EasyMaint provides a complete system for generating, managing and reporting Work Orders (WO’s). Work Orders can be simple, with a single asset and a procedure to define maintenance works or more flexible providing multiple Assets / Units and procedures by grouping them in a Master Work Order.

The Work Order module is extremely powerful and flexible. However, most information is optional. When you complete a work order EasyMaint automatically calculates costs, actual costs of labor, parts and spares used, External Services, Miscellaneous, downtime. It generates alerts or alarms.

It is in this module that all planned and unplanned, preventive, corrective, predictive, and other works are controlled. This is defined through the Work Type Classification.

Other features of the Work Order

EasyMaint stores and records the costs of labor, parts and services used in maintenance.

Detailed budget reports are presented at the actual expenditure by the cost center compared with the programmed budget.

The ability to plan WO’s graphically presents the work of the day, week, or month. Users can reschedule work orders, assigning internal or contract labor by just clicking.

The user can select, predefine, or calculate priorities in order to organize work orders more easily.

Changes are recorded to be audited, if a work order is changed after its creation, is automatically marked as

corrected and displays the user the time and date the work order was corrected.

If the assigned warehouse doesn´t have the required parts, select another warehouse with stock and (make a requirement) use the necessary parts.

Registration of downtime is used for production and Off-Time Maintenance.

The Work Orders can be re-opened with special permission on security, identifying in the logbook that the WO was re-opened, for a need to make corrections or to add information.

Capabilities of Work Orders Module:

Work Orders are also classified by their status: Requested, Approved, Scheduled, Started, Done, Completed, Canceled and Rejected. The status of the Work Orders is color coded for quick identification.

Both internal and contracted labor, records actual and estimated times and costs. Labor costs include shifts and jobs defined by the user (regular time, overtime, double time, special, etc)

Tracking any additional information related with a work order will be easy trough

multiple comments fields, attachments, user defined fields and codes. Drawings, descriptions of problems and solutions, failures and lost time codes, etc. With comments, an unlimited number of notes can be added to Work Orders.

You can create Work Requests or problem reports via internet or intranet, Email or SMS messages.

EasyMaint will automatically notify when the request was received, when the work orders were started, finished or done. Upon receipt of the request, a person designated as a supervisor or administrator will be notified. Work requests can be registered from a Call Center that centralizes the function and that monitores, each user who reports the service request can register it directly to be authorized by an internal resource or a service provider. In addition you can attach images from a Work Request. Select possible failure codes from the request to feed the Fault Cause-Effect-Analysis (FMEA) database. Create, print, and track preventive, corrective, predictive, autonomous, and emergency maintenance. Work Orders include information on: Assets, Asset Location, procedure and tasks, estimated parts and labor and what will be used, any special tools required, and special diagrams and / or drawings.

• View all planned work orders by day, week, or month in a calendar view. • Automatically assign parts to the work order and reflect parts not available. • Notify when a job is covered under warranty.

EasyMaint gives users the ability to request maintenance work in the following ways:

The work requests can be registered from a Call Center that centralizes the monitoring function.

Each user that reports the service request can also directly record: o Through EasyMaint EM Request module through intranet. o Through the internet. o By sending an e-mail from Outlook or other email program. o By sending SMS messages to EasyMaint (Requires an optional module of EasyMaint

mail server) Requests are sent to the maintenance department and alerts are shown on

EasyMaint. Resources are allocated for their care and can be internal or external service

providers. Upon receipt of the request, a person appointed as a supervisor or manager is notif ied. The audible alert options are available for emergencies or based on a period of time to identify applications that were received. The staff who makes the request will also be notified if the request was received or when any changes occur for example if the work order is started, completed or canceled.

Other features of the Work Requests

The user can define failures codes. You can assign standard international codes as an example: ISO 14224 or another, or customize your own codes.

Emergency requests can be marked. You can monitor the log notes and review when a change of status happens. You can add new comments about the problem and verify Work Orders created via

the Work Request Module. Once the work is completes, the service can be rated to measure satisfaction.

EasyMaint offers a veriety of ways to create, edit and generate work order schedules. Work Order Schedules can be generated with different criteria, it allows to create a schedule quickly and to visualize the programming virtually. If the user at that moment wants to generate the WO’s, with a single click he can generate and print them. You can select all programs or a subset of programs that meet the programming criteria. This is very useful if the asset has an unexpected failure and you want to make planned programs in conjunction with any repair needs.

