Introduction

Evaluation Forms can be created and assigned to Courses, Lessons and Events in Learn. Through the global

settings (p4), evaluation forms can be configured for all Courses and all Events. Either the default evaluation

form can apply in each case an evaluation is required, or a new evaluation form can be created and specified as

the default.

Alternatively, evaluations can be configured uniquely for each Course, Lesson or Event. See the Configure

evaluations for a specific Course, Lesson or Event section of this guide for more information (p7).

Requests to complete an evaluation are triggered as follows:

• Course evaluations are sent when all Lessons within a Course have a status of ‘Complete’

• Lesson evaluations are sent when the Lesson has a status of ‘Complete’

• Event evaluations are sent when a User is marked as ‘attended’ for an Event

All evaluation requests are sent instantly. For more information about the content and timing of notifications,

Global settings for evaluation forms

Navigate to admin home and select ‘Evaluation form’. The following options are available:

1 This ‘enables’ evaluation forms in Learn. When switched to ‘off’, no evaluations will be requested.

2 Send evaluations for every Course in Learn. In this screenshot, ‘No’ is selected. Evaluations can still

be sent for specific Courses, Lessons and Events. See the Configure evaluations for a specific Course,

Lesson or Event section of this guide for more information (p7).

3 Send evaluations for every Event in Learn. In this screenshot, ‘Yes’ is selected and the form titled

‘Event’ evaluation is selected. This means that every User marked as ‘attended’ for an Event will be

asked to complete the ‘Event evaluation’ form. See the Configure evaluations for a specific Course,

Lesson or Event section of this guide for more information (p7).

4 View the recommended form (p6)

5 Create a new evaluation form. Any form can be selected as the default for all Courses and all

Events. Any form can be selected on an individual basis for a Course, Lesson or Event.

Evaluation notifications

Users will receive a notification when required to complete an evaluation. This notification will be delivered to

the Users email address, and to the notifications panel in Learn. The default message looks like this:

The recommended form

Administrators can create evaluation forms to be assigned to Courses Lessons and Events in Learn. If no other

forms are created, the default ‘Recommended’ form wil be sent. Evaluation form branding is aligned to the

Learn branding. To view the recommended form, navigate to global settings (p4).

The recommended form has been tested across different sectors and is proven to provide strong levels of

feedback. It cannot be changed or deleted.

All evaluations forms are responsive, which means they can be viewed easily on large or small screens, such as

a smartphone screen. The recommended form looks like this:

Configure evaluations for specific Courses, Lessons, Events

When switched on globally, evaluation forms will apply to all Courses and all Events as configured. However,

administrators may prefer to send evaluation forms for specific Courses, Lessons or Events only, not for all

Courses, Lessons or Events.

Note: Lesson evaluations cannot be switched on globally, only for a specific Lesson as described in the below

steps.

1. Open the evaluation settings for a Course, Lesson or Event. Navigate to the Course Lesson or Event for

which an evaluation form is required (for this example a Course is selected). Select the option of

‘Evaluation form’ from the administration menu:

2. Specify the evaluation settings. Choose to enable or un-enable evaluation forms and if required, select a

specific form from the drop-down menu. In this example, evaluations are enabled, and the ‘Course

evaluation’ form has been selected:

3. Save. Click ‘Save’ to keep the changes.

Create a new evaluation form

The recommended form has been tested to provide strong levels of feedback, however in some cases it may be

necessary to create a new evaluation form, tailored for specific learning, or circumstance. The steps below

show how.

1. Create a blank form. All evaluations are created centrally in the Evaluation form ‘global settings’. Navigate

to Admin Home and select ‘Evaluation forms’, then select ‘New evaluation form’:

2. Give the form a title. Make sure the title clearly describes the function of the form, in order that it can be

correctly selected:

3. Add questions to the evaluation form. Four different question styles are available; Star Rating, Question

with options, Text question, and NPS question (Net promotor score. Search the internet for more

information) The Star rating and NPS question styles are fixed and cannot be edited. Only one of each type

can be used per form. ‘Text question’ and ‘question with options’ are completely custom styles.

The Form builder toolbox contains all four available question types. Click the question type to add it to the

form:

4. Configure the properties for each question. Questions can be made mandatory, edited, deleted, or

repositioned using the options in the question bar.

5. Save and close. Click ‘Save changes’ or ‘Save and exit’to keep the form. The new form can be made the

default form for all Courses and/or all Events. See the global settings section of this guide (p4) to see how.

Alternatively, the form can be selected for a specific Course, Lesson or Event. See the Configure

evaluations for a specific Course, Lesson or Event section of this guide (p7) to see how.

Send a follow up evaluation

Follow up evaluations help Learn administrators to measure learning impact over time. For each evaluation

form created, up to 5 “follow up” evaluations can be configured. Follow up evaluations can contain a different

set of questions to the initial evaluation. The follow up evaluation will be sent to all Users who responded to

the initial evaluation, on the timescale specified (see below).

When creating an evaluation form, the follow up option can be found here:

Each follow up is created with a default of delay of 11 days (after the first evaluation is completed). This date

period can be changed as required.

Note: follow ups evaluations for the recommended form cannot be changed.

Guidance for authoring evaluation forms

Think about benchmarking your learning.

We provide the star rating and NPS question which you can apply across your evaluation forms. You can now

use these benchmarks for the same course over time – try to imagine the data patterns you might see. You will

effectively be able to track the impact of the same learning over time and compare and contrast these trends

over many different courses.

Try not to send too many evaluation forms.

We have provided you the tools to send a lot of evaluation forms. This is great but only if your learners

complete them! Try to keep the total number a person receives to a manageable number.

Think about an overall plan before getting started.

Take a moment to think about the overall plan when rolling out your evaluation forms. Do you want to send

out the same pattern across all different learning? Do you just want to evaluate your events? Do you want to

prove the value of learning over time? Imagine presenting the data to your Board – what things will they want

to see and what will be less interesting to them?

Let us do it for you!

If you are short of time or want to provide a consistent benchmark across your learning then the default

‘Recommended form’is a good option. The recommended form has been tested across different sectors and is

proven to provide strong levels of feedback.

Reports are available to summarize the results for Course, Lesson and Event evaluation forms. Navigate to

Administration Home and select Reports and analysis:

All the default reports are listed. Reports for Course and Lesson evaluations can be found in the ‘Course and

Lesson reports’ section:
