M. Benedikt reminded to advertise the jobs vacancies on the beneficiaries’ websites.

Kick-off meeting’s goal is to introduce all beneficiaries to each other, to develop and enhance the network between them and to create a strong network around FCC studies and link R&D activities with industry.

EASITrain launch is a success: 2 years of hard work and good network base.

The project aims at supporting the work of PhD students in cryogenics and superconductivity. EASITrain promotes and develops the scientific community who is still too small.

Purposes: Ongoing collaboration, recruitment and training of good students to bring additional support to FCC study and allow good combination of work force and financial support.

EASITRain overview, goals and partners – speaker: Johannes Gutleber

EASItrain will bring additional resources to the preparatory phase of a future large-scale Research Infrastructure in the heart of Europe. It aims at implementing a curriculum at PhD level in superconductivity and establish the foundations for the next R&D steps after 2020.

It is important to engage the public and the funding agencies and raise awareness on the communication needs. How to communicate with people who are not interested in the project? It is essential to explain to funding agencies where and which financial support is needed after 2020 to bring next-generation superconducting technologies to the market.

EASITRain core activities: Superconducting wires for very high field magnet applications, superconducting thin films for radiofrequency applications. Cooling schemes for superconducting magnets in view of manufacturing potential accelerator components. For cryogenics, the core activity will be modeling, the comparison of cooling architectures and techniques.

A strong economical focus is new in this project: The addition of a university of economics will help to identify and evaluate new application fields and market opportunities and manufacturing at sustainable cost.

EASITrain in embedded in FFC study (http://cern.ch/fcc) and the EuroCirCol H2020 project (http://cern.ch/eurocircol) that aim at developing a conceptual design of a 100 km long, circular particle collider that significantly extends todays energy and intensity frontiers. Links with EuroCirCol:

ITN Management and recruitment – speaker: Cécile Granier

EASITrain recruites and trains 15 ESRs for a duration of 36 months.

Contracts should be signed for exactly 36 months. Ex: if September 1st is a Sunday, please change the start date to Monday, September 2nd 2017 until September 1st 2021.

There will be common training events and individual training. Emphasize on networking and knowledge sharing.

Please inform and involve your HR, legal and finance colleagues throughout the entire project.

ESRs should be informed of salary, social security and training conditions. They should be provided with the Grant Agreement (NOTE: it is part of the EASITRAIN “book” handed out to each beneficiary and ESR).

EU Participant Portal:

- Hired researchers should be declared within 20 days of employment contract.

Secondment agreements – speaker: Karen Ernst

All beneficiaries should read Annex 1 of the Grant Agreement.

Partners are not parties of the CA as they do not commit to undertaking of the work during the whole duration of the project.

The CA is based on a DESCA agreement. It is a good compromise to protect the beneficiaries of the project on a legal perspective.

For secondment of an ESR to a partner, a partnership agreement will be concluded between the Partner and the Beneficiary.

To bring a new partner or new beneficiary to the project, a request should be placed by the project office on the EC Participant Portal. The partnership agreement template is available on the kick-off meeting Indico page (https://indico.cern.ch/event/638239/timetable/#20170905.detailed).

Beneficiaries apply their own HR rules and should include in the CA the IP provisions.

ITN Financial Management – speaker: Anita Ivanova

Cost category 4 of the financial budget is necessary to show evidence and keep track of the activities costs during the 4-year project.

A common pot is established to cover the expenses for events that are set up for the benefit of the entire consortium (summer schools, training workshops, communication/outreach, etc.). If part of this common pot is not used, CERN will redistribute the residual amount to the Beneficiaries.

Pre-financing: 75% of the total budget will be transferred to CERN when all the beneficiaries have signed the GA. CERN must re-distribute the pre-financing without delay to all Beneficiaries. Therefore, it is important that all Beneficiaries communicate their bank account details in a timely matter. Hiring of ESRs is an obligation and not an option. Therefore, the Beneficiaries must perform the hiring process in an efficient and timely manner.

Financial Reporting periods to EC:

1st reporting period: October 2017 - September 2019 (M1 to M24)

2nd reporting period: October 2019 – September 2021 (M25 to M48)

The beneficiaries are responsible for the periodic reporting compliant with the EC H2020 rules. The information must be provided to the coordinator CERN before it is entered by each Beneficiary on the H2020 Participant Portal site. The SSB chair and the ECC WP8 deputy position remained to be appointed:

Michael Eisterer has been appointed as SSB chair by unanimity.

