Let your annual wellness credits work for youIndependence gives you wellness credits to help your company manage its long‐term health care costs through the implementation of health and well‐being programs that engage your employees.

To help your organization implement a well-being program or event, each year Independence Blue Cross provides your organization with 5,000 wellness credits. You can use these to partner with a well-being vendor that can help support your employees’ well-being journey and build a culture of health.

We offer a wide array of vendors that provide eligible services and programs to meet your specific needs. Whether you’re looking to customize a specific program utilizing a variety of vendor resources or would like to use one vendor for a specific event, we have an option to suit your needs.

Our comprehensive list of eligible services and programs may include: educational and fitness programs, on-site wellness coaching, biometric screenings, wearable monitoring devices, and/or other wellness related items.

Note: Wellness credits can’t be used towards flu shots (a covered benefit), gift cards, or other incentive items associated with a rewards program.

Be nourishedPromote healthy eating habits and food preparation tips to ensure a balanced diet, assist with weight loss goals, or encourage people to try new things.

Be empoweredHelp employees take control of their life across the board, whether financially, managing a chronic condition, balancing family priorities, or understanding biometric screening results.

1. Plan early. Wellness credits have an expiration date and must be used within a plan year. Note: Unused wellness credits will be forfeited and can’t be carried over into another plan year.

2. Contact an approved vendor. Work directly with any of the vendors listed in this guide for credit eligible well‐being programs and services. For a turnkey solution or à la carte services, you can make one call and the vendor will do the rest for you. Since Independence is already connected with these vendors, we will facilitate payment for you (for payment information, see #4).

3. Conduct your program/event. Engage with your employees in a manner most meaningful for them.

4. Submit your payment request. Instruct the vendor to send you a copy of the detailed invoice for approval within 30 days of the event. To ensure efficient vendor payment, please make sure that the invoice is addressed to Maureen Conneen at Independence Blue Cross. Once you approve the invoice, instruct the vendor to upload the invoice to Catalyst, the Independence accounts payable system. All Independence wellness credit vendors are familiar with this process. Once the vendor invoice appears in Catalyst, Independence will process the invoice, pay it, and deduct the expenses from your wellness credits balance.

Note: If a customer approves an invoice with an Independence vendor for an amount that exceeds the amount of wellness credits available, the customer will be responsible for any remaining charges due to the vendor. Any overages will not be paid to the vendor by Independence.

5. Track your wellness credit balance. It’s important for you to keep an accurate record of wellness credit balances so that you don’t incur any out-of-pocket costs for any outstanding approved invoices that are greater than your total wellness credit balance. If at any time you need to reconcile your wellness credit balance, please contact your Independence Account Executive.

6. Leverage wearable devices and well-being items. These items can further enhance your program engagement and can be purchased through Independence using the Wellness Credits Order Form. For more information on items available for purchase, contact your Independence Account Executive.

Vendor selection checklistEach vendor has its own process and fee schedule, so before you book anything, we encourage you to request an estimate from your vendor of choice for any services or programs that you would like to offer your employees.

To gain a better understanding of how the vendor works, we encourage you to ask the vendor some questions to ensure that any requested programs or services meet your needs.

If you are seeking on-site programs or seminars, you should ask the following:

What are the program details?

How much time is required to plan a successful event with adequate participation?

What are the spacing and/or logistical requirements?

Do you help support any employee communications?

Will you expect a final head count or a guaranteed minimum number of participants?

What is the maximum number of participants?

What are the qualifications of the personnel running the program?

Will you provide an attendee list after program completion?

Will you provide a satisfaction survey at the conclusion of the program?

What is the pricing structure?

Are there minimum requirements and/or additional costs?

What is the cancellation policy?

Will any equipment be used? Is that included in the pricing structure?
