EXECUTIVE SECRETARY JOB DESCRIPTION QUALIFICATIONS: 1. High School Diploma. 2. Demonstrate competence in the use of business machines and computers. 3. Two years of post-secondary training and five years' job experience as a secretary or graduation from a recognized school of secretarial skills and two years' job experience; or five years' successful employment as school secretary within this district or in another district of comparable size. 4. Such alternatives to the above qualifications as the Board may find appropriate and acceptable. REPORTS TO: Superintendent JOB GOAL: To assist in the administration of administrative business affairs and relieve supervisor of paper work and impediments so that maximum attention may be devoted to the central problems of education and educational administration. PERFORMANCE RESPONSIBILITIES: 1. Obtain, gather, and organize pertinent data as needed, and put it in usable form. 2. Process pertinent incoming correspondence as instructed as associated with the specific position. 3. Place and receive telephone calls and record messages. 4. Compile and prepare agendas for weekly administrators’ meetings. 5. Perform any bookkeeping tasks associated with the specific position. 6. Process requests for use of district facilities. Bill and collect facility rental. Maintain facility rental files. 7. Schedule appointments for Central Office Conference Room use. 8. Maintain files on master schedules, emergency plans, vandalism, etc. 9. Process necessary documents regarding student related accidents and other accidents that happen in the district, but do not relate to workmen’s compensation or to transportation. 10. Maintain Sixteenth Section land lease files. Bill and collect annual lease payments. 11. Performs such other duties as assigned by the Superintendent. TERMS OF EMPLOYMENT: Salary and work year to be established by the Board of Trustees.