Emilio Bellingeri has been appointed WP8 deputy by unanimity.

Michael Benedikt explains that the H2020 EASITrain project was prepared by the FCC study, currently composed of an international collaboration of 116 institutes that are coordinated by CERN. The goal of this study is to create a durable initiative for the advancement of superconductors, associated manufacturing technologies, cryogenics and cooling of superconducting accelerator elements. It aims at the creation of an industry platform in view of medium term projects that can lead to an affordable and sustainable industrialisation of the technologies required for a post-LHC particle collider research infrastructure. EASITrain, as an additional personnel funding and training project, adopts therefore the FCC Study scope and goals.

The present Beneficiary representatives took note of the upcoming milestones and deliverables. There was no comment or request for further information.

Hiring:

All ESRs positions should be filled by December 31st, 2017 at the latest.

All contracts will be signed for a duration of 36 months.

All beneficiaries shall be pro-active in the hiring process and provide the applications they receive via their own website. For any hiring difficulties, they should contact the project office immediately to work out a solution.

Decision making:

All management bodies (e.g. ECC, SSB, work package meetings, working groups, task forces) shall implement a consensus-based decision making process as is most appropriate for collaborative projects. Only under exceptional circumstances and after having involved the project leaders, a voting approach should be considered.

Next meetings:

- The next ECC meeting will take place at latest on December 7th, 2017 at CERN with Vidyo support. Earlier meetings may be called in order to align on the hiring progress.

- An ECC meeting will take place during the ESR network introduction workshop, 12-23 March 2018 at CERN with Vidyo support.

- An SSB meeting will take place at latest during EASITrain school, 3-14 September 2018, Vienna, Austria.

MS4, recruitment complete: 1.10.2018, actual start of employment for all ESRs is January 2018. Deliver researcher declarations and hiring reports.

MS6, top stories for outreach: 1.12.2018, collect stories from beneficiaries and partners, classify according to audience and relevance. Deliver top three stories in draft format ready for producing outreach material.

Resources needed:

- Before October 1st 2018: For the management of Intellectual Properties, resources for technology scouting, IP development with ESRs and beneficiaries, support for license/patent and other exploitation development need to be found.

- As soon as possible a person helping with fundraising for event organisation is needed. Beneficiaries are invited to make proposals to the project office.

- The employment contract of the communication officer is coming to an end in 2018. A durable solution needs to be found.

Coordination Needs:

- Wire R&D and magnet cooling work should closely interact with EuroCirCol WP5 (High-field 16 Tesla magnet) as well as existing projects for short model magnets and FCC wire R&D.

- HTS thin-film R&D should closely interact with EuroCiRcol WP4 (cryogenic beam vacuum system)

- LTS thin-film R&D should closely interact with work on FCC superconducting cavities.

Hiring Status:

Beneficiaries should communicate and provide the applications they received on their application platforms.

Next Steps:

- get CA signed before 1.10.2017 by all Beneficiaries

- have a consistent database of applicants by October 13, 2017

WP2 Materials status - speaker: Michael Eisterer:

TU Wien Michael Eisterer, WP2 leader, superconducting properties characterization, supervisor of ESR 13.

TU Wien Johannes Bernardi leads the microstructure analysis work, supervisor of ESR 12.

TU Wien Michael Stöger-Pollach TEM characterization.

Objectives:

Assess the quality, superconducting properties of Nb3Sn and MgB2 wires, properties of Nb3Sn, NbN, MgB2 coated conductors and Tl-1223/1212 under different cryogenic operation conditions. Identify, analyse and describe the impacts of manufacturing processes on the material properties (feedback for WP 3).

Milestones until M18 (Mid Term):

M2.1: Material characterisation benches operational, 1.11.2018: Infrastructure descriptions and available material samples provided by ESRs at project website for CERN, HZB, TUWIEN.

No deliverables until M18 foreseen.

Coordination Needs:

- Sample distribution and data flow (WP3) cf. MS2.1 (synergies with Data Management Plan)

- Training (WP6)

Hiring Plan:

One suitable candidate for ESR13 identified so far. Planned employment contract starting date as soon as application deadline reached, application folder reviewed, suitable candidates interviewed and work contract accepted by a suitable candidate.

Activities within the FCC design study:

TU Wien studies the irradiation effects in Nb3Sn, microstructural analysis (tin distribution, grain size), local superconducting properties by Scanning Hall Probe Microscopy (SHPM). For this purposes, a new SHPM (to be used for Nb3Sn and Tl-1223 is currently being set up in Vienna.

