floor PlanExhibit space may be reserved using the online booth salessystem (http://aacr15.exh.mapyourshow.com/boothsales).Click the “I Need Space” button to begin the process. Acompleted application for exhibit space using the onlinesystem, along with appropriate payment, must be receivedbefore space will be assigned. Booth confirmations will beemailed to approved exhibitors in a reasonable timeframeafter the application submission.

The most updated floor plan can be found in the Exhibitssection of the AACR Annual Meeting webpages atwww.AACR.org/AACR2015.

Eligibility RequirementsThe AACR is committed to providing a quality exhibition.Exhibits will be limited only to the company and theproduct(s) listed on the application and are subject toapproval by the AACR Exhibits Committee for accepted andacknowledged effectiveness and commercial availability. Onlythe sign of the company whose name appears on thecontract may be placed in the booth or appear on anyprinted list of exhibitors. The AACR reserves the right toaccept or reject a potential exhibitor based on its assessmentof whether that company or organization’s products and/orservices are relevant to AACR members and their meetingattendees. All exhibits will be reviewed onsite.

Full documentation as to the extent and results of anyresearch done on the exhibited items must be available at thecompany’s booth throughout the AACR Annual Meeting. Allexhibited items must comply with local, state, and FDAregulations, and must be related to cancer research.

Non-Profit ExhibitorsExhibit space at the non-profit rate is limited. The AACRExhibits Committee has the responsibility of approvingapplications for not-for-profit exhibitors. The organizationmust be a government entity or must be recognized by theIRS as a 501(c)3 charitable organization. The organizationmust have demonstrated support for cancer research throughfinancial contributions or provisions of infrastructure. Theorganization may not offer a product or service for sale onthe exhibit floor.

application for exhibit space, a product summary form andcompany literature for review by the AACR ExhibitsCommittee. The booth requested by the company will be puton hold during the review period. Applicants will be notifiedof the committee’s decision in a timely manner. If theapplication is accepted, the booth will be released to thecompany. If the application is rejected, the requested boothwill be made available to other exhibitors.

Booth Relocation PolicyEvery effort will be made to avoid relocating an exhibitor’sbooth. However, should relocation be deemed necessary, theexhibitor will be notified and offered the opportunity torelocate their exhibit or cancel with no further penalty.

Payment PolicyThe exhibitor agrees to enclose with the application forbooth space a deposit of 50% of the total fee. Payment canbe made by either credit card (AMEX, Visa or MasterCard) orcheck in u.S. dollars, drawn on a u.S. bank payable to theAmerican Association for Cancer Research. All paymentsshould be sent to:

The final balance will be due 30 days from date of invoice orby January 19, 2015. Exhibitors who are not paid in full by this date will not be listed in the Exhibitor Directory or in the mobile app. Exhibitors who are not paid in full byWednesday, April 15, 2015 will not be able to set-up their exhibit.

Cancellations/ReductionsNotification of booth space cancellation or space reductionmust be submitted in writing and received on or before thefollowing dates. Cancellation or space reduction requestsreceived on or before September 4, 2014 will be acceptedwith no penalty. The following fees will apply to anycancellations or reductions in exhibit space:

Through September 4, 2014: Cancellation/reduction of spacewill be accepted with no penalty.

September 5 through October 5, 2014: Exhibitor is refundedentire payment less $350.00 per booth space.

October 6 through November 28, 2014: Exhibitor isresponsible for 50% of the total booth fee.

On or After November 29, 2014: Exhibitor is responsible forthe entire booth fee. No refund will be issued.

*Exhibitors that change the size of their exhibit space are notguaranteed the originally assigned location and are subject torelocation by the AACR and to the cancellation/reductionpolicy as stated above.

No Show PolicyIn the event that an exhibiting company has not arrived onthe exhibit floor by 5:00 p.m. on Saturday, April 18, 2015 andhas not been granted pre-approval for late set-up, the AACRreserves the right to use the vacant exhibit space as it seesfit, with no obligation to issue a refund. Any exhibit materialsfor that exhibit space, either in the vacant booth or on theloading dock, will be placed in storage at the exhibitor’sexpense. Substitute booth space will be available at thediscretion of the AACR. The exhibitor is responsible for allfees associated with removing freight from storage.

