2.1.   APPLICATION AND CONFIRMATION  

Companies wishing  to exhibit  in  INTERQUILT GIRONA COSTA BRAVA 2015 – SPECIAL EDITION should send to the organization:  

Entry form duly completed, signed and sealed, with a copy of a bank transfer of 100€ as a deposit. This deposit will be discount of the total amount.  

 Later the organization will notified you their acceptance to participate in the fair.

These rates include the following services: 

 

MODULAR STAND 

- The rent of the contracted space 

- Structure melamine with aluminium front  

- Fair carpet retardant, colour standard established by the Organisation 

- Electrical watts/m2 of 100 and a socket for stand and lane 3 focus 

50 W/m2 for lighting 

50 W/m2 unrestricted (single phase) 

- Signs with letters and one standard colour in front of the stand 

- 4 passes per 8m2 hired 

- 1 invitation for every m2 

- General services of lighting fixtures, air conditioning and surveillance 

- Presence of the name of your company in all those elements which published the list of exhibitors

 WORKSHOP STAND  Workshop stand is an 8m2 stand (always expandable with modules of 8m2) which you can place next to your booth dedicated to store. This stand is exclusively for the workshops (in no case will allow  the sale  in  this space). The workshop stand will be equipped with  lighting and modular walls. In order to hire a workshop stand, you will always have to hire at least one store stand.  

  

  

  OUTLET AREA  Outlet area is an space located next to your store stand, thus expanding your selling area with 1 or 2 linear meter by 2 meters in front of the background. In the outlet area, the exhibitor may sell material with a discount because  this material  is  from other seasons, or special offers  for the visitors.   This space will be different from the rest of the stand on when the image of the front‐page so that visitors easily locate it.

   STORE STAND + OUTLET AREA + WORKSHOP STAND   

     

WORKSHOP AREA  Inside the fair will be a workshop area available for all the exhibitors.   The allocation of space for workshops and timetables, set the organization, and the criterion will be the order of receipt of the request to teach a workshop, and a maximum of one workshop a day for exhibitor.  The space will be equipped with tables, chairs and electrical connection point. That will provide with six tables (dimensions 1.80 x 0.70 m) and 24 chairs.  The duration of each workshop will be maximum of one hour.  The registration control and to pay the workshops will be managed by each exhibitor.  The number of students per course will be established for each exhibitor.

    3.2.   CONDITIONS AND TERMS OF PAYMENT 

 At the moment of enrolment must pay 100 € as a deposit by a bank transfer.  

 The remaining amount will be pay by a bank transfer with the following maturities:  

 1st   33% on 15.04.15       2nd    33% on 15.06.15       3rd    33% on 15.09.15       

  

PAYMENTS  It is an essential condition to participate in INTERQUILT GIRONA COSTA BRAVA 2015 – SPECIAL CHRISTMAS  to  have  completed  the  conditions  and  terms  of  invoices  payments:  stand  and accessories.  If  this  is not  done  in  the  stipulated  time,  the  exhibitor will  lose  all  rights  to  the space reserved, and this space will be available to the organization.     3.3.   ALLOCATION OF SPACE 

 The organization will process applications for strict order of receipt of the request, along with proof of bank transfer for the first payment. Until both documents are received, the space will not be assigned with definitive character. 

 Therefore, the allocation of spaces is based on the following criteria in order: 

 ‐ Date of application  ‐ Payment of the application ‐ Surface demanded ‐ Sector of activity 

  

MODIFICATIONS The  organization  reserves  the  right  to  force majeure  or  necessity  of modifying  the  surface and/or the space allotted at any time, without any compensation to the exhibitor. The space contracted is indivisible.  Except by written authorization of the organization, the exhibitor may not assign, subcontract or share the space allotted. The  organization  is  committed  to  studying  all  complaints  and  seeks, whenever  possible,  an alternative that meets the exhibitor.

