Knowledge alone is no longer enough. Successful graduates need to display a wide range of aptitudes, attitudes and abilities which demonstrate their capacity to make use of what they know in a wide range of contexts. It’s a big part of why universities across the globe are looking to bolster their learning ecology with tools to support and guide learning from experience, and bridge the theory - practice gap.
THE WHATIf we understand why we’re seeing a shift in Higher Education, the next logical question to ask is what universities are doing to address it. Increasingly, universities are promoting active, authentic learning – within and beyond the classroom, with activities such as work placements, study abroad, research and collaborative projects and volunteering/community engagement.
An awareness of what needs to change is one thing. Understanding how to implement that change is a whole different ball game. Many universities are grappling with the challenge of how to roll out and support organisation-wide initiatives which don’t constrain individual creativity or limit learner-directed activity. However, all too often the LMS or VLE is too course and content centric to support personalised lifelong and lifewide learning journeys. Ask around and most people will tell you that PebblePad is an eportfolio platform. It’s true that allowing users to tell their personal stories of learning and achievement through powerful and beautifully designed portfolios has always been at the heart of what we do. And, yet, whilst millions of portfolios have been created in PebblePad, they form only part of a rich tapestry of reflections, plans, experiences, blogs and activity records that users create to chart the steps along their learning journeys.

What do we mean by (e)portfolio? From defining the fundamental purpose of ‘eportfolio’ through to deliberating whether the ‘e’ is even still required in today’s digital world, it is still a bit of a quandary when it comes to understanding just what this thing is. And given the term ‘eportfolio’ is often used to refer to systems, practices, processes and outputs – it’s clear that portfolio is a slippery concept to get a handle on. We like to keep things simple here at PebblePad and so for us a portfolio is simply a digital presentation intended to convey a story of learning, experience or achievement to a chosen audience.

Superficially, the PebblePad of today is very different to the platform that first emerged 15 years ago, having been inevitably shaped by what we have learned from our terrific community of practitioners. However, the values and philosophy articulated on page 2 of this guide remain as true today as they have since the company’s inception – especially our use of prompts and scaffolds to help users plan for, make sense of, and articulate their learning and experience. Our experience is that more and more universities across the globe are finding more and more reasons to value our approach and embrace our philosophy.

THE PURPOSE OF PORTFOLIO
We’re big on purposefulness here at PebblePad, and our view is that the primary intention of a portfolio is to create a presentation that allows the reader to gain insight into the author and their ideas, beliefs, skills, knowledge and/or experience. This remains true whether the portfolio is constructed to help the author gain employment and/or gain accreditation in a chosen field, demonstrate competence, or to show the extent of their learning.
THE ‘ABOUT ME’ VERSUS THE ‘TASK-PORTFOLIO’
Historically portfolios were 'about me'; that is, they told a story specifically about the author. As portfolios have been successfully adopted into myriad curricula, many portfolios have evolved into stories about activities, projects and events. These 'task-portfolios' typically demonstrate what has been learned by the author (or authors, where they are collaborative) but it is the task and not the author at the heart of the story. The value of task-portfolios, above and beyond their direct usefulness in structuring curricular, extra- and co-curricular activity, is that they provide valuable rehearsal opportunities for ‘about me’ portfolios, and rich evidence of learning that might directly contribute to a future me-portfolio.

While me-portfolios are typically instigated by the author, task-portfolios are more likely to be initiated by the educator, and often, but not always, as part of an assessed activity. This shift towards task-based, experiential learning, coupled with demand from our community to help them find better ways to structure and guide learning, goes a long way to explaining why the PebblePad of today not only offers unrivalled portfolio-building capability, but also design tools to help educators create scaffolded frameworks to support learning activities in any context, alongside a suite of tools to formatively assess and guide development.

Without the structure and guidance of a platform like PebblePad it can be all too easy for students to either miss opportunities to collect and curate evidence of their learning and experiences entirely, or to accumulate evidence in a disconnected and transitory manner. The department, Edinburgh Global, offers a ‘Go Abroad Fund’ to provide financial support for students to
undertake international experience in line with the University of Edinburgh’s ambition to develop global
awareness in its students. With the fund open to all students from all colleges, Robert Chmielewski was tasked
with providing a technical solution to the challenge of selecting 200 successful applicants from around 1,100
entrants. PebblePad was the only platform which could meet the project’s requirements, offering an intuitive
interface capable of supporting anonymous peer assessment at scale. The project saw students submit their
applications into a secure, online PebblePad workspace and then, as peer reviewers, make use of a standardised
feedback form to anonymously assess five randomly-generated application submissions. With almost 1,100
applications, generating over 5,000 completed assessment templates, the reporting capability of PebblePad was
vital in automating much of the work – allowing the entire process to be completed in just one week.