All exhibit booths must be show ready by 5:00 p.m. onSaturday, April 18. If an exhibitor requires additional time toset up beyond the hours listed they must obtain permissionfrom Management. Request should be submitted to Lisa A.McGlashen, Senior Exhibits Manager at [email protected].

Subletting and/or Sharing of Exhibit SpaceNo exhibitor may sublet, share, apportion, or assign all or anypart of its exhibit space with or to another organization orbusiness unless prior written consent has been obtained fromthe AACR. If the exhibitor submits a written request, AACR,at its sole discretion, may grant exceptions to the following: arecent merger/acquisition (since January 1, 2014), divisions ofthe same company, and companies co-marketing a product.Exhibitors must provide to AACR written documentation ofthe particular relationship. AACR retains the right to removefrom the exhibit halls any company or organization without asigned contract. Only those companies and organizationsthat are the authorized occupants of each exhibit space willbe entitled to exhibitor badges and only those authorizedcompanies will be included on published exhibitor lists.

Late ApplicationsExhibitors who apply for booth space after January 19, 2015or exhibitors who have not sent in their final booth paymentby that date will not be listed in the Exhibitor Directory.

Telephone and Internet ServicesTelephone and internet service in the exhibit hall is suppliedexclusively by the Pennsylvania Convention Center.Information on ordering these services will be available in theExhibitor Service Kit.

Food and BeverageFood service is permitted at the exhibitor’s booth with AACRapproval. All food service arrangements must be coordinatedthrough Aramark, the convention center caterer. No alcoholicbeverages can be served or given away. Information onordering these services will be available in the ExhibitorService Kit.

Exhibitor HousingExhibitors who submit their exhibit space application with a50% deposit will be able to make reservations or book ablock of rooms when Exhibitor Housing opens on Tuesday,September 9, 2014. Exhibitors are not eligible for rooms atthe headquarters hotels. An email will be sent to exhibitorswith a link to the housing website. Exhibitor GuestsExhibitor guest badges are available for a nominal fee of $50per pass. They are provided as a courtesy so exhibitors mayinvite customers and/or clients to visit the exhibit hall.Exhibitors should instruct guests to pick up their badges atthe Exhibit Hall Only Pass booth in the Registration Area.

Exhibitor contacts may now register their guests through theExhibitor Registration system. Information will be sent toexhibitor contacts in November.

Individuals who should pay a registration fee to attend theAnnual Meeting, i.e., company employees, potentialexhibitors, and those wishing access for the purpose ofmaking contacts, cannot be designated as guests.

No one under the age of 12 years old is permitted in theexhibit hall at any time. Strollers are strictly prohibited. TheAACR provides supervised child care services in theConvention Center for a nominal cost for children under 12years of age. The exact hours, location and costs for thisservice will be available on the AACR website.

Exhibitor ServicesLead retrieval, electricity, internet, photography, floral,security, telephone, and audio/visual services will be availablefor rental by exhibitors. Information will be available in theExhibitor Service Kit and in the Exhibits section of the AACRAnnual Meeting website (www.AACR.org/AACR2015).

Shuttle Bus ServiceAACR will provide shuttle bus service from designated AACRhotels. Information will be posted to the AACR AnnualMeeting website (www.AACR.org/AACR2015) when available.

Exhibitor LoungeA complimentary exhibitor lounge is provided by the AACRfor all exhibitors during the AACR Annual Meeting. Thelounge will be open to exhibitors only in the Exhibit Hallbeginning Saturday, April 18, through Wednesday, April 22,during setup and show hours. Only exhibitors are permittedin the lounge. As a courtesy to other exhibitors, guests andconference attendees are not permitted.

AFFILIATE GROUP FUNCTION SPACE REQUEST

Rules and Regulations If you plan to hold a function during the AACR AnnualMeeting 2015, you must complete an Affiliate Group FunctionSpace Request Form. DISCOUNT DEADLINE: February 15,2015. Please allow five (5) business days to process yourrequest and confirm space. The AACR will begin to confirmfunction space in January on a first-come, first-served basis.

