The keylines provided in the renders below are ait files (Adobe Illustrator template). Upon opening, a new ai document will be created for you.

All templates must be CMYK colour artwork, with 20mm bleeds.

Inside of each template there are two layers. » Layer 1 contains a Locked Safe Area for your important design

elements, like text or logos, which need to be included inside this safe space.

» Layer 2 is for your artwork.

Please don’t edit, move or resize any of the templates.

In your artwork: » All colors need to be CMYK. » Pictures and photos must be embedded into the file (not linked

please). » All logos need to be vector files and font needs to be outlined in

final artwork. » If your artwork should include large images please save them as

CMYK in 150dpi resolution. » If you want to embed tiff or psd files, please flatten them in final

artwork.

Ticket RegistrationPlease ensure that you allocate all your tickets as soon as possible so all partners and staff can start enjoying the networking benefits of the Web Summit app.

You can allocate your tickets to your team by:• Following the Tito link that your Partnership Success Manager has sent you. • Filling in the name and email of each ticket holder. Each ticket holder will then be sent an email requesting they fill in their details.

Snoozing your tickets If you do not know who you are assigning your tickets to you can “snooze” your ticket and return to it at a later date. Please note that the deadline for assigning tickets is October 28, 2016.

Re-assigning a ticketIt is possible to re-assign your tickets (change name on ticket) if someone can no longer attend. This can be done using the ticket package your Partnership Success Manager has sent you.

The ticket is in your Web Summit appTo gain access to the event you will need to download the Web Summit app from the Google Play Store or the App Store. (If you do not use a smartphone you can approach Ticket Support at registration where our staff will assist you).

To access the app please enter your email and your booking reference code. Your QR Code can be found within the app in the More section under Registration.

You must present your QR Code and a photo ID at registration to receive your accreditation. Acceptable photo ID: Passport, driving licence, DNICitizen Card (Cartão do Cidadão or CC)

Contractor accreditationContractor accreditation (load-in, crew & load-out) is specifically for crew that are on-site building your stand. This accreditation is active from build start dates as outlined above in Section 4: Contractor Registration Deadlines & Information.

All representatives of the partner that are attending the event and not involved in the build phase should have partner or partner staff tickets. Partner and partner staff accreditation will only be available for collection from registration areas at the opening times outlined in Section 4: Partner Registration Information. Access to your stand on Monday may be possible if pre-agreed with your Partnership Success Manager

If a representative from the partner needs access during the build (Saturday, November 5 or Sunday, November 6) they should request contractor accreditation through the process outlined above for contractors in Section 4: Contractor Registration Deadlines & Information.

Setup DetailsExhibits may not arrive earlier than 10am, Saturday, November 5. The load-in will be scheduled across Saturday and Sunday, November 5 and 6.

Setup RulesFor all custom built-booths, or booths larger than 4m x 4m, the following set-up times will apply:• Saturday, November 5: 10am - 8pm. Please liaise with your

Partnership Success Manager for details on load-in time. • Sunday, November 6: 8am - 8pm. Please liaise with your

You must remove all rubbish created during setup. Do not leave rubbish sitting in your booth. Do not block aisles with equipment, or rubbish, or stand build materials. Rubbish is the responsibility of each exhibitor and their contractor if building own stands.

Loading area access Access to the loading areas will be managed strictly by allocated slots, which will be assigned by Merkur Expo Logistics ([email protected] or [email protected]).

If you arrive at the loading area either outside of your allocated time slot, or without a time scheduled, you will experience delays.

For booths smaller than a Bronze 2m x 2m access will not be granted via the loading area. Loading area access should only be for heavy goods.

Storage facilities should also be arranged through Merkur Expo Logistics.

If you require access to the loading dock please advise your Partnership Success Manager and complete the details on the contractor form. A suitable loading time and area will be allocated to you and emailed to you by Merkur Expo Logisitics. Please note; your assigned time for access into the loading area will be allocated and detailed to you seven days from the setup date. Your Partner Success Manager will assist with any queries in the lead up to the event.

Please do not arrive without having received a time from Merkur or your Partner Success Manager.

While it is not required, you can hire our contractor Interflow to help with your load in/out process for you. Advanced storage can be arranged off site by Interflow. Please see section 12 for all information relating to shipping.The organisers will not be responsible for any items delivered to the venue on your behalf. You must be onsite to receive your own goods.

Take down detailsThe event finishes at 5pm on November 10. All items without exception must be clear of the venue by midnight on November 10. Any items not removed from the venue will be deemed as rubbish and the associated cost of removal will be assigned to the Exhibitor/Partner.

