This Exhibitor Manual has three parts,which are “General Information” , “Booth Construction” and “Travel and Hotel

Accommodation” .You will fi nd detailed information of the coming exhibition,please pay attention to the deadline for forms

submitting in this manual.

2. How to apply——log on “Exhibitor Center” channel on the event offi cial website to fulfi ll.

Please note that this service will be open on July 13 and closed on October 8,2020.

3. Where to collect——Exhibitors shall go to the east registration hall of New CIEC (the

place for exhibitor registration) to collect exhibitor passes through October 12-13,

2020. If additional passes are required, exhibitors should apply on site and pay RMB

50 for each additional one.

4. Usage of the passes——During the exhibition period (the construction and the

dismantling days included) all the personnel from exhibitors should have their exhibitor

passes on.

1. Construction safety

Please strictly follow the requirements of the Rules on Construction Safety when

setting up the exhibition stands.

During the booth construction period, all persons entering the exhibition hall should

wear safety helmets.

2. Property security

Exhibitors are kindly reminded to take good care of their belongings and take their

valuables with them. In case of emergency or encounter of suspicious persons, please

inform the public security offi ce of New CIEC immediately.

3. Furniture and fi ttings

In order to standardize the order of the exhibition, exhibition equipment, flowers or

green plants required for the exhibition can be rented from the venue or provided by

oneself. Please declare in advance if you need to bring your own equipment or plants.

4. Public aisles

After the construction, any exhibits, display tools and empty boxes in the public aisles

shall be moved away and public aisles shall be cleared of any obstructions.

No exhibitors will be allowed to take any exhibits out of their stands before that time

period.

1. Rules for dismantling

All boxed articles should have a bill of loading before the transportation out of the hall.

2. Deposits

According to the requirements of New CIEC, only after the inspection and verifi cation

that all the exhibition materials have been removed and all the wastes have been

moved out of the exhibition hall will the deposit of the exhibitor be returned to the

exhibitors. When taking back their deposits, exhibitors shall show the receipts of the

deposits.

1. Fire fi ghting and safety

Environment friendly and fi re resistant materials shall be selected for the construction

of stands.Push pull connectors without naked contacts will be used for power

connection.If terminals are to be used for connection,terminals must be completely

enclosed without any exposure (fi re resistant insulated and surface mounted boxes

can be used for the enclosure).Duplex insulation sheath copper wires shall be used

for all the electric wires and the insulating strength shall conform to the standards.The

conductor’s cross-section area shall be determined based on the power consumption.

The minimum cross-section of insulated wires for lights shall be 1mm2.For infl ammable

materials,fi re resistance material shall be painted on the surface.

Exhibitors are responsible and liable for their contractor’s observance of all rules and

regulations.

2. Restrictions of the exhibition halls

Height limit shall not be exceeded,and when found guilt of breach,the organizer is entitled

to ask the exhibitor for rectification.A clearance of 1 meter shall be kept between the

back side of the stand and the wall and clearance shall be 1.2 meters for fire fighting

equipment,toilets and junction boxes.No decorations shall be suspended from the

ceiling and no anchor device shall be fi xed on the fl oor,the wall or any other surface of

the exhibition halls.No adhesive shall be applied to the walls of the exhibition halls.Any

damage incurred by the construction and dismantling of the stand shall be indemnifi ed by

the responsible exhibitor.Any facilities within the stand shall be kept within the border of the

stand and exhibits shall impose no obstruction to other exhibitors.

All stands in the exhibition,irrespective of height,must have at least half of the frontage

on each side open or fi tted with transparent materials to the underside of the fascia.

3. Decoration of the back side

To ensure the overall consistence of the exhibition,exhibitors whose stands are higher

than their neighboring stands shall decorate the back sides of their stands above the

others.If any exhibitors found not in conformance to it,the host has the right to enforce

the regulation.

1. Exhibitors shall entrust the construction to competent companies with legal

construction licenses.

2. Please log on to http://pico-oos.com/CWP no later than 18 September 2020 for

submission of graphic construction plans and relevant requests.

3. Exhibitors shall inform their contractors to pay the construction administration fee and

make reservations for power, pressed air,water supply and so on to the pointed offi cial

stand fi tter company no later than September 18, 2020.

*At least 30% of the total fee will be surcharged if the payment overdue.

4. For detailed instructions of stand construction, please read Rules on Exhibition

Construction of New CIEC as well as the Details for Implementation.

Height limits: 5 meters

Maximum height for booths converted from standard ones or close to a wall is 3.5

meters.