“Affiliate Groups” include corporate and institutional affiliatesof the AACR who request meeting/function space for thepurpose of social events (<100 guests) and small committeemeetings. Organizations that do not meet this criteria and arenot exhibiting at the AACR Annual Meeting are subject toapproval and a non-exhibitor fee per submission.

1. Complete the Function Space Request Form with your meeting space requirements and return to Leslie Buckingham by fax (215-446-7298) or email([email protected]).

2. Be sure to indicate four (4) hotel choices. You may choosea Headquarter Hotel but AACR has rights of first refusal.

3. Events may only be scheduled as follows:Prior to Saturday, April 18: AnytimeSaturday, April 18: Before 8:00 a.m. and after 6:30 p.m.Sunday, April 19: Before 7:00 a.m. and after 6:30 p.m.Monday, April 20: Before 7:00 a.m. and after 6:30 p.m.Tuesday, April 21: Before 7:00 a.m. and after 6:30 p.m.Wednesday, April 22: Before 7:00 a.m. and after 1:30 p.m.

4. Once you have submitted your request, please do notattempt to make changes by submitting a new form. Ifyou need to make changes to your function, pleasecontact Leslie Buckingham at [email protected] 215-440-9300.

5. Should your event be placed at either the Marriott orLoews, the AACR will assign your meeting space. Thehotel will contact you directly once they receive theapproval form from the AACR.

6. Should your event be placed at a non-Headquarter Hotel,the AACR will contact the hotel directly. The hotel willassign the space and continue communication with you,including space confirmation, contracts, etc.

7. DO NOT ATTEMPT TO MAKE RESERVATIONS DIRECTLYWITH VENuES. This will forfeit your request for space.

8. Remember to print a copy of the form for your records.

9. The application fee must be submitted with the form inorder for the request to be processed.

Cancellation Policy: No refunds will be provided once theapplication and payment have been processed.

It is the Affiliate Group’s responsibility to distribute copies ofthis information to the appropriate personnel and/or anyagents, representatives or contractors involved in planningactivities at the AACR Annual Meeting. The Affiliate Groupsrequesting space are responsible for the actions of theiremployees and/or agents and will be expected to follow allrules and guidelines outlined below.

The presentation of educational symposia or other scientific program activities are prohibited during the AACR Annual Meeting.

Requests for meeting/function space from Affiliate Groupswill be considered for the purpose of social events and smallcommittee meetings.

Food and beverage service should be arranged directly withthe facility where your meeting has been placed. Contactinformation for the facility’s convention service/cateringmanager will be provided to you. Please do not contact thefacility until you have received your approval from AACR.The facility will provide you with a banquet event order(BEO) for approval of all food and beverage items and will billyou directly for those expenses.

Groups occupying space must provide appropriate staff tocoordinate all such activities.

The function organizer is responsible for all costs associatedwith the affiliate meeting, including food and beverage,audio-visual equipment service, music license fees, hotellabor costs, etc.

AACR is not responsible for payment for any servicesconnected with the event. AACR has no authority over anyservice charges, rental fees, set-up fees, labor contracts, etc.,that are required by any venue.

Functions found to be in violation of these guidelines shall beimmediately discontinued. The Affiliate Group waives anyrights to claims of damages arising out of the enforcement ofthese guidelines.

All matters and questions not covered by the above guidelinesare subject to the discretion of AACR. These AACR guidelinesmay be amended at any time by AACR, and all amendmentsshall be equally binding on all parties. In the event of anyamendment or addition to these guidelines, written notice willbe given by AACR to such parties. The Affiliate Group shallprotect, indemnify, hold harmless and defend AACR, itsofficers, directors, agents and employees against all suchclaims, liabilities, losses, damages and expenses, includingreasonable attorneys’ fees and costs of litigation; providedthat the foregoing shall not apply to injury, loss or damagecaused by or resulting from the negligence of AACR, itsofficers, directors, agents or employees.

