11)A: Wether well defined College organizational structure, functions of various
College comm. Are documented & implemented?
1. Parent institute: The General Body of the parent institute Vishwas Shikshan Prasarak
Mandal is the apex governing body. There are various bodies in the institute such as trustee,
Life Members body and Management council. The General Body approves and monitors the
policies and plans.
2. Local Managing Committee: Local Managing Committee comprises 15 members. It is
constituted according to the Maharashtra University Act, 1994. It prepares the budget and
financial statements, recommends to the Management to fulfill in the teaching and other
posts, discusses the academic progress of the college, and makes recommendations to the
Management for the up gradation of teaching in the college. It advises the Principal on
academic and other activities. This body is reconstituted and is named as College
Development Committee as per Maharashtra University Act 2016.
3. Principal and College Administrative Committees: Principal looks after smooth
functioning of academic and administrative activities. Heads of department assist him in this
matter. The college administration office looks into the matters related to admissions,
eligibility, and examination. It provides the clerical support necessary to maintain records and
to interact with the Stakeholders, University and Government offices. The principal forms
various committees to help in monitoring and facilitating several activities organized in the
college i.e. Gymkhana, IQAC, Cultural Committee, Student Council, etc.
4. Service Rules, Procedures, and Recruitment: The parent institute follows the procedures
mentioned in Maharashtra Public University Act 2017, the rules and regulations of the UGC,
and statutes of Shivaji University for service rules, for the recruitments. The promotional
policy of the college and parent institute is impartial and transparent. They follow the PBAS
of the UGC for the promotion of the teachers. At the college level, the API committee helps
the teachers for obtaining the promotion under Career Advancement Scheme. The
recommendations of the committee are accepted by the college administration and the
institute. After receiving the Confidential Reports of the members of non-teaching staff
signed by the principal, they are promoted to the higher positions by the parent institute.
5. Grievance Redressal mechanism: The institute has a Grievance Redressal Cell headed by
the Principal to address and redress the grievances. Prompt and effective disposal of
grievances of various stakeholders is being done by the Grievances Redressal Committee
constituted for the overall betterment of faculty and students. This committee discusses the
matter with the Principal to resolve the problems. Suggestion boxes have been installed in the

college campus and hostels in which the stakeholders put, in writing, their grievances. For the
women, there is a separate committee named Internal Complaint Committee to redress their
grievances.

The college follows a stepwise mechanism for the effective implementation of the
curriculum. The details of the stages are as follows:
1. Updating with the University syllabi
As the college is affiliated to Shivaji University, Kolhapur, the college follows curriculum
designed and prescribed by the University. Periodically, changes in syllabi are made by the
university. Accordingly, the college takes necessary action for its implementation. The
faculty members actively participate in the revised syllabus workshops conducted by the
university and communicate the needs and difficulties of the students. The college has also
organized revised syllabus workshops in various subjects including Mathematics, English and
Marathi.
2. Academic Calendar Preparation
For every academic year, academic calendar is prepared by the college in consultation with
the IQAC to ensure effective implementation of curriculum delivery.
3. Time table Framing
The timetable committee frames the streamwise timetable so that each subject gets sufficient
number of periods as per the guideline of university. The Heads of the respective departments
finalize the departmental time-table in consultation with their colleagues.
4. Departmental Meetings
Departmental meetings are regularly conducted by each department which play an important
role in planning the curriculum delivery. Departmental meetings also provide a platform to
discuss various issues regarding the curriculum.
5. Syllabus Distribution
Based on the workload and the expertise of individual faculty, syllabus is distributed among
the faculty in the departmental meetings by the Head of Department.
6. Preparation of Teaching Plan
To implement the curriculum effectively, faculty members are provided with syllabi,
academic calendar and academic diaries at the beginning of the academic year which helps
them to plan and manage the entire process effectively. Teaching plan is prepared at the
beginning of the academic year. The details of plans are noted down in the academic diary. If
there are constraints to complete the curriculum, extra lectures are conducted.
7. Implementation of Teaching Plan:
The implementation of the teaching plan is supervised periodically. Every faculty member
records daily teaching-learning activities in the academic diary which is then periodically
assessed by the Principal.
8. Reporting to the principal:

At the end of each semester, the syllabus completion report is provided by the faculty which
is then communicated to the principal by the respective Head of the Departments.
9. Faculty encouragement
Faculty members are encouraged to attend syllabus related workshops, seminars, orientation
and refresher courses to update knowledge in respective subjects.
10. Use of ICT and e-learning resources:
For the better comprehension of the topics by the students, the college insists the faculty
members to use ICT based teaching and e-learning resources.
11. Monitoring by the IQAC
The overall process of curriculum delivery is monitored by the IQAC by collecting feedbacks
from students and conducting regular Academic Audits by the external experts. The IQAC
follows robust approach to ensure that the difficulties in the curriculum delivery are identified
and rectified in due time.