 4.1.   GENERAL SERVICES 

  VIGILÀNCIA  This section describes the general services included in the rate of INTERQUILT GIRONA COSTA BRAVA 2015 –SPECIAL CHRISTMAS EDITION.  In addition, the organization will provide to the participants a kit accessories, through  With exhibitors may hire additional services.         SECURITY The  organization  shall  ensure  the  overall  safety  of  the  pavilion  24  hours  a  day,  but  not responsible,  in  any  case,  of  the material  and  objects  left  by  exhibitors  at  their  stands.  The security service will begin from 9th October at 8 pm until 13th October at 11 am. 

 Exhibitors must take care of looking after their stand and showed materials, during the opening hours of the Fair and during assembly and disassembly.  The  security  staff  of  the  Fair  cannot  accept  any  job  or  assignment  of  the  exhibitors.  The organization is not responsible for the orders given and accepted contrary to this provision.    

   CLEANING  The organization will oversee the clean‐up of the pavilion and facilities during the Fair (hallways, common areas, collection containers, separate collection of glass, ...) The specific cleaning during assembly and disassembly and the days during de Fair will be the responsibility of the exhibitor. The organization offers to exhibitors a cleaning service of the stand carpet for a total of 3€ m2 (the 3 days of the Fair)

 4.2.   SET‐UP AND DISMANTLING  

 ASSEMBLING  The assembly time of stands will be  

Friday 9th  October from 9 am until 8pm  

       Friday 9th October from 8 pm, the fair will be cleaned.    From  that  moment  you  cannot  access  to  the  fair  with  no  vehicle  or  transport  to  unload 

material, you can only access on foot.   

   DISMANTLING   The timetable for the dismantling of the stands will be:  

Monday 12th October from 7 pm until 9 pm IN ANY CASE WILL REMOVE THE STAND BEFORE THE TIME SET. 

  

All stands must be completely disassembled and removed  items and merchandise at 9 pm on 12th October 2015. The organization does not allow set‐up or dismantling work outside the established schedules. In  the dismantling,  the  exhibitor  is obliged  to  remove  all  construction materials, objects  and accessories of their stand back and without exception the exhibition space to its original state. The organization reserves de right to do what better fits it, with the objects that exhibitors leave behind.  In case that exhibitors  leave residues or waste once the period of dismantling  is over, the  exhibitor will  need  to  pay  the  organization  a  fee  of  50  €/m2  +  VAT  to  cover  the  final  cleaning, which must be paid when you receive the invoice.  

              

4.3.   IMAGE OF THE STAND  In the front of the stand will be labelled the name of the exhibitor.  It is absolutely forbidden to hang any item in the front of the stand.  The decoration of the stand by each exhibitor. It is absolutely forbidden to nail nails, staples, pins, or anything that involves pierces the panels of the stand.    Not allowed to leave any items outside the limits of the stand.

   4.4.   ATTENTION THE STAND    There will always be at least one person in the stand. Must respect the opening hours of the fair. In the case that a stand is not open at the time of opening de fair, the organizers have the right to open it even the exhibitor is not there.    4.5.   PERSONAL AND BADGES  Badges INTERQUILT GIRONA COSTA BRAVA 2015 are personal and confidential.  

  PASSES FOR EXHIBITORS Exhibitors will receive 4 passes for every 8 m2 hired.  These  passes  entitle  you  to  enter  the  exhibition  hall  during  the  Fair  and  during  the  days  of assembly and disassembly. Persons with exhibitor passes may enter one hour before opening to the public and leave it up to an hour after closing.    4.6.   ENTERTAINMENT ACTIVITIES  Exhibitors must inform to the organization of the activities planned, descriptions and schedules, animation, visual effects, sound, noise and music, they want to do through the PA system or on its own stand. All  these  actions must  be  authorized  by  the  organization, which  reserves  the  right  to  limit, forbid, restrict or suspend any activity, if they believe may interfere with the smooth running of the fair, without the exhibitor entitled to claim compensation. 