Ground bearing: 5 tons /sq. m

Load bearing for suspension point: 50 kg / suspension point

Extra charges to be collected,suspension only for banner and fl ag.

Allowed time period to hang objects is subject to the organizer’s arrangement.

For fl ag hanging or other on site operations which will incur extra costs like overtime

fees,please contact the offi cial stand fi tter for details.

5. In order to reduce the risk of liability for the construction of special booths and to

ensure the safety and security of the site construction personnel, the contractor or

exhibitor must buy exhibition liability insurance, with the Limit of indemnity of the policy

for any one person not less than RMB 300,000 Yuan and the limit of indemnity of the

policy for aggregate not less than RMB 5 million Yuan.

To reduce the liability risk for the construction of booths and ensure the safety of

construction workers on-site, exhibitors or constructors are required to purchase

exhibition liability insurance with aggregate limit not less than RMB 6 million,then provide

the insurance policy to obtain the constraction permits.

1. The policy aggregate limit for each special booth is RMB 6 million. The limit per

accident is RMB 3 million, and the limit per person is RMB 300,000, including:

1) For the loss of buildings, various fixed equipment, ground and foundation of the

rented exhibition venue: the limit per accident is RMB 3 million;

2) For the pension, medical expenses, and other related expenses caused by the

bodily injury of the hired Chinese staff: the limit per accident is RMB 3 million, and the

limit per person is RMB 300,000.

3) For the pension, medical expenses, and other related expenses caused by the

bodily injury of third parties: the limit per accident is RMB 3 million, and the limit per

person is RMB 300,000.

The aggregate limit for the above three items is 6 million.

2. Deductible: The deductible per accident is RMB 1,000 for property damage and RMB

500 for bodily injury.

2.How to Insure

1) Using Computer: Go to the website “www.zhongzhanbao.com”, click the Immediate

Insurance, fi ll in the relevant information and follow the instructions.

2) Using Wechat: Scan the QR code, follow the official account, click “insure now”

– “Exhibition Liability Insurance”, fill in the relevant information and follow the

instructions.

3) After the successful payment of the premium , your E-insurance and E-invoice will

be sent to your registered email box.

4) Please provide the insurance policy to obtain the constraction permits.

V. Claim Process

1.Take photos: Take photos of the scene of the accident (refl ect the scene situation as

comprehensively as possible).

2.Report Case: You are required to report the case by phone within 24 hours since it

happened.

3.Please save ALL the relevant documents, including photos of the accident�

clarifi cations and receipts, etc.

4.Submit the claim documents.

5.Insurance Company will do the checking and reimbursement.

1. Furnishings/fi xings to be added

Exhibitors are not allowed to change the structure of the stand or have additional

furnishings/ fi xings.If the confi guration of the booth are to be moved or to be changed

(e.g. to add power supply,light boxes,or to change the lightings),the organizer shall be

informed before September 18, 2020 and the detailed design and explanations shall

be provided at the same time.Extra charges shall be collected from the exhibitors for

additional expenses incurred by the changes.If any violation of the rules or any related

incidents are found due to the change, the violating party will be held responsible for all

the legal consequences.

2. Conditions of propretary construction

In principle a booth with an area of less than 36 sq. m is not allowed to be changed to

raw space booth.If exhibitors do insist, they should send their requests in writing to and

ask for the approval of the organizer before September 18, 2020.

3. Height limits of the stands

The partition walls of the stands are 2.5 meters high and all the exhibits shall not exceed

the height.During the exhibition,any exhibits shall not be placed outside the area of

rented stand.Otherwise,the organizer has the right to ask the exhibitor to recover the

stand to its original status and pay for the relevant expenses.

4. Fascia boards processing

Fascia boards will be produced by the organizer.Included on the fascia boards are

Chinese and English names of the exhibiting company and the booth number.Exhibitors

are not allowed to change the contents of the fascia boards and add any logos without

the permit of the organizer.

1. The person in charge of exhibiting shall be the one who responsible for the safety

of stand.He/she shall inform the team members and the construction workers of the

safety rules of the exhibition and put safety at the highest priority.

2. Power consumption (lighting included) of each shell scheme booth shall not be more

than 1000W and application shall be made in advance if that limitation is going to be

surpassed.

3. Storage of gasoline,bananaoil,thinners,and paint as well as other inflammable and

explosive materials in the halls are strictly forbidden.Fire fi ghting equipment within the

exhibition halls are not allowed to be relocated and access to them is not allowed to be

blocked.