Objective-
The objective of the Grievance Redressal Cell is to develop a responsive and
accountable attitude among all the stakeholders in order to maintain a harmonious
educational atmosphere in the college.

The chairman of the committee has in constitution with the member and submits the report to

for the appropriate and early measure of redressal of grievance, under the management and
same will be communicate to the ‘aggrieved person’

the laboratory attendant of concerned departments. Facilities in laboratories are regularly
checked and maintained with the help of a technical person. Facilities like Fire extinguishers
and First aid kits are checked regularly and their refilling is done before expiry date. Students
carefully use instruments and hazardous chemicals under the supervision of the faculty and
non-teaching staff. Department wise stock register is maintained by the laboratory assistant
and annual stock verification is done by the concerned head of department.
Maintenance and utilization of LIBRARY:
The Library provide open access for faculty and final year U.G. and P.G. students. It
provides special book facility to the students preparing for competitive examinations. The
Research Journals, News papers and Periodicals in Marathi and English are made available in
Library. It also provides current issues like Employment News, Competitive Success,
University News and weekly Magazines. Study room remains open from 9.00 a.m. to 4.00
p.m. except holidays. Reprography also provided in the Library.
Our Institute has library committee which plays vital role in smooth functioning
and efficient working of the library. Library is maintained by the Librarian and Attendants.
The books in the library are checked, accessioned, stamped and then shelved according to
Dewey decimal classification. Annual stock verification of library books is done by the
library staff. Pest control of library is done every year. Fire safety unit is installed as the
precautionary major. The maintenance of the Library and Reprography Machine is done
regularly by the technicians.
Maintenance and utilization of Sport Complex:
Institute has large play ground and gymnasium with multi station machine.
Gymnasium hall is utilized for playing indoor games. The Institute organizes Shivaji
University - Zonal and inter zonal tournaments. Gymnasium facilities are utilized by the
students only with the permission during their free periods or after the college hours.
Maintenance of the Play ground is vital to the heaith and safty of playing students done by
picking small stones and pebbles as well as uprooting grass and spraying of weedicides.
Maintenance of Multi Station Machine is done regularly
Maintenance and utilization of computers:
The Institute has given a more prominent focus on buying latest version Computer
systems with decent configuration to provide more computer skills. Computer with Internet
facility is provided to the Departments, laboratories and students. Power back up is provided
to the computer systems to use them optimally.
Computer maintenance is the practice of keeping computers in a good state of repair.
Maintenance of computer is done regularly is done by the students of P.C. Maintenance short
term course. Hardware and Network Technician is appointed for maintenance of computers.
He looks after the maintenance job, such as updating of operating system, antivirus, software,

hardware and technical problems, etc. LAN and internet connectivity is regularly tested. The
institution takes measures to upgrade IT infrastructure as per requirement of faculty and
students.
Maintenance and utilization of Classrooms:
The Institute run Arts Commerce and Science streams. Thus, it is engaged for whole day
from 8.00a.m. to 5.12p.m. We have adequate facilities of sufficient classrooms, furnitures
and smart class rooms to enhance the student’s skills. We provide classrooms for various
university examinations, other examinations like Graduate Excellence( N.Wadia College,
Pune) , Mahatma Gandhi Sanskar (Gandhi Study Center, Jalgaon ) and Vaidnyanik Janiva
(Maharashtra Superstitions Eradication Committee) .
Coloring of the building is done as and when required. Classrooms are allotted to peons
to clean regularly. Broken desks are repaired or damaged desks are replaced by new ones.
Black boards are repaired urgently and colored yearly. Broken glass panels of windows are
replaced once in a year.
Maintenance and Utilization Of Other Physical Facilities-
The campus is under CCTV surveillance. Cameras and CCTVs are maintained by
the technician of dealer.
The Institute has installed 30KV generator, 2KV battery backup, 1Online UPS
with battery backup for 2 hours, 1 Offline UPS with battery backup for 8 hours to
maintain the power supply all the time.
Well Furnished Principal Cabin and IQAC room are available.
Well equipped Conference hall is utilized for Conferences, Workshops, Guest lectures
and Cultural activities.
Common rooms for girls and boys, staff room, toilet blocks etc. facilities are available
and appointed sweepers regularly clean all the bathrooms and toilets.
Hostel- Hostel committee regularly monitors maintenance, hygiene and cleanliness of
all facilities in hostel.
Canteen facility is available. Waste water from canteen outlets is utilized for watering
the plants.
For maintaining aesthetic value of proper campus landscaping of available free land is
carried out by non teaching staff .
For drinking water supply the college has installed water purifier and cooler which are
maintained by the support staff.
Bio-metric Machine is made available to maintain the arrival and departure of faculty
members and remained staff.
Incinerator machine is installed in ladies toilet block.
Parking facility is provided for the faculty and students.
Maintenance of all these facilities such as furniture repairs, masonry and plaster works,
painting, carpentry, plumbing and house-keeping is carried out as per requirements by
technicians and the support staff having technical and mechanical skills.

