Introduction

Overview Of Dynamic MappingService Accent Dynamic Mapping allows you to locate your engineers on a user-friendly map; this cansignificantly aid you in the smooth running of your service department.

In its standard form, it enables you to view the location of engineers and customers based upon thejobs that are currently allocated to them. You can also view unallocated jobs so that you can betterdecide which engineer is best placed to attend. It is even possible to filter this view by engineer, dateand job status.

However, Service Accent Mapping really comes into its own when used in conjunction with ServiceAccent Wireless. With engineers equipped with GPS-enabled PDAs you can locate your engineers innear real-time and take advantage of a range of extended features including the ability to view yourengineers travel history and speed of travel. When an urgent call comes in you will be able to see in aninstant where your engineers currently are and thereby better assess who is best placed to attend thecall.

You can even choose to have this map displayed prominently on a large screen within your call controlcentre so that everyone can see, at a glance, where your engineering resources are currently located.

How it works

Service Accent Dynamic Mapping uses the Google Maps engine to provide the mapping interface.Service Accent looks at your engineers, the jobs they are assigned to and the status of those jobs toestimate the current location of the engineer in relation to your customers.

When you add Service Accent Wireless, the device each engineer carries sends through the current GPSdata on a regular basis. This data, which includes co-ordinates, actual time and speed, are updated inService Accent, so that the current engineer location is known precisely.

Additionally, the current GPS data is passed back to the Service Accent Dynamic Mapping website. Thiswebsite, which updates automatically, shows the last known positions of all your engineers in real-time.This allows you to keep this page open allowing your users to know where your engineers are at alltimes.

Finally, because the engineer’s GPS data is sent back to, and stored in Service Accent, the route takenby an engineer can be recreated for any date and time.

How to use Dynamic Mapping

Once Service Accent Dynamic Mapping has been licensed (please refer to your support provider fordetails on licensing Dynamic Mapping), the following options become available:-

• Customer postcode lookup. Please refer to page 6 for details

• Supplier postcode lookup. Please refer to page 9 for details

• Engineer tracking. please refer to page 12 for details

• Engineers last reported position. Please refer to page 16 for details

• Engineers locations. Please refer to page 19 for details

You must have an active internet connection to view Dynamic Mapping web pages and the imagesshown represent a snapshot based on the information held in your database on the date the image wasrequested. Customer postcode lookupTo view the location of a customer, based on their postcode, open a customer record (please refer tothe Service Accent User Guide for information on opening a customer record) and the following isdisplayed;

Engineer trackingEngineer historical route lookup allows you to view an engineers journey over a specified date. Open anengineer record (please refer to the Service Accent User Guide for information on opening an engineerrecord) and the following is displayed;

3. The default date range is the current date. To view an engineers route over a different period,change the From date and Time and the To date and time. Once the date range has been selected,click the Track this engineer button and the following is displayed;

4. In the example above, the engineers route for the 8th June 2009 is shown, The panel next to themap shows the date and time the GPS position was taken and also the speed the engineer wastravelling. The GPS co-ordinates are taken every minute, but this can be changed on the PDAdevice (please speak to your support provider about changing the polling interval). However, theshorter the polling interval, the more “real-time” the information is.

5. Each blue pushpin represents the engineers reported position. To zoom into one of the positions,either click the blue pushpin or click on one of the positions in the panel on the right hand side. Thepushpin will turn to yellow.

4. By default, Automatically zoom and centre selected point is enabled. This means that when apoint is selected, the display zooms in and centres that position on the map.

5. By default, Automatically refresh this page is enabled. This means that the map will refreshevery 60 seconds. When the map refreshes, the default view is shown (all engineers last reportedpositions).

6. To return to the default view, click the Show all points button

Engineers locations

Engineers locationsEngineer locations allows you to view the jobs that are currently assigned to engineers, the currentlocation of the engineers and any unassigned jobs, on a map

To see the engineers locations

1. Click Routines from the Service Accent button bar, under Work control, click the Engineerlocations icon.

2. A dialogue similar to the following, will be displayed;

3. This screen will, by default, show the current day with all the jobs assigned (or provisionallyassigned) on that day, to all the engineers.

4. Click Dynamic Mapping options to change the options for viewing the engineers locations, andthe following will be displayed;

5. If you want to see all unallocated jobs, enable Show unallocated jobs on the map. If you alsowant to see any unallocated jobs for the next few days, use Include jobs for the date below andfor the next... days and select the number of days (upto a maximum of 6). When you show theinformation on the map, Dynamic Mapping will check the Respond By date of all unallocated callsand if this date equals or is upto 6 days greater then the Display commitments for date, the callwill be displayed on the map.

6. Enable Include subcontracted jobs to see jobs subcontracted on the map.

7. From the Job status drop-down list, select the status of the jobs which are to be displayed, thedefault is All statuses.

8. Enable Include engineers last known location to see the last reported position of the engineer,on the map.

9. Click Close to close the Dynamic Mapping options.

10. Enable Show all engineer’s commitments to show all jobs for the engineer whether fully assignor provisionally assigned.

11. From the Engineer drop-down list, select which engineer to display.

12. Select the date to show the commitments for from the Display commitments for box.

13. Click the Go button to display the information on the screen.

14. Click the Show on Map button to show this information in Dynamic Mapping and the following isdisplayed;

15. The following pushpins are shown:

A fully assign or provisionally assigned job. Click once on the pushpin to see the customersname and address, the job number and the engineer assigned/provisionally assigned to thejob. Double click the pushpin to zoom in and see the details as mentioned previously.

An unallocated job. Click once on the pushpin to see the customers name and address andwhen the job has to be responded to by. Double click the pushpin to zoom in and see thedetails as mentioned previously.

The location of your office. Click once on the pushpin to see your companies name andaddress. Double click the pushpin to zoom in and see the details as mentioned previously.

16. Click the Show all button to return to the main default display (all pushpins shown)

17. Click the Centre on customer button to centre the map on a selected customer.
