INTRODUCTIONHosting accounts allow you to setup email accounts using your domain name.

For example, [email protected].

The storage space you have in your account also includes the storage space you have for email.

If you use your email a lot or send and receive attachments, we recommend using a 3rd party services like Tutanote, G Suite or Zoho to host your email.

Then you get more storage space and if something happens to your hosting account it won’t affect your email.

WHAT IS EMAIL

E-mail (electronic mail) is the exchange of computer-stored messages by telecommunication. (Some publications spell it email; we prefer the currently more established spelling of e-mail.)

E-mail messages are usually encoded in ASCII text. However, you can also send non-text files, such as graphic images and sound files, as attachments sent in binary streams.

E-mail was one of the first uses of the Internet and is still the most popular use. A large percentage of the total traffic over the Internet is e-mail. E-mail can also be exchanged between online service provider users and in networks other than the Internet, both public and private.

EMAIL PROTOCOLS

POP3 is version 3 of Post Office Protocol which is an application-layer Internet standard protocol used by local e-mail clients to retrieve e-mail from a remote server over a TCP/IP connection.

SMTP is the abbreviation of Simple Mail Transfer Protocol which is an Internet standard for electronic mail (e-mail) transmission across Internet Protocol (IP) networks.

EMAIL SECURITY

SERVICE PROVIDER PERSPECTIVE

A service provider ensures email security by using strong password and access control mechanisms on an email server; encrypting and digitally signing email messages when in the inbox or in transit to or from a subscriber email address.

It also implements firewall and software-based spam filtering applications to restrict unsolicited, untrustworthy and malicious email messages from delivery to a user’s inbox.

EMAIL SURVEILLANCE

Email surveillance (also known as monitoring) is executed in companies, countries and even homes for various reasons. Monitoring software can control the content of the emails sent and received. Under federal law email monitoring is usually allowed.

But, why is Email surveillance for?

Page 12: Email - Web Hosting Curriculum [8/10]

EMAIL SURVEILLANCE PURPOSES

• Maintaining the company's professional reputation and image;

• Maintaining employee productivity;

• Preventing and discouraging sexual or other illegal workplace harassment;

• Preventing "cyberstalking" by employees;

• Preventing possible defamation liability;

• Preventing employee disclosure of trade secrets and other confidential information;

• Avoiding copyright and other intellectual property infringement from employees illegally downloading software, etc.

Email monitoring is also necessary for parents.

Monitoring your child's emails will give you valuable insight into your child's behavior online and protect them from the dangers of the Internet.

Monitoring your child's emails also tell you what they are interested in, what is happening around them, and keep you informed.

EMAIL WITH cPANEL

The Mail area functions in cPanel allow a user to do many different tasks with email accounts.

This includes creating email accounts, removing accounts, forwarding email, etc. Let’s explore the interface.

Create e-mail accounts, define passwords and

quotas for them.

Access the webmail programs included in cPanel.

Automated system to identify spam

messages based on the content of the

email

Send copies of all your messages from one e-mail account

to another. “Catch" all the mails that are sent to an

invalid email address for your domain.

Each user's filter is processed after the main account

filters.Allows you to import e-mail addresses or

forwarders from Excel spreadsheet files

You can change the MX records for your domain

and define on which server to deliver the

messages.

An advanced spam

prevention and protection system.

3rd PARTY PROVIDERS

There are various reasons for people to choose Third-Party Email Providers instead of their own servers account.

This reasons can include:• Security• Reliability• Massive Email Sending

Surf the way and search for the different 3rd party providers available. Compare their characteristics. You can start by taking a look at this article:

MX RECORDS

A mail exchanger record (MX record) is a type of resource record in the Domain Name System that specifies a mail server responsible for accepting email messages on behalf of a recipient's domain, and a preference value used to prioritize mail delivery if multiple mail servers are available.

The set of MX records of a domain name specifies how email should be routed with the Simple Mail Transfer Protocol (SMTP).

PRACTICE TASK

Take some time to research and complete this task.

1. Research 5-10 different email providers that let you use custom domain names.

2. Compare features and pricing.

3. Try setting up an email account in cPanel

4. Practice configuring your MX Records to point to a 3rd party email provider

ASSESSMENT

Work with a partner to complete this assessment.

Explain the pros and cons of hosting email on the same server as your web site versus using a 3rd party email provider.

Choose and justify which you think is the best email provider for a personal website, small business and large corporations.
