    NOTES

    1. Contractors are allowed to workinside the halls during build-up and breakdown.

    2. Exhibitors are allowed inside the hall from 0900 to 1800 hours during exhibition days to

    service their stands.

    3. Contractors and exhibitors are requested to bring in pre-fabricated booth structures at siteto avoid any delay in setting up the booth structure and should also strictly observe that

    CARPENTRY, PAINTING AND WELDING WORK inside the halls is NOT

    permitted. Only assembly of the display, and minor finishing / touch up is allowed.Contractors violating this guideline will be prevented from continuing work at the exhibitors

    stand inside the hall.

    IMPORTANT

    4. Exhibitors / contractors are requested to restrict entry of temporary labour staff during

    buildup and breakdown for security reasons.

    5. The hazardous and toxic materials are strictly prohibited inside the halls. Equipment

    emitting smoke and noxious fumes is not allowed to be operated inside the halls.

    6. Smoking, spitting & cooking is strictly prohibited inside the halls.

    As it is impossible to provide complete protection against theft, exhibitors should

    ensure that their exhibits are properly insured. We do remind you that you are responsible for

    your exhibits at all times and that they will be at greatest risk during buildup and breakdown.

    Do not take chances with your valuables - once they are lost, it will be very difficult or

    impossible to recover them. The manager will accept no responsibility for losses or damages of

    1. ADMISSION

    Entry to Site

    Entry for exhibitors and conference delegates issuggested from Gate 9 of India Expo Centre &Mart. Visitors registration counter will be locatedat the lobby. The exhibition will be open to

    business visitors from 1000 - 1800 hours. Children(under 16 years) will not be allowed entry.

    2. BANKS

    Oriental Bank of Commerce is situated in thecampus of the India Expo Centre & Mart and will

    be operative during the exhibition period. Foreignexchange facility will be available at the ground

    floor, India Expo Centre & Mart.

    3. BUSINESS CENTRE

    Photocopying, fax, telephone and other businessneeds will be provided on site at the BusinessCentre located at the exhibition site.

    4. CAR PARKING & SERVICE PASSES

    Goods vehicles will be allowed entry into IndiaExpo Centre & Mart only through Gate no. 9during build-up.

    Exhibitors and visitors are advised to park theircars through Gate 9 & 10 and other designated

    venues.

    5. CATERING

    Several kiosks for fast food and snacks will operateat the food court of the exhibition ground.

    6. EXEMPTION OF DUTIES

    6.1 Exemption from Payment of Central

    Excise

    The DIREC 2010 exhibition & conference hasbeen approved by the India Trade PromotionOrganisation (ITPO).

    6.2 Transport Decleration Form Entry intoGreater Noida city

    EXHIBITS MOVE-IN AND MOVE-OUT FOR

    DISPLAY AT INDIA EXPO CENTRE & MART

    Trade Tax Liability for exhibits carried forexhibition at the India Expo Centre & Mart, Greater

    Noida, Uttar Pradesh.

    Exhibitors may please note, no sale is allowed

    during the exhibition.

    As the trade tax department has abolished the

    check post, hence all goods that comes across the

    border or goes back requires transit pass which isavailable at www.comtaxup.nic.in

    Exhibitors from states other than Uttar Pradesh

    have to fill in the TRANSITPASS online athttp://www.comtaxup.nic.in/Transit.aspx

    After filling in the details in the link, kindly take a

    printout of the same and ensure that yourtransporter carries it along with the goods beingtransported.

    Along with the above printout, please attach a

    copy of the following documents:-a) Packing Invoice with details of exhibits

    b) Allotment (Participation) Letter from theorganiser / manager

    c) Vehicle Registration Certificate

    d) Drivers Licensee) Vehicle Insurance Certificate

    6.3 Import of exhibits from overseas

    As per Government of India rules, import offoreign exhibits will be allowed without paymentof import duty, import license, or customsclearance permit, provided the same are re-exported within a period of six months from thedate of import, or any other period stipulated bythe customs authorities. This facility is availableto only those foreign exhibitors who have paid

    for space in foreign currency.

    6.4 A re-export bond

    Temporary imports into India require any one ofthe following bonds to be submitted to the customsauthorities by the exhibitor: (1) Bank guarantee (2)Embassy guarantee (3) ATA carnet. The detailed

    procedure and guidelines in connection with

    customs clearance of imported exhibits, will besupplied to foreign exhibitors by the OfficialClearing, Forwarding and Shipping Agent, RERoger Worldwide.