   

4.7.   PROMOTIONAL ACTIONS  It is forbidden all promotional and advertising outside the bounds of your own stands, without the consent of the organization.

   4.8.   BRANDING  The organization has the right to use the name of the exhibitor and brand image  or logo in all promotional events and communication exhibition, before, during and after the show. The  organization  has  the  right  to  photograph  and/or  film  installations,  stands  and  all  the products on display and uses them for promotional use. 

   4.9.   DIRECT SALE AND DEMONSTRATIONS  The organization provides direct sales approach to the exhibitors.    4.10.   ACCES AND SIGNS  At all times respect the location of signalling elements, fire equipment, alarms, emergency exits, hallways and light boxes. It is absolutely forbidden to use the emergency exits to exit the exhibition hall. Once the show 

started, the emergency doors may be used only in justified cases. 

   

4.11.   RECEPTION OF MERCHANDISE  Participating companies will be responsible of their merchandises and their subsequent storage. For  the sendings  to  the exhibition hall  is required  to state  the name of  the company, contact person and number of stand.  The organizers will provide a warehouse space  to  the exhibitor who needs  it  (see accessories catalogue).  The organization is no liable for losses caused by theft or receipt and/or improper storage. 

   4.12.  CANCELLATIONS  The organization reserves the right to change the dates and location of INTERQUILT GIRONA COSTA BRAVA 2015 for justified reasons or force majeure. In this case the application of Reserves maintained its validity.  If the show could not be held for major causes not attributable to the organization, this will not be liable for damages that may occur.

   DISCLAIMER AND NON APPEARANCE  The exhibitor must notify to the organizers his disclaimer to participate in INTERQUILT GIRONA COSTA BRAVA 2015 with an anticipation more  than a month of  the date  to  fair’s celebration. The cancellation of the stand once hired no right to return the payment made. When the disclaimer occur within a period not exceeding 30 days of the event, the organizers may claim payment of the total area, although this space can be occupied by another exhibitor. 

 Non  appearance  of  the  exhibitor  at  the  event  which  has  not  been  communicated  to  the organization  in advance may be a reason for filing a  lawsuit for damages against the exhibitor, without being able to claim payment already made. 

    FORCE MAJEURE The organization may dislodge  the different areas of  the  site  temporarily or permanently, or postpone  and/or  reduce  the  duration  of  the  event  of  force majeure  to  justify, without  the exhibitor been able to claim damages.  

  EXCLUSION OF THE EVENT  The  organization may  expel  those  exhibitors who  fail  to  seriously  or  repeatedly  the  general conditions of participation. They have not right to any claim.  

   4.13.  INSURANCE  The  organization  has  hired  a  compulsory  insurance  of  civil  liability  and  property  damage. 

Exhibitors  interested  in hiring an  insurance policy  for  theft,  loss or damage must purchase  it 

separately with the company they wish. 

   

4.14.    INTELLECTUAL PROPERTY  The exhibitor will assume the  intellectual property rights of any sort that might arise from the 

use  of music,  sound  and/or  images,  both  of  the  stand  as  the material  is  transferred  to  the 

organization.

   4.15. PRIVACY   In compliance with the Law on protection of personal data, the exhibitor is aware that their data will bi stored in automated files of INCATIS SL. At  all moment  you  are  in  your  right  to  access,  rectification,  cancellation  and  opposition,  by 

getting in contact with the organization in writing.  

  4.16.  CLAIMS AND VERBAL AGREEMENT   The organization reserves the right to take any other action that enhances the performance and / or enhance the protection of exhibitors and visitors. 

   4.17.  OTHER  The organization reserves  the right  to adopt any other measure  that enriches  the  functioning and / or that improves the protection of the rights of the exhibitors and the visitors.    4.18.  CONTRACT TERMS  All exhibitors must sign the application form for participation, and confirm that they understand and accept the rules of participation.   Anything  not  covered  in  these  rules  shall  be  regulated  by  applying  the GENERAL  RULES OF PARTICPATION of Fira de Girona.