Trainee paramedics undertake simulations of medical procedures in Objective Structured Clinical Examinations
(OSCEs). However, with SHU having 70 trainees undertaking multiple OSCEs, and only five staff to manage the
assessments, course leaders were faced with the challenge of locating enough examiners to observe the live
simulations. In an attempt to find a solution, the course leaders of the BSc Paramedic Science course concluded
that the simulations of the initial Year 1 and 2 OSCEs did not need to be observed live in person and video
evidence could be used. To manage the video submissions effectively the course team created a structured,
digital PebblePad workbook for students to complete. The workbook included placeholders for students to add
videos of each of their OSCEs, which they record via the PebblePad App, along with an area for them to reflect
upon their own performance. The videos can also be peer reviewed within PebblePad, providing an opportunity
for formative feedback before formal assessment. The new approach has resulted in significant benefits for
staff both in terms of efficiency and the robustness of the assessment process. Students, too, are reaping the
rewards of this innovative implementation, with over 90% of students preferring the new approach.

Summative and formative feedback are essential elements of practice placement education in Diagnostic
Radiography programmes. With placement students spread across 14 different hospitals and requiring daily
formative feedback and weekly summative assessment, the paper-based methods in place at QMU were not
only labour intensive but were also impacting negatively on engagement and doing little to mitigate the risk of
lost paperwork. The existing paper placement assessment forms were therefore replaced with electronic
forms developed in PebblePad and the PebblePocket App. The shift from paper to a digital world offers
additional security and compliance with data protection regulation, whilst providing students with access to
assessment forms from mobile and tablet devices, even when they are offline. QMU Academics have
commented that having student work readily accessible in a single, digital PebblePad workbook has
significantly reduced the overhead of previous paper-based approaches.

In 2016, PebblePad was selected as the Platform to support the Griffith Employability Initiative, and in late 2017 the
DVC-A supported a proposal to develop a university-wide employability achievement record called the Griffith
Graduate of Influence (GGoI). The University wanted students to be able to record personal achievements in a
variety of ways and for the records to be evaluated at a discipline or school-level. Usage data was also to be made
available to the university executive. The program itself is structured into three levels: Silver, Gold, and Platinum,
with each level recognising the students’ active development of their professional identity throughout their studies.
By working through the levels, students are encouraged to connect with industry, undertake professional
development, and make explicit the connections between studies, professional aspirations and life outside of
university. The initiative makes use of a range of PebblePad tools including an Activity Log to continuously track the
accumulation of activity points across each level, a Career Portfolio template, a set of seven reflective templates to
document co-curricular and extra-curricular activities, inbuilt options to upload supporting evidence, and the
submission and reporting capability of PebblePad’s assessment space, ATLAS. A digital PebblePad workbook was
specifically designed to provide the scaffolding for the GGol Portfolio.

PROFESSIONAL DEVELOPMENT OF STAFF (CPD)
All academic staff at the University of Cumbria keep a Continuing Professional Development (CPD) portfolio
created in PebblePad and use this for a variety of compulsory and non-compulsory CPD activities. Newly
appointed staff use the portfolio to apply for Higher Education Academy (HEA) recognition either through a
taught programme or through a more flexible CPD route. Both routes to recognition are accredited by the HEA
and both require a portfolio of evidence mapped to the UK Professional Standards Framework (UKPSF). Staff
on the CPD route to recognition not only make use of a digital workbook to scaffold their application portfolio
but also a PebblePad workspace containing resources, guidance, and exemplars. The portfolios are submitted
to a PebblePad workspace for assessors to mark and provide feedback using a standardised PebblePad
feedback template. As of December 2018, approximately 70% of staff hold Fellowship, Senior Fellowship, or
Principal Fellowship – well above the sector average.

Canterbury Christ Church University’s PGCE Programme makes use of PebblePad’s Learning Journey Platform to
significantly reduce the need for paper-based processes in an implementation which enables students to
collaborate with peers, reflect meaningfully on their learning, plan for their next stage of learning, capture
‘accidental learning’, record evidence of authentic learning and present accomplishments. The innovative

With PSU placing great value on integrative learning and recognizing eportfolios as high impact practice, the
university adopted PebblePad in 2015 to enable the scaling-up of portfolio practice on programs such as the
dual credit high school program, Senior Inquiry. Students in Senior Inquiry are enrolled in a year-long course
that mimics PSU Freshman Inquiry, a theme-based collaborative learning experience focused on gaining skills for
critical thinking, communication, diversity and social justice, and ethics and social responsibility. As part of the
course, students use the PebblePad Learning Journey Platform to curate, reflect on, and showcase their
coursework as a means of authentically evidencing their progress. On the Master’s Level Post-secondary Adult
and Continuing Education (PACE) program, PebblePad fosters integrative learning by helping students make
connections through the likes of the purpose-built ‘memorable learning worksheet’ and by offering authentic
assessment opportunities to help students master and demonstrate essential skills to future employers.