    7. EXHIBITION HALL SPECIFICATIONS

    Halls 1,3,5 (Ground Floor): 14,000 sqm grossHall 2 (2nd floor) : 3200 sqm grossHall 4 (2nd Floor) : 860 sqm grossCeiling Height : 5 mFreight Entrances: 5.7 m width x 7 m heightFloor Strength : 1,500 kg per sqm.

    8. HANDOVER OF HALLSThe halls have to be handed over to the India ExpoCentre & Mart promptly on the final day of

    breakdown. Exhibitors must ensure that theirexhibits and stand materials are removed bymidnight on 29 October 2010. The manager willdispose off any items remaining in the hall beyondthis time, and the management will not acceptresponsibility for any loss or damage. Costsinvolved will be borne by the defaulting exhibitor.

    9. INSTALLATION

    9.1 Carpentry

    Contractors and exhibitors are requested to strictlyobserve that carpentry inside the halls during

    build-up is not permitted. Only assembly of thedisplay, and minor finishing/touching up isallowed. Contractors violating this guideline will

    be prevented from continuing work on theexhibitors stand inside the hall.

    9.2 Completion

    Installation of stands / booths should be completedby 1200 hours on 26 October 2010. Generalcleaning of the exhibition hall will be carried outimmediately thereafter and carpeting of aisles

    undertaken for the Hall to be ready by 1700 hours

    on 26 October 2010, for inauguration of theexhibition.

    9.3 Waste

    Exhibitors are advised not to throw waste materialfrom their stands on the aisles.

    9.4 Crates and Positioning Equipment in

    Relation to Aisle

    Empty cases / crates should not be left in the aislesto ensure the safety of all SHOW participants.

    10. COURIER SERVICE

    Courier service will be available at the India ExpoCentre & Mart premises during the exhibition.

    11. POSSESSION OF STANDS

    Space only: On 24 October 2010 from 1000 hrsonwards

    Shell Scheme: On 26 October 2010 from 1000 hrsonwards

    Exhibitors using any contractor other than the official

    stand construction contractor for their stalls, will get

    possession, only if drawings / designs for their stands

    have been approved by the manager (please see Form

    8, Page no. 27).

    Possession of indoor stands and outdoor space will be

    given to those exhibitors who have made FULL

    PAYMENT, and have provided security deposits as

    applicable.

    12. REMOVAL OF EXHIBITS

    12.1 Exhibits will NOT be allowed to be taken outof the exhibition halls during the exhibition

    period.

    12.2 Removal or delivery of exhibition stores in orout of the exhibition hall is not permittedduring the open hours of the exhibition. Suchremoval, delivery or replenishment of stockmay only be carried out before opening hoursin the morning or after closing time in theevening. If you wish to remove any item, a"GOODS REMOVAL PASS" must beobtained from the show management officeduly signed and stamped by the managers.

    12.3 Goods removal pass: At the close of theexhibition, in order to remove your goodssmoothly, safely and easily, the following

    paperwork must be carried out:

    i) Make 4 copies of an itemised listshowing equipment and materialrequired to be exit from India ExpoCentre & Mart. These copies must be on

    the exhibitor company's letterhead, dulystamped with the company's official sealand signed by an authorised person.Sample of the Gate Pass form is on pageno. 45.

    ii) Get all copies attested and stamped byExhibitions India Pvt. Ltd., themanagers.

    iii) These must be submitted to the showmanagement office latest by 1600 hours on28 October 2010. The managers will not beresponsible for delay to exhibitors in removalof goods if goods removal passes are notreceived by the manager by the due date andtime.

    iv) The signing and stamping of 'Goods RemovalPasses' will commence at 1600 hrs on 29October 2010.

    13. STORAGE AND WASTE MATERIALS

    The manager is unable to provide storage facilities in thehall for packing cases, surplus materials or other propertyof the exhibitors. Arrangements for safekeeping of suchitems must be made with the official freight forwarder.

    During move-in, construction of stands and removal ofexhibits, the passageways in the exhibition halls must not

    be obstructed with packing materials, constructionmaterials or debris. Contractors are responsible forremoving their own cuts-offs and waste on each day of

    build-up and breakdown. Use of passageways behindstalls for storage of empties, waste or surplus material, isstrictly prohibited.