Take down ruleYou must not start breaking your booth down until 6pm on Thursday, November 10 after the hall has been cleared of all visitors

Nothing can be left at the venue after midnight on this date. No rubbish, boxes, fixtures, items to be shipped, should be left in the halls or loading docks. Individual penalties may be incurred for late breakdown.

Shipping Overview

Responsibility of the ConsigneeMerkur’s responsibility is to deliver your shipment to the venue on your assigned target date. Merkur will accept no responsibility for late or non-delivery to the venue/s if these guidelines and/or recommendations are not followed.

ConsigneeThe consignee is the person who is receiving the goods (i.e Merkur).

The consignee instructions (road) are the details of to whom and where an exhibitor’s goods should be sent when using road freight. There are details for both the advance warehouse and for direct unload at the venue.

The consignee instructions (air/sea) are the details of to whom and where an exhibitor’s goods should be sent when using air or ship freight. Note that you must use either Lisbon airport or Lisbon port.

Customs and ClearanceYour shipment is cleared through Portuguese customs in one of three ways:• Permanent Duty-Paid Entry: used for all goods which will remain in Portugal and

will not be re-exported. E.g. brochures and samples• Temporary Entry: allows temporary entry into Portugal without paying duties or

taxes• ATA Carnet: goods are imported with the payment of Custom duties and taxes,

but may not be given away or sold. All items must be re-exported at the end of the show.

DocumentationThe following documents are needed to clear your goods:• Air Waybill (for air freight) / Bill of Lading (for sea freight) - Single master AWB/BL

and separate AWB/BL for each individual entry in the shipment • Commercial invoices - in English giving full description and value for each item

contained in the shipment. The invoice should be issued to your company c/o the exhibition.

• Packing list - giving weight and dimensions of each package. This info may be included on your commercial invoice.

• Insurance certificate - copy with the name of the local settlement agent in Portugal.

Ocean freight should be chosen if your schedule allows for up to 6 weeks transport.Air freight offers a much shorter transit time.Small ocean freight shipments (less than 1 cubic m) incur several minimum charges so air freight is often cheaper for small shipments.

What is Available?Please order your required connection from our online store before Friday, September 30, 2016.

Venue wifi: As standard, the venue will have wifi. It is password protected (WPA2 key) and will be available to and shared by all attendees. The wifi supports both 5GHz and 2.4GHz devices on two different SSIDs. There is bandwidth control of 3Mbps upload and 3Mbps download speed. This will shared by all attendees across the venue. Please be aware that during peak times there may be issues with congestion. Wired ethernet points:This will be a CAT5 cable dropped into your booth and you’ll share bandwidth with the venue. You will be removed from issues involving wifi congestion, but it will only work on devices with an Ethernet port, so this will not work for tablets and mobiles. Use of any and all network devices including routers, switches and network hubs, are strictly forbidden. If you wish to use a router or switch at your stand it can be ordered from 2016 Web Summit Partner Add Ons (see section 7 above).

Ethernet switch:This gives you a private VLAN with a cable connection and an 8 port switch with seven available cable connections.

Private wifi router:Private VLAN with a 4 cable port wireless router. The wifi network is suitable for approx 10 users. Routers will be configured to accept 5ghz connections on channel 36 with the radio settings for minimum range.

Additional bandwith:With this package you’ll be get an increment in an existing VLAN.

Which package is best for me?All partner stands will have access to the venue wifi and a single ethernet cable.

Venue wifi:Allows for light activities such as browsing the internet, sending and receiving emails etc. Please be aware that during peak times there may be issues with congestion.

Wired ethernet points:All partner stands will have a CAT5 cable. This will allow a constant, stable connection. As you are directly connected to our network infrastructure via cable, your connection will not be easily disrupted. Additionally, this package will allow you to do heavier activity, such as streaming HD video, with a much greater degree of reliability.

Ethernet switch:If you would like to connect multiple devices using cable connections, you can use an ethernet switch.

Private wifi Router:The private wifi router is best if you would like to connect multiple devices wirelessly or mobile devices such as tablets and mobile phones.

Additional bandwith:If you want to do tech demonstrations with high bandwidth consumption this is the package for you.

General regulationsThe Exhibitor agrees to abide by all rules and regulations established or adopted by the Web Summit in the best interests of the exhibition. Please take note that there are rules and regulations pertaining to electricity, use of stand and safety, stand construction and shell-scheme booths as detailed in the exhibitor manual, to be observed by the Exhibitor.

