OverviewEMC SourceOne for Microsoft SharePoint Storage Management is an optional productwhich supports Remote BLOB Storage (RBS).

With EMC SourceOne for Microsoft SharePoint Storage Management, SharePoint usersaccess content stored in the RBS through SharePoint, as usual. The software providesstorage management, not archiving. RBS content is not indexed and retention is not setby EMC SourceOne.

EMC SourceOne for Microsoft SharePoint Storage Management:

l Is used to improve the SharePoint SQL Server performance by storing BLOBs onremote storage instead of the SharePoint SQL Server.

l Is intended for local use over a Local Area Network, not a Wide Area Network.

l Applies to a specific content database within a farm.

Note

To archive SharePoint content, you can use the EMC SourceOne for Microsoft SharePointproduct. Refer to the documentation that accompanies that product.

SourceOne RBS componentsThe following table describes the RBS components.

RBS Provider Store the BLOB content in a remote storage.

Health Monitor Check the free space available in the storage provider.

Migration Service Migrate the following to EMC SourceOne RBS.

l BLOBs stored by third-party EBS

l BLOBs stored by third party RBS

Maintenance Service Perform periodic garbage collection and other maintenance tasks such asgarbage collection and consistency check for RBS.

l Support for the RBS features

l An updated EMC SourceOne administration site (.wsp) with RBS-specific links formanaging RBS features

Account settings to access the Maintenance ServiceThe RBS provider uses the impersonation account to access the Maintenance Service.

Consider the following:

l The account is not used for accessing the content database.

l The application pool account of the Central Administration Web application typicallyhas sufficient privileges to access the Windows Task Scheduler on the otherSharePoint Web Front-End (WFE) servers.

Configuration overviewYou configure EMC SourceOne for Microsoft SharePoint Storage Management features byusing the EMC SourceOne administration site.

Perform the following steps to access the EMC SourceOne administration site.

Procedure

1. Open the SharePoint Central Administration website.

2. Click EMC SourceOne.

The page lists the following RBS services:

l Content Database Settings

l Health Monitor

l Migration Service

l Maintenance Service

Configuring Content Database SettingsThis section describes how to configure the Content Database settings.

Configuration considerationsBefore you configure EMC SourceOne RBS, consider the following.

l Ensure that installation is complete before enabling RBS

l Do not enable RBS until the following conditions are met:

n RBS installation is complete on all SharePoint front-end servers

n The other RBS common settings are configured as described in this topic.

Note

If you enable RBS before it is installed on all SharePoint front-end servers, somefront-end servers might store BLOBs in the SQL Server and might not be able toretrieve externalized content.

l RBS configuration changes take effect immediately. The RBS Provider checks forconfiguration updates every 5 minutes.To force configuration changes

1. Restart IIS

2. Restart the SharePoint Timer service

l You cannot create a content database by using SQL authentication.

l Ensure that the following application are not RBS enabled:

n SharePoint Central Administration

n SharePoint Web Services

Note

The SharePoint Central Administration and SharePoint Web Services applications arenot intended to hold content or BLOBS. The Central Administration site is used by theSharePoint Administrator to manage the SharePoint environment. The SharePointWeb Services application is used for SharePoint programming such as internalfunctional calls.

Storage root path considerationsSpecify the farm-wide storage root path for the Storage Root Path.

All of the stores of different content databases or Web applications share the same farm-wide root path and if you use it, you do not need to specify a new storage location.

Note

Storage Root Path does not support content database-level root path.

Setting the root path to the provider storeThe RBS Content Database settings page lists all of the RBS and EBS provider stores thatare currently used.

Use this page to configure the root path to the provider stores. By configuring the rootpath here, you do not need to type a path each time you create a store.

Perform the following steps to set the root path to the provider stores.

Procedure

1. Specify the path; for example: \\servername\folder1.

All the provider stores you create are stored to this location on the server.

Note

Ensure that the path you specify is a network path which can be accessed from anyfront-end server on the network.