    Exhibitors are requested to place their waste in the aislefor removal by the cleaners after show hours. Themanager reserves the right to invoice exhibitors for

    excessive packing materials and discarded crates orcartons.

    14. TRANSPORT

    14.1 Goods VehiclesAs per India Expo Centre & Mart rules, entry andexit for vehicles carrying exhibition goods willonly be allowed through Gate no. 9. Goodsvehicles will not be permitted inside India ExpoCentre & Mart during exhibition days and duringshow open hours.

    14.2 Shuttle Services

    Please contact the travel desk for shuttle services to

    assist you.

    14.3 Rental Cars

    Rented cars are available through various car rentalcompanies and travel agencies. Please contact your

    hotel reception for this service.

    15. PERSONAL BELONGINGS

    All exhibitors / participants must take care of theirpersonal belongings at all times. The organiser / managerswill not be held responsible for any damage / loss etc.

    INTERNET CONNECTIVITY

    OUTDOOR SPACE

    Outdoor space is offered on chargeable basis only to thoseexhibits who cannot normally be accommodated incovered Halls.

    If exhibitors construct an office / conference room tosupport the exhibits on display, such construction shouldnot exceed 33% of the total area of the plot. A rope cordon

    by the exhibitor must demarcate the boundary of the plot.

    Exhibitors using outdoor space will be charged for powerload if applicable, minimum of 1 kw for 9 sqm.

    Empty cartons will not be allowed to be kept at the openair display. These may be stored with the official freightforwarder.

    PLANT HIRE / FLORAL

    DECORATION

    POWER SUPPLY

    For raw space, power connection from themain distribution box (DB) inside the exhibitors area willbe provided by the official contractor commencing 24October 2010 at 1300 hrs.

    Connection to the exhibitors equipment from thedistribution box (DB) inside the exhibitor's area will beoperated by the exhibitor. A work completion-cum-listingreport must be provided to the official electrical contractorafter the exhibitor has completed his work by 24 October2010 at 1400 hrs.

    General Rules and Information Relating to Power

    Supply

    i) The official electrical contractor must approve all

    electrical work.

    ii) Each stand will be provided with electric power atone or more main points depending on therequirement. Exhibitors should use distribution

    boards, individual isolation switches for exhibits, andinsulated cables or metal conduits for connecting

    power supply to exhibits.

    iii) Exhibitors who use power for general lighting andrunning of equipment/exhibits in excess of theirspecified load will attract penalties and/or

    disconnection.

    iv) Exhibitors must install separate and independentswitch connections for each exhibit. Alternateconnections or throw-over switches are not allowed.Power load is not allowed to be taking from thesockets.

    v) All the main electrical supply points must be kepteasily accessible for operation and repairs in theevent of emergency. Main electrical supply pointsshould not be concealed or covered.

    vi) The wiring work must be carried out to the

    satisfaction of the official electrical contractors andapproved by them.

    vii) Exhibitors are advised to install equipment likevoltage stabilizers/UPS for their sophisticatedexhibits. If the exhibits are sensitive to the alignmentof the floor, placement of steel plates underneath isrecommended.

    viii) Exhibitors are advised to exercise the highest

    levels of safety precautions and engage the

    services of only qualified professionals for

    electrical wiring and installations.

    RAW SPACE BOOTH - PLAN

    APPROVAL

    1. Plan Approval

    Exhibitors who have reserved 'raw space' and are

    using a contractor other than the official standconstruction contractor, must submit the layoutdesign of their stands in triplicate, for approval bythe manager. This is to prevent costly alterationson site being required by the hall owner and themanager. Deadline is 31 August 2010.

    These plans shall include elevation drawings.One set of the drawings duly approved or withsuggested modifications, if necessary, will bereturned to the exhibitor. Actual construction anddisplay in the stand must strictly conform to thedrawings approved by the manager.

    2. Rules & Regulations

    i) Exhibitors are responsible for their ownstand design and construction. Themanager would be pleased to offer adviceand guidance if required.

    ii) The following are strictly prohibited:

    Stage shows or presentations without

    prior permission in writing from themanager & without a concept note onthe proposed show.

    Storage of any kind, behind the

    display walls.

    Suspending of display items from the

    Hall ceiling or parts of it.

