Document Tolerance

AP should check their WorkCenter Daily for any type of message. Navigate: Core-CT Financials > Accounts Payable > Accounts Payable WorkCenter Click the Document Tolerance Exceptions Click on the Voucher

This will bring up the Voucher entry page. Click on the Exceptions hyperlink to view

The system will bring you to the Document Tolerance Exceptions page The Source Line section displays the voucher information In the screenshot below the Source refers to the Voucher (Line 1, Distribution 1) NOTE: There may be more than one exception per voucher – There are 5 in this example

The Exceptions Section provides the error message In this care the Document (referring to the Voucher) exceeds the predecessor (the PO) (The Voucher line amount is greater than the PO line amount)

The Details shows you the difference between the Predecessor (the PO) and the Voucher The left hand side shows the PO business unit, id, line, schedule, and distribution. The Pred Doc Amt is the PO Line amount The life-to-Date liquidate Amt is the total amount vouchered against the line So vouchers were created totaling 267.14 trying to pay 11.43

If we add all the voucher lines in exception 11.43 + 49.28 + 169.53 + 29.76 + 7.14 = 267.14 (the Life-to-Date Liquidated Amt)

The PO Line 1 shows it is for 11.43

From the PO navigate to the Budget Information tab on the distribution The encumbered amount is 11.43 and the expensed to date is 267.14 If the voucher were to process, it would over pay the line – what we call Over-Expended

When the User reconciled the PO, all transactions were reconciled to line one of the PO

So although the totals are correct, the line was misapplied.

All this information can be seen on the PO 360 View Navigation: Core-CT Financials > Purchasing > Purchase Orders > Review PO Information > PO 360 View

Delete a Voucher/Reset Reconciled Transactions After a Voucher has been created, the undo option is no longer available on the reconciliation page.

However, a voucher in exception can be deleted and this will reset the transactions on the p-card

reconciliation page.

This will recombine any split transactions automatically. (They will need to be split again, if

necessary)

This process will reverse all entries on all corresponding documents.

This voucher was created from 7 transactions

All 7 transactions will be reset

Before deleting a voucher, enter a comment explaining the reason for delete.

Delete Voucher

Navigation: Accounts Payable > Vouchers > Add/Update > Delete Voucher

Click Delete and the following message will display

Click OK and the voucher will be deleted and the transactions will be set back to the p-card

reconciliation table.

The 7 transactions have been reset to ‘Staged’
