COMMERCIAL EXHIBITOR REGISTRATIONRegistration will be located on the ARS Convention Level. Badges must be worn to enter meeting rooms and exhibit hall. Children under the age of 16 are not permitted in the exhibit hall.

Exhibitor representative picking up badges for all company reps will be required to sign a receipt that all badges requested were received.

FAILURE TO OCCUPY SPACEAny exhibitor failing to occupy space is not relieved of the obligation to pay the full rental price for the space committed by the exhibiting company.

APPLICATION DEADLINEAll applications must be received by July 15, 2019.

PAYMENT TERMS:Payment is due in full with your application.

CLEANING SERVICEEach exhibitor is responsible for ordering cleaning service for the upkeep of its booth during the Expo.

COMPANY LOGOS & DESCRIPTIONForward your company description (100 word max) and high resolution logo to susan@american-rhinologic.com no later than July 22, 2019.

EXHIBITOR BADGESFour Showcase and Five Double Wide Booth Exhibitors will be allowed up to five company representatives on site. Regular Booths will be allowed up to two company representatives. Badge Registration forms must be submitted no later than August 12, 2019. Requests made after this date will be required to register on-site.

SECURITYA security officer will be stationed in the exhibit hall from Thursday, September 12, 2019, 5:30pm - 7:00am; and on Friday, September 13, 2019, 5:30pm - 7:00am on Saturday, September 14, 2019.

PHOTOGRAPHY & AUDIO RECORDINGPhotography and audio recording of any ARS function, scientific session, expo or social event is strictly prohibited. Unauthorized photographers or camera equipment will not be allowed into the exhibit hall.

VIDEO AND AUDIO-VISUAL EQUIPMENT RESTRICTIONSThe American Rhinologic Society reserves the right to restrict exhibits that because of sound, methods of operations, or for any other reason become an interference of its scientific sessions/presentations.

INSURANCEInsurance on all exhibits is the responsibility of the exhibitor. The American Rhinologic Society will not assume responsibility for personal property loss or damage to personal property of company property. All Exhibiting companies shall, at its own cost and expense, provide general liability insurance in the amount not less than $1,000,000. All certificates of liability insurance should recognize the American Rhinologic Society, the Hilton New Orleans Riverside, and the official show contractor, as an additional insured. Proof of insurance is due no later than July 22, 2019.

COMMERCIAL/ADVERTISING AGREEMENT FORMAll exhibitors and corporate supporters must complete a commercial support agreement form. If your company has its own legal document, it must be submitted to the ARS for prior review and approval. Forms are due no later than July 22, 2019.

SERVICE CONTRACTORSThe official ARS Show Contractor is Valley Expo & Displays. They will provide and operate a client service desk within the exhibit hall. Service manuals and show kit forms will be processed directly through the company.

SHIPPING INFORMATIONAll exhibitors must send their freight through Valley Expo & Displays.It is imperative that all exhibiting companies coordinate their deliveries with this official contractor. Sending packages and freight directly to the hotel is not recommended.

INTERNET KIOSK & CHARGING STATION - Two Kiosk StationsSponsor will receive screen savers with company information and (2) 22"x28" signs to be place in the registration area and at Kiosk station. Stations are located in a high traffic area for maximum exposure to all attendees and visitors. Price reflects sponsorship for both mtg days.

PRODUCT THEATER - STARTING AT $10,000Showcase your products in a 30-minute small group session. This is a unique opportunity for company presenters to discuss their product, its applications and best practices.

LANYARDS - $7,500Sponsor may place a product specific logo or company advertisement on lanyards. Artwork must be approved by the ARS. Company must supply the lanyards with a bull-clip as an attachment.

ADVERTISEMENT - $5,500/DAYIncludes full page color ad in the program guide to be distributed to over 400 attendees. Also includes complete mailing list of all meeting attendees. Ad Specs: Non-bleed: 7-1/2"w x 10"h, Bleed: 8.75”w x 11.25”h (.125” bleed). Ads should be provided in print-quality CMYK, with fonts imbedded/outlined, pdf format.

HOTEL DOOR DROP - $3,500Target your message right to the attendees’ hotel room doors and be the first thing they see in the morning. Materials will be distributed by 6:00am on Friday, September 16 and/or Saturday, September 13, 2019. Company provides one promotional piece, subject to ARS approval. Room drop fee will be charged by the hotel. Maximum size of materials is 8½” x 11”.