    Cloth banners.

    iii) The maximum height of any stand shouldnot exceed 2.5 mtrs unless approved bythe manager.

    iv) Height of side partitions will be restrictedto 2.5 mtrs from the ground. If there isany difference in the level of partitions ofany two adjacent stands, the exhibitorwith a bigger height shall finish properlythe portion extending above the

    neighboring stand.

    v) Height of panel against natural back wallalong the periphery of the Hall will beallowed upto 5.0 mtrs subject toavailability of Height.

    vi) Access must be given to any Fire Exit,Electrical Box, Service Room etc. fallingwithin the exhibitors stand area. It ismandatory to leave minimum oneopening in the partitions against thenatural wall to provide access forelectrical fittings etc.

    vii) All open or unfinished sides of the exhibitspace, which may appear unsightly, must

    be covered or the organiser will have

    them covered at the Exhibitors soleexpenses @ Rs 700 per sqm. Any portionof the Exhibit bordering anotherExhibitors space must have the backsideof the portions finished and not carry anyidentification signs or other marks thatcould detract from the adjoining exhibit.

    viii) All exhibit floor space must be fully

    carpeted or covered.ix) Woodwork in the halls is prohibited.

    Platforms/ Panels and other decorationsfor the interior must be brought in

    prefabricated condition. Only assemblyand finishing will be allowed in the Hall.Spray painting inside the Exhibition hallsis strictly prohibited and any exhibitordoing so shall bear the risk of disconnection of power supply to the

    stand.x) For island / 3 side open stalls it is

    mandatory for exhibitors to design theirstands in such a way that there is noobstruction on any of the open sides. Thiswill ensure free movement and giveexhibitors a feel of openness andtransparency. Exhibitors are not allowedto obstruct the view or adversely affectthe displays of other exhibitors. For themeeting room, solid Partitions upto 1.2mtrs and see-through glass / clear acrylic

    partitions for the balance 1.3 mtr on top

    may be used. The manager reserves theright to turn down approval for standswith any of the open sides blocked.

    xi) A maximum of 70% of Stand area may beused for exhibits and the balance 30%must be left free for circulation. Theexhibitors shall not arrange the display ofmaterial in a way that would obstruct thePassage area.

    xii) Natural Pillars falling within stand areamay be covered to a height of 2.5 mtrsonly. Stands with over 100 sqm area maycover pillars upto a height of 5.0 mtrs

    subject to approval and availability ofheight.

    xiii) The manager reserves the right tochange/alter/remove any exhibitinterfering with the aesthetics of theexhibition or hinders the general public inany way.

    xiv) Grouting is permissible in limited Hallswith prior permission from the groundauthorities. Exhibitors are advised to

    submit relevant drawings for clearance.Any damage to floor or structure, fittings

    etc will be charged @ Rs 1,000 per hole.However, grouting is not permitted.

    xv) To avoid inconvenience to other exhibitors and to enable the managers tocomplete repair work of passages, cableducts etc., before the exhibition starts,exhibitors are requested to move in theirexhibits within stipulated time given.

    xvi) Electrical wiring and installation must bedone by Exhibitors through registered

    professional technicians using properwiring switches etc. so as to ensuresafety. The manager shall not beresponsible or liable in case of anymishap due to use of sub - standardmaterial or unskilled labour.

    xvii) All wiring must be carried out in PVC,Electrometric or other plastic sheathed

    cables. No exposed means of cable jointswill be permitted.

    xviii)Lamps and appliances with hightemperature surfaces should be guardedand used well away from combustiblematerials

    xix) No light fitting or other appliance may besuspended from the roof of the exhibitionhall.

    xx) The manager reserves the right to removeany installation, which in their opinion isdangerous or likely to cause annoyance tovisitors or other Exhibitors.

    xxi) In order to take care of voltagefluctuations, the Exhibitors are advised tofix up constant voltage transformers orinsulation transformer or stabilizers.Exhibitors are encouraged to use MCBwherever necessary. The main supply

    points and electrical installations in thestand should be easily accessible andshould not be concealed.

    xxii) The decision of the manager as regardsthe approval of the plan shall be final and

    binding upon exhibitors and the workmust be carried out as per the approved

    drawing only.xxiii)Exhibitors must submit 4 copies of the

    design of the stand clearly detailing thedesign along with the floor plan forapproval, latest by 31 August 2010. A

    penalty of Rs 50,000 will be levied ondrawings received after this date. Thedrawings must also clearly show layout ofexhibits, logo details, supporting standelectrical points etc. and clearly indicate

    wall / panel height, exhibits, meetingrooms etc.

