A. LOADING REPORT CARD GRADES Report card grades will be loaded by the teacher of record via Teacher Access Center (TAC). Additionally, the office can load report card grades via eSchoolplus for teachers.

IMPORTANT: Before you run any calculations and teachers load grades for report cards make sure the following steps take place:

Run the Scheduling/RC Synchronization (takes a while to run, plan accordingly) NOTE: Before teachers begin entering grades, run this option to update report card records to reflect student schedule changes, to update report card records to reflect master schedule changes, and to trail grades for courses that have been trailed. After verifying and printing report cards, please contact the SIS Department to prepare for the next cycle run.

B. TEACHER LOAD

This process is done by the teacher using Teacher Access Center (TAC)

1. Teacher goes to Teacher Access Center 2. Under Grade Reporting tab, select Report Card 3. Change to the appropriate section, click on the Load icon and Save icon Note: This process will load the student grades from the teacher gradebook and place the

mark under the MP column. Additionally, it will load the marks into eSchoolplus. Teacher Gradebook

C. RUN MISSING SUBMISSION

This report will display all teachers that have not loaded their grades. If the office loaded grades for any teacher, the teacher will still appear on the report.

Menu Path: Mark Reporting >> Entry & Reports >> Report Cards Reports >> Missing Submission

1. Select Building from the Building drop down menu 2. Select the Report Card Run from the drop down menu

NOTE: (1=Rpt Card 1, 2=Rpt Card2, 3=Rpt Card 3 and 4= Rpt Card 4)

3. Click on the Run icon

D. LOAD GRADEBOOK AVERAGES (If Necessary)

Use this page to load Gradebook averages to report cards or progress records for teachers who have not loaded marks in Teacher Access Center.

Menu Path: Mark Reporting >> Utilities >> Calculations>>Load Gradebook Averages

1. Select Building from the Building drop down menu 2. Select “R-Report Card” from the Mode drop down 3. Check the Load Report Card Marks checkbox 4. Select the appropriate Report Card Run from the drop down 5. Under the Filter section select Staff Building, Staff Id,= Value (Staff Id) 6. Click on the Run icon

E. MANUALLY ENTERING TEACHER MARKS (IF NECESSARY)

Use this screen to enter marks and comments for report cards for students in a course-section. Note: Highly encourage teachers to load grades from their gradebook.

Menu Path: Mark Reporting >> Entry & Reports >> Office >> Report Card by Course

1. Select Building from the Building drop down menu 2. Enter the Course and section 3. Verify the RC Run 4. Click on Load icon TWICE, second time will load the students in the course section 5. Enter the marks under the MP column 6. Enter the conduct under the CIT column, if applicable 7. Enter comments under the COM1/COM2 columns, if applicable 8. Click on the Save icon

F. MANUALLY ENTERING STUDENT MARKS (IF NECESSARY)

Use this screen to enter student marks (grades) and comments for report cards. Might get a run ‘Scheduling Synchronization’ message if this process has not been run.

Menu Path: Mark Reporting >> Entry & Reports >> Student >> Report Card Summary

1. Select the student 2. Select the applicable RC Run from the drop down menu 3. Check applicable selections 4. Click on the Course Description link

5. The Mark Reporting Detail screen will display, enter the MP mark and CIT 6. Select the comments under COM1/COM2 fields if applicable 7. Click on the Save icon

8. Click the Return arrow to continue entering MP marks

G. TRANSFER CLASS ATTENDANCE TO RC -Report Cards (Secondary Campuses Only)

This process transfers attendance to report card records. Menu Path: Mark Reporting >> Utilities >> Calculations>>Transfer Class Attendance to RC

1. Select Building from the Building drop down menu 2. Select the Single RC Run radio button 3. Select the appropriate RC run from the drop down menu 4. Click on Log Errors Only 5. Click on the Run icon

6. The calculation will display on the Tasks, Running Tasks section

H. AVERAGE CALCULATIONS FOR SEMESTER MARKS (Secondary Campuses Only)

This process will calculate semester averages.

Menu Path: Mark Reporting >> Utilities >> Calculations>>Mark Average Calculation

1. Select Building from the Building drop down menu 2. Select the appropriate RC Run (2 = Sem1, 4 = Sem2) 3. Select the “SEM”(Semester) from the Mark Type drop down menu 4. Select the “Only for Active School Year” radio button for the Run Calculation For 5. Select the “Log Errors Only” radio button for the Amount to Log Statistics File 6. Under the Filter section, select Demographics, Current Status = Active 7. Click the Run button 8. The process will display on the Task section 9. Look at the log for any discrepancies

Note: Can run this process for one or more students. Click on the Log all Activity radio button

and under the Filter section, select Demographics, Student Id = “XXXXXXXXX”

To run the calculation for one or more students, click the “Log all Activity” radio button to get a detail calculation of the mark average.

I. AVERAGE CALCULATIONS FOR FINAL MARKS (Elementary Campuses Only)

This process will calculate final averages, elementary campuses will run this process.