Scope, dates, duration and opening hours1.1 The present Regulation includes the rules that regulate the organisation of Web Summit, as well as other events separately presented and under their own name.Should any unforeseen event or so-called “act of God” outside the responsibility or competence of Web Summit prevent an event from being held, delay its opening or force changes to be made in its Regulation, there will not be grounds for demanding an indemnity or the refund of amounts already paid.

1.2 This regulation is complemented, for each event, by its respective specific “Participation Rules” which are by nature special as regards Web Summit’s general regulation.

1.3 The scope, dates, duration and opening hours of Web Summit are those as specified in the exhibitor manual.

Admission conditions2.1. In events of the Web Summit, only official event ticket holders are allowed to participate.

2.2. Collective participations or groups of exhibitors are allowed, regardless of their nature as long as the names of respective manufacturers or producers of the displayed goods are mentioned.

2.3. Collective official participations organised by Countries, Chambers of Commerce, or other representing entities in accordance with the event’s objectives are also allowed, and must comply with articles 2.1. and 2.2.

2.4. Should any complaint be presented, by any exhibitor or by a third party, concerning facts done by a participant, and should Web Summit ascertain that these facts constitute violation of the present regulation or of Web Summit’s Anti-Harassment Policy, sanctions will be applied by Web Summit, which may include closing the stand. Should the actions carried out by the exhibitor give rise to a legal, administrative, or any type of suit, and the exhibitor be condemned regarding the same suit, Web Summit will carry out whatever is determined by the proper entity, as the case may be.These complaints must be presented within 24 hours maximum after the fact that originated them.

The exhibitor, to whom a sanction is applied by Web Summit, due to failure to comply with the present regulation, will not be entitled to any indemnity.

2.5. The exhibitor may not cede, under any circumstance, the right to occupy the stand, to promote or allow the promotion of articles or activities that do not comply with Article 2.1., except given explicit written authorization by Web Summit.

2.6. Failure to comply with Articles 2.4. and 2.5., as with any of the duties considered in the present regulation, may lead to the participation being cancelled and involve sanctions that may include closing the stand.

Registration, acceptance or registration, allocation of space, location3.1. Participation should be formalised by means of the contract and registration forms distributed by Web Summit, which must be completely and correctly filled out. This is a compulsory formality for participating in the event, and only the articles and the activities mentioned in the contract can be promoted.

3.2. Participation requests will be received until the date set out in the relevant sections of the exhibitor manual, with the possibility that participation may not be accepted hereafter. 3.3. From the moment of contract, exhibitors (in their own name and on behalf of the company or companies they represent) are committed for all matters and purposes to fully comply with all the rules stated in this Regulation. The location of the various activations is solely determined by Web Summit, thus during the allocation of space, the following factors are taken into consideration: Arrangement by activity sectors; Number of modules or area requested; Date of reception and registration of participation form by Web Summit’s services; Considerations of economic or technical nature; Harmony among the various contracted spaces.

3.4. Should the location of a given participation be made by direct acceptance, this will be done according to conditions determined in its own regulation, to be drafted by Web Summit, in which case what is established in the preceding article will not be applicable.

3.5. When determining location, Web Summit has the right to proportionally assign available space among exhibitors.

3.6. The location allocated to the exhibitor in a certain exhibition or other event does not imply any commitment on the part of Web Summit to always allocate the same space in any subsequent exhibition or event.

Exhibited products4.1. The presentation and distribution of products prejudicial to other exhibitors or visitors, that deteriorate the pavement and /or existing constructions is strictly forbidden. All exhibitors and their products must abide by the Web Summit’s Anti-Harassment Policy.

4.2. Exhibited products cannot be withdrawn during the time of the exhibition, save in exceptional cases, which must always have explicit written authorization from Web Summit. 4.3. Exhibitors may accept orders or make contracts concerning their production, but direct sales to the public with immediate delivery of exhibited products is forbidden. Only with explicit written authorisation from Web Summit can this norm be altered.

4.4. Special authorisation from Web Summit is required for products whose weight exceeds 2.000kg/sqm (if goods are to be displayed on the ground floor of the pavilions), or over 200kg/sqm (should they be intended for the first storey of a stand).

Assembly/disassembly and setting-up/dismantling5.1. Setting-up and decoration of stands can only take place with the presentation of the Crew or Load In accreditation. The details of obtaining the relevant accreditation is available in the relevant section of the exhibitor manual.

5.2. All Companies involved in setting-up and decoration of the stands are required to have a previous credential, which implies the presentation of an insurance policy for civil and professional liability, covering damage caused in the premises or to a third party and possible damage due to stoppage of Web Summit’s activities, in the amount of 1 000 000 .

