  • What is Erasmus?ß EU funded mobility programme that Includes:

    1. Study exchanges2. Work placements 3. Language teaching assistantships

    ß Must take place in an Erasmus participating countryß Must be full-timeß Must count towards your degreeß Min. 3 consecutive months, max 12ß Comenius is a separate programmeß Some ineligible work placement providers

  • Before you leave

  • Applications – Study Exchangesß Your academic department must have

    nominated you to your host universityß Search host university web pages for any

    application forms and proceduresß If unclear, email or call the Erasmus Coordinator

    in your host universityß Ensure to meet any deadlines set by your host

    universityß Chase up confirmation of your acceptanceß Don’t assume you don’t have to do anything!

  • Work Placements/Assistantships

    ß Have you secured a work placement yet? Try the Student Job Shop if not

    ß If so, do you have a contract? Is it currently being drawn up?

    ß Keep on top of any paperwork issued to you by your employer

    ß British Council Assistants should hear from the BC directly about the next steps

  • Visasß Non-EU/EEA nationals likely to need a visa

    ß The embassy/consulate is your first port of call

    ß Student Advice Centre may be able to offer some limited advice

    ß Your host contacts may also provide some information from their experience

    ß It’s likely you won’t be able to apply for a visa until you have a letter of acceptance from your host university/company/school

  • Housingß Most partner universities offer a chance to apply

    for halls, but places are not always guaranteed

    ß Standard might differ to what you’re used to

    ß Integration with native students?

    ß Apply in good time and request confirmation of receipt

    ß Be prepared to look in the private sector

    ß Use all of the resources available to you

    ß Comprehensive info in the Erasmus Grant Fact Sheet (see your blue pack)

    IMPORTANT:

    Subsidiary grant only. Make sure you have other funds in place!!

    ß Cover your essential living costs (rent, food etc.)

    ß Replace your Student Loan

    ß Get paid to you before you go abroad

    “I am now HOMELESS. Where is the

    Erasmus grant?!!”

    “I didn’t apply for a Student Loan

    because I knew I was getting the

    grant!.”

    “The grant should have been paid BEFORE we

    left.”

  • Registration

    ß You must still be registered with the University of Sheffield whilst abroad

    ß Registry Services will contact you to tell you how to do it

    ß Not registering in good time can lead to problems with tuition fees and receipt of any grants or bursaries

  • Insuranceß European Health Insurance Card (EHIC) -

    EEA/EU nationals

    ß Top up with private insurance - ideally a comprehensive policy to cover other items e.g. personal possessions, missed flights, third party liability

    ß Detailed guidance on insurance in your handbook

    ß Only book flights/trains once you know exactly when you have to arrive: amendments to bookings can be expensive

    ß International Student Travel Cards can save you lots of money – ask your travel agent

    ß If possible, try to travel with other Sheffield students

    ß Erasmus Student Network (ESN) is an organisation which encourages students in all participating countries to set up Erasmus societies and organise events for incoming exchange students studying in their home university

    ß Sheffield ESN currently being resurrected

    ß You may find that your host university has one too

    with academic queries

    ß IEU can assist with queries of a more practical nature

    ß Erasmus and academic contacts are at hand at partner universities

    ß Don’t be afraid to ask your host contacts for help

    ß Be aware of who can help you with what

    are suffering with personal problems:

    ß Your local GP should be your first port of call if things are very bad

  • Changes to your Plansß You must let our office and your academic

    department know ASAP if your plans change

    ß The changes could have implications on your Erasmus grant and tuition fee status

    ß We cannot guarantee to fund any new Erasmus activities after we have submitted our funding report in mid-January

    Travel Grantß Students who apply to Student Finance for their loans

    may be able to get a travel grant when they come home

    ß The grant is income assessed

    ß Can cover reasonable costs (as decided Student Finance)

    ß Student Finance might ask you to complete their ‘Course Abroad Form’. If so, take to SSiD for signing.

    ß Keep all your receipts!

  • Grade Conversionß Grades will be sent via a transcript to IEU

    or to your academic department

    ß If you receive a transcript, make sure your department has a copy too

    ß Your departmental Erasmus tutor converts the grades and organises for them to be entered on your UoS record
