IntroductionThis document details the Configuration made to deploy the ESS service ‘Who’s Who’. It also details how to assign photos to employees.The configuration recorded below reflects changes required in a standard SAP delivered system.

General SettingsAll Services and Pages are delivered as standard by SAP. The following configuration should be all that is required.

Assign Area to Area Group Page

IMG > Personnel Management > Employee Self Service > General Settings > Home Page for Self Service > Areas > Assign Areas to Area Group Pages > Assign Areas to Area Group Pages (Add and Change Entries)

SAP do not appear to deliver entries in this table – configuration required

This configuration controls the behavior of the Employee Search serviceIt is country specific based on the country of the User employee record.

Parameters: This specifies the country and the Infoset being used. If you need to use a custom Infoset it should be changed here

Use Default settings for: These check boxes control the fields used in the Selection, Output list and Details. If unchecked the fields used can be adjusted in the definition section.

Definition of Selection and Output fields: If the default settings have been unchecked the fields used can be changed on the individual tabs.

Fields in Infoset: Provides a list of all available fields from the infoset that can be used in selection and output.

Transporting changes of the Selection and Output settingSee SAP Note 216115This configuration does not trigger automatic transports. This is by design and any changes can be done direct into any client, even a production client.If required settings can be manually transported from T77WWW_WHO

Changes to Infoset The Standard SAP infoset (/SAPQUERY/HR_XX_PA_ESS) used for Who’s Who has been adjusted to make the descriptions more meaningful to users. Personal Subarea (P0001-BTRTL) has been renamed City

This step in the IMG controls options available for employees under the Who’s Who ESS service.

The check boxes are self explanatory, a tick activates the optionThis table does not transport, settings must be made directly in every client, even in a production client.

Who’s Who (ESS): Refine Employee Search

This step in the IMG allows you to control the Employees included in the Who’s Who Search.The status indicator STAT2 (Employees' Employment Status) is used to restrict the employees.

If new entries are required they can be made as follows: In the Group field (group name), enter ESS In the Sem. Abbr. field (semantic abbreviation) enter STAT2 In the Value Abbr. field (value of semantic abbreviation), restrict the number of employees

covered by the search by entering the relevant employment status for the search.

The following options are available for the Value Abbr. field:

0: Employee is not with the company1: Employee is with the company, but not active2: Employee is with the company, but retired3: Employee is active in the company

Assigning Photos to EmployeesPhotos can be attached to Employees in several ways as follows.N.B. the photos must be in JPG formatPlease review the section Issue assigning Photos to Employees further down this document before attaching any photos.

Allow Employees to upload their own photos.

Under the IMG step ‘Who’s Who (ESS): Maintain Settings’ tick both options under Change Who’s Who and Own data.Employees can now upload their own photos.

Assign individual Photos to Employees.

In ECC the SAP transactions OAAD and OAOH allow a User to assign photos to employees.

Select the Store and Assign option, the user is then taken to transaction OAOH:

Business object type = PRELDocument type = HRICOLFOTO

Then click ‘Create’ icon (F8).

A popup will prompt the user to select an employee (Personnel Number)

Having selected an Employee all that is required is a green tick, the user is then presented with a Windows Explorer popup to allow selection of the photograph from the Users hard drive.

After selection of the Photo you should see the following message:

The employee photo is now seen in the header data in PA20 / PA30 as well as being available to the ESS Who’s Who service.

Assigning Multiple photos to multiple Employees

SAP delivers a standard program for this purpose - OA_UPLOAD_AND_LINKIn FSP this has been attached to the following transaction: ZFSPHR_OA_UPLOADWhile SAP have omitted to provide any documentation with this program it is not difficult to use when ‘uploading’ photos

The employee photos should be stored in JPG format in a directory of the Users Hard Drive.The name of each photo must be the full 8 digit PERNR of the employee the photo belongs to, including leading zeroes, thus:

The selection screen is shown below; the parameters can be set as follows:

File Path for Documents – the path for the directory where the photos are stored, it does not provide an option to navigate to the folder so this must be manually enteredFile Name Extension – MUST be jpgProcessing on Front End – defines if the process runs in background or foreground

Issue assigning Photos to EmployeesAn issue has been uncovered in the FSP system relating to assigning and displaying Photos.

In order to allow Photos of employees to be displayed correctly in the SAP portal under the Whos’ Who service we have required to make certain technical settings. However when these settings are made an error occurs when assigning photos in ECC.

As a temporary workaround the transactions OAAD and ZFSPHR_OA_UPLOAD have been made available in the Portal in a separate Portal role that can be assigned to selected users. The transactions behave as documented above but must be accessed via the portal.

At the time of writing SAP are investigating the issue.