4. Facilities within the exhibition halls shall be taken good care of and no advertisements

shall be put on doors,windows, walls,pillars,as well as other public facilities.No damage

to the interior decorations of the exhibition halls shall be made.

5. Smoking and alcohol within the exhibition halls are strictly forbidden.

6. Valuable articles shall not be kept in the halls overnight.After an exhibition hall is

closed,the person responsible for the safety of stand shall check the completeness of

exhibits and switch off power when he/she leaves.

7. A list of articles transported into the exhibition halls shall be prepared by each exhibitor

and a note of approval shall be presented in order to take these articles out of the

halls.

The Regulation issued by The Fire Control Bureau of Beijing Municipality requires that

the empty boxes and the waste are not allowed to remain inside the exhibition halls

during show period.The exhibitors are kindly suggested to take them out of the halls

after move-in,or to entrust the offi cial forwarder with the storage of empty boxes.All the

boxes and the waste left at the public area (in aisle and behind the booth) every day

after the hall are closed will be at the disposal of the event organizer.

1. Halls are open for exhibitors at 8:30 am every day and will be cleared and closed at

4:30 pm.Exhibitor personnel shall leave the halls after all the visitors are out and no

overtime will be permitted.There will be no break time at noon and stands shall remain

attended during lunch time.

2. Exhibitor personnel shall wear their passes to get inside the halls and the passes shall

not be given to others.In case one of the personnel shall be changed,a fi ling shall be

made with the New CIEC.Loss of exhibitor passes shall be reported immediately and a

new one can be issued against the verifi cation of the exhibitor.

3. The CWP requires that the operating volume of equipment at any exhibition booth

during the display of exhibits is 70 decibels at maximum but permits an excess of 10-

20 decibels for a short period of time; and allows special performances approved

by the Organizing Committee to exceed the maximum volume by 10-20 decibels for

a short while, for which the Organizing Committee has the right to set the display

timelines and durations of the exhibits according to the special circumstances of the

concerned booths.

4. Order within the halls shall be kept and instructions from the host of the exhibition shall

be followed.No leafl ets shall be distributed in the aisles.When too many visitors crowd

in one place,assistance shall be provided to the staff of New CIEC to guide the visitors

out and to avoid any hazards.

1. Counterfeit and inferior products are prohibited to be displayed in the exhibition and no

illegal copying of software shall be allowed.No overstatement or infringe of third party

rights in marketing materials shall be included.Any unfair competition methods such as

building oneself by belittling others will be opposed.

2. Exhibits shall have legal trademark registration certificates or valid authorization/

engagement letters issued by the trademark owners.Exhibits shall be cleared of any

infringement of trademarks or any other intellectual property rights.If an exhibitor is

found guilty of breaching,all the legal consequences thereof shall be taken by it.

In order to standardize the order of the exhibition, exhibition equipment, fl owers or green

plants required for the exhibition can be rented from the venue or provided by oneself.

Please declare in advance if you need to bring your own equipment or plants. The

specifi c declaration process is as follows:

1. The declarer must be exhibitors or booth contractors;Exhibitors' exhibits and special

customized materials can enter the venue without declaration

2. Declaration materials must be submitted to [email protected] before 17:00

September 22,2020 (Sundays and holidays excepted), with name of the exhibition as

the email title. Overdue declaration mail will not be processed by our company, which

may result in the failure to enter in the venue of the materials.

All construction units entering the exhibition hall shall consciously abide by the rules and

regulations in the exhibition hall and the exhibition, and accept the supervision and law

enforcement by the relevant authorities of the exhibition hall and the exhibition. If the

construction units are in violation (fi ll the exhibition name, location, building and exhibition

date by the Pico staff) of the regulations, the host operator (Beijing Pico Exhibition

Management Co., Ltd., hereinafter referred to as Pico) shall have the right to stop and

require rectifi cation within a time limit, and shall be entitled to require the construction

unit to pay liquidated damages on a time basis at a specifi c amount under this document.

For accidents occurring during construction, exhibition, dismantling and transportation,

the construction unit shall take full responsibility and compensate for all economic losses

and reputation losses suffered by the exhibition hall, organizer, host operator and any

third party.

Remarks:

1. PICO will notify the construction unit verbally or by written notice of the rectifi cation

within a time limit according to the specific violation, and determine the extent of

the violation with the opening time as the node. Violations after the opening of the

exhibition will be considered severe. The amount of liquidated damages for the same

violation at different stages shall be accumulated.