2. Click Apply.

3. To change the Web application whose content database you want to manage:

a. Select the Web Application drop-down.

b. Select Change Web Application to open a new page where you can select therequired Web application.

Specifying the Content Database detailsPerform the following steps to specify the content database settings.

Procedure

1. For the Activate/Deactivate Provider field:

a. Click the toggle button to activate or deactivate the EMC SourceOne RBS Provider.

b. Enable RBS so that BLOBs are remotely stored.

Note

You cannot disable RBS if a store still available in the RBS store; you must deleteall stores before you deactivate RBS. To disable RBS, select Deactivate.

2. For the Minimum BLOB Size field, specify the minimum size of BLOBs to be remotelystored, in kilobytes (KB). You must enter an integer value between 0 and 4194304 KB.

Consider the following information when determining the minimum BLOB size:

l BLOBs with a size greater than or equal to the recommended value are saved tothe RBS store on the shared directory that you specify on the network.

l BLOBs that are smaller than recommended size are stored in the SharePoint SQLdatabase.

l The overhead of externalizing BLOBs that are too small may outweigh the benefits.

l Storing smaller BLOBs in the SharePoint SQL database reduces overhead relatedto external storage.

l SharePoint 2013 introduces a new technology called Shredded Storage, ShreddedStorage improves performance by breaking an individual BLOB into "shreddedBLOBS", that means when a file is upload to SharePoint 2013, it will be splits toseveral BLOBs.

l The Default FileWriteChunkSize is 64320 (around 62.8K), Administrator canchange it to a greater value by using the following command:

All Programs -> Microsoft SharePoint 2013 Products -> SharePoint 2013 Management Shell $webApp = Get-SPWebApplication http://webappurl $webApp.WebService.FileWriteChunkSize = 1073741824$webApp.WebService.Update()

3. For the Operation Retry Attempts field, specify the number of retry attempts to store aBLOB file to the RBS store.

When the EMC SourceOne RBS provider fails to retrieve the file, this settingdetermines how many times to automatically retry.

4. Click Apply to save the changes.

Setting up a new storeUse the following procedure to set up a new store. You can add as many stores as youneed.

Procedure

1. To add a new store, click Add New Store from the Content Database Details page. TheRBS Common Setting page displays.

2. For the Store Name field, specify a name for the content database where you want tostore the BLOB files.

Valid characters that you can use for the store name include the following:

l A to Z

l a to z

l 0 to 9

l underline

3. For the Storage Provider field, specify the storage provider. By default, the storageprovider is the file share or UNC path to the file share.

4. Specify the path to the storage provider:

a. Select the Specify Storage Path checkbox.

b. Type the pathname in the field. For example: \\store\path\EMCS1RBS\xyz\.If you do not specify a path, the parent root path automatically generates a storagepath.

c. Ensure that the location you specify is shared among the Web servers.

5. For the Pool Capacity field:

a. Specify the storage capacity of the RBS storage.

b. Specify how many BLOBs that a RBS pool (folder) can contain.

6. For the EMC Atmos Settings field, specify EMC Atmos settings here including thefollowing:

l URL

l Port

l Subtenant ID (this field could be empty if you want to connect to the main tenant)

l UID

l Shared Secret

7. For the Account Settings field:

a. Specify the username and the password of the impersonation account. Thesecredentials are used to access the RBS storage. The username and the passwordfields cannot be empty.

b. Click Test Storage to check that the specified credentials can access the RBSstorage.

Note

If you selected Atmos in Storage Provider section, this storage will be seen ascache storage, there will be two additional settings here.

c. For the Cache Expiration Period field, define the cache expiration days.

d. For the Pool Capacity field, define the max file count according to the file system.

8. Mark the Compression checkbox to enable compression for the BLOBs.

9. For the Encryption field, select an encryption algorithm to encrypt the BLOBs.

10.For the RBS Storage Quota section:

a. You can generate a warning message to preconfigured email recipients when freespace drops below one of the following values:

l Amount of free space is in megabytes (MB)

l Amount of free space is based on percentage (%)

b. Select the Send warning email if free space drops below checkbox to enable thisoption. When the free space drops below the specified level, a warning email isautomatically sent to the account you specify in the Notification settings.

c. Select the Write to Content Database if free space drops below checkbox toenable this option.