J. Honor Roll Calculation

This process will calculate regular and high honor rolls. Note: This calculation can also be run when printing the Honor Roll report.

1. Select the Building from the Building drop down menu 2. Select the appropriate RC Run from the drop down menu 3. Select HR from the Honor Roll Group(s) to Calculate drop down 4. Under the Filter section, select Demographics, Current Status = Active 5. Click on the Run icon 6. The process will display on the Task section

K. PRINT HONOR ROLL REPORTS

This process will print honor roll reports for High honor roll and AB honor roll.

Menu Path: Mark Reporting >> Entry & Report >> Report Card Reports >> Honor Roll

1. Select the Building from the Building drop down menu 2. Select the appropriate Report Card Run from the drop down menu 3. Select HR from the Honor Roll Groups to Include 4. Check on the Honor Roll Calculation checkbox if applicable

Note: Will need to include Withdrawal Date

5. Under the Filter section, select Demographics, Current Status = Active 6. Click on the Run icon 7. The process will display on the Task section

Click on the checkbox to calculate Honor Roll

If the Run Honor Roll Calculation checkbox is checked, the Include Withdrawal Date will appear.

L. COURSE CREDIT CALCULATION (Secondary Campuses Only)

This process calculates the earned credit for courses.

Menu Path: Mark Reporting >> Utilities >> Calculations >> Course Credit Calculation

1. Select the Building from the Building drop down menu 2. Select the appropriate school year from the School Year drop down menu 3. Select the appropriate Report Card Run from the drop down menu 4. Select on the “Only for Prompted School Year” radio button from the Run Calculation for 5. Select on the “Log Errors Only” radio button from the Amount to Log in Statistics File 6. Under the Filter section, select Demographics, Current Status = Active 7. Click on the Run icon 8. The process will display on the Task section

Note: Can run this process for one or more students. Click on the Log all Activity radio button

and under the Filter section, select Demographics, Student Id = “XXXXXXXXX”

M. GPA CALCULATION (Secondary Campuses Only)

This process calculates grade point averages (GPAs). Once this calculation is complete, ranks can be calculated and the rank report can be generated.

Menu Path: Mark Reporting >> Utilities >> Calculations >> GPA Calculation

1. Select the Building from the Building drop down menu 2. Select the appropriate school year from the School Year drop down menu

IMPORTANT: This is the ending year of the school year.

Example: 2017-2018 (USE 2018)

3. Select on the “Everything Through the Prompted RC Run/Term/Year ” radio button from the Run Calculation for field

4. Select on the “Log Errors Only” radio button from the Amount to Log 5. Click on the GPA Type(s) you want to calculate (Unweighted/Weighted) can check both

types 6. Click on the Run icon 7. The process will display on the Task section

Note: Can run this process for one or more students. Click on the Log all Activity radio button

and under the Filter section, select Demographics, Student Id = “XXXXXXXXX”

N. CALCULATING CLASS RANK (Secondary Campuses Only)

This process will calculate class rank. First run the GPA calculations before this step.

Menu Path: Mark Reporting >> Utilities >> Calculations>>Rank Calculation

1. Select the Building from the Building drop down menu 2. Select the appropriate school year from the School Year drop down menu

IMPORTANT: This is the ending year of the school year.

Example: 2017-2018 (USE 2018)

3. Select all applicable grade levels 4. Click on the Everything Through the Prompted RC Run/Term/Year radio button 5. Select all applicable grade levels 6. Select the Weighted checkbox from the GPA Type 7. Under the Filter section, select Demographics, Current Status = Active 8. Click on the Run icon 9. The process will display on the Task section

O. PRINT REPORT CARD

This process will print report cards.

Menu Path: Mark Reporting >> Entry & Report >> Report Card Reports>>Print Report Cards

1. Select the Building from the Building drop down menu 2. Select the appropriate Report Card Run from the drop down menu 3. Verify the Send cards to student address only is selected from the Mailing Progress Report

Cards 4. Click on the Print Office Copy(English Only) checkbox 5. Click on Refresh MR Data Before Print checkbox 6. Select ‘C-Include only courses that have started’ from the Process Courses Without Marks

drop down menu 7. Select the Demographics As of Date. The below dates are based on Report Due Dates, adjust

accordingly Example: 10/27/2017 for End of Reporting Period for Report Card 1

8. Select the Earliest Withdrawal Date for Inactive Students (usually matches as of date)

9. Use the following filter and sort option when running the progress or report card

P. PRINT BY DISTRIBUTING PERIOD (Secondary Campuses ONLY)

This process will assign a secondary homeroom to students for report distribution purposes.

Menu Path: Registration >> Utilities >> Tools >> Homeroom Assignment by Period

1. Select the Building from the Building drop down menu 2. Select Secondary Homeroom from the Homeroom drop down menu 3. Select the appropriate marking period from the Marking Period drop down menu 4. Select the distribution day from the Cycle Day drop down menu 5. Select the distribution period from the homeroom period drop down menu 6. Under the Filter section, select Demographics, Current Status = Active 7. Click the Run button

8. Click the Yes button to the following message