HEADING 1EXHBITOR RULES AND REGULATIONS

Terms and ConditionsBy applying for exhibit space, the exhibitor agrees to adhereto all rules (Terms), requirements, restrictions and regulationsas set forth in the Exhibitor Prospectus, Exhibitor Service Kitand the AACR Rules and Regulations enclosed herewith andany regulations especially designated by the AACR, thePennsylvania Convention Center, the city of Philadelphia, orthe state of Pennsylvania. Failure to abide by such rules andregulations may result in forfeiture of all monies paid or duethe AACR under the terms of this agreement. No exhibitormay assign or sublet the whole or any part of the spaceallotted, nor exhibit therein any goods other than thosemanufactured or handle by the exhibitor in the regular courseof business.

GeneralAll matters and questions not covered by these regulationsare at the discretion of AACR Exhibits Management(Management). Management may amend these regulations atany time, and all amendments that may be made shall beequally binding, upon publication on all parties affected bythem as the original regulations.

ViolationsViolation of any of these regulations on the part of theexhibitor, its employees or agents shall annul the right tooccupy the space and such exhibitor will forfeit toManagement all monies, which may have been paid. uponevidence of violation, Management may re-enter and takepossession of the space occupied by the exhibitor and mayremove all persons and goods at the exhibitor’s risk. Theexhibitor shall pay all expenses or damages that Managementmay incur.

Enforcement of Rules and Regulations Policy Each exhibitor shall agree to observe all policies. Violatorswill incur one penalty for each regulation violated.

1. The first violation of any rule or regulation detailed on theApplication for Exhibit Space, in the Exhibitor Prospectus,or any subsequent amendments will result in the companyreceiving a written warning.

2. A second violation will result in forfeiture of priority pointsfor exhibiting for that year.

3. A third violation will result in one year’s suspension ofexhibit privileges at any AACR meeting or exposition.

Notwithstanding the foregoing, the AACR and AACR ExhibitManagement reserve the right to remove any exhibitor orexhibition, in their sole discretion, for the best interests of theexhibitors and attendees.

Notice of DisabilityIn compliance with the Americans with Disabilities Act of1990, the AACR will make all reasonable efforts toaccommodate persons with disabilities at the meeting. Cancellation of ExpositionIt is mutually agreed that in the event of cancellation of theAACR Annual Meeting due to fire, strikes, governmentregulations, or causes, which would prevent its scheduledopening or continuance, then and thereupon this agreementwill be terminated and the AACR shall determine anequitable basis for the refund of such portion of the exhibitfees as is possible, after due consideration of expendituresand commitments already made.

Food and Drug Administration (FDA)Approval and Off-Label IndicationsThe mention (directly or indirectly) of pharmaceuticalproducts not approved by the FDA is strictly prohibited.Hand-outs or literature of any kind that mention suchproducts directly or indirectly are, likewise, prohibited fromdisplay in the exhibit space or in spaces contracted by theAACR. An exhibiting organization may disseminate from itsexhibit space peer-reviewed journal articles about off-labelindications of its product(s), provided the company commitsitself to file a supplemental application based on appropriateresearch, to establish the safety and effectiveness of theunapproved use.

Exhibit Booth ConfigurationA standard booth size is 10’ x 10’ (100 square feet).

• Inline Booth: Inline booths are a row of standard boothsthat are exposed to an aisle on one side.

• Corner Booth: Corner booths are standard in-line boothsthat are exposed to an aisle on two sides.

All exhibit backgrounds must conform to the standards setby the Healthcare Convention and Exhibitors Associationwhich are as follows:

• No side rails or counters may exceed 48” in height.

• Backgrounds are limited to 8’ in height, including anyidentification sign, and must not protrude from the backwall more than 50% of the distance from the back wall tothe front of the booth.

• No obstructions in the front half of the booth above aheight of 48” should be permitted.

• No part of any exhibit, or signs relating thereto, shall beposted, nailed, or otherwise attached to columns, walls,floors, or other parts of the building or its furniture, in anyway to deface same.

• Damage arising by failure to observe these rules shall bepayable by the exhibitor.

Island Exhibit SpaceAn island is typically defined as a 400 square feet (20’ x 20’)or larger exhibit space surrounded by aisles on all sides.Island booths should be constructed to allow access from allsides. The maximum height of an island is twenty (20’) feet.

The Island Exhibitor receives the following benefits:

• Waiver of the 8’ height restriction, not to exceed 20’ where applicable.

• Waiver of sidewall restrictions.