11.For the Notification field, specify one or more email addresses you want to notifywhen the RBS store space drops below the specified limit. Separate each addresswith a semicolon.

l You can customize the default email notification template on all farm servers byediting the following file:

%ProgramFiles%\Common Files\Microsoft Shared\Web ServerExtensions\14\TEMPLATE\LAYOUTS\ES1RBS\Xml\<localeid>\DefaultEmailTemplate.xslt

l Ensure that the outgoing SMTP server settings are configured by using the CentralAdministration > System Settings option.

12.Click OK to validate and save the changes.

13.If values are missing or invalid, then the following error message is displayed:

This page contains one or more errors. Fix the following before continuing.

14.Correct the values, then click OK.

Configuring the RBS Health MonitorUse the following procedure to configure SharePoint to periodically check the storagepath used by the SourceOne RBS provider for available free space.

If the available free space falls below the preconfigured limit (percentage of total diskspace or absolute disk space in megabytes), an alert is sent to a list of subscribers thatyou have specified.

Procedure

1. From the EMC SourceOne Settings page, click Health Monitor. The Health Monitorpage is displays.

2. For the Enable storage monitoring job section:

a. Select Enable storage monitoring job to periodically check on the storage for theavailable free space.

b. You can select a server from the drop-down list to run the monitor job

c. Select Any Server if you want SharePoint to select an idle server to run the job.

3. For the Time section:

a. Specify how often you want to run the storage check. You can set it in minutes,hours, or days.

b. Specify the time period you want to run the storage check.

Note

During the farm feature activation, Health Monitor is enabled and a default scheduleis automatically created for it.

4. Click Apply to save the changes.

Viewing Store statusThe Health Monitor page displays the store status. You can specify the types of stores forwhich you want to view the status.

Select the appropriate Web application from the Web application drop-down to view thestatus of the stores.The page displays the following status for all of the stores in a selected Web application:

l active

l read-only

You can view the following information:

l Web application name

l Content database name

l Store name

l Store location

l Free space

l Warnings and critical limits

One migration job can have multiple content databases associated with it but onecontent database can have only one migration job.

Use the Migration Jobs page to add a new migration job or view the progress of existingmigration jobs.

Adding a migration jobPerform the following steps to add a migration job.

Procedure

1. For a selected Web Application, select No Migration Job from the Filter by MigrationJobs drop-down.

2. Select the content database and then click Add Migration Job. The ConfigureMigration page displays

3. For the Direction section, select the target from the To drop-down list. The defaultoption is RBS.

The Direction section displays the content database or the EBS source that you haveselected to migrate.

4. For the Scheduler section, complete the following information:

a. From the Preferred Server for Timer Jobs drop-down list, select the server tomanage the schedule activities.

b. Set the start time and duration to run the migration.

The and no later than option defines a range of time in which a migration job canstart. This option allows the SharePoint Timer service to schedule within a range oftime ensuring that all other timer jobs do not compete for resources at this time.This option is not a limit on when a migration job can run.

c. In the Time Limit field, specify how long you want this occurrence of migration torun, in minutes.

The time limit indicates that the job is stopped when the time reaches thespecified limit. For example, if the time limit is 60 minutes, and start time is 10:00PM, when time reaches 11:00 PM, the job is stopped, and the next day, themigration job will resume at 10:00 PM.

5. For the List of sites for migration section:

a. Select the list of sites that you want to consider for migration.

b. Select All, to migrate all of the listed sites.

6. For the Job Status Detail section, consider the following:

l This option is disabled when you create a migration job.

l For a content database which is currently in active migration, you can view thefollowing details:

n Name of the migration job

n Time when the migration has started

n The maximum time duration to run a migration job

n The last time a migration was run

n Content databases under migration

n Migration status

n Number of items that are migrated

7. Click OK to save the changes.

Viewing the migration statusThe Migration Jobs page displays the following settings as described in the followingtable for a selected migration job of a selected Web application.

