It’s purpose is to attract an employer’sattention and persuade her to grant you an interview. To do this, presents what you can offer the employer, rather than what you wantfrom the job. There are two types of application letters which are:

Mr. Cristofer Ortiz
Gerente General
4ª. Avenida 3-04, Zona 9

Dear Mr. Ortiz:
I saw your ad in Prensa Libre on April 10. I would like to apply for the position of Executive
Secretary that you require.
I graduated in October from IGA as a Bilingual Secretary; I did my supervised practice at
Bayer Company last year on September. I have good computer skills and high level in English. I
am enclosing my resume in which you can see my different skills that I obtainer.
I would appreciate if you give me the opportunity to meet you and discuss my personal
qualifications. Please let me know if I can have an interview at your convenience. You can
contact me at 54678923.
Sincerely yours,
Dulce Flores
Bilingual Secretary
Few people nowadays send a follow-up letterafter an interview, it should be courteous and brief. It should simply thank the employer forthe interview and renew your interest in the job.

Dear Mr. Ortiz:
Thank you for allowing me to discuss my qualifications in person last week.
It was a pleasure to meet you and know more about your company, I sincerely hope you
give me the opportunity to put my training work for your company.
I enclosed a copy of my transcript from Instituto Guatemalteco Americano –IGA- and the
letters of reference you requested. You can contact me at 52651234.
Sincerely yours,
Dulce Flores
Bilingual Secretary
The difference between both letters is slim. A recommendation is an endorsement while a reference is simply a report, these lettersinclude:
A statement of the letter’s purpose. An account of the duties performed by the
applicant’s general qualifications.

Dear Sir:
I am glad to provide the information you request regarding Estefany
Ventura, with the understanding that this information will be kept
confidential.
She graduated from Instituto Guatemalteco Americano –IGA- on October
10 as a Bilingual Secretary. She was always a responsible, punctual and
honest person in all that she did here, and she has good interpersonal
relationships.
Sincerely yours,
You may choose from several job offers. Or you may be offered a job that does not meet your needs. In such situations, you should send a courteous, discreet letter declining the job. By doing so, you will preserve a potentially valuable business contact and leave open the possibility of future employment.

Mr. Gilhooley Ortiz
Gerente General
4ª. Avenida 3-04, Zona 9

Dear Mr. Lopez:
Thank you for taking time to discuss with me both my career goals
and the needs of your organization. I appreciate your offering me a
position as receptionist.
Unfortunately, I must decline your offer at this time. As I mentioned
when we met, I am eager to put my newly acquired travel agent skills
to work and would like to begin as an assistant travel agent.
Nevertheless, I am disappointed that we will not be working together.
I hope you will understand my decision.
Yours truly,
A personal letter explaining specific reasons for an applicant’s rejection is professional and preferable, but a form letter is more often used to reject, in general terms, all the unsuccessful candidates.
L&V COMPANY

April 26, 2012
Dear Mr. Gilhooley:
Thank you very much for offering me the position of Marketing Manager
with Hatfield Industries. It was a difficult decision to make, but, I have
accepted a position with another company.
I sincerely appreciate you taking the time to interview me and to share
information on the opportunity and your company.
Again, thank you for your consideration.
Sincerely yours,
Usually means resigning from an old one. As with refusals, resignations must convey a negative message as positively as possible. You may be delighted to be leaving or feel hostile toward your former boss, but you letter of resignation should express regrets, not anger. You may mention a reason for leaving. Keep the resignation letter positive and brief.