• Increased visibility from all areas of the Exhibit Hall.

• Ability to utilize hanging signs.

Island Exhibit Space Floor PlansAny company that is assigned island exhibit space mustsubmit floor plans and elevation blueprints to ExhibitManagement by February 24, 2015. The AACR requires floorplans from every island exhibitor to ensure that the rules andregulations governing exhibit booth design, outlined in thissection, are followed. Advance review also provides the AACRwith the opportunity to resolve any potential issues.

Hanging SignsHanging signs may be utilized only in island booth spaces.The height from the floor to the top of the sign may notexceed 22’.

CarpetingThe AACR requires all exhibitors to carpet theirbooths/displays. All booths must be carpeted by 5 p.m. onSaturday, April 18, 2015. There are no exceptions to this rule.If a booth is not carpeted, the AACR will order carpet on theexhibitor’s behalf at the exhibitor’s expense.

Storage of Crates and BoxesProper identification and tags will be available at theExhibitor Service Desk. Storage of crates and boxes can bearranged with the official service contractor, as outlined inthe Exhibitor Service Kit.

All cartons, crates, containers, packing materials, etc. which arenecessary to repacking must be labelled with “Empty” stickers.They will be removed from the floor and stored by Freeman.Access to storage will be available through Freeman.Arrangements can be made at the Exhibitor Service Desk.Crates and boxes cannot be stored behind booth displays.

PhotographyNo photographing or videotaping of the exhibit hall isallowed. Photographing another exhibit or display items isstrictly prohibited. unauthorized photographs (digital andanalog) and photographic equipment storage, includingemails, electronic distribution on social media sites andsystems, cellular phones, electronic tablet devices, etc., will beconfiscated. The photographing of posters is permitted onlywith the express consent of the presenter. Exhibitors mayrequest permission in writing from the AACR to photographtheir own booth for internal marketing purposes only.

Exhibitor Access to Exhibit HallExhibitor personnel will be allowed access to the exhibit hall60 minutes prior to its opening on Sunday throughWednesday. Request for access to the hall before thesehours, or after closing hours, must be made in advance bycontacting the Exhibits Manager. Each representative issuedan exhibitor badge must be employed by the exhibitor orhave a direct business affiliation. Only representatives whoare employed by the exhibiting company and who will beworking in the booth are to be registered via the exhibitregistration form. Exhibitor badges will not be issued toregistrants who should pay the registration fee or torepresentatives of leasing companies, financial institutions,suppliers, vendors, or others who wish to gain admittance forthe purpose of making contacts.

Entering Another Exhibitor’s BoothExhibit personnel should not enter another exhibitor’s boothspace without obtaining permission, nor should personnelblock access to another booth.

SurveysAll surveys must be conducted within the confines of thebooth space assigned. At no time should exhibit personnelleave the booth to encourage attendees in the aisles tocomplete a questionnaire.

Music LicensingLicense agreements for music are the sole responsibility ofthe exhibitor.

StaffingAs a courtesy to the attendees and to fellow exhibitors,exhibits must be staffed at all times during official showhours. All exhibitors are expected to make their travelarrangements in accordance with this policy. Any exhibitorfound to leave prior to the end of the show will not be invitedto participate in any future AACR Annual Meetings.

Activities Prohibited in the Exhibit Hall• Canvassing or distributing advertising matter outside the exhibitor’s own

booth is not permitted.

• Solicitation of business except by exhibiting firms is prohibited. Thenature of the exhibits is subject to the approval of Management and theAACR Exhibits Committee.

• Nonprofessional products or services are not to be displayed. Thisapplies to displays, literature, advertising, novelties, souvenirs, conductof persons, etc.

• Contests, raffles, lotteries and games of any chance without prior writtenapproval from the AACR.

• All games and activities must be approved by AACR. No group activity is permitted.

• Lines of any kind may not be formed outside of the exhibit space. Allactivity must be contained within the booth area.

• Soliciting attendees in the aisle(s) outside of booth space, includingsession rooms, public space, and poster area.

• Fundraising, without prior written approval from the AACR.

• Press events are strictly prohibited without prior approval by the AACRCommunications Department.

• Live, videotaped, or audiotaped delivery of didactic presentation.