    xxiv) In case any pre-fabrication is done by anyExhibitor before the approval of thedesign by the manager, the Exhibitorshall be bound by the changes /modifications advised at the time ofapproval of the design and to change thesaid pre-fabricated structure or any otherfeature so as to adhere to the basic design

    guidelines.xxv) An exhibitor whose design has been

    approved by the organiser / managersmay only commence erection on or afterthe due date. No exhibitor shall beallowed to start work on their standswithout the prior approval of the plan.The decision of the organiser / managersas regards to the approval of the planshall be final and binding upon exhibitors

    and the work must be carried out as perthe approved drawing only.

    xxvi) The exhibitors must keep one copy of theapproved drawing at the work site.

    xxvii) All displays will be inspected during theset-up days and any exhibitor deviatingfrom the regulations must makemodifications as suggested by themanager on his own expense prior to theshow opening.

    xxviii) All exhibitors stand must be completedin all respects by 1800 Hrs on 26 October2010.

    3. Mezzanine FloorMezzanine floor maybe permitted to beconstructed inside the hall having an area ofminimum 100 sqm subject to payment ofadditional space rent and on the followingconditions:

    Area of mezzanine floor shall not exceed

    20% of the stand area subject to a maximumof 100 sqm.

    Maximum height of the floor of mezzanine

    shall not exceed 2.1 Mts.

    The railing on the sides of the mezzanine

    shall be of transparent material in the portionextending beyond 2.5 mts. height from theground level.

    A structural engineer shall duly certify the

    stability of the structure of the mezzanineand the organiser / managers shall not beheld responsible for any mishap due to thesub-standard design/workmanship/materialused for the construction of the mezzanine.

    The construction of mezzanine shall be

    permitted only if, in the opinion of theorganiser / managers, it is not obstructing the

    The use of mezzanine floor area shall be

    subject to payment of 50% of the basic spacerentals of Delhi International RenewableEnergy Conference for the area used formezzanine floor.

    4. Guidelines: Built Up Space1 General Information

    Features: The Shell Scheme stands will beprovided with the following:Back and sidewalls of 2.44 mts. heightFascia with companys name and boothnumberFloor covering with synthetic carpet.Basic Furniture: one table, two chairs, threespotlights, 5 amp power socket and waste

    paper basket.2 Power for Demonstration: Apart from light

    fixtures, one 5 Amp Power socket (for TV,Fridge, computers etc.) will be provided ineach booth of 9 Sqm. In case additional poweris required for demonstration or running ofmachinery / exhibits, the exhibitors mustinform the organiser / managers.

    3 No alterations may be made in the StandardShell Scheme structure.

    No Alternations may be made in the

    standard Shell Scheme Fascia.

    No alterations / removal of panels /

    podiums / etc will be allowed.

    Private furniture / carpets etc. are not

    permissible Major woodwork, if any, must be

    approved in advance by the organiser

    before starting such work.4 The following are strictly prohibited.

    Use of electrical flashes, flashguns and

    neon signs.

    Cloth banners, velvet banners or velvet

    covers on the panels / table.

    Stage shows or presentations without prior

    permission in writing of the manager.

    Painting, coloring, wallpapering, and

    sticking of thermo cole cut letters, nailingor drilling of panels. If you requireassistance in hanging or displaying yourexhibits, please consult the Official ShellStand Contractor. Exhibitors would becharged @ Rs. 1,500 per panel for anydamages to panels.

    Suspending of items from the hall ceiling

    or parts of it.

    Storage of any kind behind the display

    walls.

    Digging, grouting or cutting of the floor.

    Raising the height of the back wall/fascia

    for promoting the company name/logo.5 No additional out sourced stand fitting or

    display may be attached to the shell standstructure.

    6 All interior stand fittings must be contained

    within the shell stand structure, and must notexceed 2.5m height. No freestandingequipment may exceed a height of 2.5m orextend beyond the boundaries of the siteallocated.

    7 It is mandatory for Exhibitors with 2 or 3 or4 side open stands, to arrange display in sucha way that there is no obstruction on any ofthe open sides. This will ensure freemovement and give exhibitors a feel of

    openness and transparency. Exhibitors arenot allowed to obstruct the view or adversely

    affect the displays of other Exhibitors.8 A minimum of 30% of Stand area must beleft for circulation. Exhibitors shall notarrange the display of material in a way thatwill obstruct passage areas.