2. PICO has the right to deduct the penalty undertaken by the construction unit under

this document from the construction deposit, and the shortfall shall be paid by the

construction unit later. For any construction unit refusing rectifi cation after receipt of

the notice or making repeated violation, PICO has right to cut off its power supply and

stop the construction, and deduct all construction deposits.

3. PICO will take measures including doubling its construction deposit in its exhibition

site, giving publicity in the industry, etc. according to the extent of the violation of the

construction unit in this exhibition.

4. Once signed with seal, this indicates that the construction unit has read and voluntarily

accepted these constraints under this document.

considered invalid without an offi cial seal affi xed.

2. When dismantling the booth, the construction unit will have to

clear up all booth construction materials and garbage before

3. If any accidents, damage to exhibition facilities or littering occur

during the exhibition, and Pico company is not informed, the

losses thus incurred will be deducted from the deposit.

4. All construction units and exhibitors' construction documents

should be returned to Pico company on the day of

dismantlement. For any losses that occur, the corresponding

amount for the documents should be deducted from the

deposit.

5. This form only accepts the confi rmation and signature of

charge, the construction unit should take full responsibility for

any problems caused by signing other person's signatures.

Important - Due to the Customs System updating, all air consignments now require

HAWB manifest data in the customs system. Therefore please consign the air

consignment under MAWB with back to back HAWB. The consignee and notify party on

MAWB and HAWB are not the same. Otherwise air consignment under MAWB without

HAWB will no longer be distributed to our airport warehouse, which will take longer time

for customs clearance and incur more cost for terminal handling.

The right of explanation to this shipping guideline belongs to CIETC.

Exhibitors shall be responsible for the consequences of improper packing.

1) Protection against damage and rain

As exhibits are repeatedly loaded and unloaded during transportation, shocking/

bumping will sometimes be inevitable. Moreover, exhibits will be placed outdoors

many times, including open-air storage at the exhibition site before and after the

exhibition. Therefore, exhibitors must take necessary precautions against damage

and adverse weather conditions, since we can not assume any responsibility for the

damage, especially when return exhibits are to be packed with used packing materials

(such as aluminium foil, plastic covers etc. would have already been damaged during

unpacking) .

2) The case must be strong enough to avoid damage during transportation as well as

unpacking, and in particular, be suitable for repacking after the exhibition. Packing in

cartons is not considered to be suitable for repeated handling, especially for valuable

or delicate items.

Before we deliver exhibits to the exhibition site for move-in, Please send your staff or your

agent to the bonded warehouse to assist us in unpacking and repacking in order to make

it easy for China Customs and China Quarantine to carry out their offi cial inspections.

The date will be informed at request beforehand. Exhibitors are highly recommended that

their representatives are present on-site during move-in & move-out period to supervise

Quarantine inspection

and fumigation

positioning, unpacking and repacking of exhibits, as the on-site operations will be carried

out at exhibitors’ risk.

We will not be responsible for delay of customs declaration and positioning /displaying

of exhibits due to late arrival of exhibitors’ representatives or without receiving explicit

instruction from exhibitors beforehand.

According to China Customs regulations, exhibitors should not take any item of their

exhibits temporarily-imported from abroad out of the exhibition hall before, during and

after the exhibition period without prior arrangement with China Customs through the

offi cial freight forwarder. Otherwise, exhibitors themselves shall be responsible for any

confi scation and fi nes arising therefrom.

During the move-in and move-out periods, especially when dispatching return shipments,

all exhibitors or agents should be on-site and follow the arrangement of our on-site staff

strictly. If exhibitors or agents will not turn up or take action without the permission of our

on-site staff, we will not be responsible for any result or damage arising therefrom.

If exhibits are repacked with used packing materials, these packing materials are no

longer regarded as suitably protecting exhibits against damage/moisture compared with

the originals. Exhibitors shall therefore bear the responsibility for the consequences

arising therefrom.

1)For cargoes with wooden packing

Effective from 01 January 2006, Chinese Quarantine Authority strictly requests that

all cargoes with wooden packing, from all countries and regions, must undertake

fumigation treatment. Details please refer to as follows:

● Observe Requirement

All import wood packaging materials should be treated by Heat Treatment (HT) or

Methyl Bromide (MB) fumigation at the origin, and put the Mark of IPPC (as below) on

two opposite sides of the wooden packaging material.

The Mark should contain the valid symbol approved by IPPC, country code,

unique number of producer / treatment designated by the National Plant Protection

Organization (NPPO) of exporting countries and treatment methods (HT, MB).

If the wood packaging materials without the approved mark or with approved mark

being intercepted the alive harmful pest, the packing materials will be fumigated or the

cargoes will be returned to the origin.

