I. Introduction

General DescriptionConcatenation refers to the process of linking scores, abstracts, and original critiques for a given application into a summary statement shell. The Summary Statement Concatenation Macro is a tool that generates application-specific summary statements from a template shell file and concatenates scores, abstracts and reviewer critiques into these.

Two types of macros have been created: 1) Single Project macro with 2 shells (K shell, and U01, R01, R03, R21 shell) 2) Multiproject (P01 and U19) macro

Procedure1) SRO/GC decides whether to use the macro2) Prepare source files (see User Manual for specific instructions)3) Run the macro4) Send concatenated summary statements to Tech Writers 5) Writers send back edited summary statements to SRO6) SRO finalizes summary statements (e.g., clicking appropriate embedded macros)

Preliminary Set-Up of Your Computer1) Make sure the macro security setting is set to Medium or Low

Preparing Source FilesThe macro uses three types of data to concatenate summary statements: scores, abstracts, and original critiques. Before running the macro, these data will need to be obtained from the following sources:

1) Scores from IMPAC II (Excel file) – score matrix.xls; score matrix2.xls2) Abstracts from QVR Reports (zip files will need to be unzipped)3) Reviewer Critiques from IAR presummary statement zip file (to be unzipped)

Please refer to the Summary Statement Concatenation Macro Tool User Manual for detailed instructions to run each macro, obtain source files, and troubleshoot.

II. Running the Macro

A. Pre-Concatenation (Locate Macro)1) Obtain source files (scores, abstracts, reviewer critiques – see Section II of User Manual)

2) Open MS Word

3) Open folder containing the macro applications: R:\SRP Tools - DEAS Shared\Summary Statement concatenation macro\Macros

4) Open file with appropriate macro:For Ks use SPSS_K_macro- ~.dotFor U01s, R01s, R03s, and R21s use SPSS_macro- ~.dot For P01s and U19s use P01macro- ~.dot

B. Concatenation (Start Macro)1) Click Enable Macros button

2) A Word document appears (SPSS_macro-7-17-07.dot), showing the macro button

3) Click macro button

4) This opens the score matrix.xls (Excel) file

5) The concatenation macro functions by following the information in Columns A-C of the score matrix spreadsheet. Make sure Appl. Number appears in Column A, PI Name is in Column B, and Score is in Column C. Make sure information for the first application begins in Row 2

6) If you have one monitor, MINIMIZE the Excel file. DO NOT close score matrix file – the macro must follow the contents of the score matrix to perform the concatenation

7) Click INSIDE the dialog box that appears in the Word document and enter the number of applications (e.g., 6)

8) Click OK

9) Once concatenation is complete, a dialog box will appear stating the concatenation is complete and the summary statements are saved in the conc SS folder: R:\SRP Tools – DEAS Shared\Summary Statement concatenation macro\single project\conc SS. The statements also appear on the task bar.

10) Click OK

The six concatenated summary statements below are the final products of the SPSS macro

C. Post-Concatenation (Embedded Macros) 1) Double-click the applicable macro (green highlighted text)

2) Delete unrelated text (e.g., [ACCEPTABLE-click]) 3) Remove highlighting (select all text (Ctrl + A) and select no highlighting (None) in the

menu provided by the highlight button on toolbar)

4) Scan through summary statements to make sure information is correct

5) Save summary statements to SRO’s folder