Automatic Scheduling. Automatically create and print Work Orders that fall within a certain date range or meter Readings based on a criteria or in the same program.

You can identify the period of time to consider for the calculation of average advances counters.

Inactive Calendar – Specify the day of the year as holidays or days on which the company will be closed. Work orders will not be scheduled to these days.

Maintenance departments depend on work orders to ensure the work is done in an efficient and timely manner. Although most of the planning work orders are often made for some frequency of time. There are assets in which scheduling must be done by a counter that has built-in, for example units that have an odometer (km). Their preventive maintenance is performed when they reach a certain frequency of miles. Another case is maintenance that results from inspections and meter readings collected from meters controlled by minimum and maximum

operating thresholds, for example pressure gauges, temperature, thickness of pipes, vibration, viscosity. EasyMaint creates one or more events to perform the maintenance activities, managed and controlled by work orders. Readings can be fed manually or by importing readings from SCADA systems, PLCs and other sensors.

EasyMaint triggers events to generate work orders, alarms, alerts, e-mail alerts or SMS messages.

Meter Tree The meter tree can establish that the input of a single meter Reading to a parent meter, can trigger other events in the child meter, or create different activities in the child meters depending on the thresholds defined at that level. These activities can be automatically generated from work orders, sending of alarms/alerts via email or SMS messages, you could also run a computer program to perform an action and send a digital or analog signal to a control.

The EasyMaint Maintenance Master Plan is a powerful tool that allows you to view flexibly and quickly the status of all Works.

The works are represented by color codes that indicate the status of work orders, grouped by each of the 52 weeks of the year. Multiple Warehouses / Multiple Locations

EasyMaint maintains and manages multiple warehouses. A part can be stored in a number of warehouses. Each warehouse can have any number of locations and the same Stock part can be stored in more than one location (primary parts, spare etc). You can easily transfer parts between locations and warehouses.

EasyMaint also manages inventory of multiple entities, transferring parts between Entities is simple. When looking for a piece, you can search in your location (default) or select any number of locations to search. Each location is deployed with the part, warehouse, location and number of pieces available to be used (not set aside for a work order).

Parts can be associated with any number of suppliers (including a primary supplier), Unit Manufacturers, Resources, Replacements and Attachments (such as photographs can be printed on Purchase Orders).

Physical Inventory The physical inventory process makes counting the parts faster and easier. Create a parts list based on a combination of parts criteria (ABC Code, Warehouses, Locations, etc). Print the list, count the parts, and quickly enter the account into the system. You can print a report and then update the physical inventory. Inventory Adjustments With the EasyMaint Inventory module, each quantity, location or cost change is recorded as an inventory adjustment that can be checked later to see exactly how the pieces have been used.

•Multi-Site Parts Maintenance: Transfer parts from one location to another or search for the parts elsewhere in the organization (according to security allowed).

EasyMaint provides a module for the control of tools assigned to the maintenance resources, tool warehouses can be defined for its classification, the employee or contractor can request the tools to the Tools Warehouse. Personal will deliver the requested tool and registers to who was delivered and prints a report for the signing responsive. An importand part of the Inventory, is the issuing and tracking of requests, and purchase orders.

The Purchasing Module is designed to generate purchase orders as needed, either through the reorder method specified in the part catalog or by planning based on th demand for the works scheduled.

Parts can be placed on the purchasing orders in one of three ways:

Automatically generated by EasyMaint when based on the new order (re-order) method.

Automatically generated by EasyMaint when using the planning requirements based on demand method.

Manually entered in the purchasing module.

If you need to pass your purchase requirement to a Purchasing Department or carry out the purchase order process, the system can be adapted to any of the modes of work. Reorder alert reports show what exactly is needed to order, including parts needed for work orders. EasyMaint purchasing system can take this list and create purchase orders automatically. The purchasing planning module will help you to easily make your purchases to a desired horizon, based on Demand or Reorder (maximum or minimum) Using the demand-based option, EasyMaint quickly checks what exists in the inventory, the number of parts that are requested for the work orders, which purchases of the same

The supply of fluids is done through the registration of tickets. Consumption, performance and maintenance costs of the vehicle fleet are automatically calculated by EasyMaint. If the company has its own tanks to supply the fluids, this module is fully integrated with the Inventory and Purchasing modules.

EasyMaint also provides a module for tire control. Assembly templates and wheel rotation can be defined.