Bicycles:
College always takes initiatives to keep campus pollution free and eco friendly.
Department of Physical Education provides bicycles to the needy students of the
nearby villages through Cycle Bank Scheme. Awareness is created among the
students to use bicycles. Students from nearby villages use bicycles for to and fro.
Public Transport:

Most of the students, faculty and staff avail public transport for commuting .
Pedestrian friendly roads:
The college is situated in the rural, hilly area which reduces traffic in and around
the campus. Naturally The roads around the college are less crowded and pedestrian
friendly.
Plastic free Campus:
Use of plastic bags, bottles is strictly prohibited in the campus of the Institute
.To avoid plastic bags, awareness programmes are organized regularly and slogans are
displayed in the campus. Damaged plastic items and scrap materials are given away to Scrap
dealer.
Paperless Office:
The faculty, staff and the students are instructed to use both sides of the paper while
writing, typing and Xeroxing. The office staff has been provided with adequate computers
and commendable part of the official records are maintained through soft copies. Notices for
students are displayed on the blackboard kept in the corridor and for the faculty, staff are
circulated through WhatsApp, mobile messages and e-mails. The use of paper is greatly
reduced by maintaining e-records.The motto of the college regarding paperless office is ‘Go
Digital’
f) Green landscaping with trees and plants.
Every year hundreds of saplings are planted on the campus by the students and staff of the
college.
o Endemic and Medicinal plants are cultivated in the botanical garden.
o The Institute has more than175 variety of trees, endemic plants and 193 beautiful
ornamental plants.
o Various programmes organized by the Institute are inaugurated through watering the
potted plant and offering saplings to the chief guest.
o The parking area is at the back of the college premises, which helps to restrict entry of
the vehicles in the premises.
51) Whether Perspective Future plan document prepared?
The institution has prepared a perspective plan for development. The perspective plan
is drawn with short-term and long term goals in the different aspects of the functioning of the
college such as teaching and learning, research and development, industry interaction,
community engagement, human resource planning, and infrastructure. To implement these
plans in a meaningful manner, adequate measures are taken to mobilize resources. The
following aspects are considered while deciding the perspective plan:

Perspective Plan for Deployment of Ladies Hostel (Example): To construct the Ladies
Hostel, the issue has been brought in the IQAC meeting. After having thorough discussion on
the issue, it was decided to construct the same. Accordingly, a building committee was
constituted and the proposal was prepared and submitted to the WRO, UGC, Pune. The UGC
office has sanctioned the proposal. The building committee discussed for the publication of
tender in newspaper inviting bid for the construction of said Hostel. After following the
guidelines of UGC regarding receiving tenders, opening of tenders and the selection of
tender, the committee selected a favorable tender on merit basis. Accordingly, a work order
was issued to the contractor whose tender was selected. After receiving the first installment
of Rs. 20.60 lakh, the construction started. However the further part of construction was
stopped due to want of funds. Therefore to complete the further construction, some amount
from college resources was utilized and remaining required fund was borrowed from the
management. Thus, as per the perspective plan of ladies hostel construction is strategically
completed within stipulated time and made ready to use.
All Sanction letters, appointment Letters, audit statement, service books, cash book, ledger
book, dead stock Register and other relevant required documents are updated& completed in
all respect from time to time and kept in office for verification.