- Validation and benchmark of simulations 2018-2021.

The goal of this hackathon project, which started in December 2016 is the development of solution concepts based on superconductor technology for societal problems in 3 pre-selected application fields:

- Fruit quality control and dispatching via NMR or NMR-inspired devices

- space launch systems with magnetic levitation and SMES

- Data centre UPS and grid stabilisation via superconducting flywheels

Participants: approximatively 20 students (business, physics, engineering) and 10 industry/technology experts. This event is a pre-cursor to similar, following group events. It leverages CERN’s IdeaSquare facilities and is put in place in cooperation with CERN’s Knowledge Transfer group.

EASItrain Data Management Plan – Speaker: Johannes Gutleber

Participants registered to a dedicated meeting on Indico page (https://indico.cern.ch/event/664001).

Publications need to be publicly accessible and anonymous. The plan is to openly publish data for superconducting wire and thin film characterisations that are used to create the scientific publications.

The meeting attendants agree to have a publication review process in place that also includes the papers.

Johannes Gutleber has worked on a preliminary Data Management Plan using the Open DMP tool and basing the work on existing DMPs.

CERN has 2 open data platforms: Zenodo and opendata.cern.ch. A meeting will be scheduled with the group at CERN that manages the two platforms to ask them for input and guidance. Zenodo has a required 2 step data publication process in place: first upload the data and get a non-public DOI, which can be referenced in a paper that is peer-reviewed. Once the paper is accepted for publication, the Zenodo DOI can be made public, too. The data can also be revoked at any time.

The main work to be done until the preliminary DMP publication, is to agree on a metadata structure that corresponds to the needs of EASITrain. The attendants point out that such a system can be useful for sharing data within the consortium. This should actually be the primary goal at this point.

For a review process, at least two people in addition to all paper authors have to agree on the data publication:

- Representative from the organisation that provides the original material (wire, film)

- A measurement campaign supervisor

The Consortium will first evaluate the possibility to share data via the opendata.cern.ch. If this platform cannot be used for this project, zenodo.org will be used.

The following items were discussed and will be tackled in the coming months:

Data will be stored using a project storage system such as CERN’s EOS/CERNBOX or the EASITRAIN collaborative MS Sharepoint based Web site (http://cern.ch/fcc/easitrain) together with metadata describing the data sets. The data will be indexed, using the EU Open Data Portal (data.europa.eu).

Data quality Management is important for the use of data. Therfore, as errors become known and corrections take place, they should be included in the data sets and indicated in the metadata versioning history.

For spreadsheets, an open file format is preferred.

For the definition of the data set making up a sample measurement campaign, a set of individual files needs to be defined (e.g. images, spreadsheet, textual description of setup, methods and tools).

Data should not be exchanged by e-mail due to data duplication and confidentiality reasons. Exchange of links to data (e.g. implemented in cernbox and MS Sharepoint) are preferred.

For EU-funded projects, the European Community requires that data be freely and openly accessible. Industry partners may not wish to reveal their company names and production methods along with the scientific publications in all cases and may wish to restrict proliferation of the data. Therefore, the option of data anonymization was discussed. However, anonymised measurement data has not the same value for work bilding on the findings. The topic will require further investigation. For a start, the data sharing shall foresee not to

include all data files for publication on the open data platform (e.g. remove certain images and supplier information that might compromise Intellectual Proprty rights).

The question who needs to approve the publication of the data set was discussed. The conclusion is that all participants involved in the research need to provide their approval and one reviewer. The minimum consists of (1) a representative of the sample supplier, (1) the person responsible for the measurement campaign and (3) a reviewer. The names will be kept in the metadata record.

Participants asked if there is a requirement on the amount of data to be made available openly. Johannes Gutleber replied that the European Community does not give instructions on the data quantity. Initially the exercise would focus on superconducting wire measurements and depending on the experience might be extended to thin film samples.

The participants asked that to define author lists in the project for the different topics. Johannes Gutleber noted down the request, which will be discussed at a future ECC meeting. Each beneficiary needs to supply names for the different topics (ACTION).

CERN’s project office will maintain the data storage and will perform the upload of the data to the open data platform and the release of the data on the platform upon request of the beneficiaries. CERN keeps the links of DOIs.

Simon Hopkins will investigate suitable metadata formats (ACTION) and work with Johannes Gutleber on defining a suitable extension for the wire sample measurements (ACTION).