• Activities offering CME credits.

• Playing or performing of copyrighted recorded or live music during thepublished Exhibit Hall Hours.

• Distribution of coupons or vouchers for meals, entertainment or personalservices to meeting attendees.

• Distribution of alcoholic beverages in exhibit booth.

• Distribution of any item of more than the minimal value without the priorwritten approval from the AACR.

• Demonstration, promotion or sales of the products of any non-exhibiting companies.

• Affixing the AACR name or logo to, incorporating them in, or otherwisemaking them a part of exhibitor-distributed materials without priorwritten approval from the AACR.

• unauthorized reproduction or distribution of AACR abstracts.

• Magicians, jugglers, motivational speakers, sleight of hand artists, orillusionists.

• Mutli-level booths.

• Electrical or other mechanical apparatus must be muffled so noise doesnot interfere with other exhibitors.

• Market research companies must indicate on the exhibit application thecompanies for which they are conducting market research. All marketresearch surveys must be conducted only within the market research booth.

Distribution of Giveaways and Food ServiceDoor drops are not permitted. Please keep in mind that the AACR AnnualMeeting is a professional, educational, scientific meeting when consideringgiveaway items. Product samples, giveaways or literature may only bedistributed within the exhibitor’s booth and must not interfere with otherexhibitors’ spaces. Representatives may not distribute materials in any hotelutilized by the AACR or in any areas of the convention center other than theirexhibit space or company leased rooms, or in public areas outside theconvention center or hotels. Customary items such as descriptive productliterature, notepads, pens, pencils, company information on uSBs/CDs orjournals may be distributed from the booth without written approval by AACR Management.

Food service is permitted at the exhibitor’s booth with AACR approval. All foodservice arrangements must be coordinated through the convention centercaterer. No alcoholic beverages can be served or given away.

Exhibitor/Booth ActivityIf you are planning to conduct any booth activities or activities in the exhibithall, you will need to complete the Booth Activity Approval Form which will beincluded in the Exhibitor Service Manual. The AACR Annual Meeting is aprofessional, scientific, educational meeting. Please keep this in mind whenselecting booth activities. Please be sure they are appropriate and are incompliance with the AACR Rules and Regulations. All requests must besubmitted to the AACR by March 10, 2015, for review and approval.

Contests, Raffles, DrawingsThe AACR Annual Meeting is a professional, scientific, educational meeting.Please keep this in mind when planning your contest, drawing, raffle, etc. Allcontests, lotteries, drawings, raffles and games of chance must be approved byAACR Exhibits Management. All drawings must be held off the exhibit hallfloor. All requests must be submitted to the AACR for review by March 10,2015. A booth activity approval form will be provided in the Exhibitor ServiceKit to facilitate this process. No unapproved items may be used as a prize. Allprizes need to be submitted on the Distribution of Giveaways form. Anyexhibitor found conducting contests, raffles, or drawings that have not beenapproved by the AACR will be required to cease immediately.

Sales and/or Order Taking The purpose of the exhibits is to further the education of meeting attendeesthrough product and service displays and demonstrations. Sales and ordertaking are permitted provided all transactions are conducted in a mannerconsistent with the professional nature of the meeting. Products for sale mustbe the exhibitors’ own unaltered products and the products or services mustbe pertinent to the attendees’ professional interest. The AACR reserves theright to restrict sales activities that it deems inappropriate or unprofessional.Exhibitors must comply with all sales tax requirements.

CONTRACTORS, LABOR, AND SECURITY

Contract Obligations and LiabilityThe exhibitor agrees to protect, save, and keep the AACR andthe occupied convention center forever harmless from anydamage or charges imposed for violation of any law orordinance by the exhibitor, their employees or agents as wellas to strictly comply with the applicable terms and conditionscontained in the agreement between the AACR and theoccupied convention center regarding the exhibition premise.Furthermore the exhibitor shall at all times protect,indemnify, save, and keep harmless the AACR and theoccupied convention center against and from any and all loss,cost, damage, liability, or expense which arises out of or from,or by reason of any act or omission by the exhibitor, hisemployees, or agents.

