The Team

The Box Office Supervisor will work closely with the three other Box Office Supervisors, Inventory & Sales Manager, Box Office Assistants and the Marketing team plus other Old Vic staff and external suppliers to ensure The Old Vic provides a professional and fully functional Box Office operation at The Empire Cinema, Haymarket.

The post holder reports to the Head of Box Office. By the nature of the post, s/he will work with all departments of The Old Vic.

Purpose of Job

To supervise and motivate the Box Office Assistants at The Empire Cinema, Haymarket.

To maximise income from Box Office sales and develop customer loyalty by providing the highest level of customer care

To encourage membership and increase fundraising income from audiences and existing donors for the benefit of The Old Vic

To support efforts to raise the profile of The Old Vic locally, regionally, nationally and internationally

Areas of responsibility

To sell advance tickets to all events at The Old Vic, with primary focus on our off-site Box Office at The Empire Cinema, Haymarket

To set-up reporting structures for distribution To assist in updating performances on Tessitura with new price types and seat holds

when required To liaise with 3rd party ticketing agencies to ensure tickets allocations are correct and

reconciled on Tessitura To ensure that all tickets to be collected from the Box Office (COBO’s) have been

printed and correctly stored for each event on a daily basis To compile and circulate box office show reports for all performances to include

customer issues, numbers of tickets collections and staffing To manage Press or Guest desks when staffed by Box Office To sell tickets dealing with all methods of payment at all Box Office positions, primarily

at The Empire Cinema, Haymarket. To carry out ticket fulfilment using correct inserts for posting To reconcile individual batches, including the checking of floats issued and collected

and to investigate all till differences as part of the reconciliation process To actively seek to increase Old Vic Membership To deal with customer queries in conjunction with the Head of Box Office To assist with training all new Box Office Assistants, primarily at The Empire Cinema,

Haymarket To merge duplicate records and maintain Tessitura database To take responsibility for takings and banking when working on the counter and off-

site To participate in all training sessions in a positive, willing and thoughtful manner To be responsible for the issue of on-site duplicate tickets To ensure that all ticket agents are fully informed of all event information as supplied

by the Marketing team To attend Box Office meetings and briefings on a regular basis In conjunction with the Head of Box Office, to co-ordinate informing customers of

programme changes To maintain the highest level of presentation and customer service at all times To promote and comply with current legislation and The Old Vic policies on Diversity,

Sustainability, GDPR & PCI Compliance, and Health & Safety - both in the delivery of services and the treatment of others.

To undertake any other reasonable duties, commensurate with the level of the post so as to ensure the smooth running of The Old Vic’s off site Box Office based at The Empire Cinema, Haymarket.

PERSON SPECIFICATION

The post holder must be able to demonstrate the following: Essential

Previous experience of working in a box office ticketing role, preferably within the arts Knowledge of Tessitura or at least two other computerised box office ticketing systems Experience of selling memberships and tickets within a box office environment Experience of setting up new productions to go on sale plus managing day-to-day

aspects of ticketing set-up e.g. holds and promo codes Experience of working with 3rd party ticket agents Experience of checking floats and doing banking Experience of setting up and producing regular sales reporting Experience of resolving customer service issues, providing a first class experience at

all times Ability to multi-task and work well under pressure

Desirable

Experience of assisting in the running of an internal box office department for a busy producing theatre

Experience of supervising staff Experience of training other staff on box office software Passionate and knowledgeable about theatre