5.3. Should there be a breach of regulation concerning setting-up and decoration of the stands and/or a breach of technical nature, Web Summit considers itself authorised to carry out the necessary procedures to correct it, which may involve closing the stand. The costs resulting from this corrective action will be charged to the exhibitor.

5.4. Web Summit reserves the right to place general indication panels or any elements that may improve the exhibition wherever it pleases. The exhibitors cannot remove or cover these indicators.

5.5. The setting-up and decoration of the stands must be completed by the date indicated by Web Summit before the beginning of the exhibition. If this norm is not complied with, the stand will not open.

5.6. Web Summit will determine the opening and closing times for setting-up and dismantling periods. Work beyond these established times requires explicit written authorisation from Web Summit, and involves payment of an overtime fee. The times and cost of the above mentioned fee will be mentioned in the Exhibitor Manual sent to the exhibitors.

5.7. Web Summit bears no responsibility in regards to the construction of stands and premises that are made directly by exhibitors.

5.8. Inside the pavilions it is strictly forbidden to load and unload material for the assembly of stands and displays in the longitudinal and cross-section corridors of the pavilions located in the alignment of the outer gates, so as not to obstruct the circulation of forklifts, hydraulic lifts, wheelbarrows and other equipment. Access in the terms mentioned will be allowed when this is proved to be the only means of access to the stand.

Stand size and layout, technical rules6.1. The basic characteristics of space used are set out in section 5 of the exhibitor manual. Other modalities of participation are possible, according to special conditions to be agreed upon.

6.2. During setting-up and decoration of their stands, exhibitors must comply with the rules laid out in the individual stand renders in section 5:

• Stands cannot exceed the height restrictions laid out in their relevant stand render.

• Higher requests should be subject to an assessment by the technical area with a 20-day minimal notice prior the date set for the beginning of the setting/up, and must enclose the plots, sketches and notes duly scaled.

• Electric installation in stands where no electrics are provided is the responsibility of each exhibitor, and must abide by the “General Safety Regulation of Low-Voltage Electric Installations”. It must possess general break switches of the differential type and a safety ground network. This work must be done by a professional duly accredited by the DGE (Direcção Geral de Energia General Energy Entity), or by the electricians Syndicate.

• The venue’s installations must be scrupulously respected, namely fire hydrants, extinguishers, loudspeakers, general indicators, television circuits, and fire detectors.

6.3. In the exhibition pavilions only fire resistant carpet, reference M3, can be utilized.

6.4. The on-site building of stands in the whole area of exhibition of Web Summit is strictly forbidden, as well as the use of cutting machines, welding machines, sanders and spray guns. Stands must be devised and prepared so that their construction can be obtained solely by assembling the elements that constitute them.

6.5. Available electrical power to be used is 230/400 Volts 50 cycles.

6.6. All electrical installations will be subject to inspection by Web Summit’s services since any connections to the main system can only be made by them. Web Summit will not be held responsible for connecting any apparatus to the main system that does not correspond to the information provided, and the exhibitors must name the person responsible for the stand’s electric installation project.Damage caused to the main system or to the specific point by these connections is the sole responsibility of the exhibitor.

6.7. Costs with electricity for lighting, conversation unit, ICT and WiFi are those mentioned in the Partner Add Ons page.

6.8. Requests for electricity and telecommunications must be ordered through the Partner Add Ons page. It is crucial that the voltage of the power to be installed in the stands also be inscribed in the abovementioned forms. It may be impossible to accept subsequent requests. Requests for special lines or circuits must be processed through Web Summit in the Partner Add Ons form. If they are not mentioned in the partner add ons requirements form they must be requested at least 14 calendar days prior to the beginning date set for setting-up. All special circuits or lines are subject to estimates. Whenever a third party does all the above-mentioned work, they must be supervised by Web Summit’s services.

6.9. Stand cleaning / maintenance is the responsible of the exhibitor, whether it be requesting the services of Web Summit, or can be ordered through the partner add ons requirements page.

6.10. Disassembly of the stands and removal of material cannot begin before the time officially set for closing the exhibition, except for special authorisation granted by Web Summit for this purpose.

6.11. Disassembly of stands and removal of the exhibited material must be concluded within the times set by Web Summit. Failure to comply with this deadline authorises Web Summit to remove the material and do with it as it sees fit, in which case Web Summit cannot be held

accountable for possible damage caused. This also implies that all costs resulting from the measures taken to remove these materials will be charged to the Exhibitor.

6.12. In order to remove any material from the stands, exhibitors must obtain an authorized exit note.

6.13. The premises must be handed over to Web Summit in the same condition as they were made available to the exhibitors, and all costs required making them so are the responsibility of exhibitors. Repair of occasional damage caused by carelessness or requirements of stand assembly, as well as costs derived from such assembly, are the sole responsibility of exhibitors.

6.14. Exhibitors are responsible for all the damage or harm caused by their structures, equipment, displayed articles or activities in their stand, as well as any actions of the subcontracted firms, that may bring harm to visitors and other exhibitors.

6.15. Any suspension from the pavilion structure (walls or any other structural elements) requires authorisation from Web Summit and can only be made by Web Summit’s partner add ons requirements page, as well as being subject to the price lists in effect at the time. Requests must be made 14 (calendar) days prior to the date set for the opening of the exhibition, and must enclose the suspension/rigging project and the weight to be suspended, so that its feasibility can be verified by Web Summit’s technical department.

6.16. Using the walls of the pavilions to suspend or hang any exhibited pieces, decorative or construction items, is strictly forbidden except with explicit authorisation from Web Summit.

Custom operations / official transporter7.1. Please refer to section 12 in the exhibitor manual for all guidelines regarding shipping and tariffs.

Admission8.1. Web Summit shall have sole control over all admission policies at all times. Any person visiting the exhibits or attending any function of the Meeting will be required to register and wear an appropriate badge while in attendance. Web Summit reserves the right to refuse admission or remove any person without giving a reason. This also applies to buildup and dismantling periods.

Insurance and responsibility9.1. Web Summit ensures only general surveillance services during the assembly and disassembly, as well as the duration of the exhibitions

and other events. Exhibitors must ensure safe keeping of their products in the times stated above, and possess a specific insurance policy made up specifically for their participation in the exhibition, which should cover all situations of robbery and theft. Exhibitors are forbidden to allow their staff to remain in the stand after the daily closing times of the exhibition, save for exceptional cases, where the presentation of written consent from Web Summit is required. 9.2. Civil Responsibility Insurance covering material or corporal damages suffered by accredited exhibitors or visitors is also the responsibility of exhibitors.

9.3. Article 5.2. of this General Regulation, concerns the Firms of assembling and decoration services.

Obligations and sanctions10.1. Stands must be open during the exhibition’s schedule, and the presence of a representative of the exhibitor must be ensured at all times.

10.2. Advertising in the exhibition’s premises must comply with the rules of the “Código de Práticas Legais em Matéria de Publicidade” of the Câmara de Comércio Internacional (International Chamber of Commerce’s Code of Legal Practice in Advertising Matters) no kind of advertising (static or dynamic) is allowed outside the specific area of the stand itself, nor in any other area of Web Summit’s premises, except in the areas deemed by the Web Summit, and in accordance with the respective price charts.

10.3. The following is strictly forbidden to all exhibitors, and contempt of this policy will lead to sanctions which may involve closing of the stand:• Corporate advertising;• Advertising that makes a direct comparison with third party articles

and/or products, whether he/she is an exhibitor or not;• Distribution of flyers and/or promotion material outside their

stands, save with official written authorisation from Web Summit;• All advertising which may in any way harm or bother exhibitors or

visitors;• Distribution of balloons filled with a gas that is lighter than air;• Promotion of products other than those on display and/or

in another industrial and/or business activity other than the exhibitor’s.

• All exhibitors must abide by the Web Summit’s Anti-Harassment Policy.

10.4. The following must be subject to specific written authorisation from Web Summit:• Organisation of demonstrations, tests or contests;

• Installation of audio equipment in the stands, which in any casemust not exceed 60 Db.

10.5. None of the products or equipment on display can be reproduced, drawn or photographed without written authorisation from their exhibitors. Except for the Web Summit’s official photographer, the entity authorised by the exhibitor will only be able to operate when duly accredited by Web Summit’s competent services, with a minimum prior notice of 48 hours before the date set for the inauguration of the manifestation in question.

10.6. Web Summit may have the articles on display in the stands reproduced, photographed, or filmed, and it may use their reproductions for purposes exclusively connected with its activity, namely the production of promotional material.

10.7. Photographs or films of the stands outside opening hours require explicit written authorisation from Web Summit.

10.8. In regards to the protection of industrial property, the clauses of the legislation in effect at the time are applicable, regardless of what comes to be included in the respective contracts.

10.9. Exhibitors are unequivocally committed to respecting all the rules contained in the present Regulations.