InsuranceExhibitors wishing to insure their exhibit materials, goodsand/or wares against theft, damage by fire, accident, or lossof any kind must do so at their own expense. The AACR doesnot carry insurance of any sort on the exhibit or otherproperty of Exhibitors and the AACR assumes no liability forloss or damage thereto from any cause. Each exhibitingcompany is responsible for obtaining insurance (Liability andFire/Theft) in such amounts as deemed appropriate tocomply with its obligations hereunder and for its ownprotection. Additional information will be included in theExhibitor Prospectus

Exhibitor Appointed Contractor (EAC)All Exhibitors utilizing an Exhibitor Appointed Contractor(EAC) must notify the AACR of all EAC services well inadvance of the Show. Official Notification of EAC Forms willbe in the Exhibitor Service Kit and are due by March 10, 2015.All EACs are required to provide proof of insurance by March10, 2015. Failure to provide these documents to the AACR bythe indicated due dates will be cause to exclude the EACfrom participation at the Show.

EACs may not solicit business in the exhibit hall at any time.The exhibiting company is responsible for the actions of itsEAC and all exhibitor rules apply to this sub-contractor of theexhibitor. The EAC must provide worker names for each dayat the exhibit hall in advance to the Pennsylvania ConventionCenter and Security Company and check in at the conventioncenter/security checkpoint upon arrival to receiveinstallation/dismantling passes allowing access to the exhibithall. These passes are typically in the form of wrist bands thatmust be worn on the wrist, for security reasons. Workers

without properly displayed exhibit hall access passes will beprohibited from work during set-up.

The AACR reserves the right to remove any EAC or itsemployees who do not comply with AACR exhibitor rules orthe operating rules of the Pennsylvania Convention Center.The AACR reserves the right to prohibit EAC participation atthe AACR Annual Meeting, both at the PennsylvaniaConvention Center and at future exhibit locations, at the solediscretion of the AACR, when such actions are necessary.

Convention, Display, Trade ShowLabor RegulationsFreeman, the AACR General Services Contractor, andqualified display contractors (Exhibitor AppointedContractors) at the Pennsylvania Convention Center (PCC)will use unionized labor to install and dismantle displays anddecorations.

LaborIf you have an oversized booth (larger than 600-square feet)you have to use the labor supplied by either the GeneralServices Contractor or your own exhibitor-appointeddecorator (EAC) to build your booth. It is best to order laboras soon as possible. Please do not wait until you arrive at thePennsylvania Convention Center. There is a substantial pricedifference between advance and on-site ordering. Early labororders also will increase your efficiencies when at theConvention Center. By preordering labor, you can schedulethe time that you want labor in your booth so that it is aconvenient window for you. If you wait to order labor on-site,you may have to adjust to the workers’ schedule.

Labor can be ordered in advance by returning the DisplayLabor Order Form, included in your Exhibitor Service Kit or atshow site at the Freeman Service Desk. To avoid anymisunderstandings in advance or at the show, contact theshow management for additional clarification. Rules andregulations pertaining to union labor and the conventioncenter will appear in your Exhibitor Service Kit.

In exhibit booths that are no larger than 600 net square feet,an Exhibitor or a full-time company representative(s) mayerect or teardown booths. Loading and UnloadingFreeman will control access to the trade show floor, whichincludes access from the loading docks and/or all doorwaysinto an exhibit facility. This will help to provide a safe andorderly move-in/move-out. unloading or reloading of anyfreight into the exhibit hall by any and all private vehicles andcontracted carriers will be handled by Freeman. Rates formaterial handling services will be included in the ExhibitorService Kit.

Exhibitors may load and unload non-commercialautomobiles, station wagons, mini-vans, SuV’s, andnon-commercially registered 4 wheel pick-up trucks or vans.Exhibitors may use equipment, including but not limited to,carts, dollies, luggage carriers, 4 wheel flatbed carts, and 2 wheel hand trucks. The use of any motorized or hydraulicdevices is prohibited. The use of motorized pallet jackets byExhibitors is prohibited within the PCC. The exhibitor is free to move any freight within their booth usingnon-motorized dolly.