2) For foods, animals, plants and their products

i) For animals/plants and their products including live animals/plants, seeds, dairy

products, fresh fruits, Declaration form and Temporary Import application should be

submitted to us in advance, and shipments can only be shipped after the permission

of Chinese AQSIQ authorities. (it will take 30 working days to apply for import permits

from AQSIQ).

ii) For processed and well packed foods, including wines, fruits, vegetables, tins,

seeds, etc. exhibitor are required to submit the following certifi cates to China Entry &

Exit Inspection and Quarantine before move-in to the booth.

a) Certifi cate of original;

b) Health and sanitation certifi cate issued by the government department of the export

country.

iii) If exhibits under the category of fresh fl owers (without soil) are intended for relative

and specialized exhibitions, the exhibitors must submit the offi cial quarantine certifi cate

(the original one issued by the country where such cargos are transported from) to the

Quarantine Authority of China through us, and such cargos can be delivered to stands

only after their inspection from the Quarantine Authority of China.

NOTES:

For above food & beverage samples, exhibitors are required to ship cargos according

to the deadlines in our shipping guideline, it will take 10 working days for quarantine to

practice the further inspection by taking some samples in order to advise whether or not

the samples can be tasted or consumed during the show; otherwise, all the samples

should be for exhibition purpose only and should be re-exported or abandoned for offi cial

fi nal disposal of it after the show.

According to the quarantine inspection authority, any kind of meat and dairy products are

not allowed to be imported into China. So exhibitors are suggested not to transport or

carry any of the said products.

All the charges of quarantine inspection and / or fumigation for the incoming and

return shipments will be levied according to our Tariff.

It is stipulated by the Chinese Customs Authority that:

“ Advertising materials, literatures and audio/video materials including films, lantern

slides, recording tapes, video tapes, optical discs and magnetic media products, records,

photos, maps, illustrations, directions, souvenirs, gifts, given-away and other publicity

materials shall be allowed for display or used at the exhibition only after exhibitors have

presented beforehand the above mentioned materials to Customs Offi cers for inspection

and approval . According to the current practice, the allowed distribution quantity of

Videotape/CD/VCD/DVD is limited to 199 pieces. Books and magazines with ISBN will

not be accepted.

Therefore, exhibitors shall not make use of these materials before censoring. For this

purpose, exhibitors should send samples of the above materials (2 copies) to us on

site before the exhibition. All these materials will be handed over to the customs for

inspection in advance.

All exhibitors are requested to have their exhibits fully covered insurance for the whole

in/return journey, including exhibition period. A copy of the insurance Policy should be

brought to the fair in case of any necessary survey.

CIETC will not be responsible for any loss of or damage to exhibits which are not insured

by exhibitors.

Some of the above items are prohibited/limited to be moved in to the exhibition hall,

and the carriers (Shipping Line and Airline) will only accept those cargoes subject

to availability. So before shipping those items to the fair, please submit us all the

specification and volume of the cargoes for checking with the relevant parties for

confi rmation.

During the exhibition, our staff on site will go to your booth to confirm and check

the related issues about disposal of exhibits and fill out the “INSTRUCTIONS FOR

DISPOSAL OF EXHIBITS”.

Exhibitors must pay special attention to the following customs regulations:

A) Declaration of contents in each package must be correct.

B) Items(e.g. personal effects, souvenirs bought into China etc.) other than those

declared exhibits are absolutely not allowed to be returned together with exhibits.

C) Everything, having been declared to the Customs before the exhibition opening,

must not be disposed or taken away by exhibitors without being declared to Customs

after the closing of the exhibition. Otherwise, exhibitors should be responsible for any

penalty by the Customs arising therefrom.

HAWB must be manifested by airline. If shipments not following our consignment

1, Container detention & demurrage fee is counted from the date of the vessel arrival

Xingang port till the day of empty containers return to Xingang port container yard, or till

the day of the full loaded containers with return exhibits return to carriers at Xingang port.

Free time and detention exceeding free time period is calculated in calendar days.

5. Exhibits arrival beyond deadline, an surcharge for 30% of the amount of inbound

movement charges will be collected.

6. If sea-freight , air-freight and duties are required to be prepaid by CIETC, a

commission of 2.5% of the prepaid amount will be collected.

7. If exhibitors or overseas agent don’t settle all account before the deadline according to

SHIPPING GUIDELINE, late fee of 1.5‰ of invoice amount per day will be charged.

8. Upon requirement, exhibits’ bandage, fi xing, and pad cushion in container (including