    9 Natural pillars falling within stand area maybe covered to a height of 2.5 mtrs.

    10 Exhibits of over 2.5 mtrs height must not beplaced on any raised platform.

    11 There is no restriction on height and weightof exhibits on display except imposed by theload bearing capacity of the floor and heightof entry doors.

    12 Any presentation / demonstration / exhibitlikely to interest groups of 10 or more must

    be located towards the centre / rear portion ofthe stand and clearly shown on standdrawings.

    5. STAND APPROVAL1 Exhibitors booking over 18 sqms. of space

    must submit 4 copies of the design of standshowing elevations and plan for approval, by31 August 2010.

    2 All stands will be inspected during the set-up

    days and any Exhibitor deviating from theregulations must make modifications as

    suggested by the manager on his ownexpense, prior to the show opening.

    3 All exhibition stands must be complete in allrespects by 1800 Hrs on 26 October 2010.

    RAW SPACE CONTRACTOR

    1. Exhibitors using a contractor forstand construction and / or interiordecoration, other than the official contractor,must get their contractors to submit to themanagers a refundable (security use only)demand draft of Rs. 30,000 / US$ 750.

    2. Exhibitor's UndertakingExhibitors using a contractor, other than theofficial contractor must provide an undertaking tothe manager, on the exhibitor's letterhead.

    Please complete and submit Form 8.

    REGISTRATION

    1. Exhibitor Stand Personnel - BADGESExhibitors badges will be pre-prepared for you,according to the list of names entered in the form.The Exhibitors' kit containing the Exhibitors'

    badges can be collected from the ShowManagement Office on 26 October 2010.

    An Exhibitor's badge is provided to you toregister those employees who will represent yourcompany at the show. These must not be given tocontractors or suppliers who are given separate

    badges. For security reasons, you are requested towear your badge at all times in the hall. Latechanges or additional badge requests will be

    provided on your arrival at India Expo Centre &Mart.

    2. Conference DelegatesRegistration of conference delegates will alsotake place on conference days, at the registrationcounter situated at the conference venue, whereidentification / entry badges will be issued. Thevenue may be subject to change.

    3. ContractorsContractors will be issued their identity / entry

    badges from 1200 hours onwards on 24 October2010. These can be obtained from the Show

    Management Office.

    4. VisitorsAll visitors are requested to register at thededicated visitor registration counters located atthe main entrance. They will be issued an entry

    badge, allowing them entry into the exhibitionhall.

    BADGE PASSING: Badge passing is a serious violationand a breach of the Agreement for exhibit space. If wehave refused to register someone, do not give them your

    badge or that of someone else in your company.

    SERVICES LOCATION PLANExhibitors are requested to pleasecomplete and submit Form 12 showing the location ofutilities such as power outlets, spotlights etc.,

    including those supplied with the standard shellscheme package. This will ensure that yourrequirements are correctly located before you arriveon site.

    TELEPHONE / FAX MACHINE1 Telephone / Fax Machine

    Telephones and fax machines are available ondemand. ISD facilities can be provided as perrequirement. A direct BSNL connection will be

    provided. Please advise your requirement wellbefore the deadline, as these services are noteasily obtainable and require substantial planningif one wishes to have a reasonably efficientservice.

    Do not forget to enclose the payments, as thetelecom authorities will not provide facilities until

    payment has been made. Late orders cannot beguaranteed.

    2 Return of Telephone / Fax Machine etc.Exhibitors should ensure that their telephoneinstrument and fax machine (complete with plugetc.) is clearly labelled with their company'sname and stand number, is returned to the ShowManagement Office immediately upon the closeof the show, between 1600-1800 hrs on Friday,29 October 2010. A charge will be raised againstthe subscriber for damaged or lost instruments.

    TEMPORARY STAFF &TRANSLATION SERVICESExhibitions India Pvt. Ltd. will provide you the temporarystaff (secretaries, stand hostesses, translators etc.)requirements. For security reasons we request you to becareful with temporary staff offering their services at the

    Exhibitors wishing to rent extra furniture / fittings inaddition to that already supplied under the shellscheme package, may do so at an additional cost.

    closing hours. Arrange individual security for yourbooth only with the official security agency.

    Exhibits and personal property should not be leftunattended at any time at your stand.