Computers All full-time regular employees of Exhibitors shall bepermitted to connect their personal computers (desktops andlaptops), computer components and peripherals with nolimitation for non-public uses. All third-party vendors,including rental companies, contractors, and/or vendors mustutilize union workers to install and to dismantle their laptops,desktops, computers, and audio-visual equipment.

Audio-VisualIf you need to rent audio-visual equipment (monitors etc.) foryour exhibit booth, please use the show-appointedaudio-visual vendor for your show. The rental price will becomparable to an outside company but the labor cost will besignificantly lower if you use the appointed vendor. When anoutside company comes into the building, they are required touse union labor at a four-hour minimum. The show-appointedAV vendor will be able to utilize labor in multiple booths,allowing you to be billed per hour rather than the four-hourminimum rate. When a non-appointed vendor comes into thefacility, they are able to work in your booth only and mustinclude the four-hour rate in your billing. These rules apply tothe set up and dismantling of booths.

ElectricalExhibitors cannot run cords under carpet. In addition,exhibitors can run cords over carpet as long as they areconcealed and do not impose a trip hazard, i.e. side curtainsor under tables with skirts. All cords within booth must begrounded 3-wire, 12-gauge uL cords. No householdundergrounded 2-wire extension cords are allowed.

SecurityPeripheral watchmen shall be furnished by AACRManagement to be on duty in the exhibit area when exhibitsare closed, but the safekeeping of the exhibitor’s propertyshall remain the responsibility of the exhibitor. The AACR, thePennsylvania Convention Center, the city of Philadelphia, orthe state of Pennsylvania, will not be responsible for loss ofany material by or for any reason. Each exhibitor isrecommended to purchase a portal-to-portal rider availableat a nominal cost on their own insurance policy, protectingthem against loss through theft, fire, damage, etc. Forms toorder additional security in booths will be included in theExhibitor Service Kit.

BUILDING REQUIREMENTS

Building Requirements: The Pennsylvania Convention CenterExhibitors and their agents must comply with all federal andlocal fire and building codes that apply to places of publicassembly. Fire-fighting and emergency equipment may notbe hidden or obstructed, including fire extinguishers, strobes,fire hose cabinets, Public Emergency Reporting System(PERS) stations and standpipes. Booth construction shall notblock access to any fire/life safety equipment and shall notimpede exit access, exit doors or aisle. All drapes, curtains,table coverings, skirts, carpet or any materials used inexhibits must be flame-retardant to meet with PhiladelphiaFire Department requirements and have flameproofcertificate or tag. Certificates or tags must be prominentlyattached to the material used so they may be easily seen bythe facility Fire Marshal. Exhibit contents or products anddecorations provided by the official service contractor underthe same guidelines, but may have detached flameproofcertificates or tags. Additional information will be supplied inthe Exhibitor Service Kit.

Fire ProtectionAll materials used in the exhibit area must be flameproof andfire resistant in order to conform to local fire ordinances andin accordance with regulations established by the NationalAssociation of Fire underwriters. Crepe paper, corrugatedpaper, flameproof or otherwise, will not be permitted. Displayracks, signs, spotlights, and special equipment must beapproved before use, and all displays are subject toinspection by the Fire Prevention Bureau. Any exhibits orparts thereof that are found not to be fireproof may beordered dismantled. All aisles and exhibits must be kept clearat all times, and fire stations and fire extinguisher equipmentare not to be covered or obstructed. The PennsylvaniaConvention Center and the Philadelphia Fire DepartmentPrevention Division reserve the right to make any finaldecisions regarding fire and public safety.

PCC Safety Guidelines for ExhibitorsWorking in Booths 600 sq. ft. or Less• A ladder up to 6’ may be used in accordance with the

manufacturer guidelines.

• Power actuated tools, such as Hilti guns and gas fillednailers, may not be used under any circumstances.

• The use of gasoline powered equipment is prohibited.

• The use of one scaffolding section will be permitted,multi-tier scaffolding is not permitted.

• Rigging of heavy objects is not permitted. Riggers would berequired for such work.

• The use of safety protection is required when needed, suchas safety glasses, gloves, etc.

• The use of hoists will not be permitted.

• The use of a device with an open flame, such as a propanetorch, is prohibited.

• No smoking shall be permitted inside the facility.

• Exhibit booths or displays may not block fire equipment.