Configuring the RBS Maintenance ServiceThe Maintenance Service performs garbage collection and a consistency check by usingWindows Task Scheduler. Each content database will have only one maintenance taskassociated with it and each maintenance task will have only one content databaseassociated with it.

Note

The Central Administration Pool Account must have necessary privileges to accessWindows Task Schedule of other SharePoint Web front-end servers.

Viewing Maintenance summaryThe Maintenance Service lists all the content databases that have SourceOne RBSenabled.

The Maintenance summary page displays the following details as described in thefollowing table.

Configuring Maintenance activities for a content databaseThe BLOBS that are no longer referenced in SharePoint are called orphans. The RBSGarbage Collector deletes the orphan BLOBs from storage.

Use the Maintenance Configuration page to:

l Schedule the RBS garbage collection task for a selected content database.

l Specify the SharePoint front-end servers on which you want to run the garbagecollection task.

Use the following procedure to configure Maintenance activities for a content database.

Procedure

1. Update the Account section:

a. For the Enable the Maintenance task drop-down list, select the server on whichyou want to run the maintenance task.

b. For the User name field, specify the username of the account which has necessarypermissions to run the maintenance task on the selected server.

c. For the Password field, specify the password of the account which has necessarypermissions to run the maintenance task on the selected server.

d. Ensure that the account has the rights to create, remove, and run the Windowstasks on the selected server.

2. Update the Scheduler section:

a. Set the time to begin the maintenance job.

b. To set a time limit for this activity, select the Time Limit checkbox and the specifythe time in minutes.

3. Click Modify to configure database settings for maintenance. The Modify Setting pagedisplays.

4. Follow the on-screen instructions to configure the database settings for maintenanceas described in the following table:

Delete Scan Period Specifies the minimum amount of time that must pass between tworeference scan garbage collection runs. The default value is 30 days.

The format of the period is 'days dddd' or 'time hh:mm:ss'.

Delete PropagationBlobs Per Iteration

Specifies the number of BLOBs that can be checked in a singletransaction for the delete propagation garbage collection phase. Thisvalue can be used to control the trade-off between the overhead ofcreating and committing transactions and number of locks held. Thedefault value is 1000.

The value should be numeric.

Reference Scan BlobsPer Iteration

Specifies the number of BLOBs that can be checked in a singletransaction for the reference scan garbage collection phase. The defaultvalue is 1000.

The value should be numeric.

Logging and performanceThis section describes logging and performance information that you can monitor.

RBS log levelsRBS logs events of the following category into the SharePoint trace log.

l 1000—Information

l 2000—Warning

l 3000—Error

Configuring SharePoint Trace Logs for RBSTo configure the logging level for the SharePoint Trace Logs for RBS, perform thefollowing.

Procedure

1. At the SharePoint Central Administration website, select Monitoring > ConfigureDiagnostic Logging.

2. In the Event Throttling section, select EMC SourceOne SharePoint RBS. After the RBSfarm feature is activated, the trace category is created and appears.

Solution retraction status continues to display “Retracting”After you retract a solution, the status continues to display Retracting instead ofRetracted.

As a workaround, stop the SharePoint 2010 Timer service and restart it.

Activating a feature fails after deploying a solutionYou are not able to activate a feature after deploying a solution.

As a workaround, deploy the solution and wait for some time, then manually activate thefeature. The solution deployment requires some time because it is done through anasynchronous Timer Job.

RBS Configuration links are not displayedThe RBS configuration links are not displayed on the SourceOne Administration site.

As a workaround, manually activate the RBS Premium UI Farm feature.

Unexpected error on the Microsoft SharePoint 2010 serverYou encounter an error on the SharePoint 2010 server. To solve the problem, perform thesteps outlined in this section.

BLOBs are saved to Content Database instead of in a SourceOne RBS storeAlthough SourceOne RBS is created for a Content database, BLOBs are still being savedto the Content database.

To solve the problem set the active provider to the RBS store that you have created. RBSmigration does not work if the active provider is set to None.