    1. AMENDMENTS TO REGULATIONS

    The manager reserves the right to issue amendments /additions to rules & regulations.

    2. ANIMALS / PETS

    Not allowed entry into the exhibition halls.

    3. AUTHORITY ON THE PREMISES

    The manager shall be responsible for and be entitledto act as the owners of the premises throughout thetenancy period. The decision of the manager in any

    problem or dispute will be final.

    4. BILL, POSTERS AND BANNERS

    Bill, posters and banners will be provided by themanager only and may be displayed in accordance

    with the guidelines provided in the Publicity Manual.

    5. DANGEROUS & NOXIOUS SUBSTANCES

    Substances, which in the opinion of the manager aredangerous, explosive or of an objectionable naturewill not be allowed within the premises of the India

    Expo Centre & Mart complex.

    6. DEMONSTRATION OF WORKING EXHIBITS

    An Exhibitor intending to demonstrate workingequipment on his stand must:

    i) Provide the manager with full details in advancein writing of any working exhibits involvingmoving parts, naked flame, lasers, or other items,which could be hazardous to visitors or otherexhibitors.

    ii) Give proper consideration to the safety andconditions under which the exhibits will be

    demonstrated.iii) Cause no annoyance to visitors or otherexhibitors. Where a high level of noise or otherobjectionable factor is involved, demonstrationsmay only take place at the times stipulated by theManagers, who reserve the right to terminate ademonstration at any time.

    iv) Isolate controls so that visitors cannot operate

    them.v) Not use flashing or winking lights.

    7. DAMAGES

    Exhibitors are responsible for any damages ordilapidations to the exhibition premises, whethercaused by themselves, their agents, and contractors or

    by any person or persons employed or engaged ontheir behalf by such agents or contractors. Exhibitorsoccupying shell scheme stands are also responsiblefor restoring or renewing any damages ordilapidations to their shell stand structures, floor

    coverings, light fittings, or any part thereof, whethercaused by themselves, their agents, contractors or byany person or persons employed or engaged on their

    behalf by such agents or contractors. The damage willbe assessed by the official shell scheme contractor andcharged to the exhibitor. The manager, in conjunctionwith the India Expo Centre & Mart will inspect thehall before build-up and after breakdown of theexhibition.

    8. FIRE PRECAUTIONS

    Every hall will be provided with fire extinguishers,which will be located at each entrance and exitdoorway to the hall.

    Exhibitors, who because of the nature of theirexhibits, require a special type of fire extinguisher,must make arrangements at their own cost for the

    provision of such equipment. The manager will assistin and advise on sourcing, if required.

    Any person seeing an outbreak of fire, however slight,must immediately sound the alarm and make every

    endeavour to extinguish the outbreak or to confine itby the use of extinguishers and/or removal of goods in

    the vicinity.

    9. FORCE MAJEURE

    The exhibition may be postponed, shortened orextended due to any cause whatsoever outside thecontrol of the manager. The manager shall not beresponsible for any loss sustained by the exhibitor,directly or indirectly attributable to the elements ofnature, force majeure or orders and directives imposed

    by any governmental authority. In the event of suchcircumstances, the money paid by the exhibitors shallnot be refundable.

    10. LIABILITIES & INSURANCEThe manager will not accept liability for loss ordamage to any exhibit, or for injury to exhibitor

    personnel at any time. Exhibitors are strongly advisedto insure their exhibits against theft, loss or damage,including the risk of fire, and to cover themselvesagainst third party liability for stand personnel andvisitors on their stands. Such insurance shall name themanager as an additional insured, and exhibitor shallupon request provide the manager with certificate soindicating. All property of the exhibitor is understoodto remain under its custody and control in transit to

    and from the confines of the exhibit hall and duringthe show.

    11. MANNING OF STANDS & GENERAL

    CONDUCT

    Stands must be staffed and operational throughout theopen hours of the exhibition. Exhibitors may not

    participate in any activity, which causes or is likely tocause annoyance to visitors or other exhibitors. In

    particular, audiovisual display equipment must bepositioned and sound level so adjusted to avoidinconvenience to neighbours. All sales/attractionactivities must be restricted to limits within ones own

    booth and not extend to the aisles. In the event of anydisagreement, the managers decision in this field isfinal.

    12. NOISE LEVEL

    The managers rulings on sound levels will be finaland we appreciate your cooperation on this issue.1. Exhibitors will be permitted to demonstrate

    products for a period of not longer than 10 secondsat a time, at a maximum of 80 db.