Career Ready Advantage (CRA) was developed with industry partners. It offers students opportunities to
attend career development workshops and networking events to develop skills and graduate attributes. The
challenge of how to connect CRA activity with student learning and skills development in the curriculum was
overcome through an implementation of PebblePad based on the Collect/Select/Reflect/ Present portfolio
model (Barrett, 1999). Custom PebblePad worksheets are published to the web, allowing simple one click
access to worksheets for students to write reflections and upload evidence of learning. Reflections of
co-curricular activities and evidence are then saved to a student’s PebblePad Asset Store, before being
organised in a ‘Career Ready Evidence’ Workbook containing pages for students to record personal
information and undertake self-evaluation activities. This PebblePad workbook becomes an important
personal collection for multiple purposes and touchpoints including key activities across the course in
midpoint and capstone subjects, as well as the creation of career portfolios.

Every apprentice at Northumbria University uses a combination of PebblePad digital workbooks and
portfolios as part of their degree apprenticeship. While workbooks contain records such as off-the-job
training records and mentor meeting records, the portfolio contains curated evidence of how the apprentice
is meeting the standards for end-point assessment. By using PebblePad, the university has found that the
longstanding issue faced by many universities of how to get material to external examiners has been
overcome. Indeed, the apprentice can decide what to share, who with, and for how long – offering a far more
robust system than email. The material stored in the PebblePad assessment space meets the university’s
requirements for ESFA audit. Ensuring that the apprentices fill in their record sheets is a challenge that the
university overcomes by creating an assessed module where apprentices have to present their four best
reflections, plus a 2,500 word reflection on their learning so far.
By using PebblePad, the university has found that the issue faced by many universities about how to get material to external examiners, has been overcome. “
Murdoch’s award-winning blended learning adopts a whole-of-course mapping and design approach to embed
PebblePad and eportfolio into the Bachelor of Nursing program to help students take responsibility for their
own learning, develop and record employability skills, clinical competencies and capabilities, and provide digital
literacy skills in a professional context. The implementation has been a huge success with students engaging in
learner-led activities across all areas of the curriculum, as well as being able to seamlessly share their clinical

also showcase their whole learning journey, theoretical and clinical, to their future employers in a readily
accessible format. Students were also able to make use of customised offline templates while working in clinical
settings through the PebblePad App, PebblePocket. Faculty has noted improved efficiencies, reduced costs,
and witnessed a shift in teaching from the assessment of learning to assessment for learning. The team’s
hugely successful approach has not only been acknowledged within the University, but their learning model
and implementation of PebblePad has been recognised more broadly at the 2018 Learn X Impact Awards.

Transitioning from paper-based portfolios to eportfolios prompted the Occupational Therapy program to take a
‘whole program approach’ to eportfolio, using PebblePad. Mapping professional competencies across the curriculum
and building a ‘Competency Tracking Workbook’ was the first step. This approach enables students to understand
how the curriculum supports their learning journey and enhances their confidence and readiness to enter practice.
In the final semester of the program students complete the ‘Competency Tracking Workbook’ and provide evidence
that demonstrates how they have achieved competence against the Australian Occupational Therapy Competency
Standards and the University’s Graduate Skills and Qualities. The evidence is written in the same format used to
address ‘Key Selection Criteria’ for a job application. Students integrate their competency tracking workbook into
their ‘Transition to Practice’ eportfolio, which also includes a Professional Statement, a CV, a Continuing Professional
Development (CPD) Plan for the final semester of the degree, and a CPD plan for the graduate year.

When Liverpool Medical School introduced a new curriculum in 2014, it adopted PebblePad as a means of
moving away from restrictive paper logbooks. The implementation embedded portfolios into the programme
with the expectation that this would help to prepare undergraduate medical students for the lifelong
requirement to gather evidence of reflective practice. Accessible online and offline through mobile devices,
students use PebblePad to record their activities and experiences in any environment. This activity incorporates
both the clinical and non-clinical elements of the course over four-year cohorts containing approximately 1200
students. The process is supported by hundreds of internal and external staff all using PebblePad to monitor
student progress, enhancing the quality and quantity of feedback. As a non-modular course the School created
PebblePad workspaces to reflect the year structure of the medical programme, with students needing to satisfy
identified requirements in each year in order to progress through to the end of year exams. PebblePad now
offers the opportunity to manage and monitor these requirements throughout the entire School. In summary,
the introduction of PebblePad, as part of a wider Technology Enhanced Learning (TEL) strategy, has significantly
improved the overall student and staff experience.