    2. Live bands will not be permitted to perform on orin any exhibit space.

    Failure to comply

    If the managers repeated request to keep the volumeof the equipment down is not adhered to by theexhibitor, the manager reserves the right to:a. switch off the power supply

    b. close the exhibit spacec. in the event of closure of exhibit space for non

    compliance of noise levels, the Exhibitor will notbe entitled to any refunds.

    13. OBSERVANCE OF RULES & REGULATIONS

    All exhibitors and their personnel must observe therules and regulations stated in this Exhibitor Manualunder this section and on the reverse of the exhibition

    participation agreement, while working or beingpresent in the exhibition hall.

    14. RETAIL SALES PROHIBITED

    Retail sales of plant, machinery, ancillary equipmentand samples is strictly prohibited. Spot orders for thesame may be booked and delivered after theexhibition is over. However, the sale of books,

    periodicals and magazines is permitted.

    15. SAFETY & BEHAVIOUR

    No person present inside the exhibition hall is tobehave or act in a manner that may cause any harm,injury or damage to other person or exhibits, nor to

    exhibition hall property or fixtures.

    16. STAND FITTING

    For the sake of overall uniformity and harmony of theentire exhibition, the following must be observed:

    i) No part of an exhibit should project out of, noranything be placed outside, the boundaries of thestand area, by any exhibitor.

    ii) There should be sufficient free space in the standfor easy and safe movement of visitors. Entry andexit to stands must be at least 1 m wide.

    iii) No overhead structure should adversely affectadjacent exhibitor stands.

    iv) Grouting, digging in floors or walls is notallowed. Raised wooden platforms of not morethan 4 inches in height are allowed.

    v) Painting, wallpapering or nailing (and use ofscrews) on the plywood partitions supplied undershell scheme, is prohibited. Exhibitors, whocannot do without painting or wallpapering ofwall panels due to design constraints, mustinform the official shell scheme contractor whowill provide a quotation for the requirement.Photographs, charts, etc., may be fixed withadhesive tape, or suspended with nylon threadwith the help of clamps (cyma hooks) hooked onthe top horizontal channel. If you requireassistance in hanging or displaying your exhibits,

    please consult the official shell scheme

    contractor.vi) Naked lights are not allowed in the stand.vii) Exhibitors should endeavour to maintain a high

    standard of cleanliness, avoid littering and takeall necessary care not to disturb neighbouringexhibitors. Their co-operation with the managerin maintaining continuity and keeping with thegeneral aesthetics of the show will be greatlyappreciated.

    viii)Any change to the type or colour of the floorcovering provided must be by prior negotiationwith the shell stand contractor. The cost will be

    borne by the exhibitor.

    ix) An exhibitor occupying a corner booth has thechoice to have either a wall or an additional openside on to the aisle.

    x) Manager will not give any financial credit for anypackage item not utilised.

    It is important that visitors reach all areas of the exhibition and each stand is located to its best advantage, while ensuring thatit does not restrict flow or blocks the view of other stands.

    GENERAL DESIGN RULE

    Designs must ensure that neighbouring stands are not boxed in or blocked from view.

    Outside walls must have a maximum length of 3 meters, after which an access into the stand, having a minimum width of 2meters must be applied. An 'open architecture' creates an environment that is attractive and inviting. If the stand must haveoutside walls, then the design should confirm to the above guidelines in order to maintain visitor flow to neighbouring stands.

    No part of the stand fixture or fitting must overhang or encroach the aisles, or neighbouring stands. This rule also applies tothe projection of logos etc. onto the floor, which should always be kept within the stand space.

    The building height of the stand should always be in proportion to the size of the rented space. High stands will generally notbe located at the entrances of the exhibition halls.

    PLAN APPROVAL

    1. Exhibitors, who have taken raw space, must submit the plan of their booth on A3 size paper on a scale of 1:100indicating the floor plan, the front elevation, prospective view, and one cross section, indicating the height andmaterial used. The design needs prior approval by the manager.

    2. Include the name and addresses of your contractor in your plan.

    3. Plans should be submitted in triplicate together with this form to Exhibitions India Pvt. Ltd. Construction work

    will not be permitted to commence unless plans are approved. One copy will be returned to the exhibitor once it has

    been approved, showing modifications if these are necessary.
